UNIT 1

3. Prepare and outline the Closed-Ended Questions, Open-Ended Questions, and

Probing Questions that you will used during the data gathering of your system project.
Close-Ended Questions
- Do you value fast services inside the restaurant?
- Are you open for suggestions with regards to providing customers a better and faster service
inside the restaurant?
Open-Ended Questions

- What are your business’ strengths and weaknesses?

- What do you think is your business’ best asset compared to the other restaurants or
coffee shops?
- How do you train your employees to perform their tasks effectively?
Probing Questions
- Why did you decide to establish this kind of business?
- Can you tell me more about your target customers?

4. Discuss how will you analyze your gathered data, and will you present or
assemble the collected facts into a meaningful form.
First foremost, the team will use the aforementioned questions to gather information
needed to conduct an online survey and deliver it to the target respondent, being the manager
of the business. Following that, the survey results will be collected, analyzed, and classified in a
precise way. This information is important or meaningful due to its potential to determine
whether the new system will be favorable to the business's growth.

5. Project Control. Design important standard procedure for the development and
operation of the systems. Such as staff responsibilities, operating procedures, data
preparations, control and job specification, file and data usage, system test
mechanism, audit trails, and documentation standards.
The following are the important standard procedures for the development and operation of
our system:
1. Staff Responsibilities
TEAM LEADER
A development team lead oversees the entire software team. They usually come from a
background as a developer, QA tester, product manager, or another technical position. They do
not, however, just write or design code. Instead, they coordinate efforts across teams in order
to successfully deliver software products.
CODER / PROGRAMMER
Computer programmers and mobile app developers create code. To keep everything working
properly, they are also involved in system and software maintenance, bug fixing, and
troubleshooting.
SYSTEM ANALYST
Maintenance of software systems, system problem solving, meeting with users to define
business needs, project management, serving as a team leader, and supervising lower level
information technology staff are typical responsibilities.
2. Operating Procedure
To describe the collected data, the team will employ the descriptive method. In order to obtain
primary data from respondents, online surveys and questionnaires were used in Roco's café.
The PHP programming language will be used for design, and SQL will be used for the database.
The Structured Approach method was used to develop the system. Is a programming approach
in which the program is created as a single structure, as the name implies. It means that the
instructions will be executed one by one by the code. It does not support the ability to use
statements like GOTO to jump from one instruction to another. As a result, the instructions for
this approach will be carried out in a systematic manner.
3. Data Preparation
We created a questionnaire for them to respond to during data collection and conduct an
online survey. All of the information we gather will be included in our study.
4. Control and Job Specification
Payroll is the process of paying employees in Roco's cafe which includes keeping track of hours
worked, figuring out salaries, and transferring checks or money transfers to employees'
financial transactions.
The personnel at Roco's Cafe can easily determine how many transactions take place each day
using online transaction processing. These transactions will aid them for accounting purposes.
5. File and Data Usage
In some ways, going back to the beginning with the help of the data we gathered and its
analysis and interpretation. For as long as the program or intervention is in place, we may use
the knowledge we got to modify and enhance it, evaluate it again, and then utilize the new
knowledge to modify and enhance it still further.
system test mechanism

6. System Test Mechanism

First, we will test the product or program to see if the user experience is satisfactory or not. All
of the information we collected has to be protected and filtered. And we will verify that a
product works and functions properly in accordance with user specifications and that any code
additions or changes won't harm any current functionality.
7. Audit Trails
A set of records of computer events, about an operating system, a program, or user behaviors,
is known as an audit trail. Each audit trail on a computer system may be dedicated to a different
kind of activity. Reviewing and analyzing management, operational, and technical controls is
what auditing entails.
8. Documentation Standard
Papers are the sole physical representation of software and the software development process,
documentation standards are crucial in software projects. Standardized publications should be
simpler to read and comprehend because they have a standard look, structure, and quality. The
team will assess what kind of approach has to be employed in constructing a system in
accordance with the document standard for system development. Every strategy has several
phases or procedures that must be followed in order to finish a project. Additionally, the stages
will serve as the foundation for the system development papers. Overall, the documents
needed in proposing a system contains relevant information from reliable and valid resources
for users to comprehend the importance and the content of the system.

6. Project Problems. Identify what are the probable project problems in terms of
Cost, Timing, and Human Resources.
Many common issues can arise during the course of completing a project. Cost, timing, and
human resources are a few examples. The Time. According to a relevant survey, less than half
of companies stated that completing projects on time and meeting project deadlines were
among their most difficult challenges. Delays can occur if unforeseeable external changes
occur, or if resources become unavailable. When project managers experience project delays, it
causes a variety of issues, including the start of additional project costs. Delays directly
correlate a deduction from your personal income to pay for other resources that were not
budgeted for. One of the most common issues in Human Resources is the need for high-quality
people skills. It is critical to select a project manager who possesses leadership qualities such as
moral uprightness, enthusiasm, courage, and optimism. This person must also have excellent
people skills, as this is a critical factor in avoiding a lack of team building and getting the work
started on the right foot.

7. Discuss how you will provide solution on your project problems stated in #6.
- In terms of cost and timing, practice time management and multitasking skills as much as
possible. Delays are difficult to avoid, but making an effort is a good starting point. Make a list
of everything that needs to be done before or on the due date to avoid unexpected increases in
project costs. In terms of Human Resources issues, the project manager must be able to listen
to the employees' concerns about the project. Allow them to discuss what went well and what
went wrong. In this case, everyone on the team will respect one another, which is one of the
many factors that will keep the group together.
