ABSTRACT

This report contents a compilation of all my internship experiences at the 360


Urbanizing Cambodia company, which is a construction company. While working on
my internship I have gained various experiences, and also experiences in living with
new people and communicating effectively in the workplace. In this report, I have
included all details of environment at the workplace, first experience of my internship,
and, my effective communication in the workplace. This internship occurred from 1st
April to 1st July, to fulfill 180 hours for degree requirements. The purpose of this
internship is to assign students to be better understand and explore the outside world,
as well as obtain a better understanding of the company's processes, as well as how to
communicate effectively within the company. Especially a place that can provide new
experiences and good lessons for future use. For example, you are able to learn about
your strengths and weaknesses, and also have the opportunity to build relationships in
the outside world, communicating in the workplace such as with senior workers,
employees, employers, or a manager in the company. And remember, this internship
can also be an opportunity to use the abilities and skills, that have been learned from
the university. It can be a place for all interns to get to know society and the outside
world better.

PART I: INTRODUCTION
1.1 Background Information
In the workplace, employees need to build relationships with each other. Therefore,
we need to communicate to build our relationships for sharing experiences and
connecting with others in the workplace. Good communication in the workplace
ensures that all employees have access to accurate information, which will make it
easier for them to carry out their work and create a good atmosphere and eliminate
discrimination in the workplace. Effective communication is very important, it helps
employees to improve their communication with their colleagues.

Effective communication is very important in the workplace, especially interns with


senior employees in the workplace. Nowadays social context, we need communication.
Due to the amount of communication that takes place in society today, it has become a
greater part of our daily lives. Therefore, internships are an important part for every
student to focus on their goal in the future and understand how important our social
relationships are. On the other hand, an internship is also an important lesson that has
never been taught in university. Providing new lessons with new experiences as well
as information not available at the university.

Effective communication in the workplace is not just normal communication with


each other. First, we should understand the meaning of communication. Effective
communication is the process of exchanging information, ideas, knowledge and data
with one another clearly. Effective communication is not just about voice
communication, but there are up to four different types. They are verbal, nonverbal,
written and visual.

Therefore, this report will highlight effective communication in the workplace


between interns and senior employees. The reason why I chose this topic is because
some students are afraid to do internships. They lack the confidence to communicate
in the workplace because they don’t often communicate with other people. This report
will show effective communication in the workplace.

1.2 Objectives
This report will provide information about the topic “Effective communication
between intern and senior employees”. It will help students to have the techniques
and courage to communicate with senior employees in the workplace where we are
newcomers. In addition, I plan to demonstrate how to communicate effectively with
all levels of people in the workplace, as well as the use of effective communication
and communication experience. The objectives of my research are:

1) To identify communication clearly between intern and former employees.


2) To identify the benefits of having communication skills at the workplace.
3) To make new interns have more confidence in the workplace.

1.3 Significance
Internships are an important job after graduation because everyone needs to go through
internships in order to continue working in the future. We can find new experiences and
knowledge when we begin an internship. Therefore, internships help you to have a
practical experience of what you have learned and how to do a particular job. In
addition, you will be able to discover new things, get to know yourself better with the
environment of workplace, and can communicate with new people. Finally, this is a
time for all students to show ability in practice, as well as apply the knowledge of those
who have studied at the university in the workplace and also meet with many people.

1.4 Scope and limitation


I will take all my experience and lots of new knowledge in the workplace and describe
all of it in this report. In this internship, I will quote important topics that I have
encountered at the workplace, especially about effective communication with
colleagues. In addition, this is a special opportunity for me to study and draw on new
experiences, especially how to do a particular job. This is also an important time for
me. I can use this opportunity to encourage me to learn more about teamwork and
interpersonal relationships in the workplace.

PART II: LITERATURE REVIEW


Communication is a way for a group of people to build a relationship and share
information, verbally or otherwise. We should use our communication well depending
on the place, time or people we want to communicate with. Especially in the
workplace, we should have a relationship based on people and the status of people in
the workplace. Therefore, we have to understand the types of communication flow
within an organization. There are five main types: downward, upward, diagonal, and
external.

