1. PURPOSE
The purpose of this procedure is to establish the coding system of the documents related
with the Bibiyana South 400 MW Combined Cycle Power Plant Project.
2. SCOPE
This system will be applied to all the documents related with the Bibiyana South 400 MW
Combined Cycle Power Plant Project.
3. DEFINITIONS
Document Coding: It is the action and effect of identifying a document by means of a series
of letters and numbers, applying the criteria established and detailed below.
4. RESPONSIBILITIES
The respective Project Areas are responsible for coding the documents that they issue within
the scope of their specialty, in accordance with that specified in this procedure.
Consequently each Area is responsible for including the coding instructions in the contracts
and orders of its specialty that the suppliers and contractors have to follow.
The Project Manager/Head of Engineering will assure the coherence between the different
areas and appropriate correspondence with the Coding System established and the defined
work formats.
5. CODING SYSTEM
5.1. Project Documents
Project documents are identified by an alphanumeric identification system specific for this
project (KKS), and may include, in addition, the identification code specific to each
organization originator.
Code KKS (Kraftwerk-Kennzeichen-System) is a coding system applicable to power plants
generating electricity in its various forms, whose function is to identify the units, systems,
areas or sections, equipment and components existing in central.
The following coding system, specific to the project, will be used in any document related to
the project.
The coding system to apply is established below according to the characteristics of each
document:

It identifies the group, unit or area of the plant for which the document is applicable.
The digits to apply are:
00 Document applicable to general issues.
11 Documents applicable to Group, Unit or Area 1 and common systems.
AAA: Main Issue of the document. It corresponds to the KKS system code, and is the key
assigned according to the paragraph SYSTEM AND EQUIPMENT CODING (AAA)
wherein it is observed that it is not always necessary to use the 3 letters. Whenever
possible, indicate as AAA key that corresponding to the system or subsystem treated
in the document. It is the responsibility of the document author to define this code in
accordance with the aforementioned procedure.
T1:
T2T3: They identify the type of document in a general manner. The keys are explained in
paragraph LIST OF DOCUMENT KEYS OF DOCUMENT TYPES (T2T3)
EEE: It particularizes to the document originator, according to the list of external
Originators.

NNN: It is the consecutive serial number, considering as series with the combination AAAT1 T2 T3.EEE of the project.
AN:
In case a document has annexes, the serial number will be followed by .AN, the first
letter being the annex indicator (A), and the second the figure that indicates the annex

Provisional revisions
They are those that each work group uses as a draft and always prior to the first definitive
revision and release / issue. These provisional revisions will be identified with a letter and in
alphabetical order: A, B, C,
This type of revision will never be subjected to any Quality Assurance system. The exact
revision codification should be as 0A, 0B,, 1A
Official revisions
They are those document editions that an organization issues to the exterior, after having
concluded all the internal steps of preparation, internal coordination, verification and
approval.
These definitive revisions will be identified with numbers, starting the series with number one:

In general all communications are not Project documents: letters, fax, e-mails, etc. All
communications among organizations participating in the project shall include at least the
following additional information: name of the project, number of reference, and subject which
will be a summarized description of the subject treated in the content of the communication.
Each communication will deal with a single subject. It will not be possible to use the same
communication to deal with different matters.
All correspondence is addressed to the name of the Project Leader appointed by each
company.
