Solution Stanford Library Management System

The document describes a proposed library management system for Stanford Library. The system would use RFID technology and an online library management software (LMS) to automate processes like book checkout, return, and notifications. This would make the library services more efficient and data-driven while reducing the workload for staff. Key aspects of the system include RFID tags on books, self-service book drop-off stations, and the LMS allowing online access to records.

STAKEHOLDERS

ACTOR What he can do on the Software Created

Student ● Access to the library system online to know the return date
● Access to LMS via web or mobile interface
● Access to free e-journals and free e-books
● Select a reading material from library and tagged his name by
library staff along with the book he borrowed
● Return the book at any time in the RFID enabled book drop box
station
● Receive automatic emails 3 days before the return date of book

Library Staff ● Use a RFID reader to capture the details of the book and
connect borrowed book with student
● Search for the books on the LMS by search criteria

Management  Buy the RFID readers and tags

 Adjust exit gate to set the anti-deft detection
 Buy and install book drop box stations
 Train library staff
 Implement new LMS software
 Maintain server and cloud storage for LMS

PROBLEM DEFINITION AND SOLUTION

Problem statement

 Current system is not efficient, hard to find reading materials and manage deposit
 Information about reading materials are not always up to date
 Library staff waste a lot of time to manage manual library and work not effective
 Students are discouraged to use library, cannot borrow books outside of the library's
working hours
 Library cannot generate any reports
 Many employees are needed to manage manual library
 Tracing a book is difficult
 Information about issue/return of the books are not properly maintained
 No central database can be created as information is not available in database
Advantages of LMS

Advantages of Library Management System:

 Faster reading materials borrowing management (automatic reminders, quick

search by RFID, drop box stations) -all detail will be available on a click
 Improvement of students engagement
 Increasing of productivity of library staff and reduce the workload
 Information about reading materials are available online and records are up to date
 LMS can generate reports for management to made better business decisions
 Management can decide based on LMS which books should be replace with new
ones and whether unissued material should be stock or not
 It provides "better and efficient" service to members
 Faster retrieval of information about the desired book
 Provide facility for proper monitoring reduce paperwork and provide data security

EXISTING SYSTEM

● System is manual
● Do not have automatic reminders, quick search by RFID, drop box stations
● Cannot generate reports
● Everything is on paper

PROPOSED SYSTEM

 User friendly interface

 Self-explanatory screens
 Keep records of different categories of materials available in library
 System record the issue date and return date of the book
 System send automatic reminders to students about return dates
 System cancel student’s loan automatically when student deposit book in the drop box
 Automatic calculations of fines in case of delayed return of books
 Connect student name with borrowed book based on RFID

DATA FLOW DIAGRAM

Create a data flow diagram.

IN SCOPE

● RFID readers and tags

● Safety exit gates for protection against thieves
● Online LMS -to keep records online and managed library in digital way
● Drop box station – for students to deposit borrowed books
● Training of library staff – to effective use of new system
● Server and cloud storage-to maintain new LMS and keep data online and share it with
customers (students)
● Adjusting hardware and software in library to use new LMS

OUT OF SCOPE

● Digital screens for students to looking for reading materials inside the library
● ID readers to digital borrowed the book without contact with library staff
Wireframes:
Create sample wireframes for the system. Capture what screen will be show to the library
employees to create records for each book and at what stage in the system.
