The Exhibiz Co., Ltd. have specially prepared this Information & Order Manual to assist
exhibitors with their preparation for Thailand Lighting Fair 2016. Exhibitors are requested to
read the manual carefully and thoroughly in order to understand and get familiar with the
preparations and procedures of the exhibition.

To facilitate your participation and to ensure smooth operations, exhibitors must adhere
strictly to the deadline stipulated in the order forms.

Rates quoted are current. Every effort shall be made to maintain them. The organiser
reserves the rights to increase these rates in accordance with any change in cost of labour or
materials before the exhibition.

How to use the exhibitor manual to reduce the workload

• Be familiar with the show deadlines. Money will be saved if you order your booth services
by the deadlines indicated on the forms.
• Custom regulations are strict in Thailand. Incorrect/inaccurate declaration of either weight
or value of exhibits/items brought into the country will result in a delay. It is therefore very
important that you read the shipping information.
• Make a list of the things you think you will need for your booth.
• Exhibitors are only permitted to exhibit products/services within the exhibition range.
• Avoid crisis management. Ordering in advance will save time, worry and substantial cost.

During the exhibition period, exhibitors are welcome to enter


the hall one hour before the opening and can stay up to one hour
after the closing to check on their stands and exhibits. In case of
any early move-ins and/or overtimes, please contact the organiser
in advance.

Admission for Trade Visitors


Admission is free for trade professionals, business visitors, holders
of invitations and registered only. The organisers reserve the
rights to refuse admission or to remove any person without giving
a reason. This also applies during the building up and dismantling
period. Pre-registered trade visitors and VIP guests can collect
their badges at the pre-registration counter during show days.

Please note that Thailand Lighting Fair 2016 is a trade exhibitions, no children under the age of 16 6
are permitted, either as visitors or exhibitors. All visitors must be properly dressed. Shorts and
slippers will be refused to enter the exhibition hall.

Please take note of the following points :

1. During the exhibition period, exhibitors are allowed to enter the hall an hour before the
opening time and remain not more than an hour after the closing time.
2. Large & heavy machines need to enter the exhibition hall in the morning of the
construction day.
3. Heavy lift equipment must be used to move-in and move-out of any exhibits or
decoration items at the loading doors of the exhibition hall.
4. In case of setup or teardown over than specified time as in-hall operation schedule, it
will cause overtime charges and other charges incurred.

5. Exhibitors are advised to commence packing their exhibits as soon as the exhibition
ends on September 3, 2016 at 18.30. To avoid delay and traffic congestion, special

arrangements have to be made in advance with the Official freight forwarder.

Food & Beverage All food, and beverages, catering, food stalls, and concession
stands are operated and controlled by the Centre’s Food &
Beverage Department. Arrangements for serving food and
beverages must be made through the Catering Manager.
No food or beverage of any kind will be allowed on the premises
unless purchased through the Centre F&B Department.

pre-ordered with the Centre before 27 August.

Car Parking BITEC is equipped with 4,000 parking spaces. The goods
maintenance and security of the parking areas are of high

Exhibitor badges Exhibitor badges can be ordered only via the Pre-Registration.
The Pre-Registration can be entered via the homepage of
Thailand Lighting Fair 2016 through www.thailandlightingfair.com
Exhibitor badges are only for exhibitors and their staff who are
managing their booth during the exhibition days. For security
reasons, exhibitors and their personnel must wear their passes at
all times in the exhibition. Exhibitors can collect their badges at the
exhibitor registration counter upon arrival. Every exhibitor has to
pre-register for their badges prior the show.

Construction & dismantling badges


Special construction and dismantling badges are available for the
construction staff during the construction and dismantling period.
The construction and dismantling badges can be collected at the
service counter. Rental of the stand automatically entitles you to
a number of construction and dismantling badges. Anyway, you
are able to specify required amount of badges in form 1.
The exact number depends on the size of the stand rented. See
the calculation in the table below.

You may require a visa when visiting Thailand for business and/or leisure. Please check with
the Thai Embassy or Thai Consulate in your country of origin if you require a visa for Thailand.
Please make sure that you submit your visa application on time, since the procedure takes a
few weeks.

If you do need a visa, you must apply for your visa personally at the Thai Embassy or Thai
Consulate in your country of origin. You can contact Ministry of Foreign Affair of Thailand as
below link.

You might need a letter of invitation for your visa application. The letter of invitation on behalf
of the Thailand Lighting Fair 2016 is intended to clarify the purpose of your journey to
Thailand. This letter may in no way be considered a guarantee of entry to Thailand.

As mentioned earlier, please make sure that you submit your visa application on time, since
the whole procedure takes a few weeks. After 1 August 2016, it is unfortunately not possible
to accept your application for a Letter of Invitation.

