At Quickbase, Inc. (“Quickbase”, “we” or “us”), we place the highest importance on respecting and protecting the privacy of individuals. Our most important asset is our relationship with you. We want you to feel comfortable and confident when using our website and our service. Therefore, we would like to share with you the following principles that govern our information practices and other privacy aspects of our website and our service when accessed through www.quickbase.com and any of its subdomains.

We will update this privacy policy when necessary to reflect customer feedback and changes in our services as well as applicable laws, rules and regulations. If there are material changes to the statement or in how Quickbase will use your personal information, we will notify you either by prominently posting a notice of such changes before they take effect or, if you have registered an account with us, by directly sending you a notification through the service. Personal Information We Collect
By using this website or registering for our service, we collect certain personal information about you in order to provide the Quickbase website and service and for us to learn how to be better able to serve you. We may also receive personal information about you from third parties. Personal information refers to information about you that can be used to contact or identify you, and information on your use of and activities at our website and service that may be connected with you.
If you are a website visitor without an account with us, see the section labeled “Cookies, Web Beacons and other Web Technologies” below to understand what personal information we collect from visitors.
If you do register for an account with us, the personal information that we collect may include all or some of the following elements: your name, phone number, billing information, email address and postal addresses (collectively, “Account Information”). We need this information to provide our service and to meet our related contractual obligations to you.
Personal Information may also include information you supply to us concerning your preferences and interests expressed in the course of use of our website and the Quickbase service (collectively, “Service Information”). We also need this information to provide our service and to meet our related contractual obligations to you.
If you are unsure whether you would like to provide Account Information or Service Information to us and/or having your information used as permitted in this Privacy Policy, you should not register for our service or, if you are already a user of our service, you should close your account. We maintain these account identifiers as long as necessary for our internal business purposes and to meet our legal obligations.
For the sake of clarity, Account Information and Service Information does not include data you may upload and store within Quickbase apps (collectively, “Apps Information”). We do not have access by default to your Apps Information. If you do request that we access your Apps Information for any reason, including for technical support, that access will be provided by you and you remain in control of the Apps Information.
If we meet with you via telephone or web conference call, we may record the meeting and your likeness, voice, and comments will be captured in the recording and related call transcript.
If you choose to use our mobile application, we may request access to your geo-location information to automatically populate your current location in an address field on a Quickbase form. We may also request access to your camera reel and device storage to allow you to upload images, videos, or other files in a file attachment field on a Quickbase form. If you wish to change our access or permissions, you may do so in your device’s settings.
We may also collect certain other personal data through your use of our mobile application related to your use of the mobile application, including information regarding your device, operating system, language, and time zone to support troubleshooting problems. The mobile application may also collect information regarding your interaction with the mobile application which Quickbase may use to provide and improve the mobile application and other services.

How We Use Personal Information
We use the Account Information you provide to (i) provide our website and services to you and administer your use of our website and services, (ii) to communicate with you and fulfill requests you may make, and (iii) to provide you with information and announcements with respect to our service. We need to use this information to provide our service and to meet our related contractual obligations to you.
We use the Account Information and Service Information to provide you with further information and offers from us or third parties that we believe you may find useful or interesting, including newsletters, marketing, or promotional materials sent via e-mail (“Informational Materials”). We rely on our legitimate interests to provide such information and offers to you, and you may request to opt out of these communications. If you are located in a jurisdiction where electronic marketing communications require your consent prior to us sending these communications to you, we will ask for your consent prior to sending such communications.
If you decide at any time that you no longer wish to receive Informational Materials, please follow the “unsubscribe” instructions provided in any of the communications sent to you, or update your “account settings” information.
Additionally, we may use your Account Information to communicate with you strictly about your service through email and text messages, messages sent within the application, and notices posted at our website or on your account and to provide you with customer support and other information on services and products (collectively, “Customer Service Messaging”). We need to provide Customer Service Messaging to you in order to meet our contractual obligations to you and you cannot opt-out of Customer Service Messaging.
We may also use your Service Information to improve our website, services, features and content, to customize your user experience, and to better understand your needs and interests. We use information we obtain by technical means (such as the automatic recording performed by our servers or through the use of cookies) for the above purposes as well as to monitor, measure and analyze use of the website and our services, to generate and derive useful data and information concerning the interests, characteristics and website use behavior of our users, and to verify that visitors to the website meet the criteria required to process their requests. We may also use call recordings to review feedback and other information obtained from you. We rely on our legitimate interests to use this information to improve our service and your experience with us.
We may use sources outside of Quickbase to supplement the information you give us. For example, we may validate your address using other sources. We use this data to help us maintain accuracy and provide you with better service. If you are located in a jurisdiction where the applicable law so requires, we will provide you with further information regarding this practice.
