Saving PowerPoint Slide Shows as PDF Handouts

When creating a document that contains images, saving as a PDF can have substantial compression value. This is also true with PowerPoint presentations. When saving a document that contains only text, pdf is many times larger. Instead, it is suggested that you save as an .rtf to ensure compatibility to all students. The true advantage of PDF is that PDF readers are small in size and freely available. Microsoft has a free PDF converter Addin that converts files to PDF. If you do not have this installed, you may request assistance with this from IT. Example: PPT file size = 770 kb Converted to 3 slide handouts using Adobe Professional (File Print) file size = 48.9 kb Converted to 3 slide handouts using Microsoft PDF Addin (File Save As, minimum size selected) = 99.3

Converting to PDF with Microsoft PDF Addin

Open the presentation for which you want to print handouts. Click the Microsoft Office Button , Click Save As

Click the drop down arrow and select PDF (*.pdf) and then click the radio button next to Minimum size (published online). ***It is important to select Minimum size****

Click the Options button.

In the Page Setup, click the arrow under Publish What, and then select the handout layout option that you want from the list. The Handouts (3 Slides Per Page) format provides lines for the audience to take notes.

Select Document structure tags for accessibility and then click OK.

7. In the File name box, enter a new name for the presentation, or do nothing to accept the suggested file name. 8. Click Save.

Adobe Plug In
If you should have the Adobe Plugin, you can follow these alternative steps. 1. Open the presentation for which you want to print handouts. 2. Click the Microsoft Office Button and click Print.

3. Select Adobe PDF from the printer drop down list. 4. Click the arrow under Publish What, and then select the handout layout option that you want from the list. The Handouts (3 Slides Per Page) format provides lines for the audience to take notes. 5. Click OK.

6. In the File name box, enter a new name for the presentation, or do nothing to accept

the suggested file name. Click Save.
