Frequently Asked Questions - Flexi Holidays - India

This document aims to clarify queries related to the Flexi Holidays applicable to India employees
working in India.

Please address your feedback, or any queries that remain unanswered by this document, to your local
HR or connect with the HR Helpline by raising a ticket through the Global Helpdesk.

Target audience: TCS India employees

1. What is a Flexi Holiday?

A Flexi Holiday is a paid holiday that may be used to observe religious, festive, or civic occasions,
on a day chosen by you, from the list of Flexi Holiday options. In addition to the 8 predefined holidays
for each TCS Location, you may choose 2 Flexi Holidays as per your preference.

2. Is there something I need to do about Flexi Holidays?

Yes, here are the steps to be followed:

i. Read the TCS India Policy – Holidays which contains full details & the procedure for availing
Flexi Holidays. It is available on Ultimatix> Employee Services> Policies> HR Policy
Hub> Time Off> Leave> Flexi Holidays> TCS India Policy- Holidays.

ii. Check out the upcoming Flexi Holidays on the following path: Ultimatix> Employee
Services> Policies> HR Policy Hub> Time Off> Holiday List> India Holiday List.

iii. Select a Flexi Holiday on Ultimatix  Employee Self Service  Global GESS  Apply
Leave

3. How do I select a Flexi Holiday?

You may select a Holiday through Ultimatix as follows:

i. Login to Ultimatix > Employee Self Services > Global ESS > Leave > Apply Leave

ii. Select Leave type as Flexi Holidays

iii. Select the Flexi Holiday from the drop-down list of Flexi Holidays

iv. Complete the other details in the leave application form and click Submit.

Your supervisor will be informed through an automated email about your selection of holiday.

4. What if I do not select my Flexi Holidays?

Your Flexi Holidays remain unused till you select them in GESS. All Flexi Holidays should be availed
by 31 Dec of the calendar year.

5. What happens to my unused Flexi Holiday? Can unused Flexi Holiday be accumulated or
carried forward?

Flexi Holidays must be availed within the same calendar year and any unused Flexi Holidays will
lapse at the end of the year. An unused Flexi Holiday can neither be accumulated, nor carried
forward to the next calendar year. Hence you should ensure that you have selected your preference
well in time.

6. I am actually located at Chennai. However, my location in the system shows as Kolkata due
to the Project WON location. Which Location Holiday list will be applicable to me?

In the system, the 8 Fixed Holidays are pre-defined for associates as per their Project location, and
associates have the choice to avail the 2 Flexi Holidays from the Flexi Holiday list published for the
calendar year which is common across locations. If your project location is Kolkata, even if you are
physically present in Chennai, the fixed holidays that you will see in GESS, will be the regional fixed
holidays defined for employees in Kolkata (which is the tagged project/depute location). Hence, you
may not be able to select a particular Flexi Holiday that is already defined as a regional (fixed)
holiday for Kolkata, but is not a regional (fixed) holiday in Chennai. If your actual location is different
from the S/WON location, you should speak to your supervisor about creating a child S/WON based
on the actual location of the project.

7. Do I need prior approval for Flexi Holidays? Can I take leave without informing my supervisor
and apply it as Flexi Holiday?

One cannot take leave without informing their supervisor and apply it as a Flexi Holiday. For
sufficient project planning, it is recommended that you select your Flexi Holiday at least a quarter
in advance. Prior approval from the supervisor is not required, however, on selection of a Flexi
Holiday, an FYI is sent to the supervisor.

8. What is the minimum notice that I have to give for availing a Flexi Holiday?

Employees should select their holiday at least a quarter in advance. GESS will allow you to select
a Flexi Holiday minimum 7 days before the date of the holiday.

9. Can I select a Flexi Holiday in GESS after the date of the holiday?

No, a Flexi Holiday cannot be selected in GESS  Leave after the date of the holiday.

10. I am planning to avail a Flexi Holiday for an occasion after 3-4 months. Is it possible to select
the Flexi Holiday in the system now?

Yes, you may select your Flexi Holidays well in advance. It is recommended that associates select
their Flexi Holidays at least a quarter in advance. There is no restriction on how much in advance
it can be selected within the same calendar year. However it has to be selected not less than 7
days before the date of the holiday.

11. Why can’t I avail of a Flexi Holiday on any day of the year? Why do I have to select a Flexi
Holiday only from a predefined list of options?

