Accounting Reports in Tally
Tally's Display of information is designed to allow a user get the maximum benefit of
the data that is entered. A user gets a holistic picture of the data and is also able to
present information using different options. The purpose of compiling data is to
present it in comprehensible accounting reports. On entering the vouchers, Tally ERP
9 uses the same data and provides you with the management control reports in
addition to all books and statements.
The display screens of Tally ERP 9 are dynamic and interactive. They are not spooled
print files but are specially designed for the screen. Whatever you see on the screen
can be printed as well depending upon your printer’s capabilities.
To view the Display Menu:
Go to Gateway of Tally > Display
The Display Menu screen is displayed as shown:
Gateway of Tally displays only the Balance Sheet
and Profit & Loss Account directly as these
statements are considered the most important. All
the other Tally ERP 9 reports are classified into two
broad categories, namely. Accounting reports and
Inventory reports conforming to the two major
areas of operations. Each area is further grouped
into books and statements.
The Cash Flow and Funds Flow display too has not
been grouped under Statements of Accounts.
Trial Balance provides you a report on the account
balances sorted by groups, for all the accounts of
the selected company. In other words, the Trial
balance displays a collection of main groups and
their closing balances.
The Stock Summary is a statement of stock-in-hand
on a particular date and gets updated every
transaction so as to provide the current stock
position.
The Ratio Analysis Statement is a single sheet report indicating the company’s
performance based on values and key indicators, over a selected period. This report
gives a manager an idea of the company's financial condition and where it is going in
the short-term.
The Day Book contains all vouchers for the day, including inventory vouchers. Its
purpose is to show you a day's transactions, though you can display a report for any
period using Change period option.
The List of Accounts gives the tree structure of all your masters, namely, Groups,
Ledgers, Stock items, Cost Centers, Currencies, etc.
Exception Reports are those reports that track unusual transactions or balances.
Tally ERP 9 creates the books of accounts and the financial statements based on the
vouchers entered till date. You can then customise the appearance of reports as
required.
For example, you can compare different companies, periods of the financial year,
groups and ledgers.
Press Enter after highlighting the item in a report, to navigate to the next level of
detail till you reach an individual voucher. Similarly, you can navigate back to higher
levels by pressing Esc. The special features available for a displayed report are
indicated on the button bar, which can be operated by a single- click of the mouse.
Accessing reports
The Gateway of Tally menu provides access to all the financial reports listed in the
Display Menu.
For example, if you want to view the Sales Register,
Go to Gateway of Tally > Display > Account Books > Sales Register.
Tally ERP 9 will display the report for the currently selected period.
Modifying Reports
On selecting a report name from a menu, the report is displayed. You can modify the
display to suit your requirements using the appropriate buttons from the button bar.
If you select the buttons using the keyboard, the conventions are:
• F(n): Press F(n)
• F(n): Press Alt + F(n)
• F(n): Press Ctrl + F(n)
F1: Detailed/Condensed
Adds a further level of detail to the report, or condenses the report.
F2: Period
You can change the period of the report by specifying From/To dates.
F3: Company
If you have more than one company selected, this button enables you to switch among
them to display the new company data in the current screen format.
F11: Features
Use this button to navigate to the Company Features menu.
F12: Configure
This button enables you to define the display of information in a report.
For example, depending on the report displayed you can specify whether it should be
in horizontal/vertical/detailed/condensed format, show percentages, show gross
profit, show opening and/or closing balances, change the periodicity, change the basis
on which information is sorted, and so on.
For instance, if you want to view graphs with monthly reports:
1. Select the F12: Configure Button while in the Gateway of Tally screen and you
will be taken to the Configuration menu.
2. Select General and by default Show Monthly Reports with
Graphs under Other Options is set to Yes. If this option is No set it to Yes.
F12: Range
This button enables you to filter the information displayed based on monetary values.
For example, you can specify that you want Tally to display only Vouchers having
Batch Names greater than 5,000 in a Day Book.
