PartII:Reading Comprehension
Accounting
Accounting is the process of recording, classifying, analyzing, summarizing, reporting and
interpreting the financial information of an organization for use in decision making. Accountants record,
report and interpret financial information that describes the status and operation of a company aids in
decision making. Like statistics, accounting is the language of business. It provides information to both
people inside and outside the company.
Inside the company, managers are the major users of accounting information. Accounting data are
used by managers to help them plan and control business operations. Outside the company, stockholders,
bankers, potential inventors, government, etc, are interested to know the financial position of the
company. For instance, bankers can base their decisions on granting a loan to the company by examining
its financial statements. Government needs to know the financial data of the company for tax assessment.
Accounting is not the same as bookkeeping. Bookkeeping is chiefly the clerical phase of
accounting. Bookkeepers are responsible for the systematic recording of a company’s financial
transactions. They provide data to be used by accountants. Accounting covers a much wider scope.
Accountants are responsible for developing systems to classify and summarize transactions and for
interpreting financial statements. Accountants are decision makers, while bookkeepers are trained mostly
mechanical task of record keeping. Accountants may hold positions as executives in many large companies
and in top level government offices.
There are three important financial statements prepared by accountants. The first one is the
balance sheet that shows the financial position of a company of a particular date. The second one is the
income statement or profit and loss statement that shows the profitability or unprofitability of a company
during a period of time. The third one is the capital statement that reports the equity or money invested
by owners. It also called the owner’s equity. Accountants usually prepare financial statements once a
year.

Management
Management is the process of planning, organizing, directing, and controlling the use of
company’s resources to attain its objectives effectively and economically. A person who
performs the unique work of management is called a manager. A manager does his work by
working with and through other people.
Small business have usually one or more managers who are responsible for various management
duties needed to keep the business running. Managers in large companies are ranked according
to their level within the company. The managerial hierarchy of an organization is called
management pyramid. Managers usually perform four key functions for their business: (1)
planning, (2) organizing and staffing, (3) directing and coordinating, and (4) controlling and
evaluating. Each of these functions are continuous, and are interrelated toward a management
goal.
Planning is the process of making decisions about what will be done in the future and how it will
be done. Mangers must decide what their organization will do, where and when it will be done,
how it will be done, and who will do it. Organizing is the process of setting up the structure and
rules to control the way resources – workers, material, machinery, and money – work together to
reach management and objectives. Organizing determines who will do what job, what methods
and equipment will be used, and other specific rules to determine how the work will be done.
Directing is the process of guiding and motivating people in the organization to do the work
needed to accomplish the company’s goal. It included telling and showing subordinates what
jobs to do, how to do them, and how to correct mistakes. In management, coordinating is
largely a process of facilitating the smooth flow of communication between parts of the
organization to make sure that they are working together properly toward mutual goals.
Controlling, the final function of management is the evaluation of the company’s performance to
determine whether it is accomplishing its objectives. This function is closely related to
planning. The evaluations that are made as part of controlling the business operation are used
to determine whether plans are being carried out and objectives met.
