LEGEND
The following elements are used in the exercise booklet as “interface” indicators:

Common Data > BPs > BPs...........This shows directions to a function from the general X3 menu (X3 menu
path from standard Admin home page)
Screen Tab
.........................................Indicates a tab in a multi-tab X3 function, such as Controls or Financial
in the Common Data > BPs > Customers function.
Field  Field Value  .................................Indicates a screen field and the value that should be entered (if
necessary)
Check Box.......................................Shows a checkbox (or tick box) and its status
Button
...............................................Indicates an X3 button (located on the bottom part of the screen) such as

PREAMBLE
In much of the processes where common data is created (such as Customers or Products) the exercise
notes mention XXX in the data codes or designations. Replace that with your own initials. This is to
distinguish your data from other delegate’s data in case the servers are shared.

1. EXERCISE 1 – JOURNALS
Log in as TRAIN, leave password blank.

 Financials > Journals > Journal Entry

 Choose the Account option.
 This inquiry shows the detail of postings made to the account.

 Leave all parameters as they are set.

 The document that is shown is the Trial Balance (BALGRP).

2. EXERCISE 2 – CREATE COMPANY,


SITE & ACCOUNT CORE MODEL
 Parameters > Organizational structure

2.1. Create a new Account Core Model


 Use your Initials as the code and give it a long and short description
 Leave the legislation blank
   IAS depreciations
 Then set the Principal ledger fields to Legal, Analytical and IAS
 Set the Legal reference Auto Reference Base to No; the reference to TRA with a currency of Euro. Use
defaults to complete the row
 Set the Analytical reference Auto Reference Base to No; the reference to TR2 with a currency of euro.
 Use defaults to complete the row.
 Set the IAS reference Auto Reference Base to No; the reference to TRI with a currency of euro. Use defaults
to complete the row
 Set the Internal HQ reference Auto Reference Base to Yes with the source as Legal; (the reference will
default) with a currency of US Dollars. Use defaults to complete the row.

2.2. Create a new company


 Use your Initials as the code and give it a long and short description
General

 Legislation TRA 
   Legal company
 Leave main site field blank
 Country GB 
Accounting

 The account core model is the one you have just created
 First Fiscal Year is the beginning of this year
 Accounting currency EUR 
 Accounting code STD 
 Create an address record HQ for the headquarters in the United Kingdom

2.3. Create a new site for your company


 Use your Initials plus 01 as the code and give it a long and short description
 Add this site to your company in the United Kingdom
   Financial Site
 Accounting code STD 
 It is also a stock count site for asset management
 Create an address record HQ for the headquarters in the United Kingdom
 The site is open all week and is used for sales, purchasing, manufacturing and holds stock

 Then go back to your company and update the main site field.

3. EXERCISE 3 – CREATE A NEW ACCOUNT CODE

3.1. Collective Account / TRA plan


 Create a new collective account 420000 Employee Sal. in the chart TRA
New

 Add a short title and make it active
General

 Use the Mnemonic C2 and check that classification is 4
Controls

 Set automatic variances to yes of the balance sheet type
 Set tax management to not subjected
 Reporting codes should be line 1 debit BX and credit EA; line 2 debit UX and credit 8K
Miscellaneous

 The account must be matchable and set to allow the carry forward of balances in currency
 The balance update field should be set to customer and BP authorization is for customer, sales rep and
miscellaneous
Create

3.2. Collective Account / TRI plan


 Create the new collective account 420000 Employee Sal. in the chart TRI
 Add a short title and make it active
General

4. EXERCISE 4 – CREATE A MANUAL JOURNAL


BETWEEN SITES WITHIN A COMPANY

4.1. Specify the Linked Account

 Parameters > Organizational Structure > Charts of Accounts

 Plan Code TRB


 Linked Accounts
 Enter T92 in Site 1 and T93 in Site 2
 Double click on the accounts field and using the F12 key drill down to select an account record using the
quick select function in the description column to find “Reciprocal accounts”
Save

4.2. Create a One Page Journal


 Create a new 1PAGE journal
 Site T92 
 Document Type TRGEN 
 Date 08/03/10 
 Leave the default values
 Put in the line the following values:

 Account 607000
 Debit 1100.00 $

 Note that the system has added two new lines.

4.3. Create a Column Journal

5. EXERCISE 5 – OPENING OF FISCAL YEAR & PERIODS


Using the company you have created in Exercise 2.2, we need to open the current Fiscal Year and we will open
the periods up to the end of June 2011.

Common data > G/L Accounting tables > Fiscal Year

 Select your company in the left list


 Choose the first ledger “Legal”
 In the right screen select the Button “opening”

What do you assume concerning the others ledgers?

 Open the periods by entering in the menu

Common data > G/L Accounting tables > Periods


OR

 On the fiscal year you have just opened, use the RIGHT click in order to reach the periods function.
 Select the button Opening
 Set a value "NO" on the period of July 2011 to allow opening until the end of June only.

Financials > Journals > Journal entry

 Test your company is OK entering a new miscellaneous journal


 One page transaction
 Site = XXX1
 Date = Current date
 Account = 420000 C2 CTTCFR001 100 000
Account = 641100 100 000

As soon as you have created your entry, you can use the inquiries as shown in exercise number 1.

6. EXERCISE 6 – AMEND AN INQUIRY SCREEN


6.1. Inquire using a Financial Inquiry

 Financials > Inquiries > Accounts

 Company 910 
 Leave the site record blank.
 Select the following date range : 01/03/2010 31/03/2010
 Account 607000 
Search

 Choose account 607000 and SEARCH.
 The screen should show a list of postings to that account for both sites in the company.
 Right-Click on the line and drill down to the journal. This function allows you to view Journals.
End

Criteria

 Note the screen code at the bottom of the screen. (STDG)

6.2. Create your own screen amending screen CPT-STDG


Parameters > General parameters > Inquiry screens

 In the Inquiry Screens option in General Parameters, open the screen code under the CPT hierarchy that
you discovered in the previous action. (STDG)
 In the area called "screen code" add the value “X” (STDGX) at the end of the screen code.
 In the right grid, find the field “Status”.
 Against the Status field enter the number 1

 In order to check the change has been made.

Repeat the inquiry above using your new screen code and notice that a new column is now on the left
of the grid.

7. EXERCISE 7 – CREATE COLLECTIVE AND SITE GROUPS


7.1. Create a Collective Group

 Common data > G/L Accounting Tables > General > Collective Groups

 Plan

 Choose the TRA Account Plan.


 Name the new group CUS1
 In the grid use the F12 option to choose the collectives where the mnemonic begins with the letter C. (This
can only be done line by line)
Save

7.2. Create a Site Group

 Parameters > Organizational structure > Site/company groups

 In the Organisational Structure menu in Parameters create a new site group TRS.
 This should include Sites T91-T93.
 Ignore any fields that mention company.

 When you create this record the system has to update a number of functions to allow the use of this
grouping.

7.3. Inquire using a Financial Inquiry


 Using the Entries inquiry
 Company TRS 
 Ledger type Internal P&L 
 Limit the date range otherwise this will take some time to run.

 Note that all the sites grouped can be represented. Use to move down the list.

7.4. Inquire using an A/P-A/R Inquiry


 Using the Invoices inquiry
 Enter your new collective group code and your new Site Group code

 Notice all the invoices from all the sites are shown
