August 19, 2017, PICC Plenary Hall


Information Sheet

Important Dates and Events

1. Clearance Requirements
Deadline of submission of clearance is July 17, 2017 (Monday)
NO CLEARANCE, NO GRADUATION!
Please visit the Registrars Office if you have questions

2. Graduation Day

- August 19, 2017 (Saturday) from 3:00 to 6:00 PM at the PICC Plenary Hall
- Inner attire should be business formal.
- Graduates should be at the PICC by 2:00 PM. The Rite itself will start at 3:00 PM.
- Guests will be allowed to enter the Plenary Hall by 2:15 PM
- Doors will be closed at 2:45 PM to make way for the procession of graduates and faculty. Seating of guests will resume
after the Invocation, but late guests will be instructed to occupy the upper level (2nd floor) of the Plenary Hall. Reservation
of seats will NOT be honored.

3. Baccalaureate Mass

- August 18, 2017 (Friday), 10:00 AM at the Sancta Maria Stella Orientis Oratory
- Priests are available for confession starting at 9:00 AM
- Toga and beca will be worn but without the hood and cap; inner attire should be business formal

4. Graduation Practice

- August 5, 2017 (Saturday) from 2:00 PM to 6:00 PM at the 4th floor Parking and Sports Building (PSB) of UA&P
- Students should start assembling at the PSB by 1:00 PM
- Attendance is a must. This is to ensure that the entire ceremony shall run smoothly. Approximately 3,000 guests will watch
the Graduation Rites, so the entire event has to be executed as elegantly as possible.
- Everyone is requested to avoid wearing stiletto footwear.

5. Toga Measurements and Fitting (for graduating students and faculty members)

- May 18 (Thursday, 9:00 AM - 4:00 PM), May 19 (Friday, 9:00 AM 4:00 PM) and May 20 (Saturday, 9:00 AM - 12:00
PM only)
- Venue: ACB 4th Floor Lobby

6. Distribution of Toga and Tickets

- TICKETS: August 5, 2017 (Saturday) right after the rehearsal at the PSB. Graduating students should personally
claim the tickets. UA&P identification card must be presented when claiming the tickets.

- TOGA: July 13 and 14, 2017 (Thursday and Friday, 9:00 AM - 5:00 PM) and July 15, 2017 (Saturday,
9:00 AM - 12:00 PM) Venue: ACB 301

7. UA&P Alumni Card

- As part of the clearance requirements, all graduating students are required to fill out the online Alumni Information
Form for new graduates: http://go.uap.asia/newgrads
- All graduating students are required to have get clearance forms signed at the Office of Alumni Affairs after
accomplishing the online alumni information requirement.
- Deadline of submission and signing of clearance is on JULY 17, 2017 (Friday).

The current RFID enabled student ID will be automatically updated to alumni status after graduation and can be used by
the new graduating class of 2017.

B. Important Policies and Guidelines to Remember

1. Dress code will apply during all activities related to graduation (i.e. graduation practice, mass and graduation ceremony).
Attire is business formal. Guests are also covered by the Dress Code.
2. You will not be allowed to march during graduation if you are absent in the rehearsal.
3. Graduates who arrive after all his/her fellow graduates have been seated will not be allowed to sit with their course mates.
They will be seated at the last row of the area reserved for graduates. During the awarding of diplomas, they will be called
only after all the graduates of their respective courses have been called. If they arrive after their course has been called,
they will not be called at all.
4. Each graduate can bring in 7 guests.
5. No children 7 years old and below will be permitted to enter the Plenary Hall. This is a policy of PICC management and will
be strictly enforced by its security personnel.
6. Instructions and information about the ceremony will be printed on the tickets which will also serve as the invitation. The
tickets should be presented at the gate.
7. Your guests should be seated by 2:30 pm. By 2:45 pm, the doors leading to the PICC Plenary Hall Lobby shall be closed.
Seating will resume after the Invocation. Guests will, then, be redirected to the upper level (2nd level of the audiences
seats). Guests requiring special attention (i.e. with disability) should be seated not later than 2:30 pm.
8. The Souvenir Program will be distributed at the PICC on the day of graduation. Please ask your parents/guardians to claim
it at the Registration Counter as soon as they arrive. A ticket should be presented when claiming the souvenir program.
9. If you missed the toga measurement schedule at UA&P, you need to personally go to the office of Early Marketing, the toga
provider (see details below). If you lost your beca or dont have one because you did not attend your batchs Equatorial
Rite, you will have to borrow from your friends or you may purchase at CSA student services.
10. The official photographer is Fotographics Manila. Its staff will be present during the Baccalaureate Mass to take orders and
photos. Please do not entertain the photographers at PICC. Only Fotographics Manila will be allowed to enter the Plenary
Hall (they will be wearing IDs issued by the PICC Management).
11. Your personal photographers will only be allowed to take pictures before and after the graduation rite. Picture taking
sessions will be allowed in the PICC Main Lobby only. Your relatives may take pictures and videos inside the Plenary Hall
from their seats.
12. Please remember to settle all the academic requirements as well as all accounts including payment of the batch yearbook
(for those who ordered), or you will not be cleared for graduation.
13. Please return the toga immediately after the graduation rite at an area specified at PICC. Make sure that the toga is properly
received by the supplier so that you wont have any liability.
