3. PROJECT DESCRIPTIONS
Background
Life in the 21st century is full of technology advancement and in this technological
age, it is very difficult for individual or any organization to survive without utilizing
technology. Since the technology nowadays is getting better and more advanced, a lot of
tasks and works that can be done with their mobile phone so that everyone would stay at
home rather than going out for shopping, paying bill and so on. Furthermore, as students
of University Utara Malaysia (UUM), they are sometimes busy with their life that they
do not get enough time to have their meals properly. Therefore, they would prefer to
have their food ordered online and delivered to them. So in this case, we are going to
develop a web-based application which is Food Delivery System that was originally
designed for use of University Utara Malaysia (UUM) students, but just as applicable in
any food delivery industry.
Food Delivery System is the process of online food ordering or takeout from a
restaurant at Changlun. The main advantages of this Food Delivery System are that it is
greatly simplifies the ordering process for both the students and the restaurant. When
the students visit the ordering web page, they are presented with an interactive and up to
date menu, complete with all available options and affordable prices based on the
selected option so that the ordering process could be carried out. After making a
selection, the item is then added to their order, which the students can review the details
of at any time before checking out. This process shows visual information of what was
selected and ensures that the items are in the right order. Then, the students can made
payment either online or pay on delivery.
Moreover, this Food Delivery System also greatly ease the burden on the
restaurant at Changlun, as the entire process of taking orders is based online. Once the
order is placed on the web page, it is entered on the restaurant web page. With this
system, the staff of the restaurant will be able to see easily of the displayed ordered
items, with their options and delivery details. After the chef prepares the food, the

delivery staff will send the food according to the location and identity of the students
along with the bill status. Therefore, the Food Delivery System increases the speed of
getting food and quality manner of taking order from the students. In conclusion, the
Food Delivery System will allow the restaurant to manage an online menu which the
students can browse and place orders with just a few clicks.
In conclusion, social media are now the primary medium for all types of
communications. Due to the advantage that anything can be shared on social sites
including this system, customers will be able to discuss the system and how the system
operation since they spend a lot of time on social media. Consequently, the usage of
social media opens opportunity to the development and usage of the system.

One of the desired impacts of this system will be for the University Utara
Malaysia (UUM) students to use this system every time they want to order the food
from outside the University Utara Malaysia (UUM). When this system is recognized by
the student community as a platform to order the food, which means this system has
achieved as a desired impact. In addition, generate advertising revenue, click-through
rates, page views each ad, traffic to various pages, and visitor demographics may help
this system more developed. Last but not least, this system creates an impact to the
whole University Utara Malaysia (UUM) students as a customer and also as a user
through the effective and systematic system that enable for all the University Utara
Malaysia (UUM) students to order the food by using this system without going to get
the food by their self.

Now at University Utara Malaysia (UUM) campus, for students who want to
order food, students need to rent a car to go to a restaurant outside University Utara
Malaysia (UUM) to get the food they want, and this can make a lot of money wasted.
Therefore, after we consider the current issues in that aspect, we believe that this is an
opportunity for us to build an online platform by providing Food Delivery System
services for University Utara Malaysia (UUM) students.
In addition, as a customer, they can save time and costs when ordering food
through our Food Delivery System. They do not have to rent a car to go to the restaurant
in Changlun to get the food they want. Besides, customer can search and view a nearby
restaurant from University Utara Malaysia (UUM) that provide food delivery.
Furthermore, customer can get discount if they are ordering more than one.
For restaurant owners who provide food delivery services, we believe that this
system can improve the effectiveness of managing their own businesses. It can be seen
when the system runs the task without crash, faster and better. Also, because our system
is online, we can promote the new menu through the online system. Through this online
service, owner can make more money because online food delivery is open 24/7 and also
provides more delivery services due to the growing number of customers. Additionally,
this system can help size the scale of orders and make more customers as customers are

now another day to order food through online services rather than taking food with
themselves.
This project will be successful if we have at least RM 15,000 as income earn,
1,000 customers and 10 delivery service for the first year. While in the second year, the
income earn will increase to RM 20,000, while the customer and delivery service
increase to 3,000 and 35. For the third year, the income earn will increase to RM 25,000,
for the customer increase to 6,000 customers and at the same time delivery service
increase to 60. The table below shows the increasing of Food Delivery System for the
first three-year in terms of Measurable Organizational Value (MOV).

Inside Scope
The Food Delivery System is a system that can perform a lot of tasks which
related to the food delivery. Based on this website platform, it will develop to let user to
view the menu card information of the restaurant and be able to let user place an order via
the system. Besides that, the system also will able to let the staff to update and make
changes to their food and beverage menu information. It also allows the staff to generate
report that they wish to generate such as monthly sales report. The main function of this
system is assisting restaurants at Changlun provide the delivery service for University
Utara Malaysia (UUM) students.

