PLACEMENT POLICY FOR RECRUITING


ORGANIZATIONS
(Placement Season 2024-25)

The Placement Office welcomes all recruiting organizations to take an active part in the
Placement Process for the Placement Season 2024-25. IIT Bombay considers the placement
process very crucial and extends all-out support to ensure that students are given the right
opportunity to streamline their career interests to facilitate a proper match between recruiter
expectations and student aspirations.

The Institute Placement Team consists of the Professor-in-Charge (PIC), Training & Placement
Officer (TPO), Placement Office Staff Members, Placement Managers, Strategic Initiatives
Lead, Company Coordinators, Department Placement Coordinators, Associate Placement
Coordinators, Internship Coordinators, Web Coordinators, Development Team Lead and
Design Nominee.

The team continuously endeavors to ensure IIT Bombay comes up with the best Placement and
Internship results and continues to be the most favored destination for recruiting organizations.
This is possible only with the assistance and full cooperation of all students and recruiters.

To maximize the sum of benefits to all the stakeholders, the Placement Policy for Recruiting
Organizations has evolved over the years. To realize a win-win situation for IIT Bombay and our
partner recruiting organizations, all are expected to understand the Placement Policy and follow it
strictly. It may be noted that some policy changes may take place during the year in the best
interest of the stakeholders.

The Placement Policy for Recruiting Organizations applies to all recruiting organizations that are
invited to participate in the 2024-25 Campus Recruitment of IIT Bombay. Extracts of the Student
Placement and Internship Policy are included below.
1. Placement Season:
The Placement Season started on July 16, 2024, and will continue up to June 30, 2025.

2. General Guidelines for Recruiting Organizations:


A. Recruiting organizations are requested to mark all IIT Bombay-related placement
communication to placementcell@iitb.ac.in and placement@iitb.ac.in, and all
internship-related communication to training@iitb.ac.in besides any other email IDs being
used.
B. Salary information in the Job Announcement Form (JAF) should be provided in terms of
Gross Salary per annum. Perks, if any, and other benefits may be specified in the
“Additional Information” section of the JAF. The Institute takes utmost care to maintain
confidentiality of this information.
C. Recruiting organizations are requested to ensure that NO current IIT Bombay student is
involved in or influences any decision-making, shortlisting, or selection process.
D. Pre-Placement Talks- Companies will only be allowed to book their slot for
Pre-Placement Talks till a date to be specified later by the Placement Office. No further
requests beyond that date shall be entertained.
E. Tests/ Group Discussions- Companies are hereby requested to restrict the duration of
conducting their in-semester evaluative processes such as Tests, Group Discussions, etc.
to a maximum of 1 hour per activity as per the restrictions in students' schedules due to
academic commitments.
F. The schedule for various activities for any recruiting organization must strictly follow the
timeline informed by the Institute Placement Team from time to time. No company
activities will be conducted during the academic hours.
G. Recruiting organizations should NOT contact any student by any means unless he/she has
been selected by the organization through campus placement, or is otherwise explicitly
permitted to do so by the Placement Office. Direct contact with the students before
selection, without explicit permission from the Placement Office is not just a violation of
this policy but also amounts to gross ethical misconduct by the recruiting organizations.
H. Any interaction not facilitated by the Placement Office or any non-placement related
activity with the students before the final selection will be not entertained by the
Placement Office as per institute guidelines.
I. All job offers are to be made through the Placement Office only. The acceptance letters of
students selected by the organization will also be sent through the Placement Office.
J. IIT Bombay Administration and the Placement Cell will not be held liable for any costs
incurred by a firm during the hiring process regardless of the outcome.
K. The recruiting organizations are required to follow the Placement Guidelines on the day of
their campus visit. The Placement guidelines will be communicated a few days before the
scheduled date of the campus visit.
L. Students should be joining their organization by August end.

3. Recruiter Participation Fees:


Recruiting organizations are required to pay a fee of ₹10,000 (inclusive of G.S.T.) for
participating in the Placement Season 2024-25 at IIT Bombay, with an exemption for
government organizations. Please note that there are no charges for participation in the
internship season.

This amount is non-refundable irrespective of any outcome including, but not limited to,
further participation and selections.

