Overview & Background Need for a Data System That Meets Individual School Needs Emerges With New Focus on Accountability & Using Data More Routinely As schools in the old Autonomy Zone signed up for increased accountability, schools recognized the need for a tool to provide them with accurate and real-time data. We worked with Bronx Lab and two other High Schools to develop a system piloted with 10 schools during the 2005-2006 school year In 2006-07 new schools were selected to join the pilot from Anthony Conelli’s Empowerment Schools Network and the project was aligned with the work of a Network Team. Functionality also improved and the system was used for a wide range of data needs ranging from attendance to discipline to interim assessments. Over time, ARIS offers the promise of helping to fill these needs for schools. Beginning this Fall it may provide schools with additional functionality for reporting and data sharing. Salesforce can fill gaps until this system is complete. The most popular functionality in Salesforce are mechanisms for tracking daily student activity so advisors can truly serve as case managers for students and administrators can keep track of activity across grades. Schools customize the system to match school-specific programs and culture to track discipline, homework, and anecdotal daily reports from teachers. In this way Salesforce can also be an aid to ESI/Self Study Teams and a way to help new schools as they grow to create and manage systems and structures within their school.
Tracking Advisor and Cohort Information Salesforce allows schools to create custom flags to track different groups of students within a school. The Green School uses two custom fields to track groups of students: Green School Advisor – tracks the teacher in an advisory role for that student Green School Cohort – tracks the cohort group that the student takes classes with The Green School Tracking Parent Phone Calls Salesforce also allows school personnel to log and describe all phone calls made to parents or guardians. Phone calls made about attendance can then be tracked by all school personnel, including the student’s advisor.

The Honor Level System at Bronx Lab School Salesforce allows advisors to closely manage the students in their advisory. The Bronx Lab School uses the Plusses/Minuses Tab to track student behavior. Every 3 weeks students are placed on an honor level based on how many Plusses/Minuses they have accumulated over those 3 weeks. Teachers enter Plusses/Minuses based on observed behavior in classes. Each advisor receives an automatic email about every Plus/Minus that their advisees accumulate. At the end of each honor level cycle, the advisor sits down with each student and discusses the list of Plusses/Minuses they have accumulated. Salesforce can create graphical representations of these Plusses/Minuses for teacher and administrators to track trends at the school.

Design Your Own Periodic Assessments With Institute for Student Achievement Schools This year Empowerment Schools gave four periodic assessments to track student performance. Salesforce allows schools to track any type of assessment that they give. A group of Institute for Student Achievement schools designed their own periodic assessments and then used Salesforce to store and track that data.

Progress Reports and Grades at The Academy for Young Writers Salesforce allows schools to track grades in innovative ways. At the Academy for Young Writers, each student receives grades in 5 different areas for each class, along with exhibition grades. Salesforce tracks each of these grades, creates progress reports and allows schools to analyze the data.

Tracking Attendance at New Design High School Salesforce allows schools to track daily attendance along with follow up calls to parents regarding missed time. It also allows the creation of graphical interfaces to chart attendance trends and target students who may need help

Within this framework, tracking advisory information is the most popular function.
