Dear Mr/Mrs/Ms,
We are pleased to inform you that you have been selected for the position of Administrative
Assistant based on the results of the interview conducted on ________________. Listed below are the
terms and conditions of the employment as agreed upon:
1. Position
Your appointment will be as Administrative Assistant. Your duties will be made known to you
by your immediate superior and you may be assigned other duties and portfolios at the
discretion of the Management of the Company.
2. Commencement Date
The appointment with the company will be effective from the date of joining which is the

3. Salary
Your basic salary shall be RM per month. Upon confirmation, your salary will be
increased to the amount that the Company may think fit based on your performance.
4. Probationary Period
You are required to initially undergo a probationary period of three (3) months after your
commencement date. This period may be extended for a period of up to and additional three (3)
months at the discretion of the Firm to ascertain your suitability in every respect. During or at
the end of the period of probation or any extension thereof, your employment may be
terminated at any time by either party giving to the other party 24 hours’ notice or salary in lieu
of notice without assigning any reason thereof.
5. Confirmation
Upon written confirmation, your employment may be terminated at any time by either party
giving to the other not less than thirty (30) days prior written notice or salary in lieu of notice.
The Company reserves the right to terminate your appointment with immediate effect for
serious misconduct, dishonesty, insubordination, gross neglect of duty, in competency, criminal
conviction, bankruptcy, dependency on drugs or any illicit drugs or any other default, without
notice, or other forms of compensation.

6. Statutory Deductions
Only after confirmation of your position, the Company shall deduct from your
salary/emoluments before payment to you all statutory deductions required by law. This
includes deductions for Employees Provident Fund (EPF), SOCSO and income tax under Pay as
You Earn Scheme.
The Firm has a policy of awarding salary increments and bonus at the end of each calendar year
and all salary increments and payment of bonus is strictly at the Company’s discretion and will
be based upon job performance and contribution to the Company for the year under review.
The Company reserves the right to change the working hours as and when required.
9. Exclusivity
While employed with the Company, you shall not engage in any activity which would conflict
with the business of the Company or in any way lessen your effectiveness in the performance of
your duties. You shall not participate in any outside business during office hours while in your
employment with the Company. If you are found doing so, we shall be entitled to terminate
your services forthwith.
During the period of probation, you are not entitled for any paid leaves. Once you have
successfully completed probation, your permanent employment will be confirmed formally in
writing via appointment letter issued by the Management of Company. You will then be entitled
for various other benefits as the employee of the Company which will be mentioned in detailed
in the Confirmation Letter.

12. Termination
(a) Forthwith without notice in the event of wilful neglect or refusal on your part to carry out
any lawful instruction of any members of the Company or being guilty of misconduct or
breach of this terms and conditions;
(b) In the event you are incapacitated by ill health or otherwise from performing your duties.
(c) If you are absent from work for one (1) consecutive day or more without notice or
attempting to inform employer, you should be deemed to have terminated 24 hours without
notice.
(d) In term of resignation under probation the notice should be one (1) week notice and if you
are confirmed it should be one (1) month notice to the Company.
13. Confidentiality
The Company requires utmost confidentiality at all times with regards to all information and
data pertaining to the activities, affairs and operations, constituents and clients or customers
under your care. During this period of your employment, you are required to observe strictest
secrecy pertaining to all matters which may come to your notice, the affairs, interest or
transactions of any client(s), customer(s) or person(s) connected with the Company and you are
not to divulge any such matters unless properly advised to do so.
14. Undertakings
You shall not give any undertakings or sign any correspondence on the part or on behalf of the
Company without the prior consent of the Managing Director of the Company.
All intellectual property rights in, or arising from work carried out by you in the course of your
employment by the Company shall be the exclusive property of the Company. You shall
promptly disclose to the Company all copyrights work originating from conceived, written or
made by you whether alone or with others in connection with your appointment, and shall until
such rights are fully and absolutely vested in the Company hold them in trust for the Company.
