Introduction

This Company Vehicle Policy outlines the rules and guidelines for the use of company-owned or
leased vehicles used by employees of Petrzone International for business and official purpose in
Saudi Arabia. The objective of this policy is to ensure the safe and responsible use of company
vehicles and to protect both company assets and the safety of employees.

2. Eligibility

Only employees authorized by the company are eligible to use company vehicles. Eligibility criteria
may include job position, driving history, and other relevant factors.

3. Vehicle Use

3.1. Authorized Use: Company vehicles should be used solely for business purposes, including
commuting to and from work-related activities. Personal use is generally not permitted unless
expressly authorized by the company.

3.2. Prohibited Use: The following uses of company vehicles are strictly prohibited:

Engaging in illegal activities.


Using the vehicle for personal financial gain.
Transporting unauthorized passengers.
Smoking or consuming alcoholic beverages inside the vehicle.
Using a company vehicle for personal errands or side jobs.

4. Vehicle Maintenance and Inspection

4.1. Maintenance Responsibility: Employees using company vehicles are responsible for ensuring
that the vehicle is properly maintained and safe to operate. Any maintenance issues or necessary
repairs should be reported promptly to the appropriate department.

4.2. Regular Inspections: Periodic inspections may be required as per company policy or regulatory
requirements.

5. Reporting Accidents and Incidents

Employees must report any accidents or incidents involving company vehicles immediately to their
supervisor and the appropriate authorities as required by law. This includes accidents that occur
during both business and personal use of the vehicle.

6. Seat Belt and Safety

Employees are required to wear seat belts at all times when operating company vehicles, and all
passengers must do the same.

7. Vehicle Care and Cleanliness

Employees are expected to keep the company vehicle clean and free from clutter. Smoking and
consuming food or beverages inside the vehicle should be done with care to avoid damage or odors.
8. Authorized Drivers

Only employees authorized by the company and with a valid driver's license are allowed to operate
company vehicles.

9. Fuel and Expenses

9.1. Employees may be provided with fuel cards or reimbursement for authorized business-related
fuel expenses.

9.2. Any expenses incurred while using a company vehicle, such as tolls, parking fees, or fines, must
be reported and reimbursed following company policy.

10. Termination or Change of Employment

Upon termination or change of employment status, employees must return all company-owned
assets, including company vehicles, immediately.

11. Compliance with Local Laws

Employees must adhere to all traffic laws and regulations in Saudi Arabia while operating company
vehicles.

12. Policy Violations

Violations of this policy may result in disciplinary action, including but not limited to warnings,
suspension of driving privileges, or termination of employment, depending on the severity of the
violation.

13. Policy Acknowledgment

All employees using company vehicles are required to sign an acknowledgment form indicating their
understanding and acceptance of this policy.
