My Alibaba: Alibabas trade management tool
In order to qualify for Gold Supplier International Edition, a supplier must pass an authentication
and verification (A&V) procedure by a third-party security service provider. Once approved,
the Gold Supplier member is authorized to display a Gold Supplier icon with their
product listings and a TrustPass icon on their company profile to demonstrate
credibility to buyers online.
In the following chapters, we will teach you how to use the features of Gold Supplier
International Edition to help maximize your exposure on Alibaba.com and generate more

To sign in, click on My Alibaba at the top right corner Alibaba.coms homepage.
On the next screen, enter your Email Address/Member ID and Password and click Sign In
Chapter 2: Getting Started on Alibaba.com
Note: If you have forgotten the answer to your security question, follow the on-screen instructions
to reset your question. If you do not have a security question, you will need to set one first.
To create your Company Profile, go to My Alibaba and click on the Company Profile tab. On
the Edit Company Profile page, simply fill out the form. Please note that any fields marked
with an asterisk (*) are required, and fields with the TrustPass logo have been verified and
cannot be modified further.
E.g. ABC Wood Industrial Co., Ltd. is a professional large-scale manufacturer of all types of
wood flooring, integrating development and production. Our parent company is European
ABC Wood Industrial Group and our main products include real wood flooring, wood
composite flooring, laminated wood flooring and other related products. Our company was
established in 2000 and we have many years of history in the wood flooring industry. Located
near Shanghai, we are easily accessible by water, land and air transportation.

2.2.2 Upload Certificates
As a Gold Supplier Member, you can put up to 8 certificates/awards on your Company Profile to
show your company strengths and increase buyer confidence. To do so, stay on the Company
Profile tab in My Alibaba and click on Gold Supplier Status on the left-hand navigation.
Then, click on Add New Certificates at the bottom of the Gold Supplier Status page.
Once approved, your certificates will be published on your Premium Company Website under
Certificates:

Buyers on Alibaba.com can either browse products by Category or enter Keyword(s) into
the Alibaba.com search bar to find the products they are looking for. They can also refine
their searches by using the Products, Selling Leads or Suppliers tabs and later filtering their
search results by Categories, Region, Business Type, Main Export Markets and Contract
Manufacturing.

3.1.1 Tips on Displaying Products:
Choose a descriptive Product Name, for
example, Electric Mountain Bike is better
than Bike.
Get Suggested Keywords by clicking on
the More Keywords field, after entering
your own keyword in the Product
Keyword field.
Select the most relevant Product
Category, since more than 1/3 of buyers
search for products by category.
Always use high-quality Product Photos
that are clear and professional.
Make sure your Brief Description
contains detailed product information to
attract buyers attention, as it will appear
in buyers search results.
Thats it! Your new product listing will appear online usually within 24 hours, after it has been
approved by Alibaba.com staff.

Your Product Name is shown to buyers in search results, making it extremely important to
choose a name that is clear, precise, descriptive, and contains only standard terms.
Do not enter the model number or your company name. Where possible, try including
industry standards, certificates acquired, product series, brand, abbreviation, full name,
etc. into the product name. Statistics show that effective product names with accurate and
relevant keyword(s) have a 15% higher click-through rate than poorly named products on
Alibaba.com.
As a Gold Supplier, you are able to choose three (3) keywords for every product displayed.
Dont be tempted to choosing irrelevant keywords just to add more keywords though, since
irrelevant keywords can lead to irrelevant search results and can look unprofessional to your
potential buyers.

You can also get keyword suggestions from Alibaba.coms homepage by typing a
keyword into the Search Bar.
Do not break down a multiple keywords into fragments (i.e. bike bell -> bike, bell).
Remember that keywords are case insensitive (i.e. MP3 is the same as mp3).
Avoid using common model numbers as keywords, such as A001.
Keywords generally only need to be set once in their singular and plural form. However,
there are special cases such as battery and batteries where these keywords would be
recognized individually by the system. In these cases, we recommend that you include
both keywords (battery and batteries) for your product.

When displaying products, make sure your photos are less than 200KB in size, in JPEG (.jpg)
format, and have an English file name. Photos should also be professional and high-quality.
Below is a comparison of two different product pictures. Can you tell which one is better?
According to the above comparison, a professional product picture should be clean, clear and
vivid. Also, there should be a strong contrast between the actual product and the background
to capture buyers attention.

Photo Watermarks
To protect your pictures from being used by other people, you can add a watermark to your
picture. Our system automatically selects Add a watermark when you are displaying a new
product. The watermark is your Alibaba.com website address and will appear on top of your
uploaded picture.

3.2.5 Brief Description
Your Brief Description will be shown with your product listing on search result pages, so make
sure it is well written in order to attract the attention of buyers. There is a limit of 5 lines and
84 characters, so try to be concise yet informative. Please do not enter any HTML coding or
contact details into your Brief Description.

To create Product Groups, go to Selling Tools > Manage Product Groups and then Add a
New Product Group on the upper right corner.
Buyers will be able to see the Product Groups on your website like this:

Modifying Product Groups
To rename or remove any of your Product Groups, go to My Alibaba > Selling Tools > Manage
Product Groups. There, you can select a Product Group to Edit or Delete.
To change the order of your Product Groups, select the Re-sort Product Group tab and then
drag and drop your Product Groups into your preferred order.

From My Alibaba, go to Selling Tools and select Manage Product Showcase from the
left-hand navigation. Next, click Add Products now!
A pop-up window will appear for you to search through your product assortment
and add products into your Product Showcase. If you see a blank screen, click on the
magnifying glass icon to show the search bar.
Select the products youd like to add, and then click Close.

Complete the form with all relevant information, including an attractive Subject line, relevant
keywords and professional photos to attract more buyers.
You can also choose the selling leads type and how long youd like your Selling Lead to be valid
for (anywhere from 2-12 months).
When you are finished filling in the form, click Submit to post your Selling Lead.

Besides waiting for buyers to contact you, you can also search for and contact buyers
proactively on Alibaba.com to develop even more potential trade opportunities. There are
three major ways to search for buyers:
4.1.2 By Keyword
From Alibaba.coms homepage, click on the Buyers tab, where you can enter keyword(s)
into the search bar to find the latest Buying Leads. You can then filter the search results by
Categories, Region, Date Created and Purchase Type.

Contact buyers in real-time with TradeManager if you see the Im online, Chat now! icon. This
is best way to discuss your products with buyers and close deals faster. Learn how to use this

After clicking on Contact Now, youll be taken to the following page to enter your message to
the buyer.

4.2.1 Advanced Tips for Sending Quotations
A buyer receives hundreds of quotations every day, so its extremely important to make sure
that your quotation has an eye-catching subject line to attract the attention of buyers. Here
are some tips on how to send a professional quotation:
1) Buyer-focused content:
Make sure you send a complete quotation but keep it concise. Your quotation should
include:
A brief introduction of your companys productivity
Simple trading terms including payment, delivery and your price range
An invitation for further correspondence
Direct contact details for the buyers reference
Compare these two quotations:
3) Photos attached:
You can add up to three (3) photos per quotation to make your message stand out. Try
to attach photos taken from different angles to give buyers a clearer picture of your
products. Learn more about product photos in Section 3.2.3.
Your Message Center Inbox can hold unlimited number of messages. Messages from the last
90 days are listed in your Inbox, while all earlier messages are stored chronologically and can
be accessed by using the drop-down menu on the tool-bar. Messages older than two years will
be deleted automatically.

To open a message, simply click on the subject or name of the sender. From there, you will see
the Message Details page.
To reply, click on the Reply button and then write your message into the message field. Try
to use a unique and straightforward subject line, plus a detailed and descriptive message to
make sure you are positioned as a professional company.
To give buyers an impression of your products, you can also attach a photo by clicking on the
Attach Photo button. When you finish, click Preview to see how your message will look, or
click Send to send your reply.
The messages you have sent to your customers can be found in the Sent Box.
To find a specific message, you can filter by the receiver, subject and date that the message
was sent. Simply click on the drop-down menus from the top.

attract more buyers than ever before. Biz Trends is updated weekly, so youll always have the
most up-to-date information at hand.

5.1 Customer Activity
In this section, you will find information about your:
Customer Views:
The number of times your Products and Selling Leads have been viewed by customers in
search results and category listings within the last week.
Customer Clicks:
The number of times your products and company information have been clicked in
search results and category listings within the last week.
Inquiries:
The number of messages you have received from buyers regarding your products and
Selling Leads within the last week.
In each section, you can view your data by Country and Region or compared to Industry
Averages for the past week. To change the time frame to a specific week or view your data
over the last six months, use the drop-down menu on the upper right corner of the page. You
can also filter by Category using the drop-down menu next to Customer Activity at the top
of the page.

5.4 My User Status
This section gives you information related to how you use Alibaba.com, including:
Newly Added Products:
The number of new products you have displayed within the last week.
Times Product Modified:
The number of products that have been modified and approved within the last week.
Newly Added Selling Leads:
The number of new Selling Leads posted within the last week.
Reposted Selling Leads (by days):
The number of days that you reposted Selling Leads within the last week.
Days Signed in to My Alibaba:
The number of days that you signed in to My Alibaba within the last week.
TradeManager Usage (by hour):
The number of hours that you were signed into TradeManager within the last week.

see the data by industry or date range.

youre online and ready to trade. Besides instant messaging, video conferencing and file
transfer functions, TradeManager also features integrated, real-time translation tools to make
it easy to communicate without any language barrier so you can close deals even faster.

6.1 Download and Install TradeManager
TradeManager is free for all Alibaba.com members and can be downloaded from
http://trademanager.alibaba.com or from Alibaba.coms homepage. To do so, click on My
Alibaba, then Download TradeManager from the upper right-hand corner of the page. When
you reach the TradeManager page (http://trademanager.alibaba.com), click the Download
Free button to start downloading the program.
Select Run to begin the installation process, or save the file to your computer if you would like
to install TradeManager later. Be sure to remember where you saved the file so you can find it
easily (the Desktop might be a good place).

Before installing TradeManager, please make sure that your computer meets the following
minimum system requirements:
Tip:
We suggest that you close your anti-virus program before installing TradeManager. Dont
worry, TradeManager is a program created and issued by Alibaba.com and guaranteed to be
virus-free.
Once the file has completely downloaded, double-click the installation file to start installing
TradeManager onto your computer. Click Agree only after you have read and agree to the terms
and conditions, and then follow the on-screen instructions to complete the installation.
6.1.1 Sign in
To sign in to TradeManager, use the same Member ID and Password that you would use to sign
into My Alibaba.
If you would like TradeManager to remember your Member ID and Password, check the boxes
Remember Me and Save Password. You can also check the box for Auto Sign in if you would
like TradeManager to be automatically started every time you turn on your computer. The
more often you are signed into TradeManager, the more easily buyers will be able to find and
contact you.

6.1.2 Add Contacts
Contacts are people who you have added to your Contact List. When you start TradeManager
for the first time, your Contact List will be empty. To find buyers and suppliers to add to your
Contact List, select the Contacts menu, click Search Alibaba.com, enter a Product or Company
Name into the search box and then press the Search button.
A new window of search results will open. If you see someone
who youd like to add, click the Add Contact icon next to the
Contact Now button to add the user to your contact list.
Another way to add someone to your contact list is to click the Add button while you are
chatting in the TradeManager chat window. Alternatively, if you already know the Member ID
of the person youd like to add as a Contact, go to Add a Contact from the Contacts menu.

There are the three types of information available for subscription: Products, Companies, and

searched in Alibaba.com to customize your Trade Alert content:

results. Simply enter your email address in the email box, click Subscribe and then follow the

Note: The Product Keyword here is generated automatically by matching the keyword you
searched through Alibaba.com. If you subscribe to Trade Alert with un-registered email address,

You can change your Trade Alert email delivery frequency between daily and weekly and your
email format between HTML and text. You can also specify an email address other than your
registered email address for receiving Trade Alerts.
Note: Trade Alert will be sent to your Alibaba.com registered email address.

Tips:
Product Category Filter helps make your Trade Alerts as relevant as possible by taking
content only from your selected product categories.
Region Filter helps make your Trade Alerts as relevant as possible by only taking content
posted by members from your selected regions.
And then, press Save, you will start to receive Trade Alerts by email as soon as there is new
content matching your preferences on Alibaba.com.

Alibaba is committed to keeping online trading as safe as possible. However, there may be
occasions where you come across people with the intent to defraud others. Some Alibaba.com
members have reported receiving emails and/or instant messages requesting personal
information such as passwords, credit card numbers or registration information.
Although these messages appear to be coming from Alibaba.com, please note that
Alibaba.com will never ask you to provide your password, credit card information, or
any other sensitive information in an email or instant message. If you suspect that you
have become a victim of fraud, please contact Customer Service (service@service.alibaba.
com) immediately.
The key to avoid becoming a victim of fraud is awareness, education and vigilance. Always be
cautious when responding to any requests for sensitive personal information. In this section,
we will teach you how to ensure the safety of your Alibaba.com account.
In order to improve the security level of your account, follow these simple tips:
Use a combination of more than 10 letters and numbers in your password
Set a Security Question to protect your password from theft
Create an Alibaba.com Sign-in Seal to protect your Alibaba.com account from phishing
scams
Download Security Control to protect your password from viruses

Email spoofing is a fraudulent email activity where the senders address and other parts of
the email header are changed so that the email appears to have originated from a different
source. Email spoofing is commonly used in fraud to hide the origin of the message and can
be difficult to spot, causing many problems for recipients and the owners of spoofed email
addresses.

8.2.2 Instant Message Fraud
Some Alibaba.com members have reported receiving instant messages from various people
including Security Dept requesting Member IDs and passwords through TradeManager.
Please do NOT reply to these messages.
Remember: Alibaba.com will never ask you to provide your password, credit card
information, or other sensitive information in an email or instant message, unless you
contact us first regarding a problem with your account. If you have already given out your
personal details to a suspicious contact, change your Alibaba.com password immediately. For
assistance, contact us directly at service@service.alibaba.com.

After creating a Sign-in Seal for your computer, you can be sure that youre on the legitimate
Alibaba.com site by checking the seal on your computer. If your Sign-In Seal is not displayed
on your Alibaba.com sign-in page, you may be looking at a fake Alibaba.com site.
Your Sign-in Seal is only saved on the computer that you used to create it. If you use more
than one computer or browser to access Alibaba.com, you will need to create a Sign-in Seal
for each computer.

9.1 Problems Signing In
9.1.1 Forgot Password/ID
To retrieve your password, please take the following steps:
) Click Sign in on the Alibaba.com Homepage
2) Click Forgot your password? on the Sign in box
3) Enter your Member ID OR registered email address and click Next
If you have set a Security Question:
a) Answer the security question you set and click Submit
b) If you answer the security question correctly, our system will send an email to your
registered email address with the following subject line: Alibaba.com Password

c) Click the link and then create a new password.
If you have forgotten your Member ID, please send an email to service@service.alibaba.com
with your company name, registered email address and your contact details.
And, if a cookie error occurs, you can take the following steps to resolve it:
Internet Explorer 7.0 - Click Tools on the top toolbar; Select Internet Options; Click on
General and then Delete; Click on Delete cookies
Internet Explorer 6.0 - Click Tool/Internet Options; Click Delete Cookies & Delete Files;
Click Security, and set as Default; Click Privacy, and set as Medium.
Internet Explorer 5 - Click Tool/Internet Options; Click Security; Click Internet zone.
Select a security level other than High. Or click Custom Level, scroll to Cookies, and then
click Enable for both cookie options.
Internet Explorer 4.x - Click View, and then Internet Options. Click Advanced. Scroll to
Security. Under Cookies, click Always accept cookies.
Netscape Communicator 4.X - Click Edit, and then Preferences. Click Advanced. Check

If you are still unable to solve this problem, please locate the directory where your system is
installed, e.g.
C: Windows. Then go to the sub-directory Cookies and Temporary Internet Files. Then delete
all files named Cookies.
2) Server Problems
Server problems may arise when there is a network jam or server reboot. Sometimes it can be
caused by a browser problem on your computer, especially if you are using a browser other
than Internet Explorer and Netscape.
If the problem only exists within specific webpages, it may be caused by an error in the
webpage itself. To solve these problems, please notify Alibaba.com Customer Service at
service@service.alibaba.com. If the page is in My Alibaba, you will need to provide your
Member ID and password.

9.2.2 Products Posted But Unavailable
) Approval Pending: This status means that your products have been posted but have yet
to be approved by Alibaba.com staff. The approval process usually takes 24 hours.
2) Not on Display: This status means that your products have been approved but are not yet
displayed.
Upon approval, your products will be published online within 24 hours. Please note: It is only
possible to restore products that are displayed after August 2007. For products that were
displayed before this date, they are no longer in our database and cannot be restored.

If Lan Settings is ticked, with address and port settings, it means that your browser is using the
proxy. Please take the following actions to apply the same settings to TradeManager:
Click Preferences in the File option.
Choose Use Proxies after clicking Connection.
Tick Use Http Proxies (Or tick Default Browser Setting).
Enter the appropriate Server and Port.

Click the Privacy tag in the Privacy section
Select Default to restore the setting
Click the Advanced tag in the Advanced section
Select Recover to restore the settings.
