Online Application for Graduation
23rd Convocation 2024
Students who are going to complete all the requirements for their degree by Fall 2023 are requested to
apply for graduation THROUGH ONLINE from EWU Student Portal (https://portal.ewubd.edu)
by October 12, 2023.

Students are required to attach:


i) A copy of recent color passport size photographs in formal dress. (240 X 300 pixel)
ii) A copy of money receipt for payment of Graduation Application Fee if applicable.
iii) Course completion check list (For the students of the Department of MPS, CSE,
and EEE)
iv) A copy of the Main Certificate of Bachelor Degree (For the Applicants of Masters
Programs only)

Points to be noted:
1. Graduation Application must be submitted online only.
2. Graduation Application Fee is Tk. 5000/- (Five Thousand only)

3. All the applications will be forwarded to the respective Dept. Offices for reviewing degrees and to the
Registrar’s Office, Library and Accounts section for necessary clearances. The Office of the Controller of
Examinations will also verify the grades of all completed courses and CGPA.

4. The applicants who will meet all the requirements for graduation within 10 working days from
the date of result publication of Fall Semester 2023 will be eligible to earn their degrees in this
Convocation.

Application for Graduation

▪ Navigate to https://portal.ewubd.edu/

▪ Submit your login credentials.

A feature named Convocation Application placed on the left side of the dashboard would serve the
purpose of an online application for graduation.
Step of Application for Graduation:
1. Fill up your application form
2. Pay outstanding dues to bank
3. Provide payment information in the system

Students can apply for convocation if they meet the following conditions:
1. Application can be submitted only at scheduled time set by the university.
2. If the student did not attend any convocation previously for her/his current program.
3. If her/his convocation application is not in any authorization process.
4. S/he needs to complete her/his required credits of the program.
[N.B.: This would be defined by the university if the applicant can either apply only after
completion of her/his required credits or her/his enrolled credits would be summed up
with earned credits to justify her/his required credits of the program.]

Click on the marked Convocation Application feature. This will navigate to a page where students
can see the application option and convocation notice.

By clicking on the Notice, students will get to know about the deadline, graduation fees and
necessary information. To apply for convocation, students need to click on the green-marked
button where the convocation name is defined. After clicking on the Green-marked button, the
system will navigate to the main application page for convocation.

Students can provide information about her/his major and minor areas if they have any by
selecting areas from major-minor dropdowns.

Students will get to see their full name, father’s name and mother’s name. If that information seems
appropriate, students must check the Verified & OK button. Otherwise, s/he can request a
correction by clicking on Name Correction Required.
After clicking on the Name Correction Required button, the system will provide editable fields of
the aforementioned data. Editable fields contain currently stored data by default where students
can be able to edit information. Students will only edit the data that they want to change. After the
submission of the convocation application, the correction request will be executed by authorities
that they deem appropriate.

Students will get to see their contact address, permanent address, contact number and personal
email address in the application form which is stored in the university database. This information
would appear in the noneditable format. If students find out any discrepancies, they place a change
request by checking on the Request to Change option.
After checking on the Request to Change option, these noneditable fields can be edited/updated.
By default, the system will show the stored data in an editable mood. Students will edit only the
data that they want to change. There are four lines in both the contact address and the permanent
address. To be precise, the last two lines are for Upazila and District in both contact and permanent
address. Students cannot leave out any fields of contact number and personal email address blank.

After the submission of the convocation application, the change request will be executed by
authorities that they deem appropriate.

Students must need to upload a passport-size photo. The photo needs to be exactly 240 X 300 pixels
[width: 240, height: 300]. File size cannot be more than 150kb. The photo must be in .jpg format.
Only for the graduate program students, a bachelor’s degree certificate is required. Students
need to attach their bachelor’s degree certificates to the form. The certificate must be in pdf format
and the file size cannot be more than 5 mb.

To be precise, undergraduate program students will have only a photo uploading option.

After fulfilling all required information, students can apply for the convocation by clicking on Apply
button. Once students click on it, the system will navigate to another page where students need to
submit her/his payment information. After applying, students need to make payments to banks for
their convocation fees. Once the payment been done, students need to provide their payment
information on that page. Here are some important notes:
▪ Students’ applications would be on hold until they provide the required information about
their payment in the application form. After providing the payment information, students
will not be able to cancel their applications by themselves.
▪ On the payment information page, students will be able to cancel their applications if they
want to. To do so, there is a red-colored button named Cancel Application which will serve
the purpose.
▪ After canceling the application, students will be able to apply for convocation once again at
the scheduled time.
▪ To submit payment information, students must provide the payment date, choose the bank
name from dropdowns where they made their payments, the receipt or transaction no and
upload the payment slip.
▪ To upload a slip, the file must be in .jpg, .png, or .pdf format. And file size cannot be more
than 5 mb.

After fulfillment of all required fields, students will have to click on Submit button. Once the
Submit button is clicked, their application will be in the process of authorization.

After submitting the application, students will be able to see their application processing status.
