Task 1 – Updating IT Infrastructure
Scenario
Hotel Everland has been in operation for ten years. It is located in Manchester, United Kingdom.
It was built to include not just a hotel but also restaurants, bars, swimming pools, café shop, and room for
special events such as birthdays. Room division includes the housekeeping, front office, and maintenance
divisions at a big hotel. These divisions are jointly responsible for the upkeep and sale of hotel rooms. In
most hotels, these are the departments that make more money, either directly or indirectly, than others.
This is because the selling of rooms accounts for at least half of a hotel's revenue. This hotel has a larger
kitchen, two offices, a checkout/counter with space for three POS (point-of-sale) devices, and two POS for
the coffee shop. It will also include extra tables and sofas, as well as two handicapped bathroom facilities
sections located at the back of the hotel. The room generates the greatest profit margin for a hotel since it
may be sold repeatedly. The room division is led by the room division manager, who reports to the front
office manager, executive housekeeper, and, on occasion, the chief engineer. This hotel has a total of 235
rooms. Single rooms, double rooms, quad rooms, and twin rooms are available. Then there are our three-

Part a) Outline Requirements Specification
a. Introduction
Hotel Everland has been in operation for ten years. It is located in Manchester, United Kingdom. It
was built to include not just a hotel but also a restaurant, bar, swimming pool, a café shop, and room for
special events such as birthdays. Our hotel is concerned with all forms of guest lodging. The front office
department, led by the front office manager, is the operational department in charge of welcoming and
registering visitors, assigning rooms, and assisting guests with check-out. The front office department
includes uniformed services such as concierge and bell desk, as well as EPBAX operators. The chief
engineer or chief maintenance officer leads the maintenance department, commonly known as the
engineering and maintenance department. Maintenance, repair, and engineering work on equipment,
machines, fixtures, and fittings are all handled by this department. We employ three (3) systems to assist

i) Transaction Processing System and Why
The Transaction Processing System facilitates business transactions that include the collection,
retrieval, and alteration of transactional data. This system handles data generated by and regarding hotel
transactions. Some examples of hotel transaction process system operations include:

 Making bills and invoices
 Order entry for sales
 Booking entries and reservations
 Payroll for employees
Product order delivery and sales, as well as other comparable tasks involving single or batch processing.

ii) The Point Of Sales(POS) System and Why
The most prevalent type of information system utilized in the hotel business is POS. This
automated system tracks item sales such as those in a hotel restaurant, bar, coffee shop, or gift store.
There are other versions that are also utilized by the hotel's front desk and the housekeeping service.
These systems include registers, computers, and any auxiliary equipment that is connected to a computer
network. This system is critical since it tracks payroll, labor, and sales and creates data that may be used

iii) Property Management System (PMS) and Why
This is a complete software program used to achieve fundamental goals such as front-office staff
operational responsibilities coordination, sales, and planning. Property management systems make it
possible to automate critical operations such as guest booking, guest information, internet bookings, and
sales and marketing. The overall goal of the PMS is to manage the hotel's many activities and to simplify
data. For PMS we use a Cloud-base because it allows us to run through all of our hotel management
exercises at once. MyCloud PMS is now one of the fastest-growing hotel management software providers
due to its low asking price and simple system. There are several vendors of hotel management software,
but myCloud PMS is attempting to maintain the hospitality industry's innovation edge. Furthermore, round-
the-clock services that require no special training are what make it so popular among customers. Because

b. Required IT infrastructures for modern SME and IT infrastructures likely to be used

in Hotel Everland
IT infrastructures are critical for any contemporary organization, even small and medium-sized
enterprises. An IT infrastructure that is adaptable, dependable, and secure may assist an organization in
meeting its goals and providing a competitive advantage in the market. In contrast, if an IT infrastructure is
not correctly built, firms may have connection, productivity, and security difficulties, such as system
interruptions and breaches. IT infrastructure components are made up of interconnected pieces, and the
two main kinds of components are hardware and software. Hardware relies on software, such as an
operating system, to function. Similarly, an operating system oversees the system's resources and

hardware. Operating systems also use networking components to connect software applications and
physical resources. Hardware elements may include Desktop Computers, Servers, and Computer data
centers, Hubs, Routers, Switches, and Facilities. Software elements may include Content management
systems (CMS), Customer relationship management (CRM), Enterprise resource planning (ERP),
Operating systems, and Web servers. Flexible pricing and high-performance IT components such as
server, network, Wi-Fi, personal computer, routers, switches, and application software must be upgraded in

