This guide walks you through the steps required to get the Epicor HCM Train-
ing & Development module up-and-running as fast as possible. As this guide
is geared toward implementing the Training & Development module, you can
find more specific information related to using the module in the Epicor HCM
online help.
For more information about your Epicor HCM software, refer to the Project
Management Workbook or to the online help.

About This Guide
Epicor HCM has an extensive online help facility to assist you when you need
help. You can access online help in Epicor HCM by clicking the Help button
that is in the product. If you are in a task when invoking help, the help topic for
the task that you are viewing appears.
Each procedural help topic in the Epicor HCM online help provides sys-
tematic instructions that guide a user through completing a task. Once the
online help is open, you can navigate to other areas in the help system. You
can search for other procedures through the Contents, Index or by using the
built-in Search functionality.
While Epicor HCM is very intuitive to use, there may be certain fields in a task
that are more difficult to work with or remember their purpose. Epicor HCM
has a Field Level Help system, where some key fields have been singled out
for quick access to information. Anywhere you see a question mark icon
you can click it to display an informational box. The information presented is
intended to assist you in completing that field and therefore to finish the task.
If you need further assistance, the full online help system is always available.
For more information about Microsoft Windows, choose Help and Support
from the Start menu.
Use Microsoft Internet Explorer Help for assistance with issues specific to
Internet Explorer. To view Microsoft Internet Explorer Help, from the Menu

About This Guide
Convention Description
bold Used for box labels including check boxes, drop-down list items, tab names,
menu labels, and any literal text that you must type exactly as presented.
Especially important to use for boxes where the label has multiple words or is
a sentence. Also may be used for dialog box titles.
italic Any variable text you replace with specific text, such as the current date or
the name of a file, appears in italics.
Navigational When you’re instructed to select an item, this instruction typically means to
Terminology click the item to highlight it (as in a list). When you’re instructed to choose or
click an item, these actions execute a command (as when choosing or click-
ing the OK button). Double-click means to quickly press and release the left
mouse button twice. Press refers only to keys on the keyboard. Enter means
to type the text as indicated and take the appropriate action to move on to the
next step. For example, “Enter the employee’s hire date” means to type the
date in the box and then to press the TAB key to move to the next box.

This chapter describes the tasks necessary to complete the licensing of the
Epicor HCM Training & Development module and make it available on the
personal computers of the users who will access the software.

2. Click Change. Epicor HCM displays the Enter License Key window.
3. Enter your license key and click Submit.
4. Verify that all information regarding the number of users and Epicor
HCM modules for which you are licensed is correct.

Now that the Training & Development module is licensed you are ready to
populate the Training & Development code tables. Once these code tables
are complete, you can begin using Training & Development to help you man-
age training, qualifications, and needs data.

If you have been using Epicor HCM prior to licensing and implementing the
Training & Development module, it is likely that these tables are already pop-
ulated.
Setting Up codes
In addition to the code tables used by the base product, Training & Devel-
opment adds or enhances the following code tables in your database:
n Attendance n Create a Course
n Course Type n Class Status
n Event Type n Expense Type
n Facility n How Acquired
n Instructor n Training Completion
n Training Material n Training Provider
n Training Resource

users in completing the following tasks.
Class Status
Class status is a fundamental part of how Epicor HCM tracks training
classes, and so you should begin by completing the Class Status setup task.
Out-of-the-box, the Training & Development module defines the following
class status codes:
n Active, not accepting enrollments (A)
n Open, accepting enrollments (O)
n Full, enrollment complete (F)
n Canceled (X)
n Complete (C)
In addition to a code and description, each class status code has an assigned
color in which the classes will appear on the Training Calendar task.

Attendance
Use the Attendance setup task to define an enrollee’s participation in a class.
Sample Attendance codes might include FULL for a participant with full
attendance or NO SHOW for an enrollee who did not attend the class.

Course Type
Use the Course Type setup task to define the general format for a course.
For example, you might create a Course Type code called CBT that you can
assign to all Computer-Based Training courses or CLASS for all your
Classroom courses.

Event Type
Use the Event Type setup task to define the kinds of events that can be sched-
uled at your training facilities. Event codes should be created for both training
and non-training related events. For example, you might create a CLASS
code for training classes or MEET for a meeting.

Expense Type
Use the Expense Type setup task to define the training expenses that your
organization may incur. For example, you might have a Training Expense
code of AIR for Airfare or LODGE for Lodging.

Facility
Use the Facility setup task to define the locations where your classes take
place. A facility can be a physical classroom or an address on the Web where
a Web-Based Training course takes place. In addition to identifying facilities,
the Facility codes also include information about the facilities themselves
itself such handicap access and the number of students a facility can handle.

