Intro
Through the current challenges in the world we need to alter
the way we collaborate. The biggest shift is moving from being
in the same room/location together into working remote. This
new way of remote/digital collaboration asks for new styles,
tools and methods of any leader that facilitates a team.

In this document you can find the tools and tips we’ve found
over the last weeks that can help you support and manage
your team remotely.

Each team, leader or person needs different things, so it’s


important that you adjust everything to tailor it to the needs
of your team.

We use the tools and methods in our teams, but don’t forget
to get inspired by other ideas online!

Structuring Video calls can be exhausting, especially if they are unorganised


and don’t have a clear direction. Compared to in person meetings,
individuals have much lower attention spans, hence meetings
Video Calls should be efficient and well structured.

Solution

Sharing an IDOARRT with the team before or at the start of a


meeting, can help focus everyone around a meeting intention, a
realistic schedule and their role.

Over Communicate Often it can be hard for people to hear and understand everything
said during an online call. Also people are more reluctant to ask
questions and for the meeting leaders to be able to grasp people’s
level of understanding.

Solution

After important video calls, send everyone a short summary of


the meeting’s key points, as well as you expectations for the next
time you meet.

Be Expressive During all virtual communication, the nuances of in person


communication is often lost. This can lead to awkward interactions,
people not feeling heard and miscommunication.

Solution

Use large gestures like nods, claps and thumbs up during video
chats, remember your face will be very small on the screen.
You can also use the action of unmuting yourself as a sign of your
intent to speak.

Work Together One of the joys of brainstorming or ideating as a team, is the


energy and inspiration you get from seeing everyone working
together towards a united goal. This can easily go away when
working remotely.

Solution

Use a shared workspace, where you can see what other are up to

Rules of When working remotely, it is much harder to establish boundaries


or to make it easy for people to approach you with questions.

Remote working can become more efficient and satisfying when


you set expectations for the frequency, channels, and ideal timing
of communication with your team.

use IM when something is urgent.”
“I tend to be more available late in the day for video calls, but if

Outcomes When individuals start working from home, they often find it harder
to focus, they may have higher and lower peaks of productivity.
Equally mangers will find it harder to keep track on what individuals
over activities are up to.

Solution

Instead of worrying about your employees’ activities during the


day, focus on assigning clear outcomes and don’t worry about how
employees get to that outcome.

missing the informal social interaction of an office setting. This is
especially true given the lockdowns in effect in many countries and

Pre Meetings In person meetings often start with a little catch up, as people get
organised. These help everyone to get relaxed into the meeting,
and get into the right mindset.

Solution

It is best always to plan in at least 10mins at the beginning of


meeting for casual chit chat. This will also allow everyone to set up
and connect, without pressure.

1 on 1, People new to remote working may struggle to keep routine and to


feel connected to the team, especially in this time of self isolation.

It is best to check in with individuals at least once a day, especially


if you don’t meet them for meetings during the day. A simple
Slack/IM/Email saying “how you doing?” It is all it takes to help
people connected and not forgotten.

Conclusion
Hopefully these tools and methods will help you not only
manage your team and get good results but also to keep a
sense of connection with your team in this weird time.

If these seem too much to introduce to your workplace all at


once, we recommend you starting with the following as a
priority:

1. Check in with individuals daily to make sure they feel


connected and not forgotten

2. Clearly define deliverables so that all team members


know what is expected of them

3. Lead by example in everything you do, whether it be


muting your mic on video calls, structuring your day or
even just staying positive.