At the end of the project, this Food Delivery System will improve the restaurant’s
productivity, efficiency, effectiveness and as well as accurateness. These are some
functional module that will exist in the system.
Reporting Module
User (Staff) can view the overall performance of the restaurant in chart report.
The report can be generated according to the time period.
Billing Module
This module will gather the order information and print the billing statement
for user to make payment and keep for their reference.

Feedback Module
This module allows the user (Customer) to give some feedback to the
restaurant or this system. Then the user (Staff) can collect and viewing all the
feedback comment through this system.
Outside Scope
This web based application will not include a live chat session for the community
to query and discuss regarding the food delivery system where the live chat eases the
process of asking question and getting answer instantly.

commonly used to display schedule activities. These charts will display the start and
finish dates of the elements of the project.
In the first two weeks, we have to work on paper work such as Planning and
Proposal Report. The following two weeks are for the Project Requirement which we
have to identify the requirement of our users before using the system. Next, we need
four weeks to develop User Interface Design. The user interface design is generally
refers to the visual layout of the elements that we will include in our website. After that,
we also need the next four more weeks for developing the system and writing
programming code using HTML, JAVA etc. Then, the next week, is we are going for
the system testing, usability testing and the processing time of the system. And for the
end of the week, we are going to publish our system to public.

chart.

fees and Electric bill every month. However, for the rest of the item list like
Funds, Laptop, Domain Name and Hosting in the budget estimation table in the 1 st
month will only pay for once time.

In this Food Delivery System project, we will need to publish our system
to the public. So weed to be required with a domain name and web hosting to allow
us to publish our system to public. The domain name for this Food Delivery System
project is, https://fooddeliverysystem.com.my. This domain name will allow the
public users to access to our system easily.
The requirement of the domain name and web hosting, we have chosen to
register our Food Delivery System project to the Exabytes. Exabytes is the company
that is providing the services of registering the domain name and web hosting. The
reason that we choose Exabytes Company because the price of the domain name and
web hosting are reasonable. Besides, they also provides a large amount of online
database storage which is up to 50GB and the data of the database is well secured.
On top of that, they also provide three months guaranteed money-back if they fail to
protect or secured the data of our project.

This Food Delivery System project will need a good internet network so
that the user can access to our system without having any connection and data
processing problems. To provide better internet network, we choose Unifi Malaysia
Company, which is providing a high speed internet. The internet package called
Unifi Biz Lite Plan and it cost RM 200 per month. This package is including speed
downloading which is the download can up to 10Mbps and the uploading speed can
up to 5Mbps. With this speed downloading and uploading, our Food Delivery System
project should have no problem in running in multi-tasks and run smoothly. In
addition, we need to operate our Food Delivery System project all days and nights, so
we need to use a lot of electricity. The total payment for electricity usage is RM100
per month. The continue usage of electricity will ensure that our system is ready to
use at anytime and anywhere.

An assumptions is a belief of what you assume to be true in the future. There are
four assumptions that Food Delivery System project make. First assumption is that this
project will complete in a given time. All processes and phases to carry out this project
are according to the predefined schedule estimates. We assumed this project will be
completed in 14 weeks and finish within the time given. Next assumption is that this
system will be able to fulfill the objective of the project, which are, to minimize the time
ordering, improve the efficiency of the ordering process for both customer and restaurant,
and minimize manual data entry. The third assumption that we make is that this project
will fulfilled user requirements. The user requirements that have listed are the user will
satisfied with the service provided in the system, the user will be able to communicate
with other efficiently and effectively through the system and the user will be able to order
the food within short period of time. Lastly, increase the marketing strategy to the
restaurant. We assumed that this project will increase the marketing strategy to the

