MANAGEMENT INFORMATION SYSYTEM

The MIS is an idea which is associated with man, machine, marketing and methods for collecting informations from the internal and external source and processing this information for the purpose of facilitating the process of decision-making of the business. MIS is not new, only the computerization is new , before computers MIS techniques existed to supply managers with the information that would permit them to plan and control business operations. The computer has added on more dimensions such as speed, accuracy and increased volume of data that permit the consideration of more alternatives in decisionmaking process. The scope and purpose of MIS is better understood if each part of them is defined individually, thus 1. MANAGEMENT: Management has been define in process or activities that describe what managers do in the operation for their organization plan, organize, initiate and control operations. They plan by setting strategies and goals and selecting the best course of action to achieve the goals. They organize the necessary tasks for the operational plan, set these tasks up into homogenous groups and assign authority delegation; they control the performance standards and avoiding deviation from standard. The decision-making is a fundamental prerequisite of each of the foregoing process, the job of MIS is facilitating decisions necessary for planning, organizing and controlling the work and functions of the business so that specified goals of business are achieved. 2. INFORMATION: Data must be distinguished from information and the distinction is clear and important for present purpose. Data are facts and figures that are not currently being used in a decisionmaking process and usually are taken from the historical records that are recorded and filled without immediate intent to retrieve for decision-making. Information consists of data that have been retrieved, processed or otherwise used for information or interference purpose, argument or as a basis forecasting or decision-making regarding any business unit. Information is knowledge that one derives from facts for effective functioning of systems placed in the right context with the purpose of reducing uncertainty regarding the alternative courses of action as they are based on description and measurement of attributes of various entities associated with the enterprise. 3. SYSTEM: The system can be described as a set of elements joined together for a common objective. A subsystem is a part of a larger system with which one is concerned. All systems for our purpose the organization is the system and the parts (divisions, departments, functions, unit etc) are the subsystem.

Indian Railways operates both long distance and suburban rail systems on a multi-gauge network of broad, metre and narrow gauges. It also owns locomotive and coach production facilities at several places in India and are assigned codes identifying their gauge, kind of power and type of operation. Its operations cover twenty four states and three union territories and also provides limited international services to Nepal, Bangladesh and Pakistan. Indian Railways is the world's ninth largest commercial or utility employer, by number of employees, with over 1.4 million employees. As for rolling stock, Indian Railways holds over 239,281 Freight Wagons, 59,713 Passenger Coaches and 9,549 Locomotives. The trains have a 5 digit numbering system as the Indian Railways runs about 10,000 trains daily. Indian railways are one of the busiest and fastest railway networks across the world. STATEMENT OF PROBLEM

The main problem that Indian Railways were having been issuing of ticket, cancellation of tickets, how many passengers have booked the ticket before the train starts, no coordination between the stations, huge lines to get a tickets. MIS has played an important role to remove these problems.

OBJECTIVE OF STUDY (MIS):

An effective MIS has the following objectives 1. Facilitate the decision making process by furnishing information in the proper time frame. This helps the decision maker to select the best course of action. 2. Provide requisite information at each level of management to carry out their functions. 3. Help in highlighting the critical factors to the closely monitored for successful functioning of the organization. 4. Support decision-making in both structured and unstructured problem environments. 5. Provide a system of people, computers, procedures, and interactive query facilities, documents for collecting, sorting, retrieving and transmitting information to the users

The above picture shows the step how the train ticket booking has became easy using internet and Management Information System. Step 1- The www.irctc.co.in is simple to navigate. You will have to open an account at the website. Ensure that you put in the right names and details as you will be billed according to the account number. Registration is free. Once you have opened an account, a new window opens up with further details. If you have the train number you can proceed to step 2. Step 2- Find the train you want by using the search engine located at the left hand side of the window. For example, I wanted information about the MATYSAGANDAHA EXPRESS and I was able to find a calendar of available dates that I can book. Two varieties of tickets are offered called ITickets, and ETickets. ITickets can be booked two days in advance but ETickets can be booked four to six hours in advance. Another advantage is that opening day booking (90 days in advance) is also available for customers. Step 3- Once you have found the train you want, click on the BOOK button at the bottom of the page. Enter the names and date of birth of the passengers along with booth preferences. If you want another train, click the RESET button to go back. SRM UNIVERSITY, CHENNAI Page 10

In 1985, CMC developed IMPRESS, the railway reservation system based online transaction processing (OLTP), for the Indian Railways, which has been successfully operating it since 1987. Since then, however, the system has undergone a major change for networking all nodes in the railway network. The current software is CONCERT, implemented by the Centre for Railway Information Systems (CRIS). The impact of IMPRESS / CONCERT on the system's users as well as on the Indian Railways has been tremendous. The benefits include substantial savings in transportation costs and in reservation time, telescopic fare benefits for cluster

journeys, reduced malpractice and, above all, a modern, efficient and convenient system. For the Railways, there is substantial reduction in cost per ticket issued, manpower savings (a 40 per cent increase in transactions handled per day), savings in space required, less strenuous work, higher productivity and fewer errors in fare computation, concession calculations, etc. IMPRESS is being enhanced proactively, using state-of-the-art relational database management systems on open systems. The enhanced IMPRESS is built around an RDBMS core and supports full client-server architecture. It can also work on character-based terminals (used in the reservation and charting modules) in a host-based environment. The application has been designed as an open distribution system, so that the data and transaction volume can be segregated between multiple host sites. Networking is an inherent feature of the application. The IMPRESS software can support both graphic user interface (GUI) and character-based terminals, which act as front-ends installed at the booking counters to cater to passenger requests. This software conforms to open standards. Hence, it can be interfaced to other applications like airline reservation systems, hotel reservation systems, etc., which are also based on open standards. The IMPRESS software is 'parametric' in terms of data and business rules, for fare computation, refund rules, cancellation, break journey rules, etc. Here, business rules are also kept as data items in the back-end repository instead of being part of the application logic. Therefore, the system can absorb changes in business rules immediately, without having to regenerate the object code. The application is secured against intrusion by two-level user authentications as the topmost guard. Below it, the data is secured from external access through multiple-level privileges. A data encryption facility is available across the WAN to prevent hacking.

PIT FALL OF EXISTING SYSYTEM

Outmoded Technology: The rolling stock technology is absolutely outmoded. The system is beset with excessive man-power and manpower development has not kept pace with technology up gradation. This has made railways incapable of coping with increasing transport demand and of raising and improving the traffic volume and flows at lower unit cost of operation. SRM UNIVERSITY, CHENNAI Page 12

Broken Link If your site has non-functioning links this causes two main problems:

IRCTC will penalize you for not keeping your site content current Users will be frustrated and will assume that you do not perform regular maintenance on your website

IRCTC run monthly maintenance checks on all of other websites to ensure that any broken links are identified and removed. Slow Web Servers Many web hosting firms use Shared Hosting accounts. This means that your website could be running on the same web server as thousands of other sites managed by different hosting companies. This results in very sporadic performance based on the activity of other sites. All of other sites are hosted on dedicated servers exclusive. This results in much more reliable and consistent performance.

CONCLUSION:
Management Information Systems is sets of inter-related procedures using information system infrastructure in a business enterprise to generate and disseminate the desired information. Such systems are designed to support decision-making by the people associated with the enterprise in the process of attainment of its objectives. The MIS gets data

and other resources of IT infrastructure as inputs from the environment and process them to satisfy the information needs of different entities associated with the business enterprise. There are subsystems of control over the use of IT resources and feedback system offers useful clues for increasing the benefits of information system to business. The MIS are subsystem of business system and by themselves serve the function of feedback and control in business system.