The purpose of Flexi Holidays is to provide you with the flexibility to choose the festivals or religious
/ regional observances that you wish to celebrate. Instead of having 10 holidays predefined, TCS
predefines only 8 holidays, and gives you the flexibility to choose 2 from a list of options.

For any other days off that you may wish to avail, on any other day of the year, or for any other
purpose, you may always make use of the earned leave and casual leave available to you in a year.

12. Where can I see the list of Flexi Holidays for my location?

The TCS Holiday list including the predefined holidays and Flexi Holidays is available on Ultimatix>
Employee Services> Policies> HR Policy Hub> Time Off> Holiday List> India Holiday List

13. I am deputed to an offshore client site. Are Flexi Holidays applicable to me?
Employees deputed at offshore client sites are to follow client's holiday schedule, as applicable to
the project.

14. How can I cancel my Flexi Holiday application?

You may cancel your Flexi Holiday selection in GESS until the date of the holiday, i.e. the previous
day by 11:59 PM IST. A Flexi Holiday cannot be cancelled on or after the date of the holiday.

15. I am a new joinee. Can I avail Flexi Holidays?


If you have joined on or before 30 June of the calendar year you can avail Flexi Holidays.

If you have joined on or after 01 July of the calendar year you will be able to avail the remaining
TCS pre-defined holidays till 31 December of the year and you will be able to avail Flexi Holidays
from the next calendar year onwards.

16. In my team of 10 people, what if 5 associates want to take a Flexi Holiday on the same day?

All 5 associates should be able to avail the same Flexi Holiday. Just be sure to make the selection
as much in advance as possible in order to give the manager adequate time for planning / managing
project activities.

17. What is the definition of the Holiday / Calendar year?

The Holiday year is a Calendar year, which is, 1 Jan to 31 December of a year. For the purpose of
holidays, the year is not a financial year.

18. How many Flexi Holidays can I avail in a year?


One may avail 2 Flexi Holidays in a calendar year i.e. 1 Jan to 31 Dec.

19. Do I need to apply for leave to take a Flexi Holiday?

You do not need to apply for a leave, but have to select a Flexi Holiday in the Global ESS leave
module in Ultimatix.

20. Why is it that in some years, certain occasions/festivals like May Day, Christmas or Rakhi
do not appear in the list of Holidays or Flexi Holiday options??

Holidays that fall on weekends may not be included in the holiday lists.

21. May I choose any holiday from the list of holidays, irrespective of which religion/region I
belong to?

Yes, you may choose any holiday from the Flexi Holiday options for your location irrespective of
your religion/region/home town/location etc.

22. Do I need to fill in timesheets on a Flexi Holiday?

Flexi Holidays, once selected by you in GESS, will automatically reflect in IPMS. You are not
required to fill in timesheets on the holiday.

23. Can I select a Flexi Holiday for a half day only?

Flexi Holidays may be applied for one full day only.

24. Can Flexi Holidays be availed while I am serving the notice period?

Yes, you may avail of Flexi Holiday during notice period.

25. I am on a long term international assignment outside of India. Is this applicable to me?

If you travel overseas on an international assignment, holidays defined in India including Flexi
Holidays will not be applicable.

26. What happens to the Flexi Holiday selected, if I travel overseas on a Long Term International
Assignment?

If you have already selected your Flexi Holidays but are scheduled to travel on an international
assignment prior to availing it, you should cancel the selection and select another holiday that
occurs before the date of travel. If no other Flexi Holiday options are available from the predefined
list, before the date of travel, you will not be able to avail the Flexi Holiday.

27. I have just returned from a long term assignment, can I avail of Flexi Holidays?

On return from a long term international assignment, once your offshore reporting form is fully
approved, you will be able to select Flexi Holidays.

28. I have just joined back from Leave Without Pay, can I avail of Flexi Holidays?

After you have joined back from LWP, once your LERF (Leave End Reporting Form) is fully
approved, you will be able to select Flexi Holidays.

29. Do I get paid my salary for the days I avail a Flexi Holiday?

Flexi Holidays are paid holiday from work; hence you will get paid your salary for Flexi Holidays.

30. What happens to my Flexi Holiday if I am transferred to another branch within India?

In case, you are moving to a branch where the Flexi Holiday that you have opted for is already a
TCS defined holiday; you must cancel the selected Flexi Holiday and select an alternate Flexi
Holiday. Cancellations must be completed prior to the date of the selected holiday.

31. Are any supporting documents required for availing a Flexi Holiday?

No supporting documents are required while availing a Flexi Holiday.