2.1 Definition of communication


Transferring thoughts and ideas from one person to another is communication. The
initial impression of this definition is positive. David Berlo (1960) once noted,
“Communication does not consist of the transmission of meaning. Meanings are not
transferable. Only messages are transmittable, and meanings are not in the message,
they are in the message-user.” (p. 175). It recognizes that speaking with people
involves sharing our thoughts and ideas, and that communication is a process that is
ongoing. As a result, communication is the act of individuals exchanging thoughts,
concepts, and emotions in a manner that is generally acceptable.

2.2 Types of communication flow in organization


Communication is imperative for nowadays to receive information and
transferring ideas. But communication also has the direction too. The direction of
communication refers to the classification of communication types to people of
different statuses and categories. Communication in the workplace needs all these
flows: downward, upward, diagonal, and external.

2.2.1 Downward Communication


Downward communication, is a type of communication that is for those who are
leaders and managers in the workplace to communicate with lower-level employees to
report problems or other information. This kind of communication in the workplace is
very important, especially for the company, as employees will be able to easily
understand the goals of the desired superiors, and especially for
facilitating some work to employees in the company. But for some
workplaces it seems ineffective because some leaders or managers
don’t directly contact to their subordinates. Instead, the supervisor will
speak to their supervisor and that manger will speak to the
subordinates. As a result, it may not be a very effective way to
communicate with employees. The reason for this is because some of
the information or words maybe lost from its original meaning. The
operators had never been told that the information not only reported the
company’s cash flow position but was used the next morning as the
basis for short-term investments. Not having that information . . . had
resulted in the company’s losing millions of dollars of investment
potential over the years. (Bradford & Cohen, 1984, p. 122) In general,
downward communication is the provision of information from high-ranking
individuals in the workplace to inform low-level employees in the workplace through
development in the workplace, including other suggestions for staff and correct
various problems of employees in the workplace.

2.2.2 Upward Communication


Upward communication is the opposite of downward communication. Upward
communication is providing information from a lower-level employee to a higher-
level employee or high-rank person in the workplace. (Planty & Machaver, 1977, p.
167): reports of employee work, achievements, and progress; outlines of
work problems that need to be solved; suggestions for improvements
within the department or company; and how employees think and feel
about their jobs, associates, and company. An upward communication
takes place when employees report to the supervisor or to the manager.
Typical upward communication includes: proposals to do something,
comments or report something about the workplace, reply with the
downward communication, … And establishment of upward
communication makes the company grow even more because the
company will be able to see any shortcomings or gaps in the system in the
company. In addition, reflected in today's society, most companies
encourage their employees to always raise an opinion or volunteer to
express themselves in order to improve the work. Furthermore, some companies may
even go so far as to set up a meeting for employees to express their opinions in a
constructive manner.

2.2.3 Diagonal Communication


Diagonal communication is a type of communication that is often used to
communicate from one person to another person in another department. This kind of
communication is also used with vertical communication. The vertical communication
are downward communication and upward communication. This
kind of communication is used regardless of your status or role in
the organization, it is important for the workers in the company
to receive accurate and timely information in order to complete
their tasks. This kind of communication is very important
for each company because it helps to speed up their work
without having to go through administrative contact. It also makes the organization
have good communication skills between employees’ from various ranks not under

the same chain of command. An obvious example in my internship, for my


internship, they like to use diagonal communication, they can exchange different
experiences and also have a good relationship even though we have different
departments. This kind of communication always makes their work faster and
smoother and less flawed because we communicate with the person we want to tell or
provide information. As my practical example, when I was an intern there for two
months, I got to know a lot of people in my internship company, even in different
departments, and we always provide information and send information as soon as
there was a problem.