Besides the general terms & conditions as part of the participation, the following rules &regulations
are applicable at the onsite location.

Governing law Exhibitors are required to observe and comply with all
the laws of DIP Thailand

BITEC Regulations Prior written approval from the Customer Service/Food


and Beverage Department must be obtained relative to
all food and beverage within the facilities. All food and
beverage brought into the facilities must be approved
for exhibition use only and may not be consumed by
staff.

Competitions No competitions may be held without the written


permission of the Organisers. Full details of any
proposals should be submitted in writing.

Conduct of Business Exhibitor’s literature should list their name and address
and describe their products or those of the principals or
licensers. They may take orders on their own stand but
exhibitors may not hand out leaflets, importune or
solicit for orders in any way in the gangways, or draw
attention to their stands by the use of loudhailers or by
any other kind of mechanical instruments, noisy
exhibits, flashing lights or shouting. Any exhibitor
contravening these rules and regulations by soliciting
business, taking photographs or filming, distributing
literature, book tracts or other advertising or literary
matter, not relating to his principal’s products either on
or away from the confines of his stand, will be removed
from the exhibition.

Construction & Finishing of Stands The construction of stands, signs and fascia shall be of
the following material :
• Non-combustible material.
• Inherently no-flammable material.
• Durably flameproof fabric.
• Self-extinguishing plastic material.
• Plywood, Hardboard, pulp-board or fiberboard

Authorities and bearing a distinguishing 8
brand-mark to indicate that it has been so
impregnated. Timer of any
thickness impregnated and branded as above. An
exhibitor exceeding 2.5 meters in height will be
responsible for finishing off any partition or structure to
the satisfaction of the exhibitor onto whom it faces.
Multi-stories stands are prohibited. The Organisers
decline all responsibility in respect of the safety of the
construction of stands and the installations fitted
therein. Textile fabrics used for interior decorative
purposes shall be of inherently no-flammable material
or of material rendered non-flammable to the Local
Authorities’ satisfaction.

Dangerous Materials The Fire Law prohibits the use of fire and/or dangerous
with in the hall :
1. No naked light and lamp or temporary gas or
electrical fittings may be used in the exhibition
building.
2. No explosives, petrol, dangerous gases or highly
inflammable substances are allowed in the
exhibition building.
3. No radioactive materials are allowed in the
exhibition building.

Contractors Exhibitors’ contractors will be in the construction,


erection decoration of stand-use only those materials
acceptable to the local authorities. Each contractor shall
guarantee that the stand will be finished and all rubbish
will be removed by the opening of the exhibition and he
shall dismantle and remove the stand together with all
rubbish within the breakdown dates specified.
Absolutely no construction work or stand fitting will be
allowed during the open hours of the exhibition.

Customs & Bonded Area In some cases, the exhibition hall will be the customs
bonded area. Comprehensive documentation for
customs regulations will be forwarded to all exhibitors
by the official shipping/forwarding contractors. Unless
all conditions in the instructions issued are complied
with, neither the Customs Broker, the shippers nor the
Organisers shall be held responsible for non-delivery

or late arrival of goods.

Cutting Away & Fixing to NO person under any circumstances shall cut into or fix
Stand Service Structures through any floor covering or
wall nor shall enter any stand service structure except
when authorized in writing by the Organisers. Any such
damage to stand service structures will be invoiced to
the exhibitor under the heading “dilapidation”.

Demonstrations and Presentations Exhibitors who intend to make demonstration during


the exhibition shall ensure that such demonstrations
and presentations must not interfere with the
conducting of business of other exhibitors in term of
sound, nor cause any smoke or fume. The Organisers
reserve the right to determine the acceptable sound
level and extent of demonstration.

Any promotion activity involving the demonstration of


games, organised competitions or quizzes will need an
advance permit from the Organisers.

Design and Stand Approval Exhibitors that have made a “space only” (raw space)
reservation need approval from the Organisers for their
booth and are requested to carry out the following steps:

1) To timely complete & return form 1 to inform your


assigned contractor’s name.
2) To submit the stand design in a 3-dimensional sketch,
showing the booth from all sides and equipment
inside (within 10 July 2016)
3) To submit a technical drawing, showing length, width
and height of the booth construction, the connecting
points for technique (power supply, water,
compressed air) and the location of large equipment
(machines, silo’s). From safety point of view, it will in
some cases also be necessary to give a description of
the type of material used.
4) All non-standard booths need a written approval.
Please make sure to hand in your drawings timely
(within 10 July 2016). Without a written approval
from the Organiser there is no access to the halls.

