 As soon as you move one step from the bottom,


your effectiveness depends on your ability to reach
others through the spoken or the written word. And
the further away you are from manual work, the
larger the organization of which you are an
employee, the more important it will be that you
know how to convey your thoughts in writing or
speaking. In the very large organization…….this
ability to express oneself is perhaps the most
important of all the skills a person can possess.

Meaning of Communication

Communication is the process of exchanging


information, usually through a common
system of symbols.
It takes a wide variety of forms – from two
people having a face to face conversation to
hand signals to messages sent over the
global telecommunication networks.
Common forms of communication include
speaking, writing, gesturing and
broadcasting.

Therefore, communication means to inform, tell,


show, or spread information.
When a person communicates, he/ She establishes a
common ground of understanding.
In the organisational context, it brings about a unity
of purpose, interest and effort.

Communication can also be defined in the following
ways:
 The process by which information and feelings are shared by
people through an exchange of verbal and non-verbal
messages.
 The successful transmission of information through a common
system of symbols, signs, behaviour, speech, writing or
signals.
 The creation of shared understanding through interaction
among two or more agents.

1). NOISE:
It includes unwanted signals which interfere and
disturb the reception of wanted signals.
It results into incomplete communication, which
causes distortion & delay.
Noise may come from People, music,
machines, telephones, vehicles, aircraft,
animals etc.
Technical noise comes from machine, music,
telephone, mobile phone, poor signals etc._

Frequency of communication affects human


relationships.
Eg: If a superior does not communicate with
his employees for a long time, it may create
communication gap.

Time of communication also matters.


Eg: A phone call at midnight can irritate the
receiver. _

3). DISTANCE:
Distance between Sender & Receiver can be a
barrier while talking face-to-face.
Too near and too far distance can cause
problems.
Faulty sitting arrangement can also be a barrier._

4). AGE:
Age difference causes Generation gaps.
Eg: Older workers form their own social group,
which remains away from younger workers._

Communication styles of Male and Female
employees are different.

Mechanical barriers to communication:
These are the barriers generated by machines
and equipments like: Engines, Siren, Drill
Machine, Generator, Fans etc.

These barriers cause difficulty in attentive


listening, which results in distortion of
message._

3. Psychological Barriers:..
19 1). Emotions:
Emotional position plays a significant role in
communication.
If the sender is worried, afraid, nervous or
angry, it gets reflected in his message._

2). Status Barrier:


Status-conscious superiors avoid receiving
suggestions from their juniors. They consider it as
a compromise with their dignity.
Similarly, their subordinates also avoid
communicating unfavourable facts to them._

20 3). Closed-mindedness:
If the mind is closed to new ideas, it is difficult
to communicate with the person.
The deep-rooted prejudice acts as a barrier.

4). Inattentiveness:
If the message does not support our views &
choices, the receiver may become inattentive.
If the new idea threatens stability of the
receiver, he may lose attention. Eg:

5). Distortion & Faulty Transmission:
While translation some part of the message
may get distorted/lost causing inaccuracy.
The message gets filtered according to the
interest of translator. _

6). Poor Retention:


Generally, employees can retain about 50% of
the communicated message. Rest is lost.
To a large extent, mental state of receiver is
responsible for poor retention. _
