Formal Invitation

What is an invitation?

• An invitation is a
request, solicitation, or
an attempt to get
another person to join
you at an event.
What is the social function of an
invitation?

• To let people know that you


are having a party/celebration.
• To inform people what your
party is, when the party is
held, and where the party is
taken place.
What is a formal invitation?
• A formal invitation is an
invitation which follows a
dignified form, tone or
style in agreement with
the established norms,
customs or values.
What is the social function of
formal invitation?

• For inviting people to


come to formal and
social events.
EXAMPLE An invitation about:
1. The grand opening of new branch
company.
2. The celebration of wedding
anniversary.
3. Education colloquium/seminar.
4. Graduation ceremony.
5. Job interview.
6. School annual meeting.

Common Format in
Formal Invitation
• The first line is the name of the person who invites
• The second line is the request of participation
• The third line is the name of the person who is invited
• The fourth line is the occasion of invitation
• The fifth line is the time and date of the occasion
• The sixth line is the place of the occasion
• The last line is the request for reply

LINGUISTIC CHARACTERISTICS :
• Simple, precise, and concise words.
• Detailed information.
• The tone should be friendly and sincere.
• Words should be chosen carefully.
• The style of writing should be formal.
Responding to Formal Invitations
• Formal invitations should be responded to
within 3 days.
• Replies are written in third person.
• Replies have to be handwritten.
• Reason should be briefly stated for declining
the invitations.
Formal ways to
accept formal
invitation
- I would be delighted to accept your
invitation.
- Thank you for inviting me. I will see
you there.
- I am available on [date] and will
gladly see you then.
- I am very pleased to confirm that I
will be attending the event.
Formal ways to
decline formal
invitation
• I appreciate the invitation, but I won’t
be able to go.
• I’m very busy that week, so I won’t be
able to join you.
• Thank you very much for the
invitation, but unfortunately I can’t
make it.
• Thank you for extending the
invitation to me, but I’m not available
at that day.
Formal ways to say
maybe to a formal
invitation
• I will confirm my acceptance at a later
date.
• Let me look over my schedule. I’ll let
you know shortly.
• I should have a good idea by [date]
whether I can accept.
• I appreciate the invitation, but I can’t
confirm right this moment.

Canva, Adobe Photoshop, Design Bold,
Freepik, Snappa, etc.
2. Follow the format of formal invitation.
3. Made by your own words.
Notes: Submit on GCR, no later than one
week after being assigned.