5) Prior to construction process, every contractor


is obliged to cover hall carpet with own flooring

or old

carpet. If any damage occurs due to building up or
teardown stands, the contractor will be liable for the full
cost of renovation.
6) Decoration and construction needs to be inside the
contracted area.
7) Booth side adjacent to neighbor has to have its own
partition or wall.
8) All stand design above 2.5m needs a written approval
from the Organiser.
Height restrictions: H102-H103:
maximum height for 6-35sqm=4m
for36-71sqm=5m for72sqm and above = 7m
9) All side- or back walls exceeding 2.5m, it is
compulsory to finish the side wall or back walls above
2.5m. This should be smooth, and in a neutral colour
(white or black), and it is not allowed to carry your
text, logo or pictures.
10) Booth side facing walkways has to be opened or
transparent at least 50% of that side.
11) No balloon is allowed in the hall.
12) No hanging material: banner, truss, structure

Dilapidation Exhibitors are responsible for the cost of making good, by


restoration or renewal, any cases of serious damage or
dilapidation to the exhibition halls or any part thereof,
whether caused by themselves, their agents, or
contractors, or by any person employed or engaged on
their behalf by any such agent or contractor. The
Organisers, in conjunction with the listed exhibition
ground inspect every site before erection and after
demolition of the stand. Dilapidation’s include (by way of
example only) marks caused by or to paint, distemper,
mortar or any other adhesive substance, bolt, screw or
nail holes, battens, boarding or any other material or
substance attached or adhering to the walls floor, or
other parts of the building loose wire or other things left
behind. The cost of making good will be assessed by the
list exhibition ground and be charged to exhibitors by the
Organisers. In their site both before and after clearance.

Domicile & Jurisdiction For all purposes concerned with the implementation of
these regulations, of the regulations and stipulations laid
down by the Organisers by virtue thereof, and of all other
contracts relating to the exhibition, the exhibitor shall be
deemed to be domiciled at the domiciled at the offices of
the Organisers.
Without prejudice to the powers of the parties to enter
into general or limited arbitration agreement, all disputes
arising from the exhibitor‘s participation, from the
enforcement of these regulations or from any other
contracts relating to the Exhibition, or by virtue of
regulations or stipulations laid down by the Organisers,
shall be judged according to the local law. Where a
dispute shall arise concerning interpretation the English
text of these Rules and Regulations shall be deemed to
be final.

Electrical Installation All the main electrical connections at the Exhibition must
be carried out by the Organisers’ official contractor.
Exhibitors requiring special arrangements (e.g. different
voltages or electricians for connection of equipment)
must notify the Organisers’ electricians for approval and
quotation. All electrical equipment must be tested by the
Organisers’ licensed engineers, which is prior to turning
on the electricity supply. Electrical connections /
equipment will be inspected under the code of practice
with the ordinance of the Local Electric Appliances
Technology Standards, the Local Regulations and by law
of fire prevention. The switchboard on each stand shall
have the nameplate and telephone number of the
electrical contractor on it.

Exhibits-Delivery & Handling The cost of conveying and offloading goods to and from
the Exhibition shall be borne by the exhibitor. In no
circumstances will the Organisers or their employees
accept or sign for any goods, exhibits or other material
on behalf of any exhibitor. Wherever possible, every
facility will be given to lorries, vans or other vehicles or
conveyances to unload at the site. The Organisers reserve
the right to specify the times and places of delivery and
to require the moving of any articles at any time in the

interest of the Exhibition. Local based exhibitors should


arrange with their contractors for exhibits to be conveyed 2
to the site and unloaded. Exhibitors requiring carnage 2
and labor facilities should make advance arrangements
with the official freight
forwarders and shipping agents, (for address details,
please refer to the Exhibitor Manual) Entry for heavy or
awkward loads should be arranged with the Organisers’
freight forwarder. Special times and entry dates will be
specified by the Organisers.

Any damage to parts of the listed exhibition ground,


Fairgrounds building or pavements or roads surrounding
the exterior of the listed exhibition and under their
control, or to any other vehicle, stand or exhibit must be
reported immediately to Floor Manager.

Exhibits to be displayed Only exhibits belonging to the exhibition program will be


allowed. The Organisers reserve the right to remove from
the hall any exhibits or items complementary to an
exhibit, which in their opinion contravenes this
regulation.

Failure to Exhibit Organisations which, having signed a contract for a stand,


fail to exhibit and have not been released from the
contract by the Organisers, shall be liable for the full cost
stated in the contract plus any additional costs incurred
by the Organisers as a result of the failure to exhibit.

Fire & Other Safety Regulations All fire extinguishers, hydrants, stopcocks, etc. must
remain visible and directly accessible at all times. Any
sprinkler installations present must be able to function
without hindrance. Exhibitors are bounded to follow
immediately and/or all directives issued by the
Organisers and/or the fire authorities in regard to the use
of equipment and apparatus, demonstrations, storage
etc.

