1. Introduction
Contractor reporting is a key activity which documents the status of the Project / Program on a periodic basis.

2. Purpose and Scope


This procedure establishes the template to be followed by the Contractor for daily, weekly and monthly
reports.
In addition to both the weekly and monthly reports, other reports may be separately defined within the
Contract Terms and Conditions and Scope or Works / Services.

3. Progress Cut-off and Report Frequency


3.1. Weekly Report
The week with respect to Progress Reporting will be from Saturday to Friday, as such the cut-off for each week
will be Friday.
For OOK offices, the weekly report will be due to the employer by COB on the Monday following the cut-off.
For IK Offices, the weekly report will be due to the employer by COB on the Sunday following the cut-off.

3.2. Monthly Report


The Employer will issue a Project Calendar to the Contractor within 30 days of Project Award.
This Project Calendar will show the monthly report progress cut-off’s which shall occur on a Friday to align
with a weekly progress cut-off.
The Monthly Report will be due to the employer by COB on the 5th working day following the monthly report
progress cut-off for both OOK and IK offices.

3.3. Daily Reports


Daily Reports shall be submitted by the Contractor to the Employer no later than 8am on the next working
day.

4. Format and Content


For the purposes of both weekly and monthly reporting, all references to Plan herein are to the Approved
Contractor Baseline Schedule, and to Forecast – any Contractor Reforecast schedule whether it be due to an
Extension of Time related matter or other matter.

4.1. Weekly Report


The weekly report will be structured in the following format
a) Executive Summary
 Progress Summary - Plan vs Actual for Engineering / Procurement / Construction / Commissioning
 Actual Manhour Summary – Plan vs Actual for OOK Engineering / OOK Project Management / IK
Direct / IK Indirect
 Brief description of significant achievements during the period
 Brief description of any critical activities in progress
 Brief description of any Critical actions which need either Contractor Executive Management or
Employer Action.
 Issues and Concerns
b) EHS
 Brief summary of activities accomplished during the period and to be accomplished the following
period.

 Summary of Manhours worked by Office / Contractor
 EHS Safety statistics including:
- Loss Time Incident
- Restricted Work Case
- Medical Treatment

4.2. Monthly Report


The monthly report will be structured in the following format. It will contain more detail than the weekly
reports and provide in depth schedule analysis.

4.3. Daily Report


The daily report will as a minimum contain all fields and address all items as shown on the example daily
report shown in Appendix B – Daily Report Example.
Productivity factors for both Programme Engineering and Construction will be reported at a discipline level, ie.
Civil, Structural, Architectural etc.
