Preface
It is said that practice makes a man perfect. Being a student our
primary objective is to get as much practical knowledge as
possible. Being able to have a practical knowledge by developing
a project is a lifetime experience. A practical knowledge is as
important as theoretical knowledge.

Throughout the development of the project we had a great


experience of various strategies that can be applied in
development of a project. This project is the stepping stone
for our carrier.

The sense behind the project is to show Communication and


its importance in everyday life.
We are pleased to present this project. Proper care has been taken
while organizing the project so that it can be made
comprehensive.

I would to like to express my special thanks of gratitude to our
teacher Dr. Indrajit Bose who gave us the golden opportunity to
do this wonderful project on the topic “Communication and
its importance in everyday life.”, which also helped us in
doing a lot of research and we came to know about so many new
things we are really thankful to him.

The success and final outcome of this project required a lot


of guidance and assistance from many people and we are

What is Communication ?
The word ‘Communication’ comes from the Latin word
‘communicare’ which means “to share, to impart or to
commune.” The literal meaning of communication is “giving or
sharing ideas & feelings”. It can be defined as the effective
transmission of message from a sender to a receiver.

How Communication takes place?


A. Sender – He/She is the source who initiates the
communication. There is always a purpose for which a
sender sends a message. This stage of formation of ideas is
termed as ideation.
B. Encoding – The process by which the sender convert the
ideas into meaning by using verbal or non-verbal means of
communication.
C. Channel - The channel is the path transmission.
D. Receiver – The Person who receives the message and
decodes it and acts on it.
E. Decoding – It is the conversion of symbols into meaning full
information.
F. Feedback – Reaction of the receiver to sender.
Modes of communication :-
1. Verbal Communication:-

Verbal communication is playing an important role in our daily


life. In verbal communication we talk face to face with other-
person. This is the best communication because we can
express our feelings direct in front of the other-person. If we
have any doubt on the questions of the speaker, we can
immediately clarify that question.

2. Non-Verbal Communication:-

This communication used where we cannot talk face to face


with other person or receiver or express his/her feelings to that
person. We are using gestures with hands, face expression, eye
contact and body languages are used in non-verbal
communication system.

3. Electronic or mass communication:-

In this communication we are using modern techniques to


communicate with others persons through internet, though e-
mail, though video calling, though cell phone, though media
etc. Mostly in any organization we are using e-mail to
communicate with other person. Because e-mail is that we
have record of particular communication which we did with the
other person earlier.
What are communication
channels ?
There has to be a direct-channel between any of the two
people involved in a communication. The number of direct
channels which can exist with ‘N’ number of stake holders will
be “N(N-1)/2”. As the number of stake holders increases in a
team the number of channel-increases much faster,

channels exist as listed below]

 Face-to-face conversation
 Video conferencing
 Audio Conferencing
 Emails
 Witten letters or Memes
 Chats and Messages
 Formal written document
 Spreadsheets etc.
[The above communication channels are further classified as]

1. Formal Channels
It is an official way of communication. A formal
communication channel transmits information such as the
goals, policies of an organization. Messages in this type of
communication channel follow chain of command. This
means information flows from a manager to his
subordinates and they in turn pass on the information to the
next level of staffs. It Includes – [Newsletters, business
plans, instruction, annual reports, agreements,
companywide communication, broad presentation]
2. Informal Channels
It is also an official way to communicating, with somewhat
relaxed norms. There may not be a need for a chain of
command or hierarchy in this kind communication. There
will immense official communication where such hierarchy
or command is not needed but they happen within the
official framework. Some examples are conversation on the
work floor addressing queries of team members, lunch time
conversation etc.
3. Unofficial channels
There exits an unofficial mode of communication as well.
The Employees communicate outside work environment on
topics not related to work. General, social, sports, politics
and personal communication are unofficial channels.

 HOW INFORMATION FLOWS ?


 1. Downword Communication :- It primarily deals with providing
direction and control from higher managerial levels to low levels.
 2. Upward Communication :-

It takes from subordinates to superior. It occurs through


suggestionboxes,review,reports,etc.

 3. Horizontal Communication :-

This form of communication takes place among equivalent


employees. Such communication is often necessary to facilitate
coordination, save time and bridge the communication.
 4. Diagonal or Cross-wide communication :-

It does not follow a ridged framework of superior or


subordinates. It flows in all direction.

 IMPORTANCE OF COMMUNICATION :-
I. It increases your chances of getting the jobs you want.
II. It helps with developing your leadership skill and getting a
better position at an organization.
III. It lets you understand people way better and also be more
understandable, not only verbally but also your facial
expressions and other signals that you use while a non-verbal
communication.

IV. It brings new networking and career opportunities and ease


your daily team work by virtue of effective communication.
V. It boost your grades and helps you improve in studies and
makes your conversation with the professor easier.
VI. It shows how to remain in good relationship with people all the
time.
VII. It eases your pain while interacting with organization and
institution, no matter which level of bureaucracy they are at.
VIII. It saves your time and energy that you would have wasted on
poor communication followed by misunderstanding, guilt and
anxiety.

 DRAWBACKS OF COMMUNICATION :-

1.Without good communication you cannot impress your client


for your product.
2.Without communication you cannot motivate any other
person or your employee if you are a leader of an
organization.
3.There is misunderstanding without good communication
which could lead to big loss to any organization.
4.Without communication you cannot get job in the industry.
5. Lack of confidence, if you do not have good communication
skill,you will hesitate while talking with other person.

BARRIER OF COMMUNICATION :
 Cultural barrier :
There is due to different culture in the world. The culture barrier arises
when two people from different an organization belongs to two different
religions. The culture one religion is not matching with other religion.
 Languages barrier :
This is main barrier in the communication .To remove languages barrier we
have to use common languages in the world so that we easily communicate
with everyone.

 Perceptual barrier :
Every person has their own perception. Sometimes their perception match
with other people some time not.
 Physical barrier :
This barrier due to because large number person are working in same unit
or area. Some have the capacity to do more work some have the capacity
to do less work. When these persons are repotting to the boss, there is
some difference in the work of person. To overcome from this physical
barrier every employee has to give the same training. So that they can do
same work.

 CONCLUSION :-
Communication is central to all meaningful collaboration
and team work. Communication keeps a whole
organization running. There are different ways we can
communicate such as written communication, verbal
communication, non verbal communication. It is important
that whatever type of communication we choose, the
information needs to be conveyed effectively.
Communication is the best tool to lead a happy and
prosperous life.With good communication one can be a
leader in an organization & motivator for other person.
