MYOB Licence Agreement


IMPORTANTREAD THIS CAREFULLY BEFORE USE. This is the software agreement. As you have purchased the Product, following notification of the Licence you are now legally bound by its conditions. HOWEVER, if the Licence Agreement contains anything of which you were not aware prior to purchasing the Product or do not agree to be bound by, DO NOT INSTALL THE SOFTWARE but return the Product to the reseller in its entirety and a full refund of the purchase price will be made. By installing the software and keeping the Product you are confirming that you have purchased the Product subject to this Licence and are bound by its provisions. 1 Scope of Licence MYOB Technology Pty Ltd, through its local publishers and distribution agents, hereby grants to you, the original purchaser, a paid-up, personal, non-exclusive and non-transferable Licence to use the User Guide and the Program subject to the terms and conditions of this Agreement. a Activation You must register the Program and activate the company files you create with MYOB. (Refer to the User Guide for the registration and activation procedure.) You may only access each company file you create for 30 days without registering the Program and activating the file. After the 30th day the company file will become read-only until you register and activate the company file. You are entitled to activate up to five (5) company files. Additional company file activations may be purchased if required. b Numbers of Users If you have purchased i)a Single User Program licence then you may use the Program on only one computer that you own or operate a single physical location in respect of company files you have activated.You may transfer the Program from one such computer to another that you own or operate provided that you do not use or permit the usage of the Program on more than one computer or computer terminal at a time. In event of an upgrade or product exchange the licence hereby granted shall automatically transfer to the new version or products. ii)a Multi-User Program licence then you may use the Program on only one computer network that you own or operate at a single physical location and only then in respect of company files created and activated by you or by another

licensed user. You may transfer the Program from one computer to another that you own or operate on this network provided that you do not use or permit the usage of the Program on more than the licensed number of computers or computer terminals at a time, nor permit the usage of the Program on more than one network at any one time, nor permit the Program to be used in respect of company files that you have not activated or have not been created by you or by another licensed user. c Updates and Upgrades In the event of an upgrade or product exchange the licence hereby granted shall automatically transfer to the new version or product. All rights in respect of the original product shall lapse and no further use of these shall be permitted. d Portable or Home Computer and Archive Copies You may make a copy of the Program and install it on either a portable computer or a computer located in your home provided that the copy is for your own exclusive use and is not operated simultaneously with the original of the Program. Otherwise you may not copy or duplicate the Program, except as necessary solely for archival purposes, program error verification, or to replace defective storage media, provided you keep the original and the copies. You may not alter, decompile or disassemble the Program. You may not make copies of the User Guide. e Transfers You may not sub-license, lease, rent or lend the Program or the User Guide or otherwise transfer any of your rights under this Agreement. Subject to the prior written consent of the Publisher and the agreement of the transferee to be bound by the terms of this Agreement, you may transfer the Program (together with any backup copies you have made) and the User Guide on a permanent basis. However, you may not retain any copies of either the User Guide or the Program. f Term The Licence granted in this Agreement is effective until terminated. You may terminate it at any time by destroying the Program and User Guide, together with all copies, or by returning them to the Publisher. to comply with any term or condition of this Agreement, this Licence will terminate and, upon any such termination, you agree to destroy the Program and User Guide, together with all copies, or to return them to the Publisher. Termination of this Licence shall be in addition to and not in lieu of any other remedies available to the Publisher.

g Protection and Security You agree to use your best endeavours and to take all reasonable steps to safeguard the Program to ensure that no unauthorised person has access to the Product and that there is no unauthorised copying or distribution of the Program or User Guide. 2 Limited Warranty & Disclaimer The Publisher warrants that the media on which the Program is recorded and the User Guide provided with it are free from defects in materials and workmanship under normal use for a period of 30 days from the date of your original purchase. Except for the limited warranty described above, the Program is sold as is, and you are assuming the entire risk as to its quality and performance. It is your responsibility to verify the results obtained from the use of the Program. If during the 30-day limited warranty period, you discover physical defects in the User Guide or in the media on which the Program was recorded, the Publisher will replace them at no charge to you, provided you return the item to be replaced with proof of purchase to the Publisher. THIS IS YOUR SOLE REMEDY. IN NO EVENT WILL

Fast Start
Thank you for purchasing MYOB accounting software. This Installing chapter complements the User Guide that comes with your software and is intended for MYOB Premier v8 and MYOB Accounting v14 users. For simplicity, the term your MYOB accounting software is used to refer to all versions of your MYOB accounting software, unless the feature being described is not available in products. In this case, the text will indicate the products being discussed. The Installing chapter provides detailed instructions on how to install and register your MYOB accounting software. Fast start summarises these steps.