Network
Switches, routers, hubs, and servers make up networks. Switches link network devices such as
routers, servers, and other switches on local area networks (LANs). Routers enable devices on different
LANs to connect with one another and transport data between networks. Hubs connect multiple networking

Server
A server is a critical piece of gear for a hotel's IT system. Servers are computers that enable
numerous clients to access and share resources.
Wi-Fi
Hotel Wi-Fi access points are vital because they deliver fast, dependable, and consistent hotel Wi-
Fi to your employees and guests. By providing good hotel Wi-Fi to your customers, you can:

time on manual activities or increasing direct reservations, every aspect of a hospitality system should be

Personal Computer

Computers are utilized in hotels for a variety of tasks including operations and administration.
Computers administer the PMS, CMS, and invoicing for all operational sectors. (PMS - property
management system, CMS - complaint Management System) Systems manage everything from
reservations through check-in/out to cleaning and status adjustments. The first is at the front desk.
Computers are used at the hotel front office to create bills and invoices, monitor bookings and reservations,
check-in and check-out visitors, record guest expenditure, and transmit information inside and across the
hotel. These computers use a complex software called the Property Management System (PMS) to handle

c. Systems needs to support the business
MS Office, Email, POS systems, PMS systems, antivirus software for security, corporate website,
social media, and robust Wi-Fi are critical and powerful business support systems. Microsoft Word, Excel,
and PowerPoint are among the most widely used business productivity tools. Microsoft Office is quite
popular. Its applications are the most generally used tools in businesses all over the world because to its
ease of use, accessibility, interaction, and compatibility across operating systems. When you need to
contact with your staff without seeing them in person, you may just send them an email. Email is also a
wonderful way to communicate professional communications to clients since it provides a clean 'virtual'
paper trail that helps you to retain a consistent record of correspondence. Computers have several
applications in hotels. The first is at the front desk. These computers use complex software known as the
Property Management System (PMS) to handle all check-ins, guest accounting, and so on. The second
new computer in the restaurant, lounge, or café is a Point of Sale System (POS). This will work with a
PMS to charge visitors for meals and other services, but it may also be used as a cash register. The third
component is the computer at the sales office, which is most likely running Delphi, a booking terminal.
Antivirus software is a data protection tool that is installed in a computer system to protect it against
viruses, spyware, malware, rootkits, Trojans, phishing attacks, spam attacks, and other online cyber
threats. An antivirus will secure our hotel's computer by functioning as a closed door with a security guard,
preventing all potentially harmful viruses from entering. In addition to the website, guests check for
information about the hotel on the hotel's website first. Because information is available at all times, it is
vital that it be presented in an appealing manner and successfully preserved. A website is also the main
way to communicate with visitors. In the hotel sector, not only a website but also social media are
required. As customers begin planning their travels using a search engine, browsing on social media for
travel inspiration, and reading online reviews, social media may help with decision-making and booking. As
a result, social media has evolved into an important hotel marketing tool. Providing free and fast Wi-Fi

d. Current problems in the organization
The hotel's present problem is that the technology it uses is out of date and not functioning
correctly. As a result, there are several performance difficulties in the Hotel. As a result, new computer
equipment must be installed. The operating system is out of date, and the firm is dealing with an
unsupported OS and poor performance. As a result, the operating system requires updating. Outdated
software frequently fails, resulting in slowdowns, restarts, and even program shutdowns. These mistakes
make employees' jobs more difficult, have an impact on their performance, and can even invalidate an
activity. Depending on the intricacy of the activity and information involved, these minor failures might result
in data loss and customer loss. These little, scarcely perceptible faults produced by obsolete software have
a huge influence on staff productivity. Compatibility is a significant issue caused by obsolete software.
When software is built, it is clearly written using the technologies, systems, and hardware that are in use at
the moment, so that it may be used efficiently when it is published. It can even support and be efficient on
outdated technology in some circumstances. However, the contrary seldom occurs. Another issue with
obsolete software is that it does not pass the most recent testing and quality assurance tests, resulting in
incompatibility with the most recent systems and technology. As a result, the software we are now using for

e. List of system functions on organizations
Functional requirements explain how the system must work. Product functional requirements are
features or functions that developers must build in order for users to complete their duties. As a result, it's
critical to make them appear to both the development team and the stakeholders. In general, functional
requirements describe how a system behaves under certain situations. Our hotel's function needs include a
point-of-sale system and a property management system (PMS). Moscow prioritization, also known as the
Moscow approach or Moscow analysis, is a prominent requirement for management prioritizing strategy.
The Moscow model is divided into four sections: must-have, should-have, could-have, and won't-have. The
functional criteria include a must-have. Must-Have-All of the prerequisites required for the project's
successful completion.
A modern property management system (PMS) combines many work environments into a single
piece of software. Depending on the provider, the mix of modules and functionalities may change, and the
functionality of one module may alter somewhat. Furthermore, some providers sell their systems as
independent modules that may be linked with an existing hotel solution. For hotel property management
systems, a reservation system with a website booking engine and a front-desk operations module is
necessary.
A point-of-sale (POS) system is a computerized network that processes and records financial
transactions between a business and its consumers. A cash register is usually used to receive payments,
but a contemporary POS system is far more complicated. It is now a functional tool for consolidating and
optimizing aspects of business administration such as sales across numerous channels, inventory
management, customer management, and marketing. Furthermore, it is an important source of information
that may be utilized for additional analysis and decision-making. The major benefits of implementing an
effective POS system in a hotel are as follows: operational efficiency, a reduction in revenue losses, vast
improvements in customer service, which translates to customer acquisition, loyalty, and retention,
accuracy in accounting, tracking, and inventory, and, in general, assistance in decision-making for hotel

f. List of non-functional requirements
A non-functional requirement is one that defines criteria for judging the functioning of a system
rather than particular actions. They differ from functional requirements, which describe precise behavior or
functions. Non-functional requirements indicate how the system should perform. The Moscow classifies
non-functional requirements as should-have, could-have, and won't-have.
Should-have- Requirements that are important for project completion but not necessary.
Could-have- Requirements that are good to have but have little influence if not included in the project.
Will Not Have- All criteria identified as being unimportant for the project's timeline.
These non-functional needs were included in the Moscow. They are-
Performance- The most significant quality among non-functional criteria is system performance, which
influences practically all of the preceding ones. System performance describes how quickly a system can
respond to a specific user's activity under a certain workload.
Reliability- The chance and percentage of the program working without failure for a given number of uses
or period of time is referred to as reliability.

Availability- This feature specifies how long the system runs, how long it takes to rectify a defect, and how
long it takes between lapses.
Maintainability- This characteristic reveals the average time, as well as the ease and speed with which a
system may be recovered following a breakdown.
Recoverability- The capacity to recover from a system crash or failure and resume normal operations is
referred to as recoverability.
Capacity- This feature reveals the storage capacity of your system, which is determined by its kind and
attributes.
Serviceability- This characteristic illustrates how simple it is to provide assistance when needed.
Security- Security mechanisms safeguard your program from espionage or sabotage. Even stand-alone
systems require these characteristics; you don't want anyone gaining access to your vital data.
Manageability- This capability is described as the capacity to efficiently regulate a system while keeping it
fully operational.
Environmental- These elements are related to the software's environment.
Data integrity- The maintenance and guarantee of data accuracy and consistency throughout its existence
is referred to as data integrity.
Interoperability- To communicate data, all system components must use a common and standard set of
exchange formats; lack of interoperability occurs when people do not follow standards.
Usability- This characteristic is about the users; it shows how well they can learn and use a system.

g. Appendix
i) The importance of CPU type (single/multi-core), RAM and Disk space in the performance
of the system

