Subject: Appointment Letter for Logistic and Admin Incharge
Dear Mr. Rajendra,
With reference to your application and the succeeding discussions you had with us, we are
pleased to intimate to you that, the Management has agreed to appoint you as Logistic and
Admin Incharge of Best Project Construction and Suppliers Pvt. Ltd. its subsidiary trading
companies retrospective from July 2018, and shall continue to an indefinite time period until the
contract is terminated by the will of the either parties.
The Management hopes and expects that your knowledge, skills, and experience are an excellent
match for the company and the responsibilities given to you are carried out by you with best of
your knowledge and abilities in accordance to the terms and conditions applied below:
1. Position: You are being appointed as Logistic and Admin Incharge.
2. You will be based at Head office located at Sinamangal, Kathmandu
3. You will be reporting to Managing Director/ Chief Financial Officer.
4. Salary and Benefits:
You will receive compensation of Rs. 20,000 per month with basic salary amounting
Rs.12,000 and allowance of Rs. 8,000. You will receive a performance based variable
incentive that will be discretionary & based strictly on performance. The perquisites
applicable to your grade are subject to alteration and amendment, and you will be entitled
to the same as per the rules of the company.
You are, also, insured against accidental death, disability and medical health by a group
insurance contract that is arranged and paid for by Best Project Construction and
Suppliers Pvt. Ltd.
5. Work Schedule and Service Hour:
Regular office hours shall be from 10:00 AM to 6:00 PM including half an hour lunch
break from Sundays to Fridays. Saturdays are considered regular holidays. However,
there shall be occasions when a regular schedule may change to meet business needs.
You shall maintain 48 hours per week in a 6-day period.
6. Probation Period:
It is understood and agreed that the first ninety days of employment shall constitute a
probationary period and by the end of initial probationary period, the appointment holder
shall either: be granted a regular contract; have his/her probation period extended; or be
given notice of termination of employment from office.
7. Designated Duties and Responsibilities:
Your duties and responsibilities are:
 Plan shipments based on product availability and customer requests
 Track orders to ensure timely deliveries
 Prepare shipping documents (like invoices, purchase orders and bills of lading)
 Coordinate our supply chain procedures to maximize quality of delivery
 Maintain updated records of orders, suppliers and customers
 Oversee the levels of our warehouse stock and place orders as needed
 Provide information to customers about the status of their orders
 Help and assist the administration with record keeping and maintenance
 Support the Head of Operations and Finance with timesheets,
 Provide administrative support to team members
 Review supplier contracts and contracts for terms and conditions.
 Keep all reports filed systematically in both electronic and hardcopy formats.
8. Leave and Holidays
Following provisions are made for the leave and holidays of the employee under the policies
and practices of the company:
 Public Holidays: You shall be entitled to, and receive payment for, all official
holidays decided by the company, based on holiday list that has been
published/prepared annually.
 Annual Leave: You, along with other employees, are entitled to 18 days annual
leave per year on full pay status (18/12=1.5) days upon request and approval.
 Sick Leave: There is no provision for yearly sick leave limit. In case of absence
from work due to sickness, you are demanded to send the message informing
supervisor/Line Manager of your incapacity for work. In the case of absence due
to sickness for than three consecutive days, you shall submit a medical certificate
from the doctor.
 Mourning Leave: You are entitled to get special paid leave of maximum 15
consecutive calendar days in case of death in the employee’s immediate family
members.
9. Non-Disclosure of Company’s Trade Secrets:
You shall understand that in the performance of your job duties with the Company, you
will be exposed to the Company's trade secrets. Hence, you shall keep the Company's
trade secrets, whether or not developed by you, in the strictest confidence. "Trade
secrets" means information or material that is commercially and legally valuable to the
Company. This includes:
 Salary and benefits related information;
 Any and all versions of the Company's proprietary system (including source and
object code) hardware, firmware and documentation;
 Technical information concerning the Company's products and services, including
product data and specifications, diagrams, flow charts, test results, know-how,
processes, inventions, research projects, and product development;
 Information concerning the Company's business, including cost information, sales
information, financial information, business plans, marketing methods, customer
information;
 Information concerning the Company's employees including their salaries,
strengths, weaknesses, and skills;
 Information submitted by the Company's customers, suppliers, employees,
consultants or co-ventures with the Company for study, evaluation or use; and
 Any other information not generally known to the public which, if misused or
disclosed, could reasonably be expected to adversely affect the Company's
business.
In case if you are found to have violated any terms of Clause 09, the Company shall have
the authority to take any strict action and seek compensation for the damage caused by
the violation.
10. Confidentiality:
You are abide to understand that your obligation to maintain the confidentiality and
security of the Company's trade secrets remains with you solely even after your
employment with the Company ends.
11. General:
 You will devote full attention and skill to the affairs of the Company and will serve to
the utmost of your ability to promote and advance the interests of the Company.
 It will be your responsibility to go through all the policies, processes, rules and
regulations of the Company, and keep updating yourself with the same regularly for
requisite observance.
 Your appointment is governed by company's policies and rules as applicable from
time to time.
 For any dispute, the local court would have the jurisdiction.
 You will not at any time during the continuance or after the termination of your
services with the Company irrespective of any reason for such termination, make use
or disclose to any party either for your own benefit or for the benefit of any
individual, firm, company, any trade or business, the affairs and confidential
information of the company or any of its related companies of which you have been
informed or become aware during the period of your service with the Company.
 You will obey and comply with all orders and instructions given to you by the
Company or its authorized personal and observe all standing and other rules and/or
regulations now in force or from time to time lay down by the Company.
12. Termination of Employment:
 You may, at any time, terminate this agreement and your employment by giving prior
written notice not less than a month to the employer.
 The company may terminate this agreement and the employee’s employment at any
time, without notice or payment in lieu of notice, for sufficient cause.
 In the event of your termination, you shall handover all the assets of the company to
your immediate supervisor or to the employer.
 In the event of your being guilty of misconduct or inattention or negligence in the
discharge of your duties or in the conduct of the Company’s business, or such offense
which is likely to affect, or affects the reputation of the Company’s working or of any
breach of the terms and conditions herein, the Company reserves its right to terminate
your services at any given point of time, with immediate effect, without any
compensation or notice.
13. Amendment:
This agreement will be amended time to time as per the necessity of the company and the
staffs. The amendment will be added as ‘Annexure’ or ‘Schedule’ in future.
Please confirm the above terms and conditions are acceptable to you by signing a copy of this
letter of appointment.