Step 2: Check that your installation package is complete


In addition to this Getting Started guide, the package that you purchased should contain these items:

Step 3: Install MYOB accounting software


This is a simple procedure that is mostly automated. See Installing MYOB accounting software on page 10.

Step 1: Checking the requirements and package contents


Both first-time and upgrading customers should make sure that their network and Windows computers have these minimum resources to run MYOB accounting software.
Hardware Pentium processor at 200MHz, with at least 64 Mb RAM, or better 200 MB free hard disk space for program installation 35 MB additional disk space for each company file 800 x 600 screen resolution with 16-bit colour or better Software Officelink compatibility Network (optional) Internet Windows 98, Me, NT4 (SP6), 2000, XP or later Microsoft Word 8 to 2003 Microsoft Excel 8 to 2003 100BaseT or faster Ethernet network that supports NetBIOS, NetBEUI or TCP/IP networking protocols. An internet connection for accessing MYOB Help and e-features Netscape Navigator or Internet Explorer 5, or later QuickTime 4 or later Adobe Reader 4 or later (or another PDF viewer)

Step 4: Register your software


Registration is an important step in the effective use of your MYOB accounting software. As a registered user, you are entitled to information about software application upgrades, new products, exciting new offers and technical support. You also need to register your software to activate your MYOB company file. Your MYOB accounting software allows you to use your company file for 30 days before you need to activate the file. See Register MYOB accounting software on page 12.

Step 5: Create and activate a company file


Before you can start using your MYOB accounting software to record the activities of your business, you need to create and activate a company file. See the Getting Started chapter of your MYOB accounting software User Guide for full instructions on how to create and activate a new company file.

If you require multiple users to access your company file, you need to set up your network and share your company file. See Preparing your MYOB Premier company file for multiple users on page 14.

Installing MYOB accounting software


If you are Installing MYOB Premier and intend to share your company file among multiple users, you need to install MYOB Premier on each workstation that requires access to your company file. Once installed, you need to set up and share a company filesee Preparing your MYOB Premier company file for multiple users on page 14.
NOTE :

Disable your virus scanner Before you start the installation procedure, please ensure that the virus scanner you use is disabled. This is required for OfficeLink to be installed correctly.

To install MYOB accounting software


This procedure is applicable to all versions of Windows. 1 Log in as an administrator if the security access set up on your computer only allows people with administrator privileges to install programs. 2 Save any open documents and close all other programs. 3 Insert your MYOB accounting software CD into the drive. The Flash window for your MYOB accounting software appears.
NOTE : Installing from the Windows Explorer window If the Flash window does not appear, open the CD driveusually the d:\ drivein Windows Explorer and double click the autorun.exe icon.

4 In the Flash window, click the Install button 5 On the Install page, click the Install button. The Preparing to Install window appears while the installer is setting up. Then the Welcome to MYOB productName window appears. 6 Read the Welcome to MYOB productName Install page and then click Next. 7 In the Licence Agreement window, read the licence and click Accept. (Click Decline if you do not accept the terms of the licence and ignore the rest of this procedure.) 8 On the Install Type window, click Typical and then click Next. Your choices in this window are:

Typical This choice installs all the components, that is, the full program, accompanying help file and Officelink templates. Custom This choice allows you to select just some of the components to install. Clicking on each component displays the amount of memory it requires during installation.

9 In the Select Program Folder window, accept the proposed name of the folder to appear in the Programs1 item of the Start menu and click Next. 10 In the Start Copying Files window, review the installation options and, if satisfactory, click Next. (Click the Back button to change any options.) The installation begins. 11 When installation is complete, click Finish. Your default browser launches and displays the Whats New in This Version topic from MYOB Help.
NOTE : If the Whats New in This Version topic does not display You can view this topic when you launch your MYOB accounting software by clicking Whats New in This Version in the Welcome window.

