Thank you for purchasing MYOB accounting software. This Installing chapter complements the User Guide that comes with your software and is intended for MYOB Premier v8 and MYOB Accounting v14 users. For simplicity, the term your MYOB accounting software is used to refer to all versions of your MYOB accounting software, unless the feature being described is not available in products. In this case, the text will indicate the products being discussed. The Installing chapter provides detailed instructions on how to install and register your MYOB accounting software. Fast start summarises these steps.
Step 6: Preparing a company file for multiple users (MYOB Premier only)
If you require multiple users to access your company file, you need to set up your network and share your company file. See Preparing your MYOB Premier company file for multiple users on page 14.

Disable your virus scanner Before you start the installation procedure, please ensure that the virus scanner you use is disabled. This is required for OfficeLink to be installed correctly.
4 In the Flash window, click the Install button 5 On the Install page, click the Install button. The Preparing to Install window appears while the installer is setting up. Then the Welcome to MYOB productName window appears. 6 Read the Welcome to MYOB productName Install page and then click Next. 7 In the Licence Agreement window, read the licence and click Accept. (Click Decline if you do not accept the terms of the licence and ignore the rest of this procedure.) 8 On the Install Type window, click Typical and then click Next. Your choices in this window are:

Typical This choice installs all the components, that is, the full program, accompanying help file and Officelink templates. Custom This choice allows you to select just some of the components to install. Clicking on each component displays the amount of memory it requires during installation.

9 In the Select Program Folder window, accept the proposed name of the folder to appear in the Programs1 item of the Start menu and click Next. 10 In the Start Copying Files window, review the installation options and, if satisfactory, click Next. (Click the Back button to change any options.) The installation begins. 11 When installation is complete, click Finish. Your default browser launches and displays the Whats New in This Version topic from MYOB Help.
NOTE : If the Whats New in This Version topic does not display You can view this topic when you launch your MYOB accounting software by clicking Whats New in This Version in the Welcome window.
12 If you are using MYOB Premier on a network, complete Step 1 to Step 11 on each workstation that will require access to your company file.

The Everyone user group may be a security risk The Everyone user group allows anyone on the network to access the shared company-file folder. If some employees are not authorised to access your accounting data, read Windows help or consult a networking expert to set up more secure access.
NOTE :
This section starts from the point where the network is already set up and running. A local area network (LAN) can be set up in many different ways. The procedures in this section describe only the very common scenario of a LAN protected from the external internet by a firewall.
NOTE :
Network access privileges required In a Windows network, access can be set at the domain, group and user level. If you are unable to carry out the procedures in this section because you do not have sufficient access privileges, contact the person who set up your network for assistance.

All users who will need to access the company file automatically belong to the special Everyone user group.This group is used as the default group in these procedures as it simplifies the sharing of a host folder. The members of the Everyone group will be given permission to open, read from and write to the shared company file.

Host the company file on the most powerful computer in the network Users on workstations will enjoy better performance if the company file is stored on the most powerful computer in your networkthe fastest with the most memory. Host the company file on the key employees computer If one employee will use the company file more than anyone else, consider storing the company file on that employees computer. This person will experience better performance from accessing the company file directly, compared with accessing it across the network. Host the company file on a backed-up computer If you store all your important files on a central host that is backed up frequently, it is a good idea to also store your company file on that host. Then the company file will be backed up along with all your other vital data.

4 In the Company_Files Properties window, click the Sharing tab and set the fields and controls as shown below.

Computer Name
Type the name that will be visible in Network Neighborhood (My Network Places on some versions of Windows). Type the name of the domain to which this computer belongs. (If you are not sure whether domainsalso known as workgroupshave been created on your network, consult a networking expert.)

4 In Windows NT Explorer, create a folder named Company_Files in a convenient location, for example, c:\Company_Files. This folder is where the shared company file will be stored. 5 Right-click on the Company_Files folder and choose Properties. 6 In the Company_Files Properties window, click the Security tab and click Permissions. 7 In the Directory Permissions window, click the Everyone user group, set the controls and click OK.

Click the Custom button, check The world item, then click OK and choose Read Files and Write to Files.

Then, when you are able to access the company-file folder containing the shared company file, you can create a desktop shortcut to the file. Clicking the shortcut starts MYOB Premier and opens the shared company file. Complete these procedures on every Windows workstation that is to access the shared company file:

Navigating network folders may not be necessary In some versions of Windows and depending how the network access is set up, all networked computers may be visible in Network Neighborhood (My Network Places) without you needing to navigate network folders.
f Right-click the Company_Files folder and choose Map Network Drive. g In the Map Network Drive window (or wizard), accept the proposed drive letter or choose another, click the Reconnect at logon checkbox, and click OK (Finish). If access to the folder is password protected, a logon window may appear. If a logon window appears, enter the password and click OK. h In Windows Explorer, the Company_Files folder now appears as a network drive under My Computer. For example, you might see the shared folder listed as Company_Files on 'Hongs-pc' (V:). i Open the shared Company_Files folder. You should be able to see the shared company file in it.
1 Right-click an empty area of the desktop and choose New and then Shortcut. 2 In the Create Shortcut wizard, type the path to the MYOB Premier program file (Myobp.exe) in the Command line field (or in the Type the location of the item field) and click Next. Alternatively, you can click Browse to navigate to and select the program file, then click Next. 3 On the next page, type a descriptive name for the shortcut in the Select a name for the shortcut field (or Type a name for this shortcut) and click Finish. 4 Right-click the new shortcut and choose Properties. 5 In the Myobp.exe Properties window, click the Shortcut tab. The Target field displays the location of the MYOB Premier program you entered in Step 2 above, for example, C:\Premier8\Myobp.exe.
In Windows XP Home, open My Network Places, click Add a network place and complete the Add Network Place wizard.

