Who Should Read This Guide


This guide is for those individuals setting up the Epicor HCM Training & Devel-
opment module. Please read this guide to become familiar with basic con-
cepts and to understand how the Training & Development module interacts
with your Epicor HCM software.

IMPORTANT: You must have system administrator permissions


to license the Epicor HCM Training & Development module.

Where to Look for More Information


There are several online help systems where you can find information and
documentation relating to Epicor HCM. This section describes the different
online sources available to assist you in using Epicor HCM and related soft-
ware.

Epicor HCM Online Help

Epicor HCM has an extensive online help facility to assist you when you need
help. You can access online help in Epicor HCM by clicking the Help button
that is in the product. If you are in a task when invoking help, the help topic
for the task that you are viewing appears.
Each procedural help topic in the Epicor HCM online help provides systematic
instructions that guide a user through completing a task. Once the online
help is open, you can navigate to other areas in the help system. You can
search for other procedures through the Contents, Index or by using the
built-in Search functionality.

Field Level Help

While Epicor HCM is very intuitive to use, there may be certain fields in a task
that are more difficult to work with or remember their purpose. Epicor HCM
has a Field Level Help system, where some key fields have been singled out
for quick access to information. Anywhere you see a question mark icon
you can click it to display an informational box. The information presented is
intended to assist you in completing that field and therefore to finish the
task. If you need further assistance, the full online help system is always avail-
able.

Microsoft Windows Online Help

For more information about Microsoft Windows, choose Help and Support
from the Start menu.

Internet Explorer Online Help

Use Microsoft Internet Explorer Help for assistance with issues specific to
Internet Explorer. To view Microsoft Internet Explorer Help, from the Menu

Conventions Used in This Guide


As you use this guide, you'll notice that some text appears in bold or italic let-
tering. These conventions have meaning and help you learn and use Epicor
HCM. You'll see the following conventions in this guide.

Convention Description
bold Used for box labels including check boxes, drop-down list items, menu
names, menu labels, and any literal text that you must type exactly as
presented. Especially important to use for boxes where the label has mul-
tiple words or is a sentence. Also may be used for dialog box titles.
italic Any variable text you replace with specific text, such as the current date
or the name of a file, appears in italics.
Navigational When you’re instructed to select an item, this instruction typically means
Terminology to click the item to highlight it (as in a list). When you’re instructed to
choose or click an item, these actions execute a command (as when
choosing or clicking the OK button). Double-click means to quickly press
and release the left mouse button twice. Press refers only to keys on the
keyboard. Enter means to type the text as indicated and take the appro-
priate action to move on to the next step. For example, “Enter the
employee’s hire date” means to type the date in the box and then to press
the TAB key to move to the next box.

Welcome to the Epicor HCM Training & Development module. We are pleased
that your organization has chosen to expand the capabilities of your Epicor
HCM software by including this very valuable module.
This module further enhances your use of Epicor HCM by providing you with
the means to plan for and manage the preparation and education of your
employees. Training & Development assists you in developing detailed
courses and classes offered by your organization, identifying the training
needs of your employees, managing the training facilities, and class sched-
ule, as well as tracking the expenses related to training.
This chapter is dedicated to introducing the Training & Development module
and to explaining how your organization can successfully apply this func-
tionality.

Overview of the Module


The Epicor HCM Training & Development module expands on the existing
training functionality in Epicor HCM to give your organization a powerful tool
to manage the skill sets of your most important resource — your employees.
Using this module, you can facilitate a number of training administration
tasks that fall under one of the following categories:
n Determine the needs of your organization
n Create courses and classes
n Maintain the lifecycle of classes

Benefits of Training & Development


In today’s technologically advanced world, the Epicor HCM Training & Devel-
opment module provides employees, their managers, and HR an end-to-end
training enrollment and management solution: a person can browse your
class offerings and enroll online, while you manage everything right from Epi-
cor HCM.
The Training & Development module benefits your organization in the fol-
lowing ways:
n Create and maintain training programs, courses and classes. Training
& Development module tasks allow you to easily create schedules,
manage class rosters, and fulfill employee needs with just a few
clicks.
n If your organization creates or offers Web-based training, the module
can help you administer the finer points: tracking the delivery sys-
tem’s URLs and maintaining any training materials.

NOTE: The Training & Development module neither helps


you create nor deliver Web-based training content.

n Robust management of your company’s employee training programs.