4. Rules for Pre-Placement Offers (PPOs)


A. Companies are encouraged to inform the PPOs before 15th September 2024. Post the
date mentioned, JAFs for the upcoming Placement season shall start opening, and
students might prefer to continue in the Placement process.
B. All Pre-Placement Offers by any organization, extended to any student, have to be
immediately reported to the Placement Office by the student after registration. This also
includes offers extended by organizations that are not participating or are not likely to
participate in the 2024-25 campus placements.
C. All organizations contacted will also be informed about the PPO policy of the institute
depending on which company may or may not allow the student to sit for placements.
D. Any form of intimation from an organization about the possibility of a PPO being granted
in the future should be informed to the Placement Office without waiting for the formal
offer letter/email. The Placement Office will take up the matter with the organization
further and the student will be allowed to sign JAFs as per normal policy until a decision
regarding the grant of a PPO is made by the organization.
E. Students should proactively review the terms and conditions of the PPO. In case of any
difference between the company's terms and conditions and the Institute Policy, the same
should be explicitly brought to the notice of the Placement Office.
F. The student will have to accept or reject the offer before the deadline of the organization /
1 week from the date after which the offer has been released / 30th November 2024,
whichever is earlier. Failing to do so, the Placement Office will assume the offer to be
accepted, and the below-mentioned rules would be applicable.
G. The following details must be informed when offering the PPO
1. Compensation (Gross & CTC )
2. Place of Posting
3. Job Profile
4. Confirmation of allowing PPO JAFs to students according to 8(g)
H. Students accepting or rejecting a PPO will have to immediately notify the Placement
Office of the same with a copy of their communication to the organization. If the PPO is
accepted, the job will be recorded, and he/she will be allowed to appear for additional
placement opportunities based on the discretion of the organization offering the PPO. The
companies for which the student signs the additional JAFs must visit either before/on the
date of the company from which the student has received the PPO.

I. For PPO offering firms that do not visit campus, the number of additional placement
opportunities allowed shall depend on the gross salary (category) of the PPO, and the
restriction of the slot till which a student can participate shall be decided by the PIC.

On accepting a PPO, the student will be allowed the following additional opportunities:

Students will have to appear for personal interviews in the companies for which they
have been shortlisted.

J. Any student who gets a job during campus placement must accept the job offered
through campus placement, and the student will not be eligible for signing any
additional JAFs. The organization offering PPO will also be informed accordingly.
K. A student with additional opportunities available as per 6(f), on completing the number
of incentive points for participation in the preparatory activities, will get an incentive of
signing additional JAFs as follows:

A student who is found to have breached any of these rules or secured a PPO and not
informed the Placement Office of the same within the stipulated time limit will be
debarred from the placement process. If at the time of the breach, the student is
already placed, the organization in which he/she is placed will be informed of the
violation. The matter may also be referred to the Institute for further disciplinary action.

L. Pre-Placement Interviews: Students, who are offered PPIs, can choose to accept or
reject PPIs. If a student accepts the PPI and gets a job offer after giving the PPI,
standard Pre- Pre-placement offer rules shall apply. If the student chooses to reject the
PPI or does not get selected after giving the PPI, he/she can appear for the rest of the
placement process as usual.
M. Any terms and conditions, if applied by the organization offering the PPO shall override
the Pre-Placement Offer guidelines mentioned above by the Placement Office, IIT
Bombay, under the discretion of the Professor-In-charge

5. Rules for Pre-Internship Offers (PIOs)


Students receiving Pre-Internship Offers (PIOs) must report the receipt of these PIOs to the
Placement Office within three working days. All PIOs are to be directed through the
Placement Office only. If they receive a PIO, the student shall be allowed to sign IAFs as
per the following conditions:

● If a student has received the PIO as a subsequent offer to an internship opportunity


brought through the Placement Office, then the student is required to inform the PIO
offering firm about acceptance/rejection while keeping the Placement Office in the loop
before the start of the internship season or the PIO acceptance deadline of the firm,
whichever is earliest.
● In all other cases where the PIO is not offered as a subsequent offer to an internship
opportunity brought through the Placement Office, students will be able to sit for the
internship process until the corresponding slot of the company, which will also be
considered as the PIO acceptance deadline for the students. If a company does not visit
the campus, the PIO acceptance deadline will be at the discretion of the Placement
Office.
● If the student gets an internship through the Placement Office before the PIO
acceptance deadline of the firm, it is binding upon the student to accept the internship
for which he/she has been selected through the Placement Office and reject the PIO
while keeping the Placement Office in the loop, failing which he/she is liable to be
penalized as per the ‘Terms for Declining Internships’ clause of the Internship Policy.
● If the student accepts the PIO, they shall be immediately de-registered from the portal.
If they reject the PIO, they shall be allowed to sign further IAF

Extracted below are some sections of the AIPC Guidelines for Recruiters, which we expect
recruiters to abide by and any deviations may be escalated to the committee for review.
6. All IITs Placement Committee Guidelines (AIPC)
Shortlisting as well as selection criteria: If a company has any reservations about selecting
students with arrears/backlogs, the company needs to inform the same in advance in the job
notification form. The company should spell out these criteria in the job notification form such
as active/ cleared backlogs, year gap, bond, medical fitness parameters, etc.

Medical tests and Visa: If the company has stringent medical conditions such as color
blindness etc. it must be mentioned in JAF/JNF. If such conditions are not mentioned in
JNF/JAF, students cannot be denied joining later on this ground. For international offers,
regarding medical tests and visa delay issues, it will be beneficial that the recruiter informs
students in advance through the Placement Office. For such offers, companies are required to
communicate and guide the selected students regarding visa/work permit/medical test and
other related processes and lead time for obtaining the same.

Selection through Hackathon, Case studies: On-campus internship and full-time placement
through Hackathon, Case studies competition, etc., before December is strictly prohibited.
Upon observation of such cases, these companies will be debarred from the recruitment
process in all IITs.

Spot Offers: Spot offers during the time of personal interview are not permitted.

Post – Placement:
A. Key information on the offers made: For full-time placement offers following may be
noted:
● The offer letter must be released within one month from the commencement of the result
declaration. In case of any deviations or inability to send the offers, suitable information with
relevant reasons be provided to the concerned Placement Office. Under any circumstances,
the offer letter should not be delayed beyond March.
● The offer letter must contain the Date of Joining, the Joining location, Detailed breakup of
the salary structure (including take-home salary) based on the quoted CTC.
● In case of direct offers to the student, a copy is to be sent to the concerned Placement Office.
● The joining date should not be deferred beyond 1st September.

B. Major deviations: In case of deferred joining date, change in the package and/or profile, and
withdrawing offers, the same is to be intimated to the concerned Placement Office with
suitable justification for such a decision. This may be intimated to the Placement Office before
informing the candidate. In case a company is not in a position to honor the offer made or
delay in joining (beyond September), the candidate is to be compensated with 3 months’
salary as mentioned in the JNF/JAF or offer letter whichever is higher.

interest to the recruiting organizations.

6. Categorization of Organizations:
The job profiles offered by recruiting organizations are divided into various categories based
on the gross compensation package as follows:
C1 > 20 LPA
16.75 LPA < C2 ≤ 20 LPA

12 LPA < C4 ≤ 14 LPA
10 LPA < C5 ≤ 12 LPA

Factors other than compensation packages like job profile, past association with recruiting
organization, etc. may sometimes be considered to alter the category.
The decision regarding the categorization of firms is up to the discretion of the Placement
Office, IIT Bombay and requests regarding this matter shall not be entertained.
Job profiles offered by organizations that offer salaries in other currencies will be categorized
by the Placement Office based on the above factors. Job profiles offering varying salaries may
be placed in multiple categories with each category depending on the salary.

7. JAF Signing Details (Job Announcement Forms)


A. A student shall be entitled to sign a maximum of 40 JAFs during Phase I of Placements
2024-25 i.e. from July 12 to a date that shall be specified later. After that date,
unrestricted JAF signing would be allowed. Students unable to secure a job in Phase I
would be allowed to sign JAFs unconditionally in Phase II. Students securing a job in
Phase I can refer to point 6 (K) for rules for signing extra JAFs.

B. A student can avail extra JAFs by participating in preparatory activities and earning
incentive points. Extra JAFs can be availed by abiding by the following structure:

8. Bonus Opportunity JAFs
A. A student shall be entitled to sign an additional number of JAFs that are not open for
his/her department and program which will be considered as a bonus opportunity to the
students.

B. A student can avail of these Bonus Opportunity JAFs only if he/she has no penalty points.

C. Rules of Bonus Opportunity JAFs are independent of the rules of regular JAFs.

D. If a JAF is signed using Bonus Opportunity but reopens again as a regular JAF for the
student, it will be considered as a regular JAF and the student will be entitled to one
extra Bonus Opportunity JAF to compensate the Bonus Opportunity availed previously
for the same JAF.

E. The Placement Office will notify the students in advance when a particular company is
not going to accept Bonus Opportunity JAFs.

F. Bonus Opportunity JAFs will be allowed in Phase 2 as well.

G. Students will be allowed to sign the remaining number of bonus JAFs even after getting
1st job, subject to the condition that the total number of JAFs a student can sign will be
according to 4(d) and this number shall be inclusive of Bonus Opportunity JAFs.

9. Second Job Policy


A. The 2nd Job Policy is strictly applicable only in Phase II from January 2024 for all
organizations visiting the campus in Phase II and thus a student can only apply for a
second job in Phase II as per the below-mentioned rules.

i. A student securing a job in C1, C2, C3, C4, C5, or C6 category organization will NOT
be eligible to sign any new JAF. The student's name will also be removed from all
other JAFs of organizations that he/she has applied for and he/she will be
de-registered from the placement process.

ii. Only a student securing a job in a C7 or C8 category organization (either in Phase I


or Phase II) and having incentive points according to clause (4.d.viii.) will be eligible
for 2nd job policy.
iii. A student securing a job in a C7 category organization will be allowed to sign extra
regular JAFs only of organizations in the category of C6 or higher as per point (7).

iv. A student securing a job in a C8 category organization will be allowed to sign extra
regular JAFs only of organizations in the category of C7 or higher as per point (7).

v. A student has the option of choosing one out of multiple offers if the said offers
were received within one working day for jobs secured in Phase II subject to the fact
that the selection procedure for each of those organizations has been fully
completed and only their final results are awaited. It shall be binding on the student
to accept the job for which he/she has been selected through the Placement Office
after one working day.

vi. Any student who gets 2 jobs during Campus Placement will NOT be eligible to sign
any more JAFs, and the student will be deregistered from further placement process
including removal from further signed JAFs. The student must accept the higher
category job, and both organizations will be informed accordingly. This clause is
applicable even for students eligible for signing additional regular JAFs as per the
incentive scheme.

vii. A student completing the specified number of incentive points through participation
in institute-level and department-level preparatory activities will get an opportunity
to sign additional regular JAFs (applicable after the student has secured his/her First
Job). Of the total incentive points completed by the student, a minimum of 10
incentive points must be completed through the institute-level preparatory activity
to avail the opportunity to sign these extra regular JAFs.

10. Off-Campus Application Rule


A. Students are strictly prohibited from applying to off-campus organizations except as
described below. Students are strictly prohibited from making any contact with
organizations that are likely to visit or have visited the campus for placement.

B. Students are strictly prohibited from participating in any sort of competition conducted by
organizations or any activity not falling in the purview of the Placement Office. Students
are discouraged from sharing their contact details with any organization during any part
of the selection procedure of the organization. The exceptional cases where contact
sharing is allowed will be communicated specifically by the Placement Office.

C. Students who register with the Placement Office are strictly forbidden from applying for
off-campus recruitment without permission till March 31, 2025. Any student who wishes
to apply directly to any organization must contact the Department Placement Coordinator
of his/her department so that the organization is officially invited for campus placement. If
the organization is not invited as per the decision of the Placement Office or is unable to
visit IITB for placement due to their constraints, off-campus application to that
organization may be permitted at the discretion of the Placement Office. The decision of
the Placement Office will be final and binding to the student.

D. A student may also directly contact the Professor-in-Charge for permission to apply for
off-campus placement in case he/she does not wish to disclose the name of the
organization to the other members of the placement team. The decision of the
professor-in-charge will be binding to the student.

E. Any student who secures an off-campus job is required to report the same to the
Placement Office within ONE working day. He/she shall be permitted to sign JAFs for
other organizations, as per the rules for signing JAFs given above depending on the gross
compensation package of the off-campus offer.

F. Any student found to have applied to or secured a job through off-campus application
without the prior consent of the Placement Office, or is found to have directly contacted
any organization, including those participating in Campus Placement will be debarred
from taking part in any further placement process. Further, the organizations to which
he/she has applied/secured a job will also be informed of the policy violation by the
student. The matter may also be referred to the institute for further disciplinary action.

11. Deferred Placement Policy

13. Self-Financed Placement Policy

14. Participation Incentives


A. The Placement Office will organize some compulsory and optional activities at the
department and institute level. Optional activities will have points attached to them.
These points will be awarded to a student based on attendance taken during the event
(except in the case of online tests).

B. A student will be awarded “2” points for participating in an institute-level activity. The
institute-level activities include but are not limited to preparatory workshops, online
tests, lectures, and other employability enhancement initiatives under the purview of
the Placement Office.

C. A student will be awarded “2” points for participating in a department-level offline


activity. These activities include but are not limited to the employability enhancement
initiatives by Department Placement Coordinators like mock Group Discussions (GDs)
and mock Personal Interviews (PIs).

D. Any violation (including proxy attendance) will be addressed in the same manner as in
PPTs and corresponding penalty points will be imposed as given in the ‘Graded Penalty
Structure’.

E. A student who earns “15” or more points will get the opportunity to sign extra JAFs.