12 If you are using MYOB Premier on a network, complete Step 1 to Step 11 on each workstation that will require access to your company file.

Preparing your MYOB Premier company file for multiple users


When you make entries in MYOB Premier, that information is stored in one file called a company filesee Chapter 1 Getting Started of MYOB Premier User Guide for details on creating a company file. When there will be multiple simultaneous users, the company file should be stored on a host computer where it can be accessed across the network from other Windows workstations. The host computer and workstations must be running Windows 98, Me, NT4 (SP6), 2000 or XP. Note that they do not all need to be running the same version of windows.
Setting up networks needs expert skills Since setting up hubs, cabling computers, and configuring network hardware and software requires expert knowledge, you should employ an expert with the necessary skills. To locate a networking-qualified MYOB Certified / Qualified Consultant near you, visit the MYOB web site at http://www.myob.com.my/ for Malaysia and other countries or http://www.myob.com.sg/ for Singapore. You can also call MYOB on (603) 8991 0166 for Malaysia and other countries or (65) 6479 5779 for Singapore.
NOTE :

The Everyone user group may be a security risk The Everyone user group allows anyone on the network to access the shared company-file folder. If some employees are not authorised to access your accounting data, read Windows help or consult a networking expert to set up more secure access.

Setting up the network hardware


Unless you are an expert, employ a networking consultant to set up your network hardware. Show the consultant these requirements for the host computer, and the hardware and software requirements for the workstations on page 8.
Networking Windows host Equipment Protocols Local area network (LAN), peer-to-peer Windows 98, Me, NT4 SP6, 2000 or XP Pentium III processor, with 128 Mb RAM, or better Older computers may need a network interface card (NIC) Ethernet (10BASE-T twisted pair cable, shielded or unshielded) or Fast Ethernet (100BASE-TX twisted pair cable, shielded), with Windows networking (NetBIOS, NetBEUI, or TCP/IP)

This section starts from the point where the network is already set up and running. A local area network (LAN) can be set up in many different ways. The procedures in this section describe only the very common scenario of a LAN protected from the external internet by a firewall.
NOTE :

Network access privileges required In a Windows network, access can be set at the domain, group and user level. If you are unable to carry out the procedures in this section because you do not have sufficient access privileges, contact the person who set up your network for assistance.

All users who will need to access the company file automatically belong to the special Everyone user group.This group is used as the default group in these procedures as it simplifies the sharing of a host folder. The members of the Everyone group will be given permission to open, read from and write to the shared company file.

Setting up a Windows host computer


When several users are to work with a company file simultaneously, it must be stored on a host computer to which each user has access. Consider these tips for choosing a suitable host:

To share a company-file folder on a Windows 2000 Pro or XP host


This procedure applies to Windows 2000 Professional and XP. If you are using Windows 2000 Standard, see To share a company-file folder on other Windows hosts on page 17. Host the company file on a backed-up computer If you store all your important files on a central host that is backed up frequently, it is a good idea to also store your company file on that host. Then the company file will be backed up along with all your other vital data.

Accessing the shared company file from Windows workstations


Workstations are Windows computers that access a company file stored on another computer, referred to as a host computer. Accessing the remote company-file folder on the host requires you to complete these procedures for each Windows workstation on the local area network (LAN).
Shared as Share Name Click this radio button. Type the name that will be seen by users accessing the folder from their workstations, for example, Company_Files. Type a description that users will be able to read in the folders Property window.

Then, when you are able to access the company-file folder containing the shared company file, you can create a desktop shortcut to the file. Clicking the shortcut starts MYOB Premier and opens the shared company file. Complete these procedures on every Windows workstation that is to access the shared company file:

To start MYOB Premier from a shortcut to the company file


A fast way to start MYOB Premier and open a company file is to put a shortcut to the program and company file on the Windows desktop. Then you only have to double-click the shortcut to be up and running. If several users are sharing a company file, make sure you have set up a shared company-file folder on a host computer before you begin this proceduresee Setting up a Windows host computer on page 15.
NOTE : Dont create a shortcut only to the company file If you are knowledgeable about shortcuts, you might be tempted to create just a shortcut to the company file. Unfortunately, there are not enough letter combinations to ensure that the .prm file extension is unique to MYOB Premier. So, double-clicking a shortcut just to a company file might start another program that works with a different kind of .prm file.