How We Share Personal Information
We do not sell or rent your personal information to anyone.
Third Party Service Providers. We have limited relationships with third parties to help us in managing our relationship with you and to assist us in providing the Quickbase service to you, for example, by using a third-party data hosting service to ensure the data you upload to our platform remains secure. These service providers are contractually required to maintain the confidentiality of the information we provide them. The contracts outline the appropriate use and handling of your information and prohibit third parties from using any of your personal information for purposes unrelated to the product or service for which they’ve been contracted. Vendors are required to maintain the confidentiality and privacy of the information we provide to them.
Legal Disclosures. We may disclose or report personal information in limited circumstances where we believe in good faith that disclosure is required to comply with applicable laws, rules or regulations, to enforce or apply our Terms of Service, available at https://www.quickbase.com/terms-of-service and other agreements, or to protect the rights, property, or safety of Quickbase, users of our service, or others. For example, we may be required to disclose personal information to cooperate with regulators or law enforcement authorities, to comply with a legal process such as a court order, subpoena, search warrant, or a law enforcement request.
Business Partners. We have business partners that provide services, some of which are co-branded. Partner services and websites are clearly identified. When you request any of these products or services, you are permitting us to provide your personal information to the partner to fulfill your request. This website may provide links to third-party websites, such as those of our business partners and online advertisers. Because Quickbase does not control the information policies or practices of these third parties, you should review their privacy policies to learn more about how they collect and use personal information.
Business Transfers. Should we sell, merge or transfer any part of our business, part of the sale may include your personal information and you agree that any such third party will have the right to continue to use your personal information and other information that you provide to us or which we obtain through your use of the service.
If you use an email address provided by your organization, such as your employer or school, to sign into the Quickbase service, the owner of the domain associated with your email address may: (i) control and administer your account and (ii) access and process data you share with Quickbase. If your organization is administering your use of the Quickbase Service, please direct your privacy inquiries to your administrator.
We will provide an individual opt-out or opt-in choice before we share their data with third parties other than our agents, or before we use it for a purpose other than which it was originally collected or subsequently authorized. Cookies, Web Beacons and other Web Technologies
We use a variety of technologies on our website. Among these are cookies, which are pieces of information that our websites provide to your browser. Cookies also allow us to customize your visit to our website by recognizing you when you return. You can choose to decline certain cookies while at our website, however, this may limit your ability to access certain areas of the website. Most browsers accept and maintain cookies by default. Check the "Help" menu of your browser to learn how to change your cookie preference. The cookies within the Quickbase platform are essential and cannot be turned off.
When we track activity on our website, we collect information such as your IP address, browser type and version, pages you view, and other ways you interact with our website. We also keep track of how you got to our website and any links you click on to leave our website. Once you leave our website, we do not track you. We use your website activity to assist us in offering you a personalized Web experience, assist you with technical support and to tailor our offerings to you.
We may access and set cookies using web beacons, also known as single-pixel GIFs which are invisible graphical images. These web beacons tell us useful information regarding our website such as which pages users access. When we send you e-mails, we may include a single-pixel GIF to determine the number of people who open our e-mails. When you click on a link in an e-mail, we record this individual response to allow us to customize our offerings to you.
Your Right to Access and Control Your Personal Information
You may access, review, revise, correct, or delete the personal information provided in your registration or account profile by changing your preferences in “My Preferences.” If you update any of your information, we may keep a copy of the information that you originally provided to us in our archives for uses documented in this policy.
Third-Party Platform Advertising
If you are located in a jurisdiction where this is not prohibited, we may also use platforms provided by companies such as Facebook and Google to offer you interest-based ads. These platforms allow us to personalize the ads that we display to you. We do not share any of your personal information, including your shopping history, with these platform vendors. These advertisers may convert your email address into a unique value which can be matched by our partner company with a user on their platform to allow advertisers to serve you interest-based advertising. Although we do not provide any personal information to these platform vendors, they may gain insights about individuals who respond to the ads we serve.

We do not otherwise track you over time and across third party websites to provide targeted advertising and therefore our websites do not respond to Do Not Track (DNT) signals. Some third-party websites do keep track of your browsing activities when they serve you content, which enables them to tailor what they present to you. If you are visiting such websites, many modern web browsers allow you to set the DNT signal on your browser so that third parties (particularly advertisers) know you do not want to be tracked. Security of Personal Information
We protect the confidentiality and security of your personal information by using industry-recognized security safeguards such as firewalls, coupled with carefully developed security procedures to protect your information from loss, misuse or unauthorized alteration. Whenever we ask for sensitive information we encrypt it as it is transmitted to us. Our employees are trained and required to safeguard your information and, using physical, electronic and procedural safeguards, we restrict access to personal information to those employees and agents for business purposes only. Additionally, we use internal and external resources to review the adequacy of our security procedures.