F12: Value
This button enables you to filter vouchers.
For example, you can specify that you want vouchers having Employee-Attendance
Entries with their Designation containing all the details about the employee.
C: New Column
This button enables you to add and display another column in the report to compare
information.
You may choose to include post-dated transactions in the values while adding the
column, by setting the option Types of Value to show to Actuals with Post-dated.
You can also view reports with the values of only the post-dated transactions.
A: Alter Column
This button enables you to alter the details of a new column added previously, for
example, the date range. Select the column to be altered by positioning the cursor
on it.
D: Del Column
Use this button to delete the columns, which you no longer wish to have in the report.
N: Auto Column
Use this button to add multiple columns to a report.
For example, add columns for each month, or to accommodate other companies if
more than one company has been selected. You can also have a total column for some
of the reports.

Statements of Accounts
Statements of Accounts are derived from the transactions recorded in the books of
accounts. In Tally.ERP 9, they are generated for cost centres and outstanding accounts
Outstandings
The Outstanding Statement in Tally.ERP 9 displays the status of receivables and
payables of the business concern. These are the two important components of the
working capital of every business entity. Receivables form a major component of current
assets whereas payables form a component of current liabilities. Both determine the
short-term liquidity and financial health of the company considerably. Therefore,
effective control of the receivable and payable is a must for the financial soundness of a
business concern.
The Outstanding Statement Display in Tally ERP 9 can be any one of the following.
Receivables
This statement displays the sundry debtor's bill-wise balance till date. It is to be noted
here that since this statement displays the information bill by bill, the same needs to be
activated while recording the transactions in Tally ERP 9. This statement provides the
following information:
• The effective date of the invoice.
• The reference number given in the invoice while providing the bill-wise details.
• The party name and the outstanding balance of a particular invoice.
Payable
Payable outstanding displays the outstanding bill-wise balance of the sundry creditors.
Again, this information can be viewed only on activating and entering the bill-wise details
while recording the transactions. The information provided is similar to the receivables
outstanding.
The uses of a payable outstanding statement are as follows:
• The pending party-wise bills and the number of days by which they are over-due
can be viewed.
• The interest liability that is likely to arise can be estimated with the help of the
number of days over-due.
• The credit period allowed by the party can be analysed and the need for arranging
short-term funds can be evaluated.
Ledger
This summarises and displays the outstanding balance information with respect to each
party. Thus, the bill status of a particular party account can be viewed with the help of
this statement. Some of the uses of a ledger outstanding statement are:
• It displays information similar to the receivable and payable outstanding
statements, but with respect to a particular party ledger. Thus, this statement can
be put to a similar use as stated above.
• It facilitates the viewing of the address and contact details of the party selected,
by using the Alt + C button.
• It can be used to generate reminder letters to be sent to the party specifying the
details of outstanding bills. It is one of the very useful features in Tally.ERP 9 used
with the Print Option.
Group
It displays a summarised view of the balances of all the ledgers under a particular group.
For example, Sundry Debtors Group will display all the party ledgers with their account
balances. It can further be drilled down to each account to show the bill-wise outstanding
for that account.
Some of the uses of a group outstanding statement are as follows:
• Summarised information can be viewed and analysed for each group.
• Another group can be displayed in a column using the Alt+C: New Column button
on the screen and comparisons can be made.
• Group details can be printed and submitted as a supporting schedule to the
financial statements.
• The detailed break-up of parties under the chosen group and their pending
balances can be viewed.
Banking
Banking Module has been enhanced in Tally ERP 9 to simplify the overall banking
experience. A separate menu Banking has been provided under Utilities in
the Gateway of Tally. The user need not go to different menus to operate the banking
related operations in Tally ERP 9, such as Printing Cheques (pre-
Configured), BRS (Bank Reconciliation Statement), Printing Cheque/Cash
Deposit Slips, printing Payment Advices, managing Cheques, Import Bank
Statement for Auto BRS, etc.