b Expand Microsoft Windows Network. c Expand the domain in which the host is located, if there are any domains. d Expand the host computer. e If a Connect to hostName window appears, complete the User Name and Password fields, click the Remember my password checkbox and click OK. You should now be able to see the Company_Files folder.
NOTE :

Navigating network folders may not be necessary In some versions of Windows and depending how the network access is set up, all networked computers may be visible in Network Neighborhood (My Network Places) without you needing to navigate network folders.

f Right-click the Company_Files folder and choose Map Network Drive. g In the Map Network Drive window (or wizard), accept the proposed drive letter or choose another, click the Reconnect at logon checkbox, and click OK (Finish). If access to the folder is password protected, a logon window may appear. If a logon window appears, enter the password and click OK. h In Windows Explorer, the Company_Files folder now appears as a network drive under My Computer. For example, you might see the shared folder listed as Company_Files on 'Hongs-pc' (V:). i Open the shared Company_Files folder. You should be able to see the shared company file in it.

1 Right-click an empty area of the desktop and choose New and then Shortcut. 2 In the Create Shortcut wizard, type the path to the MYOB Premier program file (Myobp.exe) in the Command line field (or in the Type the location of the item field) and click Next. Alternatively, you can click Browse to navigate to and select the program file, then click Next. 3 On the next page, type a descriptive name for the shortcut in the Select a name for the shortcut field (or Type a name for this shortcut) and click Finish. 4 Right-click the new shortcut and choose Properties. 5 In the Myobp.exe Properties window, click the Shortcut tab. The Target field displays the location of the MYOB Premier program you entered in Step 2 above, for example, C:\Premier8\Myobp.exe.

6 Enclose the location of the program file in double quotation marks ("). For example:
"C:\Premier8\Myobp.exe"

If the path to the program file on your computer contains a space (as in C:\Program Files\Premier8\Myobp.exe), the quotation marks ensure that the path is handled correctly when you double-click the shortcut. If you double-clicked this shortcut on the desktop now, it would only start MYOB Premier. You have to modify the Target field so that the shortcut also opens the company file.

7 In the Target field, type a space after the closing quotation mark ("), then type the location of the company file, including the .prm file extension. The path to this location should also be enclosed in its own quotation marks. For example:
"C:\Premier8\Myobp.exe" "V:\Clearwtr.prm"

If the company file is stored in a remote shared folder, the path will begin with a network drive letter (for example, V:\) but, if it is stored locally, the path to its location typically begins with the C:\ drive letter.

9 Click OK to close the Myobp.exe Properties window. 10 Double-click the shortcut on the desktop to test it. MYOB Premier should start on this workstation and immediately open the specified company file. 11 Repeat Step 1 to Step 10 on each workstation that needs access to the company file.

Thank you for upgrading MYOB accounting software. These instructions refer to MYOB Premier v8 and MYOB Accounting v14, but for simplicity, in most cases the term your MYOB accounting software is used to refer to all versions of the MYOB accounting software unless the feature being described is not available in all three products. In such a case, the text will indicate the products being described. Note that the most recent versions released prior to this upgrade were MYOB Premier v7 and MYOB Accounting v13. Customers will find all the features they are used to-and more-in MYOB Premier v8 and MYOB Accounting v14. To install the new version and upgrade your company files, complete the seven- step upgrade procedure below. To find out more about the technical support options that are available to you, refer to Support and training options on page 37. Important information for upgraders


Activating a company file
With this upgrade every company file that you use, plus any new company file you create, must be activated and subsequently confirmed by your MYOB accounting software. You have 30 days to do this. You are then reminded every 9 to 12 months to confirm each company file, for the life of the file. For instructions on how to activate and confirm your company file, see Activating and confirming a company file on page 32.

