Introduction

GIPSI History
Initially, Saipem health service has developed an in-house program
called MED, it was released in 1995 to major projects, sites and vessels
of the company. The transfer of data then was quite complicated and
time consuming, using a floppy disk to import and export data, then
sending it to corporate office via courier and vice versa.
Three years later, in June 1998 the program was improved and renamed
to GIPSI. The transfer of information was generally improved with
introduction of email system to vast majority of peripheral units, but
import and export data remains the only way to transfer information to
corporate office. It was in June 2004 when a real-time access to the
program was developed, GIPSI web was born. In 2016, GIPSI system was
redesigned incorporating Symantec - VIP Access application to access the
program. Now majority of the projects, sites and vessels are connected
to it.

Confidentiality
The program assure that strict confidentiality of medical information are
observed within the minimum qualified medical professionals, currently the
software is programmed to require individualized One-Time Password (OTP)
password using Symantec - VIP Access application. This is structured to
protect the personal (both sensitive and common) data, preventing
unauthorized persons’ use.

2. Routine day to day medical consultation (Daily Agenda)
Daily Agenda is one of the most important features of GIPSI, this is
where all day to day medical consultation done to each employees
are inserted. It includes routine medical and accident treatments,
vaccinations, prophylactic management and follow up visits. The
advantage of having this record is for the health personnel to easily
tract the treatment provided to each employees. All data inserted
for each single employee whenever he is assigned are traceable. This
will definitely assist in future individual health care management for
each employee.

2.1 Routine day to day medical consultation (Daily Agenda)
Here are items where Daily Agenda requires precise information:
NAME – It is important that the data are inserted on the right employee; this will
protect the patient himself, the other employees and the Health department
DATE – Date is important in tracking previous treatment provided to each employee.
To standardize the system, the program follows the date code
Date/Month/Year.
DISEASE – The 10th revision of World Health Organization classification of disease
was adopted by the program. Accurate classification should be strictly
observed by all health personnel because this is the only source of morbidity
rate of the company.
ABSENCE – Days of absence is necessary to tract its frequency and the cause of
absences. It is mandatory to insert daily records of all employees with sick
leaves in daily agenda from initial treatment date until the final day of
absence.

3. Accidents declaration and reporting
In collaboration with Safety department, Accident records in GIPSI
must be accurately filled in whether the accident is work related
in nature or not. This is important to extract accident related
information and statistics necessary for data analysis for company
future safety prevention program. It consists of two parts:

First aid case (FAC)
Lost time injury (LTI)
Work restricted case (WRC)
Medical treatment case (MTC)
Fatality (FTY)
Not Work Related

5. Medical Inventories
It provides a comprehensive, real time data of medicines,
consumables and equipment stocks on each operating site. It allows
the medical personnel to:
• assure enough standard medicines, consumables and equipment at
disposal on the respective project, sites or vessels,
• automatically control its expiration dates
• properly plan the replenishment of stock, complying with the
quality management system (QMS).
• It also assures cost effective management of medical store, giving
indications on optimising the quantity of medicines to be
purchased.

6. Health expenses records (PSS)
PSS stands for Pianificazione Strategica Sanitaria or Strategic Health
Planning. This feature intends to monitor and control medical
expenses of each work sites. All health related expenses such as
hospitalization, referrals, medicines, consumables, instruments,
salary of health professionals and other health related expenses are
kept on the program. All amount expressed in the program should be
in EURO.

7. Site Hygiene
Maintaining a good quality of living standard for the employees is a major
concern. A standard guide is provided to the site medical personnel to
monitor and record hygiene situations of his site assignment. Hygiene
inspections results in all work sites are recorded in GIPSI at least once a
month.

8. Other reports
These include the following reports:
Medevac Drill - shall record all Medevac drill performed on sites.
Health Trainings - shall record all trainings carried out both for health
and non-health personnel during the month.
Malaria Awareness Lecture and Malaria Case Report - shall be filled in
with the data regarding the Malaria Control program. Includes both
information campaign and cases reporting applicable only to
projects located in Malaria high-risk areas
Occupational Exposure Monitoring - Applicable to projects/site/vessels,
after risk assessment carried out has shown that there is an actual
exposure hazard to Chromium, Isocyanate, Mercury and Nickel or
when related diseases has been identified in an employee
potentially exposed to it. The results of examination are recorded
on individual employees record.

Employees Management
This menu is intended for the record of every Saipem employee. It include
personal data, fitness examination record, daily agenda, training record,
accident record etc. You can also extract reports and record summary such as
expiration visits, daily reports, absences summary, training summary,
vaccination summary, clinical folder, fitness w/o entries to other records, etc.

Site Reports & Statistics
This menu is intended for the work site data and report. This include PSS,
health training, medevac drill, site hygiene, malaria report and occupational
exposure monitoring.

Inventory
This menu is intended for the work site Inventory Management. This include
supplies management of medicines, consumables and Equipment.