Although Quickbase uses industry standard security measures, the Internet is not a 100% secure environment and Quickbase cannot, and does not, ensure or warrant the security of any information you transmit or store using the Quickbase service. There is no guarantee that your information may not be accessed, disclosed, altered or destroyed by breach of any of Quickbase physical, technical or managerial safeguards and we are not responsible for third party circumvention of your privacy settings or Quickbase’s security measures. You are responsible for maintaining the secrecy of your unique password and account information and for controlling access to your Quickbase account.
Our Retention of Personal Information
We retain personal information for as long as necessary to provide the services and fulfill the transactions you have requested, or for other essential purposes such as complying with our legal obligations, resolving disputes, and enforcing our agreements.

Other Places Where We Collect Personal Information
Quickbase Billing
When you subscribe to a level of Quickbase service requiring a fee, we require that you provide your billing address and your credit card information, including credit card number and expiration date. Credit card information is used solely for the purpose of billing you for Quickbase service. Credit card transactions are processed by a third party. Please read the terms and conditions as well as the privacy policy of the payment card processor because they will apply to you.
Your Quickbase service is billed to an account. Quickbase recognizes the account in which your data lives as the owner of your data. The account is responsible for payment and can transfer ownership of your data. Account owners and administrators should keep in mind that if they grant another individual full administrative rights to their account, that person will have access to the account's billing information.
Quickbase Partner Program
When you apply for the Quickbase Partner Program, you are required to provide your company's address, contact information, and other demographic information in order for Quickbase to contact you regarding the Quickbase Developer program.
Where We Store and Process Personal Information
Depending on the location from which you are accessing Quickbase, Quickbase is hosted in the United States. For users accessing Quickbase outside of the United States, information will be processed and stored in the United States and in a global location dependent on the location from which they are accessing the Quickbase service. Personal information collected in the European Economic Area or Switzerland, which is transferred to countries that have not been recognized by the European Commission and the Swiss Federal Data Protection Commissioner, respectively, as providing an adequate level of data protection, will be transferred based on mechanisms adopted by the European Commission. If you have a complaint, you may bring your complaint directly to Quickbase at [email protected] and Quickbase will respond to you within 45 days. An independent recourse mechanism will be available to you and designed to investigate and expeditiously resolve your complaint. Where appropriate, we will use Standard Contractual Clauses approved by the European Commission.
Certification Information for the EU-U.S. Data Privacy Framework, the UK Extension to the EU-U.S. Data Privacy Framework, and the Swiss-U.S. Data Privacy Framework
The following information aligns the Quickbase Privacy Policy with the specific points required by the Data Privacy Framework (DPF) self-certification process, and ensures Quickbase’s compliance with the DPF Principles.
Quickbase and its subsidiary FastField, Inc. (for purposes of this section, collectively "Quickbase") complies with the EU-U.S. Data Privacy Framework (EU-U.S. DPF), the UK Extension to the EU-US DPF, and the Swiss-U.S. Data Privacy Framework (Swiss-U.S. DPF) as set forth by the U.S. Department of Commerce. Quickbase has certified to the U.S. Department of Commerce that it adheres to the EU-U.S. Data Privacy Framework Principles (EU-U.S. DPF Principles) with regard to the processing of personal data received from the European Union and the UK (including Gibraltar) in reliance on the EU-U.S. DPF and the UK Extension to the EU-US DPF. Quickbase has certified to the U.S. Department of Commerce that it adheres to the Swiss-U.S. Data Privacy Framework Principles (Swiss-U.S. DPF Principles) with regard to the processing of personal data received from Switzerland in reliance on the Swiss-U.S. DPF. If there is any conflict between the terms in this privacy policy and the EU-U.S. DPF Principles and/or the Swiss-U.S. DPF Principles, the Principles shall govern. Quickbase’s accountability for personal data that it receives under the Data Privacy Framework and subsequently transfers to a third party is described in the DPF Principles. In particular, Quickbase remains responsible and liable under the DPF Principles if third-party agents that it engages to process the personal data on its behalf do so in a manner inconsistent with the Principles, unless Quickbase proves that it is not responsible for the event giving rise to the damage.
In compliance with the DPF Principles, Quickbase commits to resolve complaints about your privacy and our collection or use of your personal information. European Union, UK, or Swiss individuals with inquiries or complaints regarding this privacy policy should first contact the dedicated Quickbase compliance team at [email protected]
Quickbase has further committed to refer unresolved privacy complaints under the Data Privacy Framework Principles to an independent dispute resolution mechanism, Data Privacy Framework Services, operated by BBB National Programs. To pursue an unresolved human resources complaint, you should contact the state or national data protection or labor authority in the appropriate jurisdiction.