The banking transactions can now be provided with Bank Allocation details such as the
Transaction Type, Instrument No, Date, etc. A single bank amount can also be allocated
to multiple transaction types such as Cheque, Electronic Cheque, Electronic DD/PO, Inter
Bank Transfer, Others and Same Bank Transfer based on the requirement.
The BRS screen now provides detailed information with regard to transaction types,
instrument no., instrument date, cheque favouring, etc. The user can also
provide Opening BRS for unreconciled transactions.
Features of Banking in Tally ERP 9
The salient features of Banking in Tally ERP 9 are as follows:
Cheque Printing:
• Allows user to configure cheques for banks using sample formats provided, which
come along with images.
• Supports multiple Cheque formats for a single bank.
• Allows user to print the pending or already printed or the required cheques
continuously from a single screen.
• Also allows user to update the cheque details and have track of cheques to be
printed, of a selected or all banks.
• Vertical Cheque Printing is an enhanced feature in cheque printing.
• Configurations can be stored on Tally.NET Server for easy maintenance and
update.
Cheque Register
• Allows user to configure cheque number ranges for Auto cheque numbering based
on cheque range.
• Duplicate cheque number validation
• Report for cheques issued (like the issue log slip in the cheque books)
• Inventory of cheques available (not used)
• Stale/cancelled cheque management
• Filters based on Cheque range
Bank Reconciliation:
• The BRS screen allows user to reconcile the bank account.
• This screen will now provide detailed information with regard to transaction types,
instrument no., instrument date, cheque favouring, etc.
• User can also provide Opening BRS for unreconciled transactions.
• Allows user to import bank statements to perform Auto Bank Reconciliation.
Deposit Slips:
• Bank-wise Cash Deposit Slips for the Cash being deposited can be generated
automatically along with cash denominations.
• Cash Deposit Slips that are required to accompany Cash that is being deposited
to the Bank can be generated automatically along with cash denominations.
Payment Advice:
• The payment advice sent to the suppliers / other parties along with the
cheques/other instruments may be generated quickly from the voucher itself.
To access Banking, go to Gateway of Tally > Banking.
Migrating Banking Vouchers for Existing Data
When the existing users of Tally ERP 9 access their company data
using Tally ERP 9 Release 3.0 for the first time, will migrate the
Banking vouchers.
On completion of migration, the following has to be considered for
Bank Reconciliation:
•The Transaction Type row in the Bank Reconciliation screen
will be blank.
The
• user may alter the vouchers and select the
appropriate transaction type (Cheque/DD) in
the Bank Allocation table and accept the vouchers, in case required.
• The Instrument Date displayed in the Bank Reconciliation screen will be
the Voucher Date. The reconciliation will be based on
the Instrument Date provided in the Bank Allocation table and not on
the Voucher date.
Note: Atleast one Transaction Type should be enabled for Payments and Receipts.
o Show Additional Bank Details For: Banking Details include Account
Number, IFS Code, Bank Name for Inter Bank Transfers and Account
Number for Same Bank Transfer. On enabling this option, all these
Additional Details will get displayed during Voucher entry. If the user doesn't
want to display these details during entry, the option None can be selected.
o Allow to Enter Beneficiary Code: On enabling this option, a
button B:Show Beneficiary Code/Hide Beneficiary Code is available in
the Ledger Master Creation/Alteration screens. This will help the user
enter Beneficiary Code, specific to the Bank selected in the Company
Note: All Ledger Creation/Alteration screens have the option Allow to Enter
Beneficiary Code, except Cash, P& L and Bank
o Show Transfer Mode: Enabling this option, will display the Mode of
Transfer (NEFT/RTGS) in the Bank Allocations screen for Inter Bank
Transfers transaction type while passing Payments and Receipts voucher
entry. This will get picked up during voucher entry using Voucher Class
o Enable Bank Details for Cost Centres: This option is available only if Cost
Centres and Cost Categories are enabled for the Company. On setting this
to Yes, the Cost Centre Creation screen will have the option Provide Bank
Details.
o Import Beneficiary Bank Account Details: Bank Account Details of the
beneficiary can be imported in Excel Format, if this option is set to Yes
If this option is set to Yes, the Import of Data screen appears as shown below:
Enter the Import File Name, with the location to import the required Excel File.
