What I need to do
This module was designed and written with you in mind. It is here to
help you understand how to use video and audio conferences and e-group in
sharing ideas and work with others online. The scope of this module permits it
to be used in many different learning situations. The language used
recognizes the diverse vocabulary level of students. The lessons are arranged
to follow the standard sequence of the course. But the order in which you read
them can be changed to correspond with the textbook you are now using.

After going through this module, you are expected to:


1. identify the different audio-video conferencing tools and applications;
2. use audio and video conferencing tools to share ideas and work with
others online; and
3. use an e-group to share ideas and work with others.

Getting Better
In dealing with other people, constant communication is inevitable. The
advance technologies have contributed to make communication easier and faster
through online services. With the global health crisis brought by COVID-19, video
conferencing becomes a more practical way on conducting meetings, classes, and
conferences in the comfort of our homes. It will provide capability to connect and
communicate with other people anywhere in the world.
Nowadays, we are learning how to navigate all aspects of working digitally.
Meetings are being conducted online which means that we are attending a lot of
audio and video conference calls. If you don’t have a lot of experience with audio
and video conferencing, it may take some time getting used to, especially with the
absence of digital equipment.
Video Conferencing
Video conferencing is an online face-to-face meeting that occurs with the
participants in different locations. It facilitates the need to quickly and easily access
people without the expense and time needed to travel. Two or more people can see,
hear and talk each other using computer networks to send audio and video data in
real time. Video conference can support panel conference-style meetings that bridge
multiple participants together. Some examples of video conferencing applications
that allow direct video and voice communication via internet are:
Zoom - provides a remote conferencing service that
combines video conferencing, online meetings, chat, and mobile
collaboration.
Facebook Messenger Group Video Chat - turns
group chats into face-to-face conversations no matter where
you are, whether you are down the street or halfway across the
world.
SKYPE – is a video and voice chatting app and you can
use it on both Android and iOS. It is an excellent tool for making
free or cheap phone calls—not only can you call from one Skype
account to another for free, but you can make domestic and
international calls at extremely low rates using your device’s
data plan or Wi-Fi connection.
Google Hangouts - is built to let dozens of people join
the same virtual meeting, and speak or share video with each
other from anywhere with internet access.
Google Meet - is a video-communication service
application developed by Google. It is one of two apps that
constitute the new version of Google Hangouts, the other being
Google Chat.
Microsoft Teams - lets you host audio, video, and web
conferences with anyone inside or outside your organization.
Teams of 10 or 10,000 can meet in one place, no matter how
many places they are in. You can easily share files, participate in
one-to-one and group chats, and more, all with enterprise grade
security.
Team Viewer - A software application for remote
control, desktop sharing, online meetings, web conferencing and
file transfer between computers.
Audio Conferencing
Audio conferencing is sometimes called “teleconferencing” and traditionally
means using a telephone instrument to conduct a meeting. Audio conferencing is a
telephone meeting conducted between multiple separate callers. The type of
telephone used can vary but typically, an audio conference includes attendees that
use handheld-wired telephones, conference room speakerphones shared by several
people, or individual cellular or mobile phones. Since audio is used during this
conference, it is necessary to have a clear transmission of everyone’s voice.

Examples of audio conferencing applications that allow voice communication are:


Google Voice - is a telephone service that provides call
forwarding and voicemail services, voice and text messaging.

Audio Conferencing in Office 365 - Audio Conferencing in


Office 365 lets users call in to meetings from their phones.
Audio Conferencing allows up to 250 phone attendees.
Audio and Video Conferencing Guidelines
Consider the following before the conference starts:
1. Equipment – Setup your equipment ahead of time to ensure everything works
such camera, headset, speaker, microphone, and internet or data connection.
2. Agenda – prepare your agenda of the meeting including the presentations,
pictures and other necessary things.
3. Venue – make sure that the venue is quiet to avoid unnecessary noises that may
distract the conference. Overhead lights and reflections must not be placed in the
camera’s view.
4. Looks –your appearance is important especially if you are dealing with formal
audio and video conference. Dark or neutral color of clothing is recommended.

Consider the following during the conference:


1. Mute yourself when not speaking.
2. Be on time.
3. Ensure your technology works correctly.
4. Use technology to fully engage remote participants.
5. Choose the proper software and hardware. 6. Wear work-appropriate clothing.

What I need to Remember


One of the most effective and efficient ways through which schools,
workplaces and companies communicate in modern times is through Audio
and Video Conferencing. It promotes better face to face interaction and
helps bring down travel costs, and thereby increase productivity and
profitability. Though video plays an important role in conferencing, the
significance of clear audio can never be neglected. Issues of audio can
completely affect the quality of video conferencing thereby obstructing
effective communication.
Video and audio conferencing are widely used in different fields, from
homes, schools, to business establishments. They help families and friends to
stay connected to loved ones from different places in and out of the country.
They enable students to see each other, share documents, and discuss
lecture even if they are in different locations. They may also allow virtual field
trip. In businesses, audio and video conferencing is efficient to use during
meetings, dealing with costumers and product demonstration.
The following are the benefits of using video and audio conferencing:
