Q.1:-Explain The Communication Process With The Help of A Diagram
1. Sender or Source:- Initiates the communication process by developing an idea a message known as encoding
. In the communication process, the sender or source is technically called as encoder. In this process, the
sender and the source must have correct information and transmit accurately at optimum speed.
2. Channel:- The sender transmit the message through a channel e.g. e-mail, phone conversation, face-to-face
discussion or even a text message. The medium or the channel may be one of the media or means. So every
medium experts its influence and its peculiarities on the message and in this sense, becomes a part of the
message.
3. Receiver:- Completes the communication process by interpreting and assigning meaning to the message
known as decoding. The receiver is technically called as the decoder. The receiver must understand the
message or in other words, must decode it or interpret it and must react or produce a desired response,
which must be receiver by the sender.
4. Feedback:- Ensures message was properly received and interpreted. Feedback helps the sender known that
the message was received and understood. Sender can encourage feedback by asking questions such as
“Am I making myself clear?” Sender can further improve feedback by timing the delivery appropriately and
by providing only as much information as the receiver can handle.
The best feedback is descriptive rather than evaluative.
Q.2:- Explain the following
1.) What is the importance of communication in the business
environment? How does knowledge and attitude affect
communication?
Ans:- The word “business” stands for any economic activity which is undertaken with view to earn profit and the
communication undertaken in the process of this activity is termed as “business communication”.
Good communication of business communication helps get the job done well , on time and on budget. The boss or
team member who can communicate objectives, reasoning and step-wise tasks in a concise and conerent manner
contributes more to a company’s success than one who does not. These communicators are highly value in today’s
complex and competitive business world, and are often earmarked for promotion and increased responsibility.
Attitude and perception can affect business communication in both positive and negative ways. Pleasant, respectful,
upbeat attitudes throughout an office improve upward and downward communication, which increases morale.
Productivity and sales. Poor communication behavior on the other hand must be dealt before it impacts the
company culture or collapses the company itself. Colleagues with extreme points of view may find it hard to see one
another’s perspective, because each one has the attitude that the other must be wrong without taking time to
analyze the situation.
Q.2) Differentiate between interpersonal and intrapersonal communication?
Ans:- Interpersonal communication is that kind of communication which takes place within or among more than two
people with use of different mediums of communications. Whereas intrapersonal communication takes place within
one person. It is meant to reflect oneself to clarify something.
*Interpersonal Communication:-
i) The term ‘inter’ means ‘between’ interpersonal communication occurs between people in face-to-face situation.
ii) They are able to see each other and observe facial expressions and other non-verbal behavior while they are
enhancing verbal messages.
iii) This kind of communication is usually between two people, through it may include more than two.
* Intrapersonal Communication:-
ii) The message is made up of your thought and feeling which your brain processes and interprets.
iii) Intrapersonal communication is one that we have with ourselves. i.e. the communication that occurs on our mind.
The meaning of words, signs and symbols might be different from one person to another person and the same word
might have different meanings. So, when a message is sent by a sender to a communication process causing
misunderstanding between them.
When the message is not formulated and presented in the proper manner. The receiver fails to comprehend it and
misunderstanding occurs. Badly expressed messages lose their impact. A badly expressed message causes loss of
valuable time and money as it requires further corrections and clarifications.
The sender of the message often makes some assumptions. When these assumptions are vague and unknown to the
receiver communication suffers.
e.g. – The bird sanctuary is full of cranes.
- The girl has to crane her neck to watch the movie.
- The builder used a crane to lift a heavy steel.
Having a good knowledge of the subject helps the sender to convey the message in brief Son, the communication is
successful.