To view a sample file, click P: Payee Sample File.
Using Cheque Printing Options - Accessing, Configuring, and Printing Cheques
The Cheque Printing option in the Banking menu allows the user to print all the
pending, already printed or the required cheques continuously from a single screen. It
also allows to update the cheque details of a transaction, i.e., the instrument no,
instrument date, cheque favouring, etc. The bank ledger needs to be enabled for cheque
printing from ledger creation or alteration mode.

Accessing Cheque Printing
To access Cheque Printing screen
1. Go to Gateway of Tally > Banking > Cheque Printing.
The Select Bank screen displaying the List of Bank appears as shown:
2. Select All or the required Bank account from the List of Bank.
3. Press Enter.
The Cheque Printing screen of the selected Bank is displayed as shown:
4. By default, this screen displays list of pending cheques of the current date’s
month.
5. Click F6: Show All to display all the cheques.
Note:
1. The Bank Reconciliation screen can also be accessed from Gateway of
Tally > Display > Accounts Books > Cash/Bank Books >
Select Bank Ledger > Select a month > F5: Reconcile.
2. By default, the screen displays the period range from date specified in the Effective
Date for Reconciliation in the Bank ledger master till the date of last entry.
3. The Bank Date has be to be provided based on the Instrument Date and not
on Voucher Date.
Button options in Bank Reconciliation screen
F2: Period
Press F2 key or click F2: Period to specify a period for which the Bank Reconciliation
screen is to be displayed.
S: Set Bank Dates
To set a bank date for all the transactions for reconciliation, click S: Set Bank
Dates button or press Alt+S key.
On pressing Alt+S, a Set Bank Date sub-screen appears as shown:
• Instrument Date: On selecting Instrument Date as the Bank Date Type,
the Bank Date field for all the transactions in the Bank Reconciliation screen is
filled with the instrument date entered for that transaction in the Bank Allocations
screen.
• New Date: On selecting New Date as the Bank Date Type, a new
field Date appears in the Set Bank Date sub-screen.
Specify the required bank date that is to be filled for all the transactions in the Bank
Reconciliation screen.
• Voucher Date: On selecting Voucher Date as the Bank Date Type, the Bank
Date field for all the transactions in the Bank Reconciliation screen is filled with
the Date of Voucher.
C: Create Voucher:
Press Alt+C key or click C: Create Voucher to create a voucher from the Bank
Reconciliation screen itself.
U: Opening BRS
In Tally.ERP 9 Series A Release 3.0 onwards the user may provided opening BRS to the
unreconciled transactions using this function.
The opening BRS will be used in the following scenarios:
• The BRS feature was used in the middle of the financial year by setting Effective
Date of Reconciliation in Bank ledger master in Tally.ERP 9, or
• Accounting was started in Tally.ERP 9 in the middle of the financial year.
• Opening balance of Bank having unreconciled transactions brought forward
to Bank ledger created in Tally.ERP 9, or for other reasons.
In these cases the user had to manually keep track of the unreconciled transaction until
they are reconciled.
To provide Opening BRS:
• Click U: Opening BRS.
• The Opening Bank Allocation screen for the selected Bank is displayed as shown:
• Provide the unreconciled transaction details based on the nature of
transactions (Deposit/Withdrawal) as shown:
Note:
1.The Favouring Name column displays only those names which are different from
the Party/Ledger account names.
2. Bank Reconciliation capability has been enhanced, from this screen users can
* View the voucher display by pressing Alt + Enter from Bank Date field
* Alter the Voucher by pressing Ctrl +Enter from Bank Date field
Show all Unreconciled Transactions Till Date
Set this option to Yes to display all the Unreconciled Transactions till the given date,
irrespective of the From date set in the Bank Reconciliation Statement.