6 Enclose the location of the program file in double quotation marks ("). For example:
"C:\Premier8\Myobp.exe"
If the path to the program file on your computer contains a space (as in C:\Program Files\Premier8\Myobp.exe), the quotation marks ensure that the path is handled correctly when you double-click the shortcut. If you double-clicked this shortcut on the desktop now, it would only start MYOB Premier. You have to modify the Target field so that the shortcut also opens the company file.

7 In the Target field, type a space after the closing quotation mark ("), then type the location of the company file, including the .prm file extension. The path to this location should also be enclosed in its own quotation marks. For example:
"C:\Premier8\Myobp.exe" "V:\Clearwtr.prm"
If the company file is stored in a remote shared folder, the path will begin with a network drive letter (for example, V:\) but, if it is stored locally, the path to its location typically begins with the C:\ drive letter.
9 Click OK to close the Myobp.exe Properties window. 10 Double-click the shortcut on the desktop to test it. MYOB Premier should start on this workstation and immediately open the specified company file. 11 Repeat Step 1 to Step 10 on each workstation that needs access to the company file.

Thank you for upgrading MYOB accounting software. These instructions refer to MYOB Premier v8 and MYOB Accounting v14, but for simplicity, in most cases the term your MYOB accounting software is used to refer to all versions of the MYOB accounting software unless the feature being described is not available in all three products. In such a case, the text will indicate the products being described. Note that the most recent versions released prior to this upgrade were MYOB Premier v7 and MYOB Accounting v13. Customers will find all the features they are used to-and more-in MYOB Premier v8 and MYOB Accounting v14. To install the new version and upgrade your company files, complete the seven- step upgrade procedure below. To find out more about the technical support options that are available to you, refer to Support and training options on page 37. The Upgrade chapter provides detailed instructions on how to upgradae and register your MYOB accounting software. Fast start summarises these steps. 1 Take a look at some of the new features and enhancements in this version. See Important information for upgraders on page 23. 2 Ensure that your computer has sufficient resources. See Check system requirements on page 26. 3 Install MYOB accounting software. User accounts
Your MYOB accounting software introduces user accounts, a new security measure to control which staff members are allowed to open a company file. User accounts also disallow certain transactions that staff members must not be able to do. For example, if you have set up personal cards to record details about family members, you may want to disallow the editing of these cards by all staff except yourself and another trusted employee. Each account consists of a user ID associated with a unique password. (That is, user IDs and passwords are not separate, as they were in previous releases.) Transaction restrictions are now linked to the user account, that is, to the combination of user ID and password. User account passwords cannot be shared, as sub-passwords previously were. MYOB accounting software records user IDs against transactions as before but only the Administrator can create user IDs. They are no longer created automatically when you log on. The special Administrator account has unrestricted access to all transactions, and can create, edit and delete ordinary user accounts. The Administrator account also permits the administrator to perform other maintenance tasks not available to ordinary users.
Banking details
You can now enter banking details for any banking account in your MYOB company file. In previous versions of your MYOB accounting software, you were able to enter banking details for one account only.

Banking viewIn this view you can enter your companys banking information for the account. Budgets viewIn this view you can create monthly budgets for a detail account. History viewIn this view you can enter monthly historical balances (for the current year and previous year) for a detail account.
Changes to reports
Tools for customising reports have been reorganised and simplified. The Report Customisation window now contains all the filters, design fields and additional finishing options. Inventory Value Reconciliation reportThis report shows the value of the Inventory account at a particular date and lets you reconcile that balance against stock on hand. Items Register Summary report and Items Register Detail reportThese reports show the summary and detail view, respectively, of all transactions for a particular item up to a particular date. They also show the total stock on hand at that particular date.
More report filters are now available. You can create a list of your most frequently used reports, which helps you quickly access them when needed. New Screen Report view option is available. This enables you to format your reports once you have generated them. You can adjust the column widths, re-arrange columns, change the font size and fine-tune the space between the elements of the report (for example, between the report name, company name and address). You can save all the changes you make by creating a new custom report.

Categorising
In your MYOB accounting software, a category can be assigned to an accounting entry (for example, a sale, purchase, etc.) using the Category field. This allows you to generate reports that are category-specific. A common use of this feature is for departmental accountingyou report on transactions and create financial reports for a specific department.