2.2.4 External Communication


External communication refers to communicating with people or other
organizations outside of you or your organization that are working, and such
communication promotes the progress of the organization. External communication
can also include contact with co-clients,
customers, suppliers, partners, investors, or
relevant government officials. External
communication is to exchange information or
provide other information to customers and
find partners. This includes informing results
the company has created to an outside source.
In addition, external communication also includes information, pricing and promotion
of new products or services to customers, as well as administrative communication to
the state. Employees in an organization that often use external communications
include people in sales, promotions, or other administrative functions in company.

2.3. Effective Communication


According to Coursera (2023), Effective communication is the process of exchanging
ideas, thoughts, opinions, knowledge, and data so that the message is received and
understood with clarity and purpose. When we communicate effectively, both the
sender and receiver feel satisfied. In organizations undergoing change to meet new
social, economic, and technical demands, effective communication is possible.
Additionally, it helps you become a better problem-solver, team player, and decision-

maker. Without communication, no organization could function. According to


Coursera (2023), In the workplace, effective communication can help you:
• Manage employees and build teams
• Grow your organization more rapidly and retain employees
• Benefit from enhanced creativity and innovation
• Build strong relationships and attract more opportunities for you or your organization.
According to Allaya Cooks-Campbell (2022), Communication in the workplace is
important because it boosts employee morale, engagement, productivity, and
satisfaction. Communication is also key for better team collaboration and
cooperation. Ultimately, effective workplace communication helps drive better
results for individuals, teams, and organizations. To take it a step further,
especially as an intern, we should build good relationships that are deeply
beneficial to those who work in your organization. And all of this ca n make a
significant contribution to your personal development with the company you are
working for and you will learn new things about good relationships in the
workplace. Establishing good relationships in the workplace by sharing
information with others in the workplace, can be a great way to communicate at
work. But on the contrary, it can also bring a lot of negative effects from the
communication too. Whenever you talk about a topic that people don’t like,
understand or the speech is too long, it also can make people bored with you.
When you are in a contact in the workplace, you may meet people who talk
about topics that are boring and also talk a lot, you may have many solutions.
For this case the following information may help you. According to Albert C.
Chandler &J. D. Wallace, Humor is an important option for employees responding to
frustrating circumstances because humorous responses can be less confrontational
than alternative ways of expressing dissatisfaction. The present study examined how
student interns enacted humor as a response to workplace dissatisfaction. Results
indicated a continuum of humorous messages and a variety of goals motivating those
messages. These findings demonstrate the nuances in humor as a way of
communicating dissatisfaction while also underscoring the need to further understand
how goals and outcomes are related as employee’s dissent. At a deeper level, these
results speak to issues of power and identity as low-positioned, contingent employees
used humor to recast their identities apart from their status and to negotiate the
boundaries of acceptable communication.

2.4 Communication Barriers


Communication barriers include anything that during the process filters, inhibits, or
distorts the message or the information. The barriers of communication can be divided
into two categories: environmental and personal (Darr, Longest & Rakich, 2000;
Pauley, 2010). Both barriers can block, filter, or distort the message as it is encoded and
sent, as well as when it is decoded and received (Hussain, 2013). Among some barriers
to communication are; (a) different accent and (b) lack of clarity. Firstly,
communication may sometimes fail even when two people speak the same language.
However, these two speakers may use different accents (Evans & Suklun, 2017). Next,
sometimes people in an organization may experience communication problems because
the message sent is not clear to both sender and receive. Failure of communication can
often be caused by lack of clarity (AduOppong & Agyin-Birikorang, 2014). In general,
there can be many obstacles that cause your communication to be strained, but the
important point is that all those obstacles can occur because the environmental and
personal. According to Jelani and Nordin (2019), one of the causes to environmental
barrier is the acoustic sound or also known as background sound. The examples of
background sound are the sound of an air conditioning and also any unexpected
sound. The findings of the study indicated that 4.9% of the respondents answered that
the sound of an air conditioning disturbed the communication process. While another
2.4% of the respondents agreed that unexpected sounds could be quite bothersome
and that they always faced the problem at the workplace. Personal barriers are the
attitudes one has toward communication on the inside. It can depend on the culture,
the customs, and the place where they come from, it can also be the reason why their
communication is not harmonious. In case the study of Aneesh (2012) in his research
also stated that due to the many travels made by the foreigners in search for job
opportunities, intercultural workplaces and social diversities have also increased.
Therefore, the different understanding at workplace especially in communication
aspect can be varying.
2.5 Confidence in the Workplace
Self-confidence is being confident in yourself, decisions, abilities and skills, and
reality is what you have. It is an attitude that is passed on, showing your abilities and
your weaknesses and strengths in all circumstances. For interns, there is less