You can create and tailor entire training programs with prerequisites
based on criteria you determine and that dovetail with existing qual-
ification sets.
n Identifies and tracks job requirements using needs completion data
from training programs, courses, and classes.

n Better management of training materials — such as workbooks pre-


pared in Microsoft Word or Adobe PDF formats — and assigning teach-
ing resources — such as overhead projectors.
n Simple task-based interface for greater ease of use.
n Integration with Alerts functionality that notifies managers, HR,
administration, and employees when a training-related event affects
them.
n Customizable tasks and applications that can be tailored to fit your
organizational needs.

Determine the Needs of Your Organization


The first step in implementing the Training & Development module is determ-
ining what needs your employees must acquire to perform at their peak.
Needs include any certification, competency, course, language, or training
program that a person requires to perform the duties of his or her job.This is
an ordered number list example.
Using Epicor HCM Training & Development, you can easily discover and cat-
egorize your employees’ needs from the data already in your database. With
the click of a button, the software automatically makes comparisons among
the requirements for every job (job competencies, job certifications, job
courses, job languages, and job training programs) in your company and the
qualifications (competencies, certifications, courses, languages, and training
programs) that the employees in those jobs have already fulfilled. The dif-
ference between the job requirements and the employees’ qualifications are
your training needs.
Finally, you can then use the many training analysis reports — such as Qual-
ification Match, Outstanding Needs, Course Skills Offered, and Job Require-
ment Completion Levels — to determine what curriculum you need to offer
to reduce employee training deficiencies.

Create Courses and Classes


After you decide what training elements you need to offer to your employees,
the next step in implementation is to create the courses, classes, and training
programs you need to deliver the training. The Training & Development mod-
ule offers the Create a Course and Create and Schedule Classes tasks that
make these processes easy.
When you have the courses and classes defined and created, you can com-
bine the capabilities of the Create and Schedule Classes and the Training Cal-
endar tasks to expedite the class scheduling process. You can define

everything from the duration of the class, including class start dates and
times to the facility where the class meets and the instructor who teaches the
class. The Training & Development module also supports Web-based classes,
as well as allows you to include downloadable student training materials —
such as workbooks prepared in Microsoft Word or Adobe PDF formats — and
assigning teaching resources — such as overhead projectors.
Training & Development also provides you with easy-to-use reports and cal-
endars that interpret your training data. Scheduled classes appear on the
Training Calendar task, an interactive at-a-glance calendar that gives you
one-stop access to your training classes for the month.

Maintain Lifecycle of a Class


Once you complete the implementation process (you have determined the
needs of your organization, created the appropriate courses) you are ready to
use the tasks in Training & Development to create and open your classes for
enrollment, get the individuals who need the training enrolled in the correct
classes, and update the database as enrollees complete training.
The Training & Development module provides the ability to enroll people in a
class, add people to wait lists for courses and classes, as well as tasks to drop
people from classes, complete classes when the training ends, and cancel
classes if the need arises. You can run the Class Roster and Class Sign-In
Sheet reports to deliver to your class instructors. You can also print Class Cer-
tificates for students who successfully complete a class.

Now that you have read how Epicor HCM Training & Development is used as
a training administration solution, you are ready to start the implementation
process. The flowchart below illustrates the entire implementation, from
licensing Epicor HCM Training & Development to setting up your training
codes. Each of the steps below is explained in more detail in the following
chapters.

License the Software

This chapter describes the tasks necessary to complete the licensing of the
Epicor HCM Training & Development module and make it available on the per-
sonal computers of the users who will access the software.

NOTE: If you are an Epicor-hosted client, you can ignore this


chapter and proceed with Chapter 3 to begin your Epicor HCM
Training & Development module implementation.

Prepare to Activate the License


To take full advantage of all the functionality in the Epicor HCM Training &
Development module, you need to activate the license in your system. Licens-
ing your system ensures that your organization receives the base product
and module functionality and for the allotted number of users that you pur-
chased.

Determine Your Licensing Status


The status of the licensing of your Training & Development module depends
on whether you purchased the module at the same time you purchased your
Epicor HCM software or if you purchased the module as an upgrade after an
initial purchase of Epicor HCM.
n Module purchased at same time as Epicor HCM – Then you
licensed the Epicor HCM Training & Development module when you
licensed your system. You can ignore this section and skip ahead to
Chapter 3.
n Module purchased as an upgrade, after the initial purchase of Epi-
cor HCM – Then complete the following procedures to license the Epi-
cor HCM Training & Development module.