Note:
1. This option is also available in Gateway of Tally > F12:Configure > General.
2.The option set will be applicable to all the banks for the selected company.
Appearance of Name
Select the required Display Name Style from the list to display in cheque printing
screen.
The completed Bank Reconciliation screen is displayed as shown
Note: The Cheque Deposit Slip screen displays only transactions which
have Cheque/DD as Transaction type allocated in the Bank Allocation table in
the receipt voucher entry.
3. Select the required row from the Cheque Deposit Slip list, and press Enter to
open the voucher in Alteration mode.
4. Click F2: Period to change the period.
5. Click F4: Bank to select other required bank from the list.
6. Click F5:Cash to view cash transactions (for the same bank).
7. Click F6: Show All to:
• View the transactions for which cheque deposit slips have not been printed. View
all transactions for the bank for the period mentioned.
8. Click F7: Edit Ch Details to edit or update the Received From name
and Instrument No.
Note:
The Received From is an additional field available in the Cheque Deposit Slip screen
that you can use to specify the name of the cheque issuer (Individual/Business
Organisation), to be printed in the deposit slip or report.
When you access F12: Range for filters in Edit Cheque Details screen, the system
prompts you to Accept the current screen before proceeding.
9. Accept the screen to save the settings.
10. Press Ctrl+P: Mark as Printed allows to mark all the Cheque Deposit
Slips as Printed at once.
11. Press F12: Range allows to filter the Cheque Deposit Slip screen. The
user may filter the cheque details based criteria such as
the Amount, Bank Date, Date, and Party Ledger.
Printing Cheque Deposit Slip / Cheque Deposit Slip Report
You can select All or the required receipts to be included in the Cheque Deposit
Slip. The Cheque Deposit Slip report prints all the receipts for the selected period.
Printing Cheque Deposit Slip
To print the Cheque Deposit Slip
• Go to Gateway of Tally > Banking > Deposit Slip > Cheque Deposit Slip.
• Select the required bank account from List of Banks. The Cheque Deposit
Slip screen appears displaying the list of receipts.
To include all the receipts in the Cheque Deposit Slip
• Click Print.
To include selected receipts in the Cheque Deposit Slip
• Press Spacebar on the required receipt row(s).
• Click Print. The Printing Cheque Deposit Slip screen appears.
2. Set the option Show Forex Transactions only to Yes to display only the forex
transactions. By default, this option is set to No.
Note: This option appears only in case the company is enabled
with multi currency feature.
3. Set the option Show Received From option to Yes to
display Received From column in the Cheque Deposit Slip screen. By default,
this is set to No.
4. Set the option Show Bank/Branch Name Also option to Yes to
display Bank and Branch columns in the Cheque Deposit Slip screen. By
default, this is set to No.
5. Set the option Show Remarks also option to Yes to display Remarks column in
the Cheque Deposit Slip screen. By default, this is set to No.
6. Select the required Display Name Style in the Appearance of Name field, that
you want to use in the deposit slip screen.
7. From the Scale Factor for Values list, select the required scale factors..
8. Select the required sorting method from the list.
The entire objective of creating Cost Centres is to allocate expenses and revenues to
Cost Centres.
After allocating the Cost Centers, the payment voucher entry screen is displayed as
shown.
Cost Categories
Cost categories are useful for organisations that require allocation of revenue and non-
revenue items to parallel sets of cost centres. Cost categories facilitate third-dimensional
reporting of expenditure and revenue. For example, region-wise or geography-wise,
Grade-wise, Department-wise, cost categories.
You can use cost categories you can allocate, in parallel, a transaction to more than one
set of cost centres. For example, Cost Centres such as Marketing, Finance and
Manufacturing can now belong to a category - Departments.
The Salesmen A, B, and C can be Cost Centres under a Category - Executives.
Similarly, you can create a new Cost Category Projects under which Cost Centres such
as airport construction, road construction and buildings may be created. The
classification appears as following:
You can specify a Cost Category to allow allocation of only revenue items or items of
both revenue and capital (Non-Revenue) nature.