How Acquired
Use the How Acquired setup task to define the ways in which your employ-
ees gained their competencies. For example, you might have a How
Acquired code of MILT for Military Training or OJT for On the Job Training.

Instructor
Use the Instructor setup task to define the people who conduct and facilitate
your training classes. Instructor codes are assigned to specific classes after
you have implemented Training and Development.

Training Completion
Use the Training Completion setup task to define the different end results of a
person’s participation in a training class. For example, you might use GRAD
for graduated or DROP for dropped out.

Training Material
Use the Training Material setup task to define the materials an enrollee is
required to have for a given class. You may upload documents using this task
so that enrollees can download them prior to the beginning of the class’s start
date.

Training Program
Use the Training Program setup task to establish details about training pro-
grams offered by your organization. You can use the data that you enter

Training Provider
Use the Training Provider setup task to define the various organizations that
provide training instructors or facilities. A training provider can be internal to
your organization or a vendor that your organization hires to conduct training.
Examples of Training Provider codes could include PED for Performance
Enhancement Department or NHC for New Horizons Corporation.

Training Resource
Use the Training Resource setup task to define physical resources that
needed for a specific training. A sample resource code might be OvrProj if an
overhead projector is needed to conduct the class.

Use the Create a Course setup task to establish details about courses
offered by your organization. You can use the data that you enter through this
task to create a course catalog.

Training Calendar
Use the Training Calendar task to view, edit, and manage your class sched-
ules and enrollments all in one place. In short, this task combines an easy-to-
read graphical calendar format with the power of the Create and Schedule
Classes task.

Development Training Calendar.
Create a Course
Use the Create a Course setup task to establish details about courses
offered by your organization. You can use the data that you enter through this
task to create a course catalog.

Complete a Class
Use the Complete a Class task to assign grades and credits to class
attendees. This task creates a training history record and, if applicable, a com-
petency and proficiency history record, certification and licenses record, and
future needs record for the class participants who pass the class.

While we have worked hard to think of all the tasks any company would want
in a Training & Development module, you know your company best. That is
why Epicor HCM is completely customizable, from changing the name or loc-
ation of a tab, to adding new tabs, to just making the module work better for
your organization. This chapter will walk you step-by-step through the Epicor
HCM tasks that you will use to customize your Training & Development mod-
ule.
Remember, that only an administrator can make the changes outlined in this
chapter.

Configure Tabs
The base product tab and subtabs described in Chapter 3 can not only be
changed and reordered, but they can also be added to. The Configure Tabs
task is used to add, rename, and reorder tabs and subtabs in tasks related to
your Training & Development module.
Access this task by clicking
Utilities System Configuration Configure Tabs.
3. Click Submit to finish this task. You will have to log off and then back
onto Epicor HCM to see the name change.
4. Select the Allow Anonymous Access check box if you want this
tab/subtab to be viewable to users who are not logged in to your Epi-
cor HCM software.
5. The Portal list will display Epicor HCM as the default, which is the cor-
rect portal so leave as is.
6. Click Submit to finish this task.

Add Component
The Portal list will display Epicor HCM as the default, which is the correct
portal so leave as is.
1. Select your new tab or subtab from the Tab list.
2. Click Add Component.
3. Select the component you would like to add from the What Would
You Like To Add list.
4. Select the location for this component from the Which Column list.
5. Click OK.
6. Repeat steps 3 through 6 until you have added all the components
you want on this tab or subtab.
7. Log off and then back onto Epicor HCM to see your new tab com-
ponent.
Remove Component
1. Select the tab that contains a component you would like to remove
from the Tab list.
2. Click the Remove link for the component to remove.
3. Verify your action by clicking Yes in the Confirm pop-up box. The com-
ponent is removed from the tab in real-time.
1. Select the component to change from the section list on the left-hand
side of your screen.
2. Replace the current image file name with the new image name. Make
sure the new image is saved in the appropriate Epicor HCM directory
on the web server: \Epicor\HCM\Images\modules.
3. Click Submit to finish the task.
Add a Component
For example, assume your company will utilize all the components that are in
your Training & Development module base product so you do not want to
change them, but there are a couple components that you would like to add.
Before getting started, find a component in Epicor HCM that is similar to what
you envision your new component to be like so that you can make a copy of it.
1. Select a component to copy from the section list on the left-hand side
of your screen.
2. Click the Copy button and the first three fields will be populated
with the exact same information as the component you copied.
3. Change the text in the Name field to fit your new component.
4. Do not change the information in the Source box.
5. Enter the file name of an image in the Image box, or leave as is to use
the same image as the copied component. If changing the image,
make sure the new image is saved in the appropriate Epicor HCM dir-
ectory on the web server: \Epicor\HCM\Images\modules.
6. Select the Allow Anonymous Access check box if access should
be allowed outside of security. For example, this box is checked for
