Sub: Proposal to host zonal workshop of ArduBotics Robotics, an initiative by
Technex’23 IIT (BHU) Varanasi in association with Innovians Technologies.

Dear Sir/ Mam,

On behalf of Technex’23, Indian Institute of Technology (Banaras Hindu University), Varanasi as

the host, it gives us great pleasure to introduce ArduBotics Robotics, a national level workshop
series based on Robotics. Innovians Technologies will bring students from all over the country
together to participate in the celebration of knowledge and creative extravagance along with
experts from the fields of academic as well as industry.

This time Robotics Workshop will be organized by Technex’23 Indian Institute of Technology
(Banaras Hindu University), Varanasi in association with Innovians Technologies. We are looking
to make your esteemed college a Zonal Center for this event and workshop series.

What is Robotics?
Robotics is the study of robots. Robots are machines that can be used to do jobs. Some robots can do work
by themselves. Other robots must always have a person telling them what to do.

What is Arduino?
Arduino is a tool for the design and development of embedded computer systems, consisting of a simple
open hardware design for a single-board microcontroller, with embedded I/O support and a standard
programming language.

About the Workshop

ArduBotics is a workshop on intelligent Autonomous, microcontroller based with multiple sensor robots.
This workshop is dedicated to clear the basic concept of electronic & electrical components. In this
workshop student will make their Self Brain Robot which will do various activities like:

imagination. We will be providing the students knowledge in the field of Robotics & Arduino while
providing the hands on experience on Robotics Kits.

Process Guidelines
 We want your association with us to make this workshop big success in your college.
 Date of conducting the workshop can be finalized by telephonic conversation with Coordinator/
Convener or Secretary, according to the College feasibility and slots available in our calendar.
 The entire workshop will be conducted at college campus.
 Each student participating in the workshop will get a certificate of participation.

Workshop Requirements

 Seminar hall/classroom having a capacity enough to conduct hands-on-session for all
participants.
 Good Quality public address system ideally two cordless mikes will be required.

  Projector/ Screen along with black/white board for teaching and presentation purposes.
 One small stereo jack cord to connect in laptop for its sound system.
 One laptop will be required per team from participants with little knowledge on C programming
language.
 One Android Smartphone will be required per team with Working Internet & Bluetooth in their
phone.

Basic Requirement
 Accommodation to our visiting team members in your college guest house or any other good place.
 Pick and drop facility from nearest railway station/ bus-stand/ or airport.

 It is noteworthy that designing a robot is best learnt in a group. Thus, the training program
would constitute formation of small groups of 4 or 5 students which would fabricate one
particular robot (per group).

Note: Suppose if 100 students are participating in ‘ArduBotics Workshop’, a total of 25 teams will be
formed. Thus 25 sets each, of robotics tool and kit will be provided by us, i.e. each team will receive a set of
tools and a robotics Kit. During the workshop session, students will design a specific robot with the help of
these tools and kits. Kits will be provided only for hands-on purpose which will be taken back after
the workshop.

Course Duration
The duration of this workshop will be two consecutive days, with 6 -7 hours session each day in a total of 12
-14 Hours.

Financial Information
To coordinate with Innovians Technologies visiting delegation for this purpose as the workshop will be
delivered by them itself on behalf of Technex’23 IIT (BHU) Varanasi itself. It will be the responsibility of
Innovians Technologies to provide host with proper invoice either online or offline but payment needs to
be delivered on the first day of workshop itself otherwise no deliverables will be issued. Innovians
Technologies is authorized to collect payment from workshop and zonal center and is an official outreach
event and workshop partner of Technex’23 IIT (BHU), Varanasi.

Eligibility

The pre-requisite for joining this workshop is zero. Anyone interested from any branch any year student
can participate in this workshop.

Fees
 The charge of this workshop will be is Rs 800 per participants (Minimum 60 Participants)
without takeaway Kit (Incase of without takeaway kit workshop, kits will be provided for hands-on
and after the workshop it will be taken back).
 This fee include workshop training, study material, certification, human resources charges. Above
fees does not include GST, if college will require GST Invoice then 18% GST will be charged extra.

Payment Mode: Cash /Cheque / Account Transfer

Note: Suppose if 100 students are participating in ‘Robotics Workshop’, a total of 20-25 teams will
be formed with 4-5 Members per team. Thus 20-25 sets each, of components and Robotics kit will
be provided by us, i.e. each team will receive a set of Rbotics Kit, Sensors, & other required
components. If you opts for Without Takeaway kit fees module then kit will be collected back at
the end of workshop. Kits will be provided only for hands-on purpose which will be taken back
after the workshop.