General Regulations Definitions For the purpose of these Rules and Regulation :
“Organisers” shall mean the The Exhibiz Co.,Ltd.
registered in Thailand.
“Exhibitors” shall mean those companies or individuals
who, together with the organisers, have set their
signatures to the agreement of participation, or their
employees or authorized representatives.

“Halls” shall mean, where appropriate site or area as


listed on the contract as exhibition grounds. 2

Group & National Stands Organisers/agents of group and national stands are
responsible for ensuring that all exhibitors on their stands
are fully aware of and agree to abide by these rules and
regulations.

Hall Landlords’ Special Conditions The following requirements shall be observe when
carrying out engineering work on the walls, floor, posts
or ceiling etc. of the exhibition hall for the installation of
exhibits or decoration work.

It shall be completely prohibited to:


• Drive in concrete nails or dry bit rivets into floor, wall
and post surfaces.
• Paint directly onto floor, wall and post surfaces.
• Stick carpet, etc. by applying adhesive agent
to entire reverse side.

Hazard Precautions At the close of Exhibition each day, exhibitors shall before
leaving stands make certain there are no potential fire
hazards such as stoves, fires; exhibits used for
demonstrations, or lighted cigarettes. Water, lights and
power should be turned off at the stand’s mains.

Intellectual property rights / copyright The exhibitor warrants that the exhibits and packages
thereof and the related publicity materials do not in any
way whatsoever violate or infringe any third party’s rights
including trade marks, copyrights, designs, names and
patents whether registered or otherwise. The Organiser
has the right to refuse participation of any exhibitors
found guilty of infringement of intellectual property
rights at any future trade fairs.

Late Installation / Removal Exhibitors wishing to remove, replace or introduce


exhibits during the course of the Exhibition or carry out
alterations or maintenance work or take photographs of
their stands, shall do so only at the times specified by and
with the permission of the Organisers. Where such work
entails the use of lighting, overtime and the Organisers’
staff, the exhibitor shall bear all costs. In the case of the
removal of goods, the exhibitor must obtain a permit
from the Organisers, otherwise goods may not be

removed from the exhibition building. The Organisers

reserve the right to make or cause to be made
photographs, drawing etc. during the course of the
exhibition and to use the same for their own purposes.

Move In Cargoes, which are moved directly in the exhibition site


should NOT arrive at the exhibition hall earlier than
1 August, 2016 or before the build up period. Exhibitors,
their agents or contractors are responsible for the early
installation of their heavy or large exhibits, according to
the move-in schedule provided by the Organisers. When
stand structures are erected, it is not possible to move in.

Please note that where mechanical handing within the


exhibition halls is required, the official freight forwarder
may be appointed. Forklifts, cranes and pallet trucks from
other forwarders will not be allowed to work inside the
exhibition hall. If any heavy or large exhibits arrive on
site requiring mechanical aid on site installation, the
Organisers will appoint an official on-site freight
forwarder to be the site installation contractor on
exhibitor’s behalf, and all costs incurred will be born by
the exhibitors.

Obstruction of Stands & Gangways Exhibitors and their agents and employees shall keep all
gangways clear of materials, packing cases, rubbish and
equipment. No part of any stand or exhibit including
fascia, signs, lighting, corner posts or other fitting shall
project into or overhang any gangway or obscure any
fires or exit sign. The Organisers reserve the right to
remove any obstruction, which contravenes this

regulation and the charge, the person responsible for


the cost of so doing without prejudice to any claim 2
for damages which the Organisers or any other 5
persons may have by reason of such obstruction.
Open Frontages All stands in the exhibition irrespective of height must
have 50% of the frontage on each side to be opened or
fitted with transparent material to the underside of the
fascia.

Organisers Stand Service Where Organisers stand service is provided no alterations


to the standard booth construction package will be
permitted. Interior display work must be designed and
constructed so as not to damage or interfere with the
standard booth construction package.
Other Stand Fitting Contractors
• In adherence to safety requirements, only the
Organisers’ official contractor can carry out electrical
power supply.

• The contractors will also have to bear any charges


levied by the venue owner for damages caused to
their property, flooring, or for debris not cleared away.

• Exhibitors are responsible and liable for their own


appointed contractor’s observance of all rules and
regulations.

• Please provide a number of workmen, so that Pass


will be prepared accordingly. For security season, all
workers are advised to wear their Passes at all time
during the construction period.

• Exhibitors and their selected contractor are requested


to submit Form No. 1 Unofficial Stand Contractor and
their stand’s design and layout in 3 dimensional
sketch, showing the width, the height and equipment
inside for approval before July 10, 2016.

Payment
• Payment of stand costs and any other payment shall
be effected within the specified date on invoice, unless
a different due date has been stated in the invoice,
without any deduction or compensation.

• The Organisers are authorized to submit invoices as soon as
the participation agreement has been mailed. Invoices may
be preceded by an advanced invoice.

• The participant is liable for all costs owed to the Organisers


in relation to its participation, not with standing whether
these costs were incurred by the participant itself or by third
parties acting on its behalf.

• In the event of non-payment of any amount owed to


Organisers, legal interest will be charged as from the date at
which the account was claimed.

• In the event that the participant does not settle stand cost
or any other amounts due to the Organisers, in full and/or
on time, the Organisers is authorized to consider a
participation contract as terminated with immediate effect,
on written or verbal notification of breach of contract. In
such a case the participant remains liable for the full
settlement of its stand costs, as well as any other costs
incurred due to participation. Furthermore, the Organisers
are in no way liable for any claim for damages in this
connection, whatsoever, arising from termination of
participation.

• When full payment has not been received before the first
construction day. An exhibitor or contractor is not allowed to
start the construction of the booth.

Promotion during the Show Exhibitors are asked not to place stickers, signs or
posters anywhere in the halls other than within their
own stand and on paid advertising sites by submitting
sponsorship package application. Likewise, exhibitors’
representatives may not distribute brochures,
invitation, etc. along the gangway nor near the
entrances/exits. If you wish to distribute materials
please contact the Organisers.

Regulations Observance Every exhibitor, his agent or contractor, must observe


the regulations laid down and in force at the date of the

exhibition, including any amendments which may be


applicable at the date of the exhibition and introduced 2
by the Authorities or the Organisers. Failure to observe 7
this regulations may result in the Authorities or the
Organisers ordering the removal from the hall of all or
any part of the stand or exhibitors and in the event the
Authorities and the organisers will not accept liability
for any loss there by occasioned to any exhibitors.

Removals Exhibitors, their agents or contractors are responsible


for the complete removal from the listed exhibition
ground and outside areas of all goods, and materials
used by them, together with all rubbish. Any exhibitor,
his agent or contractor failing to remove any exhibit,
stand wires, ropes or any rubbish within the time
stipulated, shall indemnify the organisers in respect of
any claim thereby occasioned for failure to give up
possession of any part of the listed exhibition ground.

On the due date the Organisers shall be entitled but not


obliged to remove such materials as they consider best
at the cost to the exhibitor who shall be liable for all
loss and costs thereby occasioned. The Organisers
reserve the right to specify the time at which individual
stands and exhibits shall be removed.

Removal of exhibits Removal of exhibits may commence only after 18:30 pm


on 1 September 2016.

Retail Sales Exhibitors are remained that no cash-and-carry sales


area permitted in the Exhibition.
Security
 The Organisers will provide general security round the
clock. Exhibitors and their staff will not be allowed in
the exhibition hall before or after official hours.
• All personnel in the exhibition halls must wear
identification badges at all times. Exhibitor Badges
and Temporary Passes are available at registration
counters on site.
• If your displays are very valuable or sensitive and you
wish to hire security personnel to attend to your
stand exclusively for off show hours, please complete
Form No. 13 Booth security Service. Please note that
you must not use your own staff of personnel from
any other security agency.

• For security and safety reasons, exhibit movement in


or out the halls during show hours is strictly 2

Security at the exhibition General security will be provided by the Organisers day
and night. If the exhibitor want to hire special security
for their own booth please see Form No. 13 Booth
Security Service.

Security & Insurance The Organisers will not themselves be responsible for
the safety of articles of any kind brought into the
Exhibition by the exhibitors, their employees, agents or
contractors, members of the public or any person
whatsoever. Exhibitors shall make sure that they are
fully covered by insurance and take out public liability
and comprehensive protection. The period of liability of
the exhibitor shall be deemed to run from the time the
exhibitor or any of his employees,

agents or contractors first enters the exhibition hall, and


to continue until all his exhibits and property have been
removed.

Security Responsibility During all period, security of exhibits, stands and


furniture is wholly the responsibility of the exhibitor. His
agent or contractor and the Organisers shall not be
responsible for any loses incurred.

Site Plan The Organisers reserve the right to alter the layout,
plans and positions of stand construction, if in their
option, this is desirable from the point of view of the
Exhibition as a whole.

Smoking BITEC is designated as a non-smoking facility. We


request that exhibitors and visitors restrict their
smoking to designated areas. If smoking is required in
the function areas prior approval must be given by Event
Service Department, BITEC.

Stand Appearance Exhibitors should present all stands in a clean and tidy
manner in the interest of the exhibition as a whole.

Stand Cleaning The Organisers will be responsible for cleaning the hall
and gangways each day. Exhibitors who need booth

Stand Height and Stand Ceiling For 6-35 sq.m. shall not exceed 4 m.
For 36-71 sq.m. shall not exceed 5 m.
For 72 sq.m. and above shall not exceed 7 m.

Subletting of Stands Exhibitors must not transfer, dispose of, part with, or
otherwise sublet the whole or any part of their space,
office, store or other accommodation whether for
financial consideration or otherwise, or enter into any
agreement to do so. An exhibitor, being officially
appointed sole agent or sole licensee must state at
the time of application for space, the names of the
principals to be represented and confined his display
to their products. This does not debar an exhibitor
displaying products of a principal for whom he
become sole agent or sole licensee after allotment of
space, providing permission is first obtained from the
Organisers. This regulation shall be deemed to
include any subsidiary material or product not being a
part of, but used as complementary to, an exhibit. An
exhibitor may not, except by express written
permission from the Organisers, display directly or
indirectly, advertise or give credits to any products
other then his own or his principal’s. The Organisers
reserve the right to mask or remove from the hall any
products or signs violating this regulation.
The exhibitors shall insure, indemnify and hold the
Organisers harmless in respect of all costs, claims,
demands and expenses to which the Organisers may
in any way be subjected as a result of any loss or
injury arising to any persons (including members of
the public, the staff of the local authorities, or the
Organisers’ staff, exhibitors’ staff agents and
contractors) however caused as a result of any act or
default of the exhibitor. Their employees, agents or
contractors or guests. If the Organisers demand the
exhibitor shall provide proof to the Organisers that
the exhibitor has adequate insurance cover. The
Organisers shall not in any event be held
responsibility for any restrictions or conditions which
prevent the construction, erection, completion,
alteration or dismantling of stand or for the failure of

Technical Regulations Official Contractors & Approved Stand Fitting Contractors

The Organisers have appointed official contractors for


various services so as to ensure a more efficient and
regulated build-up and dismantling.

Please refer to the list of official contractors and


approved stand contractors on General Information
for details. Unless otherwise stated.

• Exhibitor may appoint their own stand fitting


contractors subject to approval from the
Organisers. Please refer to Form No. 1 Unofficial
Stand Contractor.

• Exhibitor is required to return all the forms to the


relevant parties within due date stated on each
form otherwise on-site services may not be
guaranteed.

• The services of official contractor and approved


stand contractors are for the convenience of
exhibitors, and the Organisers will accept no
liability in respect of any contract between
exhibitors and such contractors for the negligence
or default of any such persons, their employees
and agents.

• Where mechanical handling within the exhibition


halls is required, only the official freight forwarder
will be appointed.

Temporary Wiring Applications for any wiring for temporary lighting or


power during build-up should be made through the
Organisers. The full charge for the work, materials
and current supply, will be charge direct to the
exhibitor.

The Exhibition Open hours During the show hours, no goods may be brought into
or removed from the exhibition hall. The Organisers

reserve the right to amend the exhibition dates and


hours at their absolute discretion. 3

Unforeseen Occurrences In the event of any occurrence not foreseen in these
Rules and Regulations, the decision of the Organisers
shall be final.

Use of Dangerous Flammable Dangerous objects are restricted by the Local Fire
Materials Regulation. Exhibition’s operating machines during
the show are requested to list items and quantities to
the Organisers.

Visitors Visitors who are causing any kind of disturbance will


be liable to ejection from the hall. Any exhibitors
worried by visitors who are contravening this regulation
should contract the Organisers immediately.

Working Exhibits Working machinery must be fitted with safety device,


which may be removed only when the machines are not
in operation and connected to the source of power. All
pressure vessels or equipment under pressure must
conform to Local safety standards and regulations.

1. The electrical service of standard scheme includes:
- 3 unit(s) of Spotlight 100 W. Standard
- 1 unit of 5-Amp socket point.
The above items are readily provided by the Organizers. Additional requirements
have to be ordered through Electrical Services Order Form.
(The details of electrical package for standard booth showing in the rules &
regulation are still tentative; it would be varied on our further contract.)