7 To choose where you want to install your MYOB accounting software on your computer click Browse. The Choose Folder window appears. 8 Navigate to the folder of your preference and click OK. (You can accept the default folder which is displayed in the Path box.) The folder you have chosen appears in the Destination Folder box of the Install Type window.

1 Insert the MYOB accounting software CD in the CD drive and wait a few moments. If you have AutoPlay enabled on your computer, the Flash window appears. If the Flash window does not appear automatically, double-click the My Computer CD icon on your desktop and then double-click your CD drive (usually the d:\ drive). Locate the file named autorun.exe and double-click it. 2 Click Install. The Preparing to Install window appears while the installer is setting up. Then the Welcome to [...] Install window appears. 3 Read the Welcome to [...] Install page. You are advised to close all programs before running this Install program. 4 Click Next. The Software Licence Agreement appears in the License Agreement window. 5 Read the licence and click Accept to accept the licence. (Click Decline if you do not accept the terms of the licence and ignore the rest of this procedure.) The Install Type window appears. 6 Choose the install type you prefer. Your choices are:

Dont overwrite the previous version of your MYOB accounting software When upgrading make sure you dont overwrite the previous version of your MYOB accounting software while installing this new version.
9 Click Next. The Select Program Folder window appears. 10 Accept the proposed name of the folder to appear in the Programs item of the Start menu, and click Next. (Alternatively, you can choose another folder name from the list displayed in the Existing Folders box.) The Start Copying File window appears. 11 Review the installation options you have chosen and, if satisfied, click Next. (Click Back to change any of the options.) 12 Click Next to start copying files. When the copying is complete the InstallShield Wizard Complete window appears informing you that the installation of your MYOB accounting software is done. 13 Click Finish. TypicalThis choice installs all the components, that is, the full program, accompanying help and other files. CustomThis choice lets you select just some of the components to install. Clicking on each component displays the hard disk space it requires during installation.

3 Click Next. The Copying Files window appears. The path to the Forms folder in the previous version of your MYOB accounting software is displayed in the Source field. If the previous version of your MYOB accounting software was not installed in the default location, a message may appear stating that the previous version could not be found. You will, then, need to manually locate it. To do this, click Browse and locate the program folder of the previous version. Click the .exe file (for example, myobp.exe) and then click Open. The correct path should now appear in the Source field. 4 Click Start. The MYOB [Your MYOB accounting software] Templates Upgrade Assistant will first move the forms into a folder called Old Forms and then copy the forms from the previous version of your MYOB accounting software into the [Your MYOB accounting software] Forms folder. Once the forms are copied, the Finished window appears. 5 Click Finish to close the Templates Upgrade Assistant. 6 If you are upgrading to MYOB Premier with the intention of using it in a multi-user environment, then you need to repeat this procedure on all other computers that will need to access the company file.
You can use the MYOB [Your MYOB accounting software] Templates Upgrade Assistant to quickly upgrade your customised templates, such as forms, letters and reports. 1 Go to the Start menu, choose Programs, then choose MYOB [Your MYOB accounting software] and finally choose MYOB Tools. 2 Click MYOB [Your MYOB accounting software] Templates Upgrade Assistant. The Templates Upgrade Assistant is launched and the MYOB Templates Upgrade Assistant window appears.

If you do not activate a company file If you do not activate a company file within 30 days, the file becomes read-only, allowing you to access only a limited number of features.
You can activate your company file online by connecting to the Internet or over the phone by calling MYOB. Choose the procedure that suits you:

This window appears each time you open a company file that has not been activated, reminding you to activate it. 3 Click I want to activate my company file online radio button and click Continue. The Company File Activation - Online window appears.
4 Enter the serial number in the Serial Number field, if prompted, and press TAB. The company file code is generated automatically.

5 Click Continue. Your serial number and the company file code are automatically sent to MYOB and your company file is activated. A confirmation message appears. The window closes automatically after this process is complete.
4 Call MYOB at the number displayed in this window and follow the instructions to receive your confirmation code. 5 Enter the confirmation code in the Confirmation Code field and click Continue.
NOTE :
The confirmation code can be used only once After you activate your company file, this code cannot be used to activate this or any other company file again. You must get a new confirmation code from MYOB.
Your company file is activated and a confirmation message appears. The window closes automatically after this process is complete.

The User Access window displays previous user IDs converted to user accounts and previous sub-passwords also converted to user accounts. The user accounts derived from former user IDs have no restrictions but user accounts derived from former sub-passwords preserve their restrictions. For more information, click Help and choose Help for This Window.

Be sure the Certified/Qualified Consultant knows everything about your company that you think might be pertinent to a discussion about your company's business activity. (Keep in mind that the Certified/Qualified Consultant will probably be working with your company's confidential financial information when he or she assists you.)
Review the list of expectations that you created before you set up the meeting to ensure the Certified/Qualified Consultant is prepared to meet your expectations. To get the most return on your investment, designate an employee to answer the telephone at your company when the Certified/Qualified Consultant is helping you. Most likely, a number of issues will arise during your meeting. Be prepared to take notes and write down questions as you proceed through the meeting. Continually review your progress through the meeting, and be sure to keep your goals and objectives in mind while you work.