By allocating expenses to parallel Cost Centres under different categories, you are simply
assigning the amounts to them; the amount does not increase. Tally.ERP 9 performs an
automatic reconciliation on real-time basis, saving you the effort of reconciling Ledgers
and Cost Centres.
Note: Transactions are not allocated to Cost Categories but to Cost Centres only.
Enable Cost Category
Cost categories are useful for organisations that require allocation of revenue and non-
revenue items to parallel sets of cost centres. Enable cost categories in F11 features to
create and use cost categories.
1. From Gateway of Tally > Click F11: Features > Accounting Features .
2. Enable the option Maintain Cost Centres?
3. Enable the option Maintain more than one payroll or cost category?
The Company Operations Alterations screen appears as shown below:
Note: At least one of the options Allocate Revenue Items or Allocate Non-Revenue
Items must be enabled.
Create multiple cost categories
1. Go to Gateway of Tally > Accounts Info. > Cost
Categories > Create (under Multiple Cost categories ).
2. Enter the Name of Category .
3. Enable Revenue Items to allocate all sales, purchase, expenses and income-related
transactions to cost centres created under this cost category.
4. Enable Non-Revenue Items to allocate transactions related to capital account and
other non-revenue accounts to cost centres created under this category.
5. Press Enter .
6. Enter Name of Category and select Allocations for the Category as required.
The Multi Cost Category Creation screen appears as shown below:
Note : You will not be able to delete a Cost Category in multiple mode.
The following buttons are provided in the multi cost centre mode.
● F6: Skip names : It is used for quicker data entry when you need to alter only the
Allocation details and not the names of the Cost Categories.
● F8: Skip Details : It is used for faster data entry when you do not need to alter the
Allocation (Revenue and Non- revenue) details. You need to give only the names and the
default allocations of Yes for Revenue and No for Non-revenue display automatically
when you are creating Cost Categories. If you are in Alter mode, the allocations that you
opted for when creating the Categories are retained.
● Groups, Ledgers, Cst Ctr : It enables you to switch to these areas, without having
to quit from the current screen.
● F11: Features : It is used to change company features. For more information
refer F11: Features in Tally.ERP 9.
Note : F12: Configuration changes affect all companies, whereas F11:
Features changes affect only the current company.
Delete a Cost category
1. Go to Gateway of Tally > Accounts Info. > Cost
Categories > Alter (under Single Cost Category ).
2. Select the Cost Category from the List of Categories . The Cost Category
Alteration screen appears.
3. Click D : Delete .
4. Click Enter to confirm deletion of the cost category.
Note: A cost category tagged to a cost centre can't be deleted.
Cost Centres
A cost centre is any unit of an organisation to which transactions (generally, revenue)
can be allocated. When only costs or expenses are allocated to these units, they are
referred to as Cost Centres. When profits are also allocated to these units, they become
Profit Centres. You can now obtain a Profit and Loss account of each such Profit Centre.
Transactions are allocated to cost centres. This enables accounting all transactions for
that particular cost centre. You can view the cost centre break up of each transaction
as well as the details of transactions for each Cost Centre.
Some examples of Cost Centres are:
● Departments of an organisation - Finance, Manufacturing, Marketing, and so on.
● Products of a company.
● Individuals such as Salesman A, Salesman B.
You can classify cost centres, just as you classify Group/Ledger accounts. You can have
Primary Cost Centres and several levels of Cost Centres under each Primary Cost Centre.
Consider the following example.
● Primary Cost Centres - Finance, Manufacturing, Marketing.
● Under Marketing, classify the company's sales executives (Salesman A, Salesman B,
Salesman C) as Cost Centres. This will help you track a sales executive's performance,
in terms of cost and revenue generated.
Allocate expenditure incurred on sales by the salesmen, as well as the sales generated
by them, directly to their Cost Centres. The allocation is done at the time of voucher
entry. This prevents allocation errors at the end of the period.
