Some great perks of using an indoor venue are...
• Safe from mother nature
• Safe/Secure environment (no bugs, paparazzi,
protesters or other unexpected creatures)

• Can control the temperature of


the space
• Higher success rate than those
events produced outside.
• Most available sites in
metropolitan cities.

INDOOR VENUE CONSIDERATIONS

Pre-function Area & Public Space


• One of the first areas you and your guests will see.
• Inquire if any part of it will be used by another group.
• Is the group next door going to bother my group?

Walls, Ceiling, Floors,


Acoustics
• Air wall, hard wall, glass wall, etc.
• Floors; carpet can be crazy designs!
• Wood/Tile is awful for acoustics.
• Take these into consideration.

Load-in And Strike Schedule


• How and when can you get your supplies into the building?
• Are there restrictions on times or days for loading and unloading?
• Confirm with the venue when you can get it!

Venue Charges
• Fees levied by hotel, clubs, convention centers, etc.
• These charges are in addition to room rental and can be steep, ASK!

Supervisory Charges
• More and more locations are now charging you for a supervisor to watch you set the
room.
• They do this to ensure nothing gets damaged. These costs add up quickly.
• Make sure you inquire about these up front.

Rigging Companies
• Rigging companies are contracted by the venues to ensure safe and proper
methods are used to suspend anything.
• A necessary vendor if you plan to fly, suspend, rig or hang something from the
venue ceiling.
• This could include lighting, sound, video, truss, signs, banners, or décor.
• VERY Expensive! Get a quote early.
• If budget prevents you from rigging, you can ground support everything.
• Not as pretty, but doable.

POWER
Power costs $$$$.

Be sure to calculate your needs as discussed previously and budget accordingly.

Common Indoor Venues:


• Hotels: A favorite for corporate events, hotels have the added
benefit of providing guests the option to stay overnight.
• Convention or Civic Centers: Designed for meetings,
conferences and entertainment. These venues offer lots of
conveniences including restrooms, power, and parking.
• Entertainment Venues: Ranging from stadiums to arenas, these
venues offer a large amount of space but may not be equipped
for a business event.
• County Clubs: A mix of indoor and out, country clubs offer a
versatile event site.

INDOOR VENUES; SUMMING IT UP

• Measure the doorways and ceiling heights yourself.


• Ask about airwall insulation and what other events are booked at the
same time.
• Can you live with the carpet color and existing, non-movable
furniture?
• Are there sufficient set-up and strike times?
• Loading docks, what are the times and dates they’re available?
• Is electricity available?
• What are the venue charges - rigging, supervisory, cleaning, power?
• Where is parking? How much is it?