User accounts
Your MYOB accounting software introduces user accounts, a new security measure to control which staff members are allowed to open a company file. User accounts also disallow certain transactions that staff members must not be able to do. For example, if you have set up personal cards to record details about family members, you may want to disallow the editing of these cards by all staff except yourself and another trusted employee. Each account consists of a user ID associated with a unique password. (That is, user IDs and passwords are not separate, as they were in previous releases.) Transaction restrictions are now linked to the user account, that is, to the combination of user ID and password. User account passwords cannot be shared, as sub-passwords previously were. MYOB accounting software records user IDs against transactions as before but only the Administrator can create user IDs. They are no longer created automatically when you log on. The special Administrator account has unrestricted access to all transactions, and can create, edit and delete ordinary user accounts. The Administrator account also permits the administrator to perform other maintenance tasks not available to ordinary users.

Upgraded item sales and purchases


Item sales and purchases that include inventoried items that have been upgraded from a previous MYOB software application CANNOT be edited or deleted. If you need to change one of these transactions, you must first reverse the transaction and then re-enter it with the correct information. For further information on how to reverse a transaction, please refer to online help.

Banking details
You can now enter banking details for any banking account in your MYOB company file. In previous versions of your MYOB accounting software, you were able to enter banking details for one account only.
BANK INFO BUTTON :

The Bank Info button no longer appears in the Company Information window. For more information on setting up bank accounts, refer to MYOB Help.

Upgrading user IDs and passwords


When you upgrade company files, you need to upgrade your user IDs and sub-passwords to become part of your new user accounts. See Upgrading user IDs and passwords on page 34 for detailed instructions.

Banking viewIn this view you can enter your companys banking information for the account. Budgets viewIn this view you can create monthly budgets for a detail account. History viewIn this view you can enter monthly historical balances (for the current year and previous year) for a detail account.

Changes in the Inventory command centre


The Inventory command centre now has the Items Register. The Items Register shows all transactions for all inventory items or a selected item, for a particular date range. Another improvement is the option to click the zoom arrow next to an inventory transaction and access the transaction details (for example, item number, quantity, unit cost, etc.). Also, there are new reports, such as:

Changes to reports
Tools for customising reports have been reorganised and simplified. The Report Customisation window now contains all the filters, design fields and additional finishing options. In earlier versions you had to open several different windows, but now all these tools are in a single window with three tabs: Advanced Filters tab, Report Fields tab and Finishing tab.

Inventory Value Reconciliation reportThis report shows the value of the Inventory account at a particular date and lets you reconcile that balance against stock on hand. Items Register Summary report and Items Register Detail reportThese reports show the summary and detail view, respectively, of all transactions for a particular item up to a particular date. They also show the total stock on hand at that particular date.

More report filters are now available. You can create a list of your most frequently used reports, which helps you quickly access them when needed. New Screen Report view option is available. This enables you to format your reports once you have generated them. You can adjust the column widths, re-arrange columns, change the font size and fine-tune the space between the elements of the report (for example, between the report name, company name and address). You can save all the changes you make by creating a new custom report.

Changes to the accounts list (chart of accounts)


The new design of the Edit Accounts window consolidates all the information about an account into one window with five views: Profile viewIn this view you can define the account as a header or detail account, select the account type (for example, asset, liability, equity, income, etc.) and assign the account a unique number and name. Details viewIn this view you can enter a short description of the account and classify the account (this will affect your cash flow reports). MYOB Premier customers can also select the currency, currency exchange account and linked account.

Categorising
In your MYOB accounting software, a category can be assigned to an accounting entry (for example, a sale, purchase, etc.) using the Category field. This allows you to generate reports that are category-specific. A common use of this feature is for departmental accountingyou report on transactions and create financial reports for a specific department.

Install your MYOB software


Follow the instructions below to install your MYOB accounting software. If you will be using MYOB Premier v8 in a network environment, you need to install the program on each computer in the network.
Disable your virus scanner Before you start the installation procedure, disable your virus scanner. This is required for OfficeLink to be installed correctly.
NOTE :

7 To choose where you want to install your MYOB accounting software on your computer click Browse. The Choose Folder window appears. 8 Navigate to the folder of your preference and click OK. (You can accept the default folder which is displayed in the Path box.) The folder you have chosen appears in the Destination Folder box of the Install Type window.
NOTE :