2. Locations of lights and socket points in the standard booth are fixed locations and may
not be moved.

3. The Electrical Services Order Form is divided into 3 sections:


Section A : For Exhibitors requiring individual fittings.
Section B : For Exhibitors requiring electrical services for lighting power and
Exhibit power, inclusive of power consumption
Section C : For Exhibitor using their own special light fittings, either to be
installed by themselves or by the Official Contractor. Power point
charge for exhibitor using their own equipment, inclusive of
power consumption
Section D : For Exhibitors requiring equipment connecting labour charge for
exhibitors using their own lighting fixture, exclusive of
consumption
Section E : For Exhibitors requiring Transformers

4. The organizer has appointed the Official Electrical Contractor to be responsible for :
4.1 Standard supply of electricity
4.1.1 - The standard supply is three phase AC 380V/50Hz with +10%
fluctuation. For the safety of your equipment, please use a stabilizer.
- The standard supply is single phase AC 220V/50Hz with +10%
fluctuation. For the safety of your equipment, please use a stabilizer.
4.1.2 Other requirements such as single phase 110V/50Hz or three phase
220V/50Hz can be specially arranged if requested in the electrical
order form.
4.1.3 There are two main power supply circuits: “Lighting Power Circuit”
and “For Exhibit Power Circuit”.
4.2 All electrical motors have independent automatic protection against excessive
current surge.
The following starter systems should therefore be used :
4.2.1 Direct on line : up to 5 HP

4.2.2 Star delta : 5 to 25 HP


4.2.3 Auto transformer : above 25 HP 3
4.3 Power supplies of the exhibits will be switched off at source 30 minutes after 3
the exhibition closes every evening and 60 minutes after close on the final day
of the exhibition.
4.4 Exhibitors who require 24 hours electricity supply for their specific requirements
should indicate accordingly on the electrical order form before the deadline.
4.5 The two units of Spotlight 100 W. and a 5-Amp fused socket point which are
included in the shell scheme package includes electricity supply.
4.6 Cost of electricity consumption is inclusive in all items offered in Section A, B and C
4.7 All electrical installations must conform strictly to the required standard safety
regulations without exception.

5 Electrical Installation

5.1 General Hall lighting will be provided by Organizer. All electrical power supplies in
the booths and for demonstrations must be installed by the official contractor.
Exhibitors should complete the order form provided by the Official Electrical
Contractor within the stated deadline. For safety, exhibitors are not allowed to
connect their exhibits or lighting to the building’s main distribution. The Organizer
reserves the right to stop power supply in case of improper connections.
5.2 All electrical installation works must be carried out solely by the Organizer’s Official
Contractor, or authorized electricians.
5.3 Exhibitors who will use their own contractors to install lighting in their booth must
submit the names of their electricians prior to the set-up days for authorization.
5.4 The contractors appointed by an exhibitor must submit details of electrical
installations, layout and specifications to the Organizer within the deadline
indicated on the Order Form. The following requirements must be stated,
otherwise, the application may not be considered.
5.4.1 Specifications and rating in watts/unit of the light fitting
5.4.2 Total units to be installed
5.4.3 Layout drawings of the electrical installation
5.4.4 Company name of the contractor
5.4.5 Names and identity card/passport number of the attending electrical
personnel
5.4.6 Electrical order form duly completed
5.5 Approved electricians can collect their personal entry/working passes from the
Organizer’s show management office in the exhibition hall, by exchanging
identification card.
5.6 A proper power input terminal must be installed by the contractor for inspection by
the Official electrical contractor prior to connection to the supply line.
5.7 All socket points must be ordered through the electrical order form, otherwise, no
other socket point is allowed in the booth.
5.8 Priority will be given to those exhibitors who order their electrical items from the

Organizer’s official electrical contractor.


5.9 Any illegal connection/adaptation found will be disconnected without prior notice. 3
This will also include multi-outlet adapters and any extension from the socket point. 4
5.10 No flashing lights will be permitted unless they form an integral part.
5.11 Exhibitors who apply for “Space Only” or special designed stands must
submit their electrical order together with their layout plan before the deadline.
An inspection on site will carried out before turning on the power supply.
5.12 All additional electrical orders in the electrical order form must show
location behind the form. Please read the terms and conditions stipulated on
this form.
5.13 All electrical orders after the deadline will be subjected to :
5.13.1 Availability of electrical fittings and power suppliers
5.13.2 A surcharge of 10% after deadline and 30% for onsite order
5.13.3 50% charge for cancellation of the order
5.14 Those exhibitors who have been approved to use their own special
lighting must order electrical sources from the electrical order form either
through Section C (1) based upon total power supply or using Section C (2)
based upon the number of units of light fitting at maximum up to 100W or part
therefore per unit of lighting fitting.
5.15 The organizer reserves the right to disconnect the electrical supply to any
installation, which in the opinion of the electrical consultants, is deemed
dangerous or likely to cause annoyance to visitors or other exhibitors.
5.15.1 Exhibitor are not permitted to perform any electrical connection, to
modify, amend or reinstall any out electrical devices without consulting the
official electrical contractor.

6. The official electrical contractor reserves the right for installation of electrical supply
system including all socket points which must be ordered from the official electrical
contractor only.
6.1 Socket point: it is strictly prohibited for exhibitors to connect their light
fitting to the socket point.
6.2 Exhibitors are not allowed to connect their power exhibit and breaker for
lighting to the socket point by themselves.