By allocating expenses and sales transactions to the salesmen, you are setting up a
valuable information system that tracks the performance of your salesmen.
Enable Cost Centres
A cost centre is any unit of an organisation to which transactions (generally, revenue)
can be allocated. When only costs or expenses are allocated to these units, they are
referred to as Cost Centres. When profits are also allocated to these units, they become
Profit Centres.
1. From Gateway of Tally > Click F11: Features > Accounting Features .
2. Enable the option Maintain Cost Centres?
3. Enable the option Maintain more than one payroll or cost category? to maintain
cost categories.
4. Press Ctrl+A to save the Company Operations Alteration screen.
By default, Tally.ERP 9 activates the Cost Centre feature for Ledger accounts
under Sales Accounts , Purchase Accounts, Expense and Income groups.
Create Cost Centre
In order to create a Cost Centre , enable Maintain cost centres in F11: Accounting
Features . For parallel allocation of Cost, you can enable Maintain more than one
payroll or cost category . By default, Tally.ERP 9 activates the Cost Centre feature for
Ledger accounts under Sales Accounts , Purchase Accounts,
Expense and Income groups. Multiple cost centres can be created in one go in multiple
mode.
Create a single cost centre
1. Go to Gateway of Tally > Accounts Info. > Cost Centres > Create
( under Single Cost Centre) .
2. Press Backspace to change the default Category , if required.
Note : The field Category is available only if the option Maintain more than one
payroll or cost category? is set to Yes in F11 (Features)
3. Enter the Name .
4. Select the parent cost centre Under which the cost centre has to be grouped.
5. Press Enter to save the Cost Centre.
Note: Unlike groups, you can allocate transactions to Primary Cost Centres . However,
you should do so when you do not have Sub Cost Centres under the Primary Cost Centre.
Create multiple cost centres in one-go
1. Go to Gateway of Tally > Accounts Info. > Cost
Centres > Create (under Multiple Cost Centres ).
2. Select the parent cost centre in the field Under Cost Centre .
3. Select the Cost Category .
Note: The field Category is available only if the option Maintain more than one payroll
or cost category? is set to Yes in F11 (Features)
4. Enter the Name of the Cost Centre.
5. Select the Cost Centre in the field Under .
Note: If you select All Items in the field Under Cost Centre , then you can select a
specific cost centre in the field Under . If a specific cost centre is selected in the
field Under Cost Centre , the selected cost centre will be displayed in the field Under .
Alter a Cost Centre
You can alter an existing cost centre in the single mode. Alternatively, multiple cost
centres can be altered in the multiple mode, if required.
1. Go to Gateway of Tally > Accounts Info. > Cost Centres > Alter (under Single
Cost Centre ). The Cost Centre Alteration appears as shown below:
♦ If your company uses Tally.Server 9 to maintain data, backup has to be taken from
the server data location. Click S : Server Data Loc in the Backup Companies on
Disk screen, and select the server location as Source .
2. Copy the Data folder and paste it in a different local disk or an external drive.
You can also copy the folder of a particular company, as shown below:
2. Press Alt+D or click the address bar. The location will be highlighted in blue.
3. Press Ctrl+C to copy the path.
4. Open Tally.ERP 9 and select the company.
5. Press Ctrl+Alt+V to paste the location. The companies will be listed as shown below:
Similarly, you can also restore the data of a particular company in the folder format.
Errors and Resolutions
1. Unable to backup
This message is displayed if the data that you are backing up is damaged.
Solution
1. Open the Tally.ERP 9 data folder, and copy the company folder to a different location.
For example, if your data folder is D:\Tally.ERP 9\data\10001, copy 10001 to a different
location.
2. In the Tally.ERP 9 data folder, open the company folder, and compare the size of the
files Company.900 and CmpSave.900 .
3. If there is a difference in the size, delete Company.900 then take a copy
of CmpSave.900 in the same folder and rename CmpSave -
Copy.900 as Company.900 as below:
