Aim: Study and usage of OpenProj or similar software to draft a project

plan. Planning:-Planning in project management involves defining tasks, setting timelines, allocating
resources, and outlining steps to achieve project goals. Various software tools are available to assist with
this process, each with unique features tailored to different needs.

✦ Key Features of Planning:

1. Goal-Oriented:

• Purpose: Planning is inherently focused on achieving specific objectives. It starts with setting clear,
measurable goals that guide all subsequent activities.

• Direction: Provides a clear sense of direction by outlining what the organization or individual aims
to accomplish.

2. Systematic Process:

• Structured Approach: Planning follows a systematic process, involving steps like situation
analysis, objective setting, strategy formulation, resource allocation, and action planning.

• Logical Sequence: Activities are organized in a logical order, ensuring that all necessary steps are
covered to reach the objectives.
3. Decision-Making:

• Choice of Actions: Planning involves making decisions about what actions to take, considering
various alternatives and selecting the best course of action.

• Risk Assessment: Helps in identifying potential risks and uncertainties, allowing for informed
decision-making and the development of contingency plans.

Software Used For Planning:-ProjectLibre is an open-source project management software

designed to be a free alternative to Microsoft Project. It provides a comprehensive suite of tools for project
planning, scheduling, resource management, and tracking progress. ProjectLibre is particularly popular
among small to medium-sized businesses, educational institutions, and individual users who need robust
project management capabilities without the cost of commercial software.

2
✦ OTHER SOFTWARES THAT WE CAN USE FOR PLANNING
Microsoft Project:

• A widely used project management software that offers comprehensive tools for project planning,
scheduling, resource management, and reporting.

Asana:

• A user-friendly project management tool that allows teams to organize tasks, set deadlines, and
collaborate effectively.

Monday.com:

• A flexible project management platform that provides various templates and views (like Gantt charts and
Kanban boards) for planning and tracking projects.
Smart-sheet:

• Combines the functionality of a spreadsheet with project management tools to plan, track, and automate
projects.

✦ FEATURES OF PROJECT LIBRE

1. Gantt Chart View:
• Description: ProjectLibre offers a Gantt chart view, allowing users to visualise project tasks, timelines,
and dependencies. This feature helps in tracking progress and ensuring that tasks are completed on
schedule.

2. Task Management:
• Description: Users can create, assign, and manage tasks with detailed information such as start and
end dates, durations, dependencies, and resource assignments.

3. Resource Allocation:
• Description: ProjectLibre allows users to assign resources (people, equipment, materials) to tasks, track
resource availability, and manage workloads to avoid over-allocation.

4. Task Dependencies:

• Description: The software supports various task dependencies (Finish-to-Start, Start-to-Start, etc.),
allowing users to define how tasks relate to each other and adjust schedules accordingly.

4. Network Diagram (PERT Chart):

3
• Description: ProjectLibre includes a network diagram view, also known as a PERT chart, which helps
visualise the project workflow and the relationships between tasks.

6. Critical Path Analysis:

• Description: ProjectLibre can automatically calculate the critical path of a project, identifying the
sequence of tasks that directly affect the project’s finish date. This is essential for identifying potential
delays and optimising schedules.

PRACTICAL NO-2

Aim:Study and usage of OpenProj or similar software to track a project

plan.
Tracking in project planning refers to the process of monitoring and measuring the progress of a project
against its planned objectives, schedules, budgets, and milestones. The purpose of tracking is to ensure
that the project stays on course and to identify any deviations from the plan as early as possible, allowing
for timely corrective actions.

WHY TRACKING?

• Early Detection of Problems: Tracking allows project managers to detect issues early, such as
delays, cost overruns, or resource shortages, so that corrective actions can be taken before they
escalate.

• Informed Decision-Making: Provides data and insights that help project managers and stakeholders
make informed decisions about the project’s direction.

• Improved Accountability: Helps hold team members accountable for their tasks and responsibilities
by providing clear visibility into who is doing what and when.

• Ensures Project Success: By keeping the project on track, monitoring helps ensure that the project
meets its objectives, stays within budget, and is completed on time.

FEATURES OF TRACKING
Tracking in project management involves monitoring various aspects of a project to ensure it stays on
course and meets its objectives. Here are some key features of tracking:

1. Real-Time Monitoring:

• Description: Allows project managers and team members to see the current status of tasks, resources,
and budgets in real-time. This immediate visibility helps in making timely decisions.

2. Progress Visualisation:

7
• Description: Provides visual tools like Gantt charts, Kanban boards and progress bars that help track
task completion and project timelines. 3. Milestone Tracking:

• Description: Tracks key project milestones to ensure that significant project phases are completed on
time. Milestones are used as checkpoints to assess progress.

4. Variance Analysis:
• Description: Compares planned versus actual performance in terms of schedule, cost, and scope.
Variance analysis helps identify deviations and assess their impact on the project.

5. Resource Utilisation:
• Description: Monitors the allocation and usage of resources such as team members, equipment, and
materials. Ensures resources are being used efficiently and helps avoid overallocation.

6. Time Tracking:
• Description: Records the actual time spent on tasks compared to the estimated time. This helps in
identifying delays and improving future time estimates.
7. Cost Tracking:
• Description: Monitors project expenses against the budget to ensure financial resources are being
managed effectively. Includes tracking both direct and indirect costs.

8. Risk Tracking:
• Description: Monitors identified risks and any new risks that emerge during the project. Tracks risk status,
likelihood, impact, and mitigation actions.

9. Quality Tracking:
• Description: Ensures that project deliverables meet the required quality standards. Tracks quality metrics
and the results of testing or inspections.

- Baseline Tracking
Baseline tracking in ProjectLibre is an important step to help you compare planned project progress
against actual performance. A baseline is essentially a snapshot of the project at a given time, and it
serves as a reference point for measuring future project performance. Here’s a step-by-step guide to
setting up and tracking a baseline in ProjectLibre:
