Title:

Click and Print: A Digitalize School Forms to Reduce Paper Burdens among
Teachers

Context and Rationale:

“Sulat da uman,unsaon man pag pagamay ang agi nga mo lapas man jud sa
linya sa forms abay kadaghan sa e rewrite, woy naa pay doble-doble nga
ancilliaries himuan ug reports maka taktak ug IQ ! “ common lines heard from the
teachers during the preparation of school forms and documents every quarter
and year end reports. Knowing that our school is a newly established high school
with only five teachers including me as Teacher In-Charge, I could see and feel the
burden of having overloads with multiple ancillaries.

Mixed emotions upon seeing crumpled papers, trash can beside them and
the sounding printer overheard in the classroom. I think disturbing them in the
midst of their hard grind can break their concentration so I prefer to be
considerate and motivate them to be patient and committed to their chosen job. I
have known them as my “Bibo” children but every time I look at them in that
scenario, I realized that I am missing them. The OLD them. Stressed, no free time
except lunch break and burn out are the cliché words to describe them. As a
school head, it is one of my duties to take care of my constituents.

To find out what they are really feeling, I requested a faculty meeting and
midway in our conversation I found out that my speculations about seeing them
so stressed are true. A colleague said, “Sorry mam morag isa ka ream na akong
mali di jud malikayan sa kamot “.

Within five years the school is out-numbered of teaching personnel


resulted to overloading of subject loads with multiple ancillaries not in line of
their expertise. Feeling exhausted, though it cannot be avoided but upon seeing
the happy faces and eagerness of our IP learners we felt relieved and ignited to do
our best “Para sa bata at sa Bayan laban.”

It so happened in the midst of pandemic, my Planning Officer attended a


webinar training about Dashboard. One of its objectives is to facilitate
convenience with regards to paper works. Dashboard is a visual display of all of
your student’s data and its primary purpose is to provide information at-a-glance.
Dashboard allows teachers especially the adviser the ability to monitor
performance, create reports, data updates, corrections, estimates and targets for
future work. And the adviser can generate reports with a single click.

Of course, as Teacher In-Charge, I want to alleviate my teachers from


distress brought by overloaded administrative paper works and multiple
ancillaries. Thus, I conclude that there is really a need to aid this problem by
embracing digital technology through digitalizing school forms and documents.
For I believed that embracing the technology can lessen the pressure and lightens
the heavy loads of my teachers.

Action Research Question:


This action research will primarily intend to determine the effectiveness of
digitalized school forms as an intervention to reduce burdens among teachers in
Mahayahay NHS. Thus, this action research seeks to answer the question.
How does Stallion Dashboard reduce the paper burdens among teachers of
Mahayahay NHS?

Innovation:
The School Planning officer and at the same time IT Coor conducted the
trial and error of Dashboard last SY: 2020-2021. Through the comments and
recommendation, we developed the dashboard and officially used it during year
end reports of this school year 2021-2022. We come up with the STALLION
DASHBOARD in an offline platform. the Mahayahay National High School
signature name “GRAY STALLION”. We are so glad crafting this innovation
because for the past 2 years using the traditional way in accomplishing the school
forms as an adviser it is 24/7 or more facing those school forms and others said,
“kasukaon naku aning mga papila”. Indeed, it is time consuming and stressful for
the teachers.
In new normal setting, we are more expose on technologies and encourage
everyone to use it. Nowadays we need to embrace technology in our profession.
And that is why we crafted this stallion dashboard for us to get along this time
and the main objective is to reduce the burden of the teachers especially the
advisers.

. I was really happy with the feedbacks of my colleagues. There are good reactions
and of course the sad part, the bad criticism. But we use those criticisms to
develop more our Dashboard. And the Mahayahay National High School would
like to inspire the other school to craft and share this innovation of ours.
The Stallion Dashboard consist of class profile, master list, school forms 1-
10, summary of grades and the student grades. In class profile it contains the
grade level, section, school year, learning modality, adviser and the school head.
Whereas in master list it consists of the student profile (surname, first name,
middle name and name extension) Learners’ Reference Number, age, birthdate
and gender. Where in school forms include the school forms from 1-10 like the
school register, daily attendance report of learners, book issued and returned,
report on promotion & level of proficiency, school personal assignment list and
basic profile school Nutritional Status, progress report card, learner’s permanent
record. And the student grades made up of grades in every subject area.
The Mahayahay National High School conducted the trial and error of
Stallion Dashboard last SY: 2020-2021 and SY: 2021-2022. Through the comments
and recommendation, we developed the dashboard. We come up with the
STALLION DASHBOARD from the Mahayahay National High School signature name
“GRAY STALLION”. We are so glad crafting this innovation because for the past 2

In operating this stallion dashboard, these are the following phases:
In opening the stallion dashboard, it welcomes us in our home page. For
the first month of school year first thing to do, we need to accomplish the number
of our students;
Second, open the class profile and input the grade level, section, school
year, learning modality adviser and school head; and
Third, proceed to master list which have male and female tab. We need to
collect and encode the basic data like the surname, first name, middle name,
name extension, learners’ reference number (LRN), age, birthdate and gender.
For the 1st quarter, we need to input the grades in 1 st quarter in every
subject by clicking the grading sheets, next the subject area and encode the
grades of the students in first column. And for printing the card for 1 st quarter, let
us proceed to school forms and in school form 9 select malesf9 or femalesf9, then
it direct to page where we can select the students in the dropdown list, then click
the 1st quarter and click Ctrl+P.
Furthermore, for the 2nd quarter up to 4th quarter we need to input the
grades in 2nd or 3rd or 4th quarter in every subject by clicking the grading sheets,
next the subject area and encode the grades of the students in column according
to its quarter. And for printing the card for 2 nd or 3rd or 4th quarter, let us proceed
to school forms and in school form 9 select malesf9 or femalesf9, then it direct to
page where we can select the students in the dropdown list, then click the 2 nd or
3rd or 4th quarter and click Ctrl+P.
And for the final quarter, in printing the school forms 10 or the learner’s
permanent record first, click the school forms then in school form 10 select the
grade level of your class, then it direct to page where male and female tab is
visible, click the tab gender of the students you would like to print, then it direct
on the page were we can select the students in the dropdown list, then click the
view and Ctrl+P.
Gathering of Data
In my action research, I conducted Structural Interview to ask the opinion
of my teachers and Behavioral observation by watching how the teachers do their
work by using dashboard.

I was using the following questions during the interview to obtain the teacher's
thoughts and feelings:
1. How did you feel using the digitalized school forms?
2. Which do you prefer to use? Which is the most convenient?
3. What are their concerns regarding with the use of the Dashboard?

Behavioural Observation
Teachers who have been observed using the dashboard appeared to be happy
with their work. Notable reactions and characteristics I've observed include how
impressed they were with the dashboard. They felt relieved when they used the
dashboard because it was not time consuming and did not require a lot of effort,
especially when they encountered some errors that needed to be corrected right
away, the work was much faster and they could move on to the next task that
needed to be completed. On the other hand, there were a few misunderstandings
when the dashboard was first introduced to us, but we little by little adapted on
the proper procedure for controlling the program.