A Central Processing Unit (CPU) is the brain of a computer system. Every computer operation
finally travels via the CPU. It is in charge of all system processes. It is required for your computer to
function. CPU cores are classified into two types. They are divided into single-core and multi-core CPUs. A
single-core processor is a chip that only has one CPU (one processing unit). CPUs today are contained on
a single chip known as a microprocessor. A multi-core processor is an integrated circuit that has two or
more processors attached to it to allow for quicker simultaneous processing of several tasks, lower power
consumption, and improved performance. It is typically composed of two or more processors that read and
execute computer instructions. (Javatpoint, n.d.) (Themes, 2013) (Anon., 2022) (Waters, n.d.)
RAM is an abbreviation for random-access memory. It is essentially short-term memory in which

data is stored when needed by the CPU. RAM (Random Access Memory) in computers allows quick data
access and temporary storage. The quantity of RAM you have installed directly correlates to the speed and
performance of your machine. If your machine lacks insufficient RAM, it will be slow and sluggish. On the
other hand, you can install too much with little to no advantage. RAM is located between the processor and
permanent data storage, such as an HDD/SSD. When a computer is powered on, the processor requests
data from the HDD/SSD (such as the operating system) and loads it into RAM. Because RAM is thousands
of times quicker than even the fastest SSDs, having additional RAM space to retain apps and data close to
the CPU aids in swift and effective work. (Kingston, 2019) (Intel, 2022) (Crucial.com, 2022)
The total quantity of data that a hard disk or hard drive can hold is referred to as disk space.
Too many applications or files stored in computers might lead to a lack of disk space. Such problems can
be resolved by adding a new hard drive, uninstalling unwanted programs, or deleting superfluous data from
the computer. When there is insufficient free space on a computer's hard drive, difficulties might arise, such
as the machine slowing down, being unable to save work files, and the operating system failing to function
correctly. The hard disk drive is perhaps the most important component of your computer. Without it, your
computer would be unable to save any files, start up your operating system, and you would be unable to

ii) Disk space may be organized in the organization
To improve system performance, all computer users in the firm must be educated on the need of
conserving hard drive space. Regular cleaning is essential when it comes to disk space. Having real-time
insight into rapidly expanding libraries or directories, as well as old or useless files and objects that may be
cleaned up, not only preserves your important data but also saves excessive disk storage hardware costs.
Whether you realize it or not, you are running out of disk space and will encounter budget issues if you do
not implement solutions to slow data growth and lower storage expenses. You can better estimate future
demands and make more strategic hardware purchases if you actively monitor and use technologies that
give trend visualizations for storage pools. Emptying the trash folder permanently deletes the contents. If

you don't keep track of what's in your computer's trash can, the amount of space it takes up soon adds up.
Many apps that come pre-installed by the manufacturer on a new computer (commonly known as
bloatware) use disk space whether or not they are used. Pre-installed or third-party apps might consume a
surprisingly large amount of disk space. Scroll through your list of programs, beginning with the ones that
take up the most space, and decide whether they're worth preserving. Uninstall a software if you determine
it's not worth the space it's taking up. Computers provide built-in disk cleansing utilities. It's a secure
approach to remove trash files without risking deleting something critical or having to deal with the trouble
of utilizing third-party cleanup applications. Zipping the files is essentially a method of compressing files into
excessively little files while making them easily accessible if needed. If you want to free up local space and
keep your business data organized, using a cloud storage solution is a necessary. External hard drives

Part b) System Design Specification
1) Systems specifications for the SME’s needs
The front office is the most visible department of the hotel. It is typically known as reception
and serves as the focal point for the majority of operations in the hospitality business. Lodging managers
and their helpers rely heavily on computers to keep track of their visitors' bills, reservations, room
assignments, meetings, and special events. Computers are also used to order meals, beverages, and
supplies, as well as to create reports for hotel owners and top-level management. To ensure that your
laptop matches the demands of your office, research features like battery life, hard drive space, screen
resolution and size, RAM, and processing speed before purchasing. A strong CPU, good graphics
performance, flexible memory, hard disk space, HDMI outputs with 4K or UHD resolution compatibility,
network interface and WLAN, maybe Bluetooth - these are the prerequisites for a hotel or restaurant PC.
As a hotel business PC, you need to have at least 8GB of RAM, preferably 16GB. A dual-core (or more)
CPU running at least 2.5GHz is required. Look for at least a 250GB hard disk in a business desktop or
laptop computer. To avoid eye strain, the monitor screen should be 27 inches in size and have a 1080p
resolution. As a result, headaches, eye discomfort, and difficulty concentrating are not possible. The
programs required to complete the input, processing, output, storage, and control operations of information
systems are referred to as software. (Britannica, n.d.) (Anon., n.d.)
Each specification for each type of server that will be used by Everland Hotel will be given. To
support authentication, the domain controller server requires 128MB of RAM and a 1.5 GB hard disk. For a
database server to hold massive data records for a Hotel, an average of 16GB and a minimum of 100GB
hard drive would be required. Depending on how many clients visit a hotel's website in a day, a web server
will require 512 MB of RAM at a minimum and an average 1GB hard drive. To keep files linked to Everland

