Module Descriptor: This unit covers the skills, knowledge and attitudes to
identify role and responsibility as a member of a team.

Nominal Duration: 5 Hours

Learning Outcome:

Upon completion of this module, you must be able to:


1. Describe team role and scope.
2. Identify own role and responsibility within team.
3. Work as a team member

Assessment Criteria:
1. The role and objective of the team is identified from available sources of
information.
2. Team parameters, reporting relationships and responsibilities are
identified from team discussions and appropriate external sources.
3. Individual role and responsibilities within the team environment are
identified.
4. Roles and responsibility of other team members are identified and
recognized.
5. Reporting relationships within team and external to team are identified.
6. Effective and appropriate forms of communications used, and
interactions undertaken with team members who contribute to known
team activities and objectives.
7. Effective and appropriate contributions made to complement team
activities and objectives, based on individual skills and competencies and
workplace context.
8. Observed protocols in reporting using standard operating procedures.
9. Contribute to the development of teamwork plans based on an
understanding of team’s role and objectives and individual competencies

Learning Objective:
After reading the Information Sheet, the trainee must be able to:
Explain the role and responsibilities of each member in the team.
Follow and perform your duty as team member.
Appreciate the importance of the role of each member.

INTRODUCTION

Teams are usually selected or authorized by the Quality Council. A team


normally consists of Team leader, Facilitator, Recorder, Timekeeper and
Members. Each member has their own responsibilities. They play their role for
the welfare of the team. Some of the roles and responsibilities of team members
are briefly explained below.

Role and Responsibilities of Team Members

1. Role and Responsibilities of Team leader


A team leader is selected by the quality council, sponsor or the team
itself.
1. Team leader ensures smooth and effective operations of the team.
2. He ensures that all members participate during the meetings and he
prevents members from dominating the proceedings unnecessarily.
3. He serves as a mediator between the team and the Quality Council.
4. He implements the changes recommended by the team.
5. He prepares the agenda of all meetings and ensure necessary
resources
are available for the meeting.
6. Team leader ensures that team decisions are taken by consensus
rather
than unilaterally.
2. Role and Responsibilities of Facilitator
Facilitator is not a member of the team. Yet his role in the team is.
indispensable.
1. Facilitator supports the leader for facilitating the team during initial.
stages of the team.
2. He focuses on team process.
3. He acts as resource to the team
4. He provides feed back to the team concerning the effectiveness of the
team process.
3. Role and Responsibilities of Team Recorder
1. Team recorder is selected by the team leader or by the team and may
be
rotated on a periodic basis.
2. He documents the main ideas of the team’s discussion.
3. He presents the documents for the team to review during the meeting
and distribute them as ‘minutes of the meeting‘ afterwards.
4. He participates as a team member.
4. Role and Responsibilities of Timekeeper
1. Timekeeper is selected by the leader or by the team and may be
rotated
on a periodic basis.

5. Role and Responsibilities of Individual Member
1. Team member is selected by the leader, sponsor, or quality council (or)
is a member of a natural work team.
2. He should actively, participate in meetings and shares knowledge,
expertise, ideas and information.
3. He should respect others’ contribution.
4. He should listen carefully and ask questions.
5. He should be enthusiastic.
6. He should work for consensus on decisions.
7. He should be committed to team objectives.
8. He should carry out assignments between meetings such as collecting
data, observing processes, charting data and writing reports.

TASK SHEET No. 2-1.1
Role and Responsibilities of a team member

The trainees should understand the role and

Supplies and Materials: Type Writing and Pen
Equipment: None
Steps and Procedure: 1. First, give each team member an 8×11
piece of paper.
2. Second, ask each person to write their
name and job title at the top of the paper.
3. Thirdly, ask them to list the 3-5 KEY roles
they are responsible for. (They should not
list every task, but instead key roles.)  For
example, a key role would be “manage
logistics for company meetings,” not
“reserve the room, order the food, send out
the invites.”
4. Then, a tape of the papers forming a large
circle on a large whiteboard or butcher
paper.
5. Next, go around the circle and ask each
person to share their key roles. The team
can ask questions and/or make
suggestions to add/delete/or change the
key roles until everyone on the team agrees
about what is written on each person’s
paper.
6. Afterwards, each person should choose a
different color marker. If the team is large
and two people share the marker, one can

draw a line and another can draw dashes
to signify whose line belongs to whom. 
Create a legend listing each person’s name
and their color/line style.
7. Next, go around the circle a second time.
As the team review’s each role, anyone who
delivers or supports that person in their
key tasks should draw a line from their
paper to the paper of the role they support
using their unique color/style.  Be sure to
draw an arrow at the end of the line
pointing towards the paper to which
something is provided for that role.  In
small letters along the line, write what is
provided.  Repeat until all the roles have
been reviewed.
8. Then, stand back and look at the work and
flow of work.
Here are potential debrief questions to ask:
a. What have you learned about the roles on
this team that surprised you?
b. What, if any, red flags do you notice about
our roles and responsibilities?
c. Could something be streamlined or
simplified?
d. Is there anything missing?
e. What, if anything, could be reorganized or
redistributed to increase efficiency?
