TERMS & CONDITIONS OF HIRE
You are required to read and understand these Terms and Conditions of hire before making
your booking.
These Terms and Conditions were last updated in July 2015.
1.
Cost of letting is reviewed annually and prices charged will be those in force
at the time of the let regardless of when the booking was made. However, at the
discretion of the Committee, pre-payment of bookings will secure the rate in force
at the time of booking.
2.
Bookings are secured by payment of a deposit of 20 for each let at the
time of booking. Deposits are refundable on satisfactory inspection of cleanliness of
the South Scarle Community Centre, grounds and contents. At the Letting Secretary's discretion, the deposit may be doubled for certain events.
3.
Full payment for the Hire must be made 28 days before the event or the
booking will be cancelled.
4.
Short Notice bookings less than 28 days before the event will require full
payment at the time of booking.
5.

Provisional bookings must be confirmed within 14 days.

6.
Following payment, access will be available on the day of the let at the
time requested on the booking form.
7.
Cancellation by the Hirer within 28 days of the event may incur a charge at
the discretion of the committee depending upon the notice given and our ability to
re-let the Space
8.
The Hirer is responsible for any damage or loss to the Community Centre &
grounds during the hire period, and for Community Centre & grounds being left in a
reasonably clean condition. If the Community Centre & grounds are left in an unsatisfactory state, or if there is loss or damage, the booking deposit will be forfeit. In
extreme cases any additional costs for cleaning, repairs or loss replacement may be
levied on the Hirer.
9.
Bookings include the use of the kitchen for the preparation of light refreshments. This use does not constitute Exclusive use of the kitchen as we only have
one kitchen and other clients may wish to use it as well. Kitchen and contents
(cooker, fridge, etc.) must be left clean. The hirer is required to comply with all
statutory regulations & bye-laws issued by the Fire Authority, Health and Safety
Executive, Magistrates Court and / or any other competent authority. The hirer
must observe all food, health and hygiene regulations relating to the preparation &
provision of food and drink in the premises. Floors to all areas must be swept and
tidied after use and internal bins emptied and cleaned. Mops and brooms are in the
cupboard in the store room next to the North Aisle entrance door. Toilets and sinks
must be left clean and tidy as found.

On completion tables should be wiped over.

All rubbish should be removed from the premises.

12. Decorations such as balloons and streamers may not be attached to any Church
walls, doors, wooden areas, fixtures or fittings. The use of nails, pins or adhesive tape anywhere is forbidden.
13.
The Hirer must nominate a competent person to take charge in case of Fire,
to ensure that all persons at the Church can escape unimpeded through the Fire Exits and to assemble in the church grounds or other nominated assembly area. Improper operation of the extinguishers will result in the automatic loss of the deposit. Fire/all doors MUST remain unobstructed during a let.
14.
Fireworks. Bringing Fireworks into, or the ignition of Fireworks in the
Church or grounds, is expressly forbidden.
15.
Consumption of Alcohol. Licenses for the sale of alcohol are the responsibility of the Hirer and a copy of the licence(s) must be given to the Letting Secretary before the keys are handed over. Our policy is strictly no licence, no let. It is
the Hirers responsibility to ensure that they apply to Newark and Sherwood District
Council for a Temporary Event Notice (TEN) the provision of which will ensure the
Licensing Conditions, as required by Law, are met. Follow this link to obtain a TEN

16.
All private hirers must carry sufficient insurance to satisfy their event requirements and must evidence this prior to hire.
17.
In accordance with the Law, smoking is prohibited in the Church or its
grounds.
18.
Please ensure that all lights are switched off, and all doors and windows are
securely closed when you leave the Church. Close gates on completion of the let.
19.
This is a residential area. Please be respectful to our neighbours when leaving the Church especially if it is late at night.
20.
The Management Committee reserve the right to change these Terms &
Conditions at any time at their discretion.