Hotel in a systematic and progressing manner, the file server will require 512MB RAM (minimum) and a
2GB hard disk. 2GB RAM (minimum) and 4GB RAM (recommended) for the mail server to send and
receive emails between customers and staff. To avoid losing sensitive data or files, backup servers should
have at least 4GB of RAM and a 1TB hard drive. On average, a server may contain 10 CPU processors. If
the server will be utilized with SSD, which gives higher speed and performance, the server should have at
least 120GB of storage. As a result, they can handle large processes efficiently and quickly. If the customer

monitors/cables. However, I can hear fans rotating and other noises. Before I contact any parts of my

I believe it is caused by a variety of factors. The video card, in particular, is disconnected from the
motherboard.
First, I ensure that all connections are secure. Check that the video card is correctly inserted into

are firmly attached to the video card and the motherboard. Then I saw that one of the power cords was in
the incorrect place. So I'll repair that and double-check my display.
Every image/video is now visible on my screens. I had another success with this PC.

2. Hard Drive/Memory Maxed Out
The solution:
To begin, we must first determine the quantity of empty space on our hard disk. Go to My
Computer, then right-click the local disk, and then select Properties. At least 20% of our entire disk space
should be available, and if it is not, we may expand it in the following ways:
i) Empty our trash bin.

ii) I Use the disk cleanup application to remove temporary files and other unwanted files from our PCs.
iii) We may also download trusted free apps that can efficiently erase and clear up any unwanted files
on our computer.
iv) I locate a cloud storage provider and save large and important files on our PC there.
For maxed-out RAM, we will need to install additional RAM hardware to accommodate our needs.
3. Clean our hard drive
The solution:
Here are some tips for doing a disk cleanup and increasing the performance of our PC:
1) Clean up our recycle bin. When we use our PC, files accumulate in the recycle bin, thus emptying it
out on a regular basis can help us maintain the functionality of our computer. On our desktop,
double-click the Recycle Bin icon, then right-click anywhere and pick 'Empty Recycle Bin.' We may
also do a right-click on the Recycle Bin icon.
2) Uninstall any unnecessary applications. Unwanted or unnecessary programs may be eating up hard
drive space and slowing down our PC. To uninstall them, navigate to Control Panel using the
Windows search bar (accessed by the Windows icon in the bottom-left corner of our screen) and
select 'Uninstall an application' under the Programs header. Uninstall apps that we no longer require
using the Window that appears.

4. Disable startup programs
The solution:
We can do it right from the Task Manager, which we can open by pressing
CTRL+ALT+DELETE and clicking ‘Task Manager. Click on the ‘Start-up’ tab at the top to see what
startup programs are enabled and their impact on our computer’s boot time and performance.
To disable a program from starting up automatically, select it and click ‘Disable’ in the bottom-right
corner. Make sure to not disable programs we actually need, like our antivirus or driver programs.
5. Disable background programs
The solution:
To examine what background apps are running on our PC and how much memory and
processing power they are consuming, launch Task Manager by pressing CTRL+ALT+DELETE.
Click the CPU, Memory, and Disk headings to sort the applications on our computer-based on
how much of our machine's resources they consume. For example, if our memory bar is close to or at
100%, we should categorize apps by memory consumption and close those we don't require.
Programs may be closed straight from the Task Manager by choosing them and pressing the
'End task' button at the bottom right. If we don't know what a program performs, we should Google it
first to make sure we don't close anything that our operating system requires.
We can keep viruses, physical device damage, and gadget malfunctions at bay by using the techniques
above, while also enhancing overall performance. In the corporate world, concentrating on preventative
maintenance will not only save downtime but will also cut surprise expenditures.

beneficial for all businesses, including SMEs and major corporations.