confidence in the workplace because we have less experience and knowledge among
all workers in the workplace. But building self-confidence in the workplace can help
us have the courage to gain new experiences and work in the workplace. According to
Jamie Birt (2022), if you have ever felt less than confident in the workplace, you are
not alone. Developing confidence is a process that takes ongoing reflection and
practice. By taking the necessary steps to improve your self-confidence, you will also
feel more comfortable with facilitating meetings, networking, interviewing and even
doing well in your job. However, confidence in the workplace is very important for an
intern as they gain new relationships without affection, others will gain new
experiences, knowledge from the workplace and can assess your weaknesses and take
calculated risks. For the example of self-confidence in the workplace (Indeel Editorial
Team, 2023):
-Always do the right thing, despite what others might think of you.
-Having the confidence to leave behind what makes you comfortable to try new
challenges.
-Identifying your own weaknesses and implementing ways to overcome them.
-Accepting praise for completed projects.
-Accepting both your strengths and weaknesses as being a part of who you are as an
individual.
-Having the confidence to present your ideas and thoughts in a meeting.

PART 3: DESCRIPTION OF INTERNSHIP


3.1 Company Profile
3.1.1 Introduction
360 urbanizing Cambodia is a construction company. And this construction
company has played an active role in the past 10 years, partnering with various
project owners, including municipal government projects, such as urban development
in Battambang, Kampong Thom. 360 urbanizing Cambodia also strengthens and
implements the processes and requirements for urban planning and construction in
Cambodia. And this construction company has also developed into the architecture
and civil construction in Cambodia to grow.

360 urbanizing Cambodia is a private construction company that has served in the
field of construction and urban planning in the city, any provincial towns. In the
project of organizing the city and some other state buildings, this construction
company also has a big contribution. As for the principles in urban design and
construction, the company has set a design that has Khmer standards and cares for a
sustainable environment first. And this is a contribution of the company to maintain
the Khmer style of architecture in the next generation, as well as help preserve the
environment in Cambodia. On the other hand, the company also has training
employees in architecture as well as new and next generation engineers to better
understand construction and architecture. What the company has goals and objectives
for the future is that the company wants to see the architecture and construction sector
in Cambodia grow, and also to have the next generation of architects and engineers
with knowledge of the value of Khmer architecture.

360 urbanizing Cambodia is playing an important role in helping to develop the city
and design the buildings to be beautiful and stylish and environmentally friendly, the
company aims to help support the next generation too.

360 urbanizing Cambodia aims to strengthen and preserve the heritage of ancient
Khmer architecture and expand the field of architecture and civil construction in the
country to grow as well as countries in the West.

3.1.2 Vision
A promising future to make Cambodia develop in the field of architecture and
construction to grow, such as the construction of buildings with beautiful design,
luxury and urban planning for people to live easier and create more services in the
area.
3.1.3 Mission
360 urbanizing Cambodia adhere to the principle “360 design”. Due to the company's
mission, the design of the building is as follows:
-Design and consideration of the surrounding environment.
-Environmentally friendly design.
-Creating or designing something that benefits the user first.

I applied for an internship at 360 urbanizing Cambodia because I saw that the
company's vision was an environmentally friendly design, they will also train the next
generation of consumers to thrive. I have applied to architect intern. And I got new
experiences and practice in the company.
The following is a list of my responsibilities each day:
-Detail drawing plan
-Create 3D
-Propose concept design
-Make visualization rendering
- Check list everyday
Since I got my internship at this company, I have studied and gained first-hand
experience of construction companies that school didn’t teach it.
3.3 Work Environment
On the first day of my internship at 360 urbanizing Cambodia, I was greeted by staff in
the workplace, such as seniors, who greeted me warmly, and they helped teach me
something new and correct any mistakes that I did. They always provided advice
experience, including teaching new things to all interns, including me. Everyone is
hard- working, friendly and kind hearted.

3.4 Challenges
In the time of internship at 360 urbanizing Cambodia, A few challenges I overcame
include:
- It is difficult to communicate directly with the administration because they have a lot
of work to do and I am just an intern. For example, I want to ask for something from
the administration, the administration needs a letter that is signed from HR or the boss.
And when I am just a new intern, I didn’t know the correct procedure
- Some proposed concept designs have been refused, even though they were beautiful.
Because construction can cost so much that make the customer refuse the design.
Customers need a building that looks good and also cost efficient. However, it is not
like in the school, that needs a design to be beautiful regardless of budget.
- Another problem is the flow of communicate in the work place. When I first did my
internship, I did not understand the flow of communication in the workplace,
employees at the building site were in contact with each project owner, I did not know
where to communicate with people at that time.
- It is difficult to adapt with a new environment (people, workplace and time).

PART 4: REFLECTION OF INTERNSHIP

4.1. Results and Discussion


Reflections on internships and situations based on what I have learned and gained
experience that is as important as my internship, and whether it is incomplete, but I lot
learning and gaining experience. When I started to intern on the first day, I felt strange
because I had never interned in the past. However, my coworkers made me feel
welcome, and I received advice from senior employees. And in terms of reflecting on
what I learned in school and going on an internship, there is a slight difference.
4.1.1 Reflection on internship and Lessons learned at work
After my internship, I studied and gained experience in communication, I developed
my communication better, and what is the difference between direct communication in
the workplace and the theory in the book is By communicating in the workplace, it is
easier and more flexible than the theory in the book, such as when we communicate
with the person in the position above, we may use communication directly to him, but
in Our books may have to go through a lot of people to be able to give all that

information to the person in the position above. And another thing I learned was the
courage to communicate or the courage to be yourself in the workplace. Self-confidence
in the workplace is really important for people who lack self-confidence like me, since
when I first did my internship I had a lack of self-confidence in the workplace, but day
by day I developed the courage to speak and communicate with people in the
workplace. All of these are lessons from the important experiences I learned during my
internship.

4.2 Discussion
The purpose of the internship is to provide graduates with first-hand experience and
knowledge in the workplace in a direct social context. In addition, the internship
introduced us to the structure of private companies or public agencies. Internships are
open to graduates of all disciplines in each company so that they can develop a vision
for practice in this field. So as an intern, I chose “Effective communication between
intern and Senior employee.” as my topic to do a report.

PART 5: CONCLUSION AND RECOMMENDATION

5.1 Conclusion
A necessity in the workplace is to communicate with people in the workplace. And
this necessity has led to many studies on landscape communication in the workplace,
especially with senior employees. Most interns have lack of effective communication
with employees in the workplace due to their newcomers. And in this topic there are
many important point, such as communication flow, communication Barriers, and
another important idea is the courage to communicate in the workplace. And this
topic is often discussed in articles, online resources, and books and also have
case studies about that topic too. In conclusion, studies have shown that there are
many types of communication in the workplace, and in order for communication
to be productive, we should understand that you understand the process of
communication at all levels in the workplace. And courage and self-confidence
are essential for every intern to have the courage to communicate effectively.

5.2 Recommendation
After having finished my internship for three months, I gained new experiences and
knowledge, including some of the challenges that I met. While experiencing this
internship, I gained valuable knowledge and experience while working there. After
having finished my internship for three months, I gained new experiences and

always provide all the information to each other by setting up online meetings. So
here are some simple problems and solutions we can do in the company when we lack
information for each other. Work can go smoothly because we can get a lot of