Locate Your License Key


The box in which you received your upgrade and module software package
from Epicor contains the product documentation and the upgrade CD.
Epicor sends your Training & Development module license key via e-mail. Be
sure to have the license key on hand before you continue.

License the Software

Steps to License Your Software


When the upgrade process is finished, complete the following steps to license
the Training & Development module:
1. Log on to your Epicor HCM software as a Super Admin and click Util-
ities Licensing Display Licensing Information. The Current Licens-
ing information section appears, as shown in Figure 2-1.

2. Click Change. Epicor HCM displays the Enter License Key window.
3. Enter your license key and click Submit.
4. Verify that all information regarding the number of users and Epicor
HCM modules for which you are licensed is correct.

Implement the Module

Now that the Training & Development module is licensed you are ready to
populate the Training & Development code tables. Once these code tables
are complete, you can begin using Training & Development to help you man-
age training, qualifications, and needs data.

Planning Your Implementation


After you license the Training & Development module, you are ready to begin
setting up the related code tables.
If you are implementing the Training & Development module at the same
time that you are implementing Epicor HCM, complete the Training & Devel-
opment code table setup tasks after you have completed code table tasks,
particularly the following:

n Certifications n Company
n Competency n Currency
n Country n Functional Area
n Job n Language
n Proficiency n State/Province
n Time Zone

If you have been using Epicor HCM prior to licensing and implementing the
Training & Development module, it is likely that these tables are already pop-
ulated.

Assembling Your Implementation Team


When you start planning your Epicor HCM Training & Development imple-
mentation, carefully consider the people you need to involve in this process.
Your Epicor HCM System Administrator, Training Administrator, and other
subject-matter experts will help you save time and make the implementation
process a success. Choose the members of your implementation team before
you begin implementation.

Getting Assistance with Implementation


By following the steps in this guide, your implementation process should run
smoothly, with little need for assistance. In the event that you do have ques-
tions or want more information on how to perform a data conversion, Epicor
is ready to assist you.

resources you have do not match your implementation needs or if your
human resource data is currently stored in another software program and

Setting Up codes
In addition to the code tables used by the base product, Training & Devel-
opment adds or enhances the following code tables in your database:

n Attendance n Create a Course


n Course Type n Class Status
n Event Type n Expense Type
n Facility n How Acquired
n Instructor n Training Completion
n Training Material n Training Provider
n Training Resource

Please refer to Epicor HCM online help for specific procedures that will assist
users in completing the following tasks.

Class Status
Class status is a fundamental part of how Epicor HCM tracks training classes,
and so you should begin by completing the Class Status setup task. Out-of-
the-box, the Training & Development module defines the following class
status codes:
n Active, not accepting enrollments (A)
n Open, accepting enrollments (O)
n Full, enrollment complete (F)
n Canceled (X)
n Complete (C)

In addition to a code and description, each class status code has an assigned
color in which the classes will appear on the Training Calendar task.

Attendance
Use the Attendance setup task to define an enrollee’s participation in a class.
Sample Attendance codes might include FULL for a participant with full
attendance or NO SHOW for an enrollee who did not attend the class.

Implement the Module

Course Type
Use the Course Type setup task to define the general format for a course. For
example, you might create a Course Type code called CBT that you can
assign to all Computer-Based Training courses or CLASS for all your
Classroom courses.

Event Type
Use the Event Type setup task to define the kinds of events that can be sched-
uled at your training facilities. Event codes should be created for both train-
ing and non-training related events. For example, you might create a CLASS
code for training classes or MEET for a meeting.

Expense Type
Use the Expense Type setup task to define the training expenses that your
organization may incur. For example, you might have a Training Expense
code of AIR for Airfare or LODGE for Lodging.

NOTE: If you implemented Epicor HCM prior to licensing Training


& Development, you may have already created Expense Type
codes. Review your existing Expense Type codes to make sure
that they work with the Training & Development module and cre-
ate new codes as necessary.

Facility
Use the Facility setup task to define the locations where your classes take
place. A facility can be a physical classroom or an address on the Web where
a Web-Based Training course takes place. In addition to identifying facilities,
the Facility codes also include information about the facilities themselves
itself such handicap access and the number of students a facility can handle.