7. The Company reserves the right to stand ready to cut off power supply in case of overload
noise makes other people feel uncomfortable, or the company has been notified by the
organizers to cut it. If participants do not follow the guide for attendees / regulations on
the use of the premises to be strict. Participants will not claim damages from any and all
participants display their work. Damages directly or indirectly.

The violation of these rules may result in the immediate disconnection by authorized agents.

1. INTRODUCTION

The Exhibiz Co.,Ltd. the event organiser, has appointed APT SHOWFREIGHT (THAILAND) LTD.

as The sole official on-site freight forwarder for Thailand Lighting Fair 2016.

The Organisers have ruled that no other freight forwarder will be allowed to work onsite or
within the exhibition hall other than the appointed official on-site freight forwarders. APT
Showfreight (Thailand) Ltd. will provide all lifting and handling equipment (such as pallet
trucks, forklifts and cranes) onsite for moving in of exhibits to stand and vice versa. Please
inform your requirements to APT Showfreight (Thailand) Ltd. prior the onsite period for their
preparation.

2. DEADLINES

A. DOCUMENT DEADLINES:

The shipping documents must be received by APT Showfreight not later than the deadlines
given below or at least 3 (three) days prior to the arrival of vessel and/or aircraft in Bangkok.

A pre-alert message via e-mail or fax, indicating consignment details such as the flight
numbers, Airway Bill numbers, number of packages, weights and dimensions, is required to
be provided to us upon uplift of the consignment.

Consignment arrives after the above deadlines will be subjected to 30% Late arrival

4. CUSTOMS DECLARATION

All declarations in your Commercial Invoice/ Packing List, must be in the English
Language. A full description of the item must be given.
To assist the approval of importation by Royal Thai Customs, please provide 2 (two)
copies of descriptive/illustrative brochures together with your Commercial Invoice/
Packing List.

5. CONTROLLED GOODS

Exhibitors are advised to contact us as soon as you have signed to participate for the
exhibition as there are many items required for import license, to be approved before
21 June 2016

Here are some items that require Import & Export license prior to their importation into
Thailand for exhibition purpose: Communication Equipment, Defense Equipment (such as
weapons, etc.), Electric Appliance (such as TV, lighting, etc.), Food & Beverage, Radio
Equipment, Medical Equipment, Medicine, Motorbikes, Toys, Used Cars, Weighting &
Measuring equipment, & all dangerous goods. All these goods must be re-exported at
the end of exhibition.

Exhibitors are to furnish to us the details of the items such as brand, serial number,
ingredients or materials made of for each item that you intend to import into Thailand at
least 45 days prior to the arrival of shipment.

LANGUAGE: Please use only “ENGLISH” language in ATA Carnet.

As per customs regulation on ATA Carnet shipment, shipment MUST be packed and
shipped separately from Permanent import items or different type of temporary import
items. Please issue Commercial Invoice for Permanent import items. Separate HAWB/ HBL
need to be issued for each shipment.

8. COURIER SHIPMENT

Exhibitor who intends to send their small value of exhibition materials such as giveaways
or brochures via courier services (DHL, FEDEX, UPS, etc.).

As Thailand is not a “Free Port” country, all shipment import via Courier is subject to
import duty/tax. In most of the case, the courier company will hold shipment at customs
till arrival of delegates which may too late for in-time delivery for the exhibition. We

9. INSURANCE COVERAGE

It is the responsibility of each exhibitor to arrange Marine (Transport) Insurance covering


all transport you may have in Thailand

Our liability will be limited as per our Standard Trading Conditions as our tariff is
computed on the basis of volume or weight and has no correlation with the value of
exhibits, it follows that the cost of insurance cover is not included in our charges. In the
event that you want us to cover insurance on your consignment, a written instruction
must be given to us.

1. The Organisers have appointed " Approved Stand Fitting Contractors " to give exhibitors choices. Exhibitors may acquire such a
stand construction and equipment installation from the list provided. Selected constructor must fill out this form and are
strongly advised to abide by the terms and conditions set by the organisers.
2. The contractors will have to bear any charges levied by the venue owner for damages caused to their property, flooring, or for
debris not cleared away. The contractors are requested to summit the damage deposit cheque to organisers (The Exhibiz
Co.,Ltd.) within 1 August 2016. Please find the deposit rate as below:
 1 - 50 sqm = 50,000 Baht
 50 sqm up = 80,000 Baht
3. Please provide a number of workmen, so that pass will be prepared accordingly. For security reason. All workers are advised to
wear their passes at all time during the construction period.
4. Exhibitors and their selected contractor are requested to submit their stand’s design and layout in 3 dimensional sketch,
