FOURTH QUARTER

MODULE 1: FORMATTING PRESENTATION AND SPECIAL EFFECTS

INTRODUCTION
You have learned in the previous quarter by working with objects and graphics,
especially tables and charts. At this point, you shall learn to format presentations and special effects
namely applying and modifying themes, organizing formats, using transitions and animating texts and
objects on a slide. These functions will be discussed later on and will be given further examples and
steps how to execute it.

OBJECTIVES:
This module is designed for you to:
1. format presentations and add special effects in the PowerPoint presentations;
2. enhance PowerPoint presentations;
3. determine the importance of adding, changing and removing slide transition to slides in the
presentation; and
4. add, change and remove slide transition to slides in the presentation.

LESSON PROPER/DISCUSSION
First, we will discuss how to apply and modify themes because this is one of
the important parts in designing our presentation. We can actually create a new presentation
from an installed theme, change theme, and customize a document theme and the most important
part, saving a document theme. Themes can give your presentation a professional and consistent look
and learn how to customize the look of your presentation. You can actually do it because as I say, MS
Office is a user friendly platform and you can actually make a presentation by just following these
easy steps.

In creating a new presentation from and installed theme:


1. Click the Microsoft Office Button.

2. Click New.

3. Click installed Themes

4. Click the theme you choose


Changing a theme:
1. Open the presentation that you
want to change a theme.

2. On the design tab, you can click


the themes that you want in
the themes tab.

3. Click more to see all the available


themes.

4. You can use built – in themes,


custom and browse for themes or
searching on the office online.

*Custom is available only if you created one or more document themes. You can also apply a
document theme to all slides or selected slides only by simply clicking the right click on the
document theme, and then click the option that you want.

Customize a document theme


In customizing a document theme, this will be a very tricky one because you will start
changing the colors, fonts, or the line and fill effects. If you change on or more of
these theme components, it will immediately affect the styles that you have applied in the
active document. But also, you can save them as a custom document theme if you wish to
apply these changes to new documents.

Now, you already know the simple steps in customizing your own theme and you can take your time
in exploring more because we are not limited in those steps. There are a lot of things to be done in our
presentation. Next, we will try to use master slides in organizing our formats.

Edit a slide master or master layout:


1. Click the view tab, then click slide master. It will automatically display all its features.

2. You can add headings, subheadings, dates, slide numbers, graphics, themes or
background color.

*When we use master slides, we can change the overall presentation of our presentation. PowerPoint
provides a set of master slides, notes and handouts. Slide master controls the slides of a presentation;
Notes master controls the aspects of notes and finally, Handout master controls the handouts.
Now that we know how to build format in our presentation, it’s time to learn the exciting part in doing
our presentation, adding special effects that can catch the attention of our viewers. Adding transition
effects and animating text and objects is important in catching their attention.

Add the same slide transition to all slides:


1. In the pane that contains the outline and slides tabs, click the slides tab.

2. Click the slide thumbnail on the home tab.

3. Click the slide transition effect in the transition to this slide on animation tab.
To see more transition effects, in the quick styles list, click the more button.

4. To set the slide transition speed, in the transition to this slide group, click the arrow next to
transition speed, and then select the speed that you want.

5. In the transition to this slide group, click apply to all.

Add different slide transition to the slides:


1. In the pane that contains the outline and slides tabs, click the slides tab.

2. On the home tab, click a slide thumbnail.

3. On the animations tab, in the transition to this slide group, click the slide transition effect that
you want for that slide.
To see more transition effects in the quick styles list, click the more button.
4. To set the slide transition speed, in the transition to this slide group, click the arrow next to the
transition speed, and then select the speed that you want.

5. To add a different slide transition to another slide in your presentation, repeat steps 2 through
4.

Slide transition options:


● In the transition to this slide area, click the transition sound down arrow, and choose a sound to
accompany the transition. ‘no sound’ is the default.

● Click the transition speed down or up to adjust the speed of the transition.

● Click on the mouse check box if you want to advance to the next slide by clicking the mouse.

● Click automatically after the check box and fill in the time if you want your slide to
automatically advance.

● Click apply to all to assign the transition effects and sound to the whole presentation.

● Click the preview button in the preview group to see the effects for one slide.

● Click the slide show to view the slideshow with transition effects.

Change or remove transitions:


- Change all of the slides transition
o In the pane that contains the outline and slides tabs, click the slides tab.
o On the home tab, click a slide thumbnail.

o On the animations tab, in the transition to this slide group, click a different
slide transition effect.
To see more transition effects on the quick styles list, click the more button.

o To re – set the slide transition speed, in the transition to this slide group, click the
arrow next to transition speed, and then select the speed that you want.

o In the transition to this slide group, click apply to all.

- Change some of the slide transitions


o In the pane that contains the outline and slides tabs, click the slides tab.

o On the home tab, click the thumbnail of the slides that you want to modify the slide
transition for.

o On the animation tab, in the transition to this slide group, click a different slide
transition effect for that slide.
To see more transition effects on the quick styles list, click the more button.

o To re- set the slide transition speed, in the transition to this slide group, click the arrow
next to transition speed, and then select the speed that you want.

o To change another slide transition, repeat steps 2 through 4.

- Remove all of the slide transition


o In the pane that contains the outline and slides tabs, click the slides tab.

o On the home tab, click a slide thumbnail.

o On the animation tab, in the transition to this slide group, click no transition.

o In the transition to this slide group, click apply to all.


- To remove some of the slide transitions
o In the pane that contains the outline and slides tabs, click the slides tab.

o On the home tab, click the thumbnail of the slide that you want to remove the slide
transition from.

o On the animation tab, in the transition to this slide group, click no transition.

o To remove a slide transition from another slide in your presentation, repeat


steps 2 through 4.

Transitions apply when one slide will advance to another. Animation, on the other hand, is applied to
objects on a slide. This time, you will learn how to animate text, graphics, charts and other objects.

Apply animation to slides


1. Display the slide in normal view so that you can easily see what needs to be animated.

2. On the animations tab, click the animate down arrow in the animations group.

3. If you have selected text, choose from these options:


a. No animation – removes all the animation.

b. Fade – causes selected objects to fade.

c. Wipe – causes the selected object to appear bit by bit.

d. Fly in – causes the selected object to fly into position.

4. Select from these additional options when working with text.

Add custom animation


1. Display the slide in normal view.

2. Select the object that you want to animate.

3. On the animations tab, click the custom animation in the animations group. The
custom animation task pane will open.

4. To add effect, click the add effect down arrow, click a choice.

5. To change or delete an animation, first, select the effect to be changed from the task pane list.
6. Click play to see the effect.

7. Click slide show to see the presentation form this slide on.

Understanding animation effects

To change the order


1. Click on the effect name from the task pane.

2. Click re- order button up or down; or

3. You may also simply use the mouse to drag the effect name up or down.
Use effect option for animations
1. Click the effect down arrow in the task pane for the effect you want to work on, and click
effect options.

2. Click the effect tab.


3. Click ok to close the effect tab.

d. Contents and organization of ideas – 25%

3. Apply the necessary animation effects to enhance the presentation during actual view.

4. Save your work and put your name on it as a file name.