How Acquired
Use the How Acquired setup task to define the ways in which your employees
gained their competencies. For example, you might have a How Acquired
code of MILT for Military Training or OJT for On the Job Training.

NOTE: If you implemented Epicor HCM prior to licensing Training


& Development, you may have already created How Acquired
codes. Review your existing How Acquired codes to make sure
that they work with the Training & Development module and cre-
ate new codes as necessary.

Instructor
Use the Instructor setup task to define the people who conduct and facilitate
your training classes. Instructor codes are assigned to specific classes after
you have implemented Training and Development.

Training Completion
Use the Training Completion setup task to define the different end results of
a person’s participation in a training class. For example, you might use GRAD
for graduated or DROP for dropped out.

Training Material
Use the Training Material setup task to define the materials an enrollee is
required to have for a given class. You may upload documents using this task
so that enrollees can download them prior to the beginning of the class’s
start date.

Training Program
Use the Training Program setup task to establish details about training pro-
grams offered by your organization. You can use the data that you enter
through this task to create a training catalog.

Training Provider
Use the Training Provider setup task to define the various organizations that
provide training instructors or facilities. A training provider can be internal to
your organization or a vendor that your organization hires to conduct train-
ing. Examples of Training Provider codes could include PED for Performance
Enhancement Department or NHC for New Horizons Corporation.

Training Resource
Use the Training Resource setup task to define physical resources that
needed for a specific training. A sample resource code might be OvrProj if an
overhead projector is needed to conduct the class.

Create a Course
Use the Create a Course setup task to establish details about courses offered
by your organization. You can use the data that you enter through this task to
create a course catalog.

Setup Alerts or Routing and Approvals


Before getting started in Training & Development, an administrator can use
the Set up Alerts or the Routing and Approval Setup tasks to configure noti-
fications for anyone who needs to know when an employee changes their per-
sonal information.
The following alerts are delivered with the Training & Development module:
Completed Class, Dropped Training Program, and Employee Dropped Class.
Access the Set up Alerts task by clicking Utilities Alerts Set up Alerts.
Access the Routing and Approval Setup task by clicking Utilities Routing
Routing and Approval Setup.

After you have completed the setting up the module, you can now use the
features that were added or enhanced by the Training & Development
license. The added features can be found in the following tasks:

cor HCM online help for specific procedures that will assist users in com-
pleting the tasks.

Employee Qualification History


Use the Employee Qualification History task to view, add, and update each of
your employee's specific qualifications, ranging from education to volunteer
activities.
Access the task by clicking People Employee Development Qualification
& Skills History.

Training Calendar
Use the Training Calendar task to view, edit, and manage your class sched-
ules and enrollments all in one place. In short, this task combines an easy-to-
read graphical calendar format with the power of the Create and Schedule
Classes task.
Access the task by clicking People Employee Development Training &
Development Training Calendar.

Create a Course
Use the Create a Course setup task to establish details about courses offered
by your organization. You can use the data that you enter through this task to
create a course catalog.
Access the task by clicking People Employee Development Training &
Development Create a Course.

Create and Schedule Classes


Use the Create and Schedule Classes task to create and manage your com-
pany’s training class offerings. This task allows you to set class times, class

Updates to Employee Connect Features


In addition to Epicor HCM tasks, the Training & Development module adds
several new components to the Employee Connect module. Through the
Employee Self-Service menu, users now have access to:

The Training & Development module also enhances the following existing
Employee Connect components:

Customize the Module

While we have worked hard to think of all the tasks any company would want
in a Training & Development module, you know your company best. That is
why Epicor HCM is completely customizable, from changing the name or loc-
ation of a tab, to adding new tabs, to just making the module work better for
your organization. This chapter will walk you step-by-step through the Epicor
HCM tasks that you will use to customize your Training & Development mod-
ule.
Remember, that only an administrator can make the changes outlined in this
chapter.

Configure Tabs
The base product tab and subtabs described in Chapter 3 can not only be
changed and reordered, but they can also be added to. The Configure Tabs
task is used to add, rename, and reorder tabs and subtabs in tasks related to
your Training & Development module.
Access this task by clicking
Utilities System Configuration Configure Tabs.

