The information on this page will be updated as we get closer to the conference dates. The workshop will take place in the De Krim resort on the Texel island in the Netherlands. Texel is the first of a chain of North Sea islands that extends from north of the mainland town of Van Helder and runs in a flowing line towards Denmark (the Wadden islands). Texel is full of sea and surf life. In addition, low tides expose the sea floor, and you can take a tour to see the exposed sea life. De Krim has a holiday village with a structure made of villas and single and double usage cottages built around a central area that includes few restaurants, bowling, two bars, large indoor swimming pool and a market with ATM included. The location was chosen with an aim to create a constructive team atmosphere and to encourage the socialization and discussion among the participants. In this optic De Krim is few km from the neighbour town (Den Horn) and located at the edge of a vast natural reserve. During the breaks it is possible either to walk in the dunes, use the indoor swimming pool or to rent a bike and bike to the seaside. The facility includes a large bike rental place. During the evenings the bowling and bar will be available.

Travel InformationBy train and/or airplane The closest airport is the Schiphol Amsterdam International airport. After you arrive go to the train station (inside the airport) and then you have following options:The organizers offer a bus on the day of arrival (September 7) that will depart from the Schiphol airport at 16:30 in order to be at the venue at 19:30. A similar option will be offered on September 14 at 11:00 from the venue to the Schiphol airport (estimated arrival time 14:00). The cost of the transport is included in the conference fee. Due to organizational issues we ask the partipants that will be accepted for an oral talk to communicate the intention to use the bus option no later than July 15. NEW: Detailed information on how to find the bus departure place at the Schiphol airport can be found here. Note:a) If you decide to reach the venue with public transport, please read the relative information given below at this page but consider that the trip will be at your own expenses. b) The arrival time at the Schiphol airport is a safe estimation but we strongly suggest you to book your flights with a reasonably large time gap with respect to the bus arrival since there might be delays due to traffic/ferry. Other options to reach Texel: 1) Board the direct train for Den Helder (travel time about 1.5 hours). Then once in Den Helder train station follow the indication for Texel. Outside the station you will find a free bus that will bring you directly to the ferry. The ferry takes about 30 minutes to arrive in Texel Island. Once in Texel arbor you will find, once per hour, a dedicated shuttle to the venue (at about 10 km distance) 2) Board the train direct to Amsterdam central station and from there the train for Den Helder. The option #2 takes about 20 minutes longer but it runs more frequently. It might be the best option during weekend. In general the Dutch train system is very efficient, however, you can check your travel in advance at https://9292ov.nl or in https://www.ns.nl Please check shortly before your arrival in order to get informed of possible disruptions of the system or changes of schedule. Tickets are available 24/24 from the yellow/blue ticket machines present at the airport and in every Dutch train station. The best way to travel is to buy an ov-chipkaart that can be used in every public transport in the Netherlands:https://www.ov-chipkaart.nl/home.htm#/. The cost of the card is 7 euros. Everytime you board or exit from a train or bus remember to checkin/out. By car From Amsterdam take the highway A9 or A7 to Den Helder (a bit more than 1 hour drive). Once in Den Helder follow the instruction you find here: https://www.texel.net/en/to-texel/by-ferry/by-car-or-motor-bikeRoom InformationWe will automatically book rooms for participants with accepted abstracts at the conference hotel once attendance is confirmed and the conference fee is payed. The deadline for confirming attendance on indico and paying the conference fee is July 15, 2018 . There is no need to contact the hotel directly. The conference fee of 450 EUR completely covers accommodation as well as breakfast, lunches, dinners and coffee breaks , for the time of Friday - arrival date, September 7 (evening) to Friday - departure date, September 14, 2018 (morning). As usual for the Hot Quarks workshop format the participants will be required to share a double room in a villa. Due to the structure of the villa few rooms will have a shared bathroom in the corridor. You will have an opportunity to indicate preferred roommates in your indico registration form. We ask you to provide your anticipated arrival and departure days on the Indico registration form so we can make accurate room reservations. If you need a single room for privacy reasons, or because you will bring a companion/spouse/children, you will be responsible for the additional expenses. You have to let us know in your Indico registration if you would like to upgrade to a private room. If you need additional special arrangements please contact the organizers directly via email. Due to the limited number of rooms set aside for the conference upgrades to private rooms are provided on a first come first serve basis. If you bring a companion/spouse/children who want to participate in shared conference meals please CONTACT DIRECTLY HQ ORGANIZERS: contact-hq2018@cern.ch. You will be charged for the additional food expenses. |
