Service Contracts – Application Overview (Features)

1) Parties to a Contract: Customer, Contract Organization and contacts of both customer and
contract organization can be defined along with the roles of each contact (for example:
Contract Administrator, Salesperson and so on)
2) Install Base Integration: For Inclusion or Exclusion of Contract Coverage for Products and/or
Services, Service Contracts provides an expandable/collapsible set of data from Install Base.
Once a product is identified to be included in a service contract, then any changes to them in
the Install Base (such as transfer of ownership, replacement or upgrade) is reflected in the
Service Contracts, to ensure that the information contained in the contract is in line with
that in the Install Base. For Subscription Items, in the Item Master, two flags are enabled,
Tracked in Install Base and Subscription Contract Item Type in the Installed Base and Service
Contracts region respectively. A new item instance is created when an item with the
subscription category is saved on a contract.
3) Selling Usage: Service Contracts can contain definitions and selections of Usage Item –
Consumables such as paper for printing and cash for ATM machines that customers may
want to be replaced at regular intervals along with service coverage details (such as field
service and customer support etc.) Integration of Service Contracts with Install Base enables
users to get the usage information for products covered in a contract.
4) Billing Usage: Customers may choose to pay on any of the multiple options available, for
example, the actual quantities of product they use, a fixed quantity or value for each billing
period. Where the actual usage numbers are not available, a Default value defined based on
an average of the historical monthly usage numbers. Service Contracts also support Price
Breaks for varying the price applied depending on the volume used subject to a minimum
number (Say 1000 Units).

Service Contracts Setup (Implementation Sequence)

1) Service Contracts application must be registered with Oracle Quoting to enable contracts to
be created for services (Quoting Sales Manager: Setup -> Quick Codes.

2) Time Unit of measure needs to be mapped for Service Contracts because, UOM Conversion
in Service Contacts is done differently for Time UOM than the normal conversion of time in
other Oracle Applications, as Service Contacts time units must have the contract coverage in
seconds, minutes, days, weeks, months and years. (Service Contracts Manager -> Setup ->
Service Contracts -> Time Units -> Time Unit of Measure) After you save time definitions,
cannot delete or update them.
3) Status and Operations: You can control the operations (for example, whether a contract can
be updated online or not) by setting up statuses and operations. The category of the
contract at the time of defining the contract and the status determines the possible
operations. (Service Contract Manager -> Setup -> Service Contracts -> Statuses and
Operations)
4) Registering a Source as JTF Object: Service Contracts can be implemented to pick data from
legacy systems other than those seeded with the application by defining a view and
integrating the view into a JTF Object.
5) Defining a Process: A system routine procedure can be invoked by either: an outcome, a
function, a quality assurance checklist, auto numbering, a change request process or to
approve or renew can be defined by the user. (Service Contracts Manager Responsibility ->

6) Quality Assurance Checklists: The application validates a contract before the user can submit
it for approval. Each checklist consists of one or more processes. In addition to the seeded
QA Checklist, the user can define a new QA Checklist. Seeded QA Checklist is automatically
executed. User defined QA Checklist can be included for execution by using the profile
option OKC: Default QA Checklist (Service Contracts Manager -> Setup -> Service Contracts
-> QA Checklist)
7) Roles and Role Sources: Service Contacts allow the users to define Party Roles and Contract
Roles. Also the users can define the LOVs that appear as Role Sources (Service Contracts
Manager -> Setup -> Service Contracts -> Categories and Sources -> Party Roles; Role
Sources)
8) Setting up Categories: A Category is a type of contract (Example: Service Agreement,
Subscription Agreement, Warranty etc.) Contract categories are seeded in Oracle Service
Contracts. You must assign access to a category in order for a given responsibility to read or
modify contracts. (Service Contracts Manager -> Setup -> Service Contracts -> Categories and
Sources -> Categories
9) Define Coverage Types: You can define coverage types as required (Service Contracts
Manager Setup -> Service Offerings -> Coverage Types)
10) Defining Standard Coverage and Subscription Templates: Oracle Service Contracts enables
you to define a standard set of templates, to create offerings for a common set of
agreements used by your organization, and modify them to meet your customers'
requirements. You must set up standard coverage and subscription templates, before you
can define the service and subscription items to sell (Service Contracts Manager Setup ->
Service Offerings -> Standard Coverage/Subscription Template)
11) Creating Contract Items in Inventory: You must created Contract Items in Oracle Inventory
before you sell to your customers
12) Defining Contract Groups: You can set up contract groups, both Public and Private, to help
you organize contracts more effectively. Public groups are available to all users, while Private
groups are available to the user who creates them (Service Contracts Manager Contract
Groups -> Contract Groups)
13) Setting up Autonumbering: The following table shows examples of the First Number based
on the various combinations selected.

You can use the Autonumbering form to set up contract numbering. In the top section, you decide
how to number the contracts. There is only one header level record for the entire installation. In
case of a user-defined function, there will be no details required and the Sequence Details region is
grayed out.
Site
A sequence number can be by installation site. One row is active in the Sequence Details region. This
selection allows entry of Prefix, Suffix, Sequence Number From, Sequence Number To, Format
Length, and Allow Manual override in the Sequence Details region. Business Group, Operating Unit,
Class, and Category A sequence number can be generated for any of the preceding attributes. These
attributes are selected from an LOV. Please refer to the Truth table for possible combinations of
contract attributes for generating sequence numbers automatically.
User Function
A user defined function offers the flexibility to build in more logic for generating a sequence number.
For example, you can have the contract number reflect the date and sequence when the contract
becomes active, such as 03222001001.
Enforcing Number Generation
The Allow Manual check box indicates whether the contract number is a protected field or not.
When this check box is not selected, the number is generated automatically and this field is
protected. If you select this check box the contract number is automatically generated only when the
contract number field is left blank.
Prefix and Suffix
Free form fields help provide classification coding to a contract. You can use these fields to add a
separator or delimiter. These values are characters only.
Sequence Numbers
You may choose to specify a starting and ending number for the numeric part of the contract
number sequence. If the contract number exceeds the specified range, depending on the selection
of the Allow Manual check box, you are prompted to extend the range or enter a unique contract
number.
Format Length
You can specify a formatting length for the numeric part of the contract number sequence. The total
contract number length (concatenated suffix, number prefix) cannot

14) Defining Service Availability: Service availability are services that can be sold to certain parties or
to cover certain products. As well as defining those services that are available. Exceptions can be
listed to identify those services that are not available for parties or for products. The Generally
Available check box determines whether the entries in Product and Party tabs are inclusions or
exclusions. By selecting the Generally Available check box for a service, all products and parties
listed in the tabs are excluded from receiving the service. (Service Contracts Manager Setup ->
Service Offerings -> Service Availability
15) Defining Cotermination: You can set any or all of a customer's service lines to a end on a
predetermined day of the year. For example, some customers may require that any services
that are sold to them at any time during the year all end on December 31st, so that they can
review and negotiate their renewals at a single point each year (Service Contracts Manager
Setup -> Service Offerings - > Service Cotermination