Rename Tabs and Subtabs


1. Click on an existing tab or subtab from the section list at the left-
hand side of the screen that you would like to rename.
2. Change the text in the Display Text box.

NOTE: If you are changing the name of a tab/subtab that


is part of your base product, the display text will appear as
Resource:MyPay or Resource:People, for example.
Remove this entirely and only enter the text as you want it
to appear on the tab/subtab. For example, remove
Resource:MyPay, and replace it with, My Salary or My
Money.

3. Click Submit to finish this task. You will have to log off and then back
onto Epicor HCM to see the name change.

Reorder Tabs and Subtabs


1. Click on the tab or subtab from the section list at the left-hand side of
the screen that you would like to move.

2. Click either the Up arrow or Down arrow as many times as


necessary to move the tab/subtab to where you would like it dis-
played in your system.
3. Click Submit to finish this task. You will have to log off and then back
onto Epicor HCM to see the tab/subtab in its new location.

Add Tabs or Subtabs


1. Click the New button.
2. Enter the label for the tab/subtab in the Display Text box.

3. Enter a Resource tab, such as Resource:EmployeeSelfService in the


Tab Group box.
4. Select the Allow Anonymous Access check box if you want this
tab/subtab to be viewable to users who are not logged in to your Epi-
cor HCM software.
5. The Portal list will display Epicor HCM as the default, which is the cor-
rect portal so leave as is.
6. Click Submit to finish this task.

IMPORTANT: Your newly created tab or subtab will not


show up in Epicor HCM until you complete the steps to
add components to your tab/subtab.

While the Add Component steps demonstrate how to add


a component to your new tab/subtab, the same steps
apply for adding a component to any tab or subtab in Epi-
cor HCM.

Configure Tab Layout


The Configure Tab Layout task is used to add, remove and change the layout
of components within a tab or subtab.
Access this task by clicking
Utilities System Configuration Configure Tab Layout.

Add Component
The Portal list will display Epicor HCM as the default, which is the correct
portal so leave as is.
1. Select your new tab or subtab from the Tab list.
2. Click Add Component.
3. Select the component you would like to add from the What Would
You Like To Add list.
4. Select the location for this component from the Which Column list.
5. Click OK.
6. Repeat steps 3 through 6 until you have added all the components
you want on this tab or subtab.

NOTE: Once the components are on the screen, you can


use drag-and-drop to change the layout if desired.

Change the layout of any tab or subtab’s components by


selecting the tab to change from the Tab list and using a
drag-and-drop operation.

7. Log off and then back onto Epicor HCM to see your new tab com-
ponent.

Remove Component
1. Select the tab that contains a component you would like to remove
from the Tab list.
2. Click the Remove link for the component to remove.
3. Verify your action by clicking Yes in the Confirm pop-up box. The com-
ponent is removed from the tab in real-time.

Configure Module Setting


Though you are moving on to a new task, Configure Module Setting, which
allows you to add a new component to your Epicor HCM software, it is neces-
sary to make one last change to an existing component.
Access this task by clicking
Utilities System Configuration Configure Module Setting.

Add a Component
For example, assume your company will utilize all the components that are in
your Training & Development module base product so you do not want to
change them, but there are a couple components that you would like to add.
Before getting started, find a component in Epicor HCM that is similar to
what you envision your new component to be like so that you can make a
copy of it.
1. Select a component to copy from the section list on the left-hand
side of your screen.
2. Click the Copy button and the first three fields will be populated with
the exact same information as the component you copied.
3. Change the text in the Name field to fit your new component.
4. Do not change the information in the Source box.
5. Enter the file name of an image in the Image box, or leave as is to use
the same image as the copied component. If changing the image,
make sure the new image is saved in the appropriate Epicor HCM dir-
ectory on the web server: \Epicor\HCM\Images\modules.
6. Select the Allow Anonymous Access check box if access should be
allowed outside of security. For example, this box is checked for the
Coming Soon component because it resides on the News screen,
which a user can see before logging into Epicor HCM.
7. Select the Read Only Content check box if the component is read-
only.
8. Select the roles that will be able to view this component from the
Available Items column, and then click the arrow button to
move the role(s) to the Selected Items column. If you are unfamiliar

Task Procedural Help topic.

9. To complete the Name and Value fields in the Module Settings sec-
tion, go back to the original component and copy and paste the text
from both of these fields into your new component.
10. Click Submit to finish this task.
