Tasks 1. Operation Assistants - To announce and instruct about the allocations to the
drivers, follow up once the is at the loading points and liaise with relevant parties if
always needed till the completion of task;
2. Drivers, To ensure that all the cargoes procedures followed while loading, always
weigh and deliver as per the loaded quantities and conditions;
3. POD’s Officer/Supervisor, To received, check and report all the PODs problems;
4. Operations Manager, To check and liaise with all the parties to understand possible
reasons for the delays or other type of problems on loading or offloading processes
to resolve and or escalate.
Main Documents 1. Loading documents that would show out all the loading quantities and weights:
required - Loading Authority / Loading Instruction / Loading List / Road Manifest / Road
Consignment Note (All above should contain correct truck and trailer details, Loading
locations, Border agent details, Destination, offloading point and contacts);

2. Dispatching documents that shows all the loaded quantities and weights according
to the loading instructions
- Dispatching note
- Weighbridge Slip
- SAD502 with respective attachments, Signed and stamped with its releasing date
and time

3. Offloading documents that would show out all the offloaded quantities and
weights:
-Stamped and Signed Road Maninfest
- Stamped Commercial Invoice of the load
- Stamped Packing list of the load
- Stamped Delivery note of the load
- Stamped Offloading Weighbridge slip

Procedures 1. The drivers have the responsibility to ensure that all the cargo is well loaded onto
their trucks following the below:
a) Receive and Check the Loading Instructions from Operations
Assistants/Coordinators;
b) Proceed to loading point, Control their trucks loading processes and report
all the loads conditions ( Wet, Dry, Torn, Bent and or Damaged);
c) Push, Collect and Check on the received Dispatching / releasing documents
before start off to the trip and report if there is any failure;
d) Transport the cargo in better and safe conditions to report to the border
with correct given documents to final destination;
e) Report all the weights before offloading process has commenced;
f) Deliver all the cargoes as per the loaded conditions, quantities and weights
avoiding company losses
g) Check on all the prof of Delivery Documents and weights before signing;
h) Confirm and sign for PODs after agreed with the written details (Delivered
Qty, Cargo conditions and weights)

2. POD’s Officer/Controller/Supervisor, Must always check on the PODs while the


receiving process and report with all the discrepancies on the details from loading
point against the delivery points.
a) Ensure to always receive PODs in time (Maximum 24hrs after truck have
returned to SLTD Beira Yard );
b) Receive PODs and check to identify possible problems on quantities, cargo
conditions and weights
c) Report in daily basis and in an Excel schedule about all loads’ PODs and the
differences in-between the loading and offloading details;
d) Escalate problems if any discrepancies occurs.

3. Transport Manager/Operations Manager, Must control all the Loading and


offloading processes, reports and ensure all the discrepancies are discussed and or
resolved with the clients and also reported to Administration avoiding losses and
or unnecessary charges.
a) Analise the full loading and offloading processes;
b) Identify, investigate and resolve problems from the reports;
c) Escalate all the problems to management if there are or might be out of
his control range.

4. Administration/Management, Must Control the quality of work done with all the
involved parties, identify possible failures and implement new procedures that
would be resolving the loading and offloading processes and issues on the ground
a) Check and analise all the reports and processes,
b) Identify and investigate the major problems,
c) Meet, discuss and suggest to the client and customers with all the better
and feasible processes and control measures avoiding further problems;
d) Implement new processes and procedures for a better performance of the
teams on the ground.