1 Insert the MYOB accounting software CD in the CD drive and wait a few moments. If you have AutoPlay enabled on your computer, the Flash window appears. If the Flash window does not appear automatically, double-click the My Computer CD icon on your desktop and then double-click your CD drive (usually the d:\ drive). Locate the file named autorun.exe and double-click it. 2 Click Install. The Preparing to Install window appears while the installer is setting up. Then the Welcome to [...] Install window appears. 3 Read the Welcome to [...] Install page. You are advised to close all programs before running this Install program. 4 Click Next. The Software Licence Agreement appears in the License Agreement window. 5 Read the licence and click Accept to accept the licence. The Start Copying File window appears. 11 Review the installation options you have chosen and, if satisfied, click Next. 15 If you are installing MYOB Premier with the intention of allowing multiple users to access the company file at the same time, repeat this procedure to install the program on each computer in the network.

Upgrade your company file


The process of upgrading changes your existing company file (which was created with the previous version of your MYOB accounting software) so it can be used with MYOB Premier v8 and MYOB Accounting v14. Your MYOB accounting software Upgrade Assistant will guide you through the steps required to upgrade your company file. 5 Select the company file you want to upgrade. To do this, go to the application folder of your previous MYOB product. Select the company file you want to upgrade.To do this, go to the installation folder of your previous MYOB product. Then select the company file you want to upgrade by clicking it once. The file name appears in the File name box. (This may vary, depending on the version of Windows you are using.) The following example assumes the company file being upgraded, Company1.dat, is in the MYOB12 folder.

Back up before you upgrade your company file


Once you upgrade your company file, you will no longer be able to open it in the previous version of your MYOB accounting software. This is why we advise you back up your company file before you upgrade it. For details on how to do the backup see your MYOB accounting software User Guide.

To upgrade your company file


1 Open your MYOB accounting software application folder and double-click the Upgrade Assistant icon.Go to the Start menu, choose Programs, then choose your MYOB accounting software (for example, MYOB Accounting v14). 2 Choose MYOB Tools, then click [your MYOB accounting software] Upgrade Assistant (for example, MYOB Accounting v14 Upgrade Assistant). [Your MYOB accounting software] Upgrade Assistant window appears. 3 Click Next. The Find File to Upgrade window appears. 4 Click Find File. The Select File to Upgrade Select Company File to Upgrade window appears. 6 Click Open. The current path and file name appear beneath the Find File button. By default, your upgraded company file will be saved in the same folder as the program. The default file name and location are displayed beneath the Save As button. 7 If you want to change the default file name or location, click Save As. Specify a new file name for the upgraded company file and the location in which you want to save it. 8 Click Next. The Confirm window is displayed.

9 Click Next to confirm the company file you are upgrading and also the destination folder and file name of the upgraded company file. The upgrade process begins. When the upgrade is finished, the Complete window is displayed. 10 If you want to upgrade another company file, click Next and repeat the process described here. Otherwise click Finish to close the Upgrade Assistant.
NOTE : If you plan to use MYOB Premier on a network In such a situation you need to upgrade your company file on the host computer only. You also need to set up your company file for multiple users. To do this, see Preparing your MYOB Premier company file for multiple users on page 14.

If you customised any forms or letters in the previous version of your MYOB accounting software, you need to copy (upgrade) these to their respective folders in order to use them in this version. You can upgrade your customised templates in two ways:

For MYOB Premier v8 in a multi-user environment If you are upgrading to MYOB Premier v8 with the intention of using it in a multi-user environment, your customised templates must be on every workstation that uses them, not just the workstation where the company file is located.To upgrade customised templates using MYOB Templates Upgrade Assistant

3 Click Next. The Copying Files window appears. The path to the Forms folder in the previous version of your MYOB accounting software is displayed in the Source field. If the previous version of your MYOB accounting software was not installed in the default location, a message may appear stating that the previous version could not be found. You will, then, need to manually locate it. To do this, click Browse and locate the program folder of the previous version. Click the .exe file (for example, myobp.exe) and then click Open. The correct path should now appear in the Source field. 4 Click Start. The MYOB [Your MYOB accounting software] Templates Upgrade Assistant will first move the forms into a folder called Old Forms and then copy the forms from the previous version of your MYOB accounting software into the [Your MYOB accounting software] Forms folder. Once the forms are copied, the Finished window appears. 5 Click Finish to close the Templates Upgrade Assistant. 6 If you are upgrading to MYOB Premier with the intention of using it in a multi-user environment, then you need to repeat this procedure on all other computers that will need to access the company file.

You can use the MYOB [Your MYOB accounting software] Templates Upgrade Assistant to quickly upgrade your customised templates, such as forms, letters and reports. 1 Go to the Start menu, choose Programs, then choose MYOB [Your MYOB accounting software] and finally choose MYOB Tools. 2 Click MYOB [Your MYOB accounting software] Templates Upgrade Assistant. The Templates Upgrade Assistant is launched and the MYOB Templates Upgrade Assistant window appears.

If you were unable to copy your templates using the above method, you need to copy them manually. 1 Using Windows Explorer, select the Forms folder of the previous version of your MYOB accounting software. All forms in that folder will be listed on the right side of the screen. 2 Select the forms you want to copy. 3 Go to the Edit menu and choose Copy. 4 Open the Forms folder in your MYOB accounting software installation folder. 5 Go to Edit menu and choose Paste. 6 You will need to repeat Step 1Step 5 for all templates that you want to upgradeLetters in the Letters folder and Spreadsheets in the Spredsht folder. 7 If you are upgrading to MYOB Premier v8 with the intention of using it in a multi-user environment, then you need to repeat this procedure on all other computers that will need to access the company file.

Activate a company file


Activating and confirming a company file
With this upgrade every company file that you use, plus any new company file you create, must be activated and subsequently confirmed by your MYOB accounting software. You have 30 days to do this. You are then reminded every 9 to 12 months to confirm each company file, for the life of the file.
NOTE :

If you do not activate a company file If you do not activate a company file within 30 days, the file becomes read-only, allowing you to access only a limited number of features.

You can activate your company file online by connecting to the Internet or over the phone by calling MYOB. Choose the procedure that suits you:

This window appears each time you open a company file that has not been activated, reminding you to activate it. 3 Click I want to activate my company file online radio button and click Continue. The Company File Activation - Online window appears.

1 Click Open a company file in the Welcome window of your MYOB accounting software. The Sign-on window appears. 2 Enter a password if you have one in the Password field, otherwise leave the field blank, and click OK. The Company File Activation window appears.

4 Enter the serial number in the Serial Number field, if prompted, and press TAB. The company file code is generated automatically.

5 Click Continue. Your serial number and the company file code are automatically sent to MYOB and your company file is activated. A confirmation message appears. The window closes automatically after this process is complete.

4 Call MYOB at the number displayed in this window and follow the instructions to receive your confirmation code. 5 Enter the confirmation code in the Confirmation Code field and click Continue.

To activate your company file by telephone


1 Click Open a company file in the Welcome window of your MYOB accounting software. The Sign-on window appears. 2 Enter a password if you have one in the Password field, otherwise leave the field blank, and click OK. The Company File Activation window appears. 3 Click I want to activate my company file by phone radio button and click Continue. The Company File Activation - By Phone window appears.

The confirmation code can be used only once After you activate your company file, this code cannot be used to activate this or any other company file again. You must get a new confirmation code from MYOB.

Your company file is activated and a confirmation message appears. The window closes automatically after this process is complete.

To set up automatic company file confirmation


1 Open the company file that you want to be confirmed automatically. 2 Go to the Setup menu and choose Preferences. The Preferences window appears. 3 Click the Security tab. 4 Mark the I Prefer to Use Automatic Online Company File Confirmation checkbox. 5 Click OK. Your company file is confirmed whenever required and you will be notified accordingly.

Upgrading user IDs and passwords


When you upgrade company files, the MYOB accounting software changes the master password to the Administrator account, then former user IDs to new user accounts and former sub-passwords to new user accounts. All new user accounts are initially inactivated to prevent employees from logging on before access restrictions are set up. In this procedure, you assign passwords to the new user accounts and edit their transaction restrictions. 5 If the message appears advising how many days are left to activate, click OK. 6 If the message appears warning that the company file has never been verified, click No. 7 In the message advising you that the converted company file contains previous user IDs that have been inactivated, click Yes. The User Access window displays previous user IDs converted to user accounts and previous sub-passwords also converted to user accounts. 8 In the User Access window, edit user accounts derived from former user IDs. a Click a name (that is, former user ID) in the User ID list and click Edit.
