Dear Sir:

I hope this letter finds you well. I am writing to formally request that some of the SSLG
members be excused from their afternoon classes (1:00 PM – 4:00 PM) to allow them time
to prepare for the upcoming Teachers' Day celebration. Their participation is essential in
ensuring that the event runs smoothly and is a meaningful tribute to our educators. The
following students are the SSLG officers to be excused this afternoon:

Dear Sir:

Good Day!

In line with the Supreme Secondary Learner Government’s (SSLG) goal of fostering
accountability and commitment among its officers, I am submitting this formal proposal to
implement a new system for monitoring officer participation in meetings, activities, and
group collaborations for the remainder of the school year.

The proposed system seeks to ensure that all SSLG officers consistently fulfill their
responsibilities and remain actively engaged in the organization’s operations. To achieve
this, the following regulations are proposed:

1. Attendance Monitoring: Officer participation in meetings, activities, and group work will
be recorded. Any officer with three (3) consecutive absences will be considered for
impeachment.

2. Offense-Based Punishment System: Depending on the number of offenses, the


following sanctions will be imposed:
- First Offense: One (1) day of community service on the school premises.
- Second Offense: Three (3) days of community service on the school premises.
- Third Offense: One (1) week of community service on the school premises, after which
impeachment proceedings may be initiated if necessary.

This system is intended to uphold the principles outlined in the SSLG Constitution,
Article XX: Removal, Resignation, and Vacancies, particularly in cases involving
excessive absences or failure to fulfill duties. According to the provisions stated in Section
1, any officer may be removed from office for culpable violations of the Constitution,
excessive absences, or other offenses that compromise the integrity of the SSLG.

Further, as per Section 2, the following impeachment procedures will be strictly


observed:

2.1 A formal written complaint shall be filed to the Office of the School Head.
2.2 The SSLG Adviser, through the Office of the School Head, shall notify the
concerned officer within three (3) school days upon receipt of the complaint. The officer will
be required to respond in writing within three (3) school days. Failure to respond will allow
the school head to proceed with the investigation.
2.3 Upon receiving the officer’s written response, the Office of the School Head shall
conduct an investigation within ten (10) school days to assess the severity of the complaint.
2.4 A report of the findings and decision will be provided to the officer, their
parents/guardians, and the SSLG Adviser within a day after the investigation’s conclusion.

As stated in Section 3, any SSLG officer removed from office due to impeachment
will be disqualified from running for any SSLG position in the next two school years, except
for positions in registered school clubs or organizations.

By implementing this monitoring system, we aim to strengthen the accountability and


integrity of the SSLG, ensuring that all officers remain dedicated to serving the student
body. We kindly seek your approval to move forward with this proposal and are confident
that it will lead to more efficient and transparent SSLG operations.

Dear Sir:

Good Day!

In collaboration with the CAT Officers, YES-O, the Guidance Counsellor, and the
Supreme Secondary Learner Government (SSLG), I am writing to formally propose the
implementation of a stricter Clean As You Go (CLAYGO) policy within our school premises.
This policy is intended to promote cleanliness, instil a sense of responsibility among
students, and lessen the workload of our school’s cleaning staff.

The primary goal of the CLAYGO policy is to prevent students from carelessly
leaving trash in the school grounds. To reinforce this, the following rules and penalties are
suggested:

1. Enforcement and Monitoring: The CAT Officers, YES-O members, SSLG officers, and
the Guidance Counsellor will be tasked with monitoring compliance with the CLAYGO
policy. Any student caught leaving trash irresponsibly will be subject to the following
penalties:
- First Offense: A fine of ₱50.
- Second Offense: A fine of ₱150.
- Third Offense: A fine of ₱300.

2. Procedure for Offenders: Any student caught violating the CLAYGO policy will first be
brought to the Guidance Councillor for a discussion regarding their behaviour. This will also
provide an opportunity to understand the circumstances and address any underlying issues.

3. Use of Penalty Funds: All fines collected from these penalties will be used as extra
funds for upcoming school events, ensuring that the money is put to good use for the
benefit of the student body.

4. Non-Compliance: In cases where students fail to pay the imposed fines, the Guidance
Councillor, in consultation with school administration, will decide on an appropriate course
of action.

By implementing this policy, we aim to foster a cleaner and more disciplined school
environment while encouraging students to take accountability for their actions. This
initiative will not only reduce the litter problem but also contribute to creating a more orderly
and respectful school atmosphere.
