Interview Management - ORC

This document provides instructions for creating an interview schedule template, adding the template to a job requisition, and sending interview invitations to candidates in ORC. INTERVIEW MANAGEMENT IN ORC

Chapter I: How to create an interview schedule template


1. Login as Curtis.Feitty
2. Go to Setup & Maintenance
3. Within the Tasks icon, click on Search
4. Type in Manage Interview Schedule Templates
5. a) Click on Add button or
b) Use the Actions icon (•••) to duplicate an existing template
6. Give it a name and any code
7. In the Schedule Type, there are 2 types of interviews, which determine when
and who can create interviews for candidates:
a) Hiring team managed interview schedules (created by hiring team for
candidates – for example, after a phone call agreement)
b) Candidate managed interview schedules: Members of the hiring team
create interview slots and candidates can be sent invites to schedule their
interviews by selecting one of the available time-slots.

The following options can be enabled/disabled for each schedule type:


Hiring team managed settings Candidate Managed Settings
Can candidates cancel interviews? Can candidates cancel interviews?
Can candidates make last-minute Can candidates make last-minute changes
changes (1,2,4 hours etc.)? (1,2,4 hours etc.)?
Can candidates reschedule?
Should candidates be limited on how many
times can they reschedule (1,2,3 times etc.)?
Should candidates be able to do last-minute
reschedules? Or in the same day?
Should candidates see future interviews slots
(1,2,3 weeks or months)?

 I recommend using Candidate Management Settings for demos, thanks to


its higher flexibility (you can check all boxes within Settings).
Pre-schedule and post-schedule details are optional. I recommend entering
the following post-schedule message: “Please use the front building entrance
and stop at the reception to check in with the front desk receptionist. They will
request your name and ID before contacting the recruiter. In case you cannot
make it anymore or you are going to be late, we kindly ask you to inform us.”

8. After filling in all of the required fields, click .


9. Click on the Actions icon (•••) and select Activate Template.

Done! 

Chapter II: How to add the interview template to a job requisition.


1. Login as Curtis.Feitty or a recruiter or an HR manager
2. My Client Groups tab > Hiring icon
3. Click on the name of the desired job requisition
4. Open the Interviews tab

5. Click on Add
6. Select the template you created, fill in all necessary details and Save & Close.
7. Click on the Actions icon (•••) and select Publish Schedule.
8. Click on the name of the interview schedule to open it.
9. Click on Add to enter the available time-slots.

10. Add one or multiple available date(s)

11. Add a round start and end times, and a 1-hour duration

12. Add an Interviewer and Save and Close

13. You can now view, filter (Scheduled/Unscheduled) and update the time-slots

14. Use the back button to return to the previous window

Done! 

Chapter III: How to send an interview invitation to candidates

1. Open the overview of candidates page


2. Select one or multiple candidates
3. Click on Actions and select Send Interview Invite

4. Select the interview schedule and click Save and Close.

 The interview schedule invitation is now sent to the candidates’ email


addresses and the invitation is also automatically included in the
Interactions tab against each candidate.

5. The candidate receives the following default email message:

6. By following the hyperlink in the email, the candidate is directed to the career
site with all the available time-slots and a custom message:
7. The candidate can simply select a convenient time-slot and confirm it by
clicking on Schedule Interview.

 The candidate sees a confirmation page summarising key details such as the
time and place of the interview.

 The candidate is also notified on his/her email address and can download a
calendar attachment (.ics) to add the interview to a personal calendar.