restaurant as the restaurant will get more customer in the future with the ongoing
technology nowadays.
Risk deals with the uncertainty of events that could affect the project. There are
some of risks involved in this project. Firstly, the project cost. The budget may be
exceeded as the team members have not been experienced much in handling a budget of
a project before. Next, the failure in using the internet. This system requires a good
internet signal to provide the best service for the users. An addition, if the internet signal
are too weak, the system will not work well and this will give a negative effect to the
user as they want an easy and fast system to use with. Lastly, the possible risk is the
hardware and software defects. The hardware and software defects may be occur such as
the laptops could breakdown in the middle of installing the system and there are some
error in coding the programming while in the middle of executing the system. The
solution is we may send the laptop to the shop and fix it well, but this causes the system
to slow up and the cost is likely to exceed the budget.
Constraints
Constraints are limitations imposed on the project. The Project Management Body
of Knowledge (PMOK Guide) recognizes six project constrains such as scope, quality,
time, cost, resource, and risk. Out of these six constraints, scope, time and cost are
collectively known as the triple constraints. On this project, we will focused on two types
of constraint which are business constraints and technical constraints. The business
constraints depend on the time, cost and resources of this project. The best time required
to develop this system is about three to five months. This is to ensure that the services
provided in our system are well executed, free of charge and ready to use. Furthermore,
we also need to ensure that this system is always in good service such as the speed of the
internet and the effectively delivery service so that this system will be able to provide the
satisfaction to our user. Nest, is the cost constraint. The cost required to develop the
system must operate within the budget. If we want to reduce the project’s cost, we will

either have to reduce the scope or increase the time of the project. For the resources, we
will make sure that the resources are valid and correct so that the user will trust in our
system and be able to use the system on a daily life.
While for the technical constraints, it is divided into two parts which are language
system and platform support. The selection of programming language is important so that
the system requirements are functional and reliable. Unfortunately, if we choose the
wrong programming language, the system will result in error while executing the system.
Next, the platform support. This system must work perfectly in Windows, Linux,
Androids and IOS. If this system does not satisfy the platform support, it means that this
project is failed to design a software system.
Dependencies are any tasks, events or situations that are either dependent on a
previous completion of a task or on which a task is dependent on. It is the relationship
between two separate activities within one larger project. Dependency simply means one
task or activity is dependent on another. In this Food Delivery System project, the user is
dependent to the system. This is because the users will not be going out instead only go
through online to get the food. If there are many user using this system, this project will
be considered a success as the user are satisfied and continue using it in their daily life.
Impact assessment refers to the process of identifying and measuring the future
impact of the current or proposed project. Impact can be seen as a difference brought
about by a project that may not be there without a project. Impact assessment is a way to
measure the effectiveness of project activity by assessing the importance of changes
brought about by the activity. Such changes include all positive and negative, long-term,

Outstanding issues
The following processes will be used to measure and manage project staff
performance and help to manage and monitor issue resolution until closed. These
processes are identify issue or define the cause of the problem, analyze the problem,
implement a decision and review the decisions and confirm the problem is solved. The
outstanding issues that we can see from this project is the staff weakness. The staff is not
familiar with the system, and this will resulted a negative impact to the customer. The
problem is solved when the staff is given proper explanation and instruction on how to
use the system properly.

The purpose of this scope management plan is to define the scope for the Food
Delivery System project. A scope management plan is crucial for controlling the scope of
a project. The scope management plan is the collection of processes which ensure that the
project includes all the work required to complete it while excluding all work which is
not necessary to complete it. In addition, the scope management plan shows details on
how the project scope will be defined, developed and verified. It clearly defines who is
responsible for managing the projects’ scope and acts as a guide for managing and
controlling the scope. An effective scope management plan will capture the nature and
scope of project. The scope for this project is to build an ordering system that can be used
especially for the University Utara Malaysia (UUM) students and in the small enterprise
food and beverages (F&B) industries which can help them to simply their daily
operational task. Besides, the system is user friendly as the user can easily order and
manage the system with just a few clicks.

Through this Food Delivery System, the customer (University Utara Malaysia
students) will save time compare to them going outside to outside restaurant to order their
food. For the source to the food delivery, we plan to work together with the small
medium enterprise food & beverages (F&B) industries at Changlun. All the stakeholder
agree that this way will help to increasing sales volume. Furthermore, we make the
security of this system is our top priority and our top quality also. This is because the
system will link with the customer personal information and data such as their phone
number and their address. So that our customer can fill in the personal data or information
with trust. As mentioned above, if any virus that we have found in this system, we will
update and maintain the system immediately to protect the customer information. If the
virus that we founded did not attack the system, our system administrator will update the
system periodically and continue to provide services to public.

As a stakeholder for this system, the most important thing in developing the
system is communication between our team members. Any improvement that we discuss
together we will bring it to the meeting and can discuss by using social media so that all
the stakeholder aware about it and if there is an emergency meeting, all the stakeholder
will attend without giving any excuses. All the ideas that can be use and sound interested,
we will consider it and try to apply it to our project. Furthermore, purpose of our human
resources planning is to maximize the use of human resources and ensure their ongoing
development, to support the organizational objectives, to synchronize human resources
activities with the organizational activities and to increase the organization’s productivity.
We must make sure everyone that involves in this project must understand on what they
are doing so that they can come out with the high-quality system.
