A. SCOPE OF WORK

Periodical servicing, attending breakdown and overhauling of Window ACs, Split (including multi & tower) ACs, Water Coolers, Packages ACs and Refrigeration type hydrogen
gas driers in Main Plant area, Plant Offsite area, Administration building and Offsite area. Most of these Air Conditioners run continuously and are used for equipments cooling.

1.The contract scope covers ACs availability, maintenance, servicing, repair, breakdown, annual overhauling throughout the contract period.
2.For maintaining healthiness of ACs as indicated above, each AC shall have 3 (Three) servicings and 1 (one) overhauling per year as per BOQ

(*) Refrigeration drier shall have 4 servicing in a Year, no Overhauling required.

3.Quantity/amount of each AC servicing/overhauling carried out during quarter shall be treated as three quantities/1/3rd amount for monthly payment.
4.Contractor has to maintain the job card for individual ACs.
5.Along with monthly bill, party has to submit job cards duly filled for the ACs serviced/overhauled in that month.
6.Servicing of all the ACs shall be covered for three quarters (one servicing in one quarter) of the year and Overhauling shall be covered in any one quarter as per instructions of
EIC.
7.Servicing & overhauling around 1/3rd of population shall be covered with in month so as to cover all the ACs in respective quarters.
8.Supply of parts, transportation, repairing, fixing & testing are in the scope of Contractor.
9.The contractor shall get the defective component, replaced with healthy equipment component immediately to put the equipment back in service. Meanwhile, the defective
component has to be repaired within two days.
10.NTPC scope of material shall be as per BOQ D1.10 & Contractor scope shall be as per BOQ D1.20
11.Transportation of AC units from location to workshop & back shall be in the scope of contractor (with in plant premises).
12.Shifting of spares from stores to workshop or location shall be in the scope of contractor.
13.Supervisor has to be provided with cell phone for communication.

D1.MATERIALS, SPARE & CONSUMABLES:

D1.10 NTPC Scope:-


The following items will be supplied by NTPC or shall be reimbursed to the party as per actual cost. The reparability shall be decided by EIC.

D1.20 Contractor#s scope:-

1.Materials for Overhauling (paints, Emery Paper thinner etc ) as per requirement
2.All parts for upkeep of the ACs and water cooling shall be supplied by the contractor (excluding those in NTPC scope) viz. over load relays, isolators, switches, indication lamps,
capacitors, capillaries, copper tubing & foaming, filters, driers, wire, fan blades etc are in the scope of contractor.
3.Repairing of fan / louvers / blower motors, remote control units, PCBs, microprocessor units are in the scope of agency.
4.Transportation of spares is in the scope of contractor.
5.All consumables, i.e., lubricating oil, marking cloth, emery paper and cleaning solvent and required material for maintenance shall be provided by the contractor as and when
required.
6.Replacement of defective spares shall be done immediately.
7.Repairing of AC fan motor and other equipments: - The contractor shall replace the defective component with healthy components immediately to put the equipment back in
service. Meanwhile, the defective equipment or component has to be repaired within two days.

Before start of the work contractor shall offer the tools for inspection to EIC for certifying the quality & quantity of tools & apparatus.
Contractor shall ensure the quantity of tools through out the contract period regarding this decision of EIC shall be final
All technicians deployed should have individual tool kit.

D3. SPECIAL TERMS AND CONDITIONS OF CONTRACT

1.The contractor shall employ required number of well experienced manpower. In case, EIC feels any insufficiency of manpower, the contractor shall arrange to provide
adequate manpower. The contractor has also to furnish the list of manpower to be employed for the said maintenance work.
2.In case NTPC finds any person unsuitable to meet the work requirements, the Contractor shall arrange to change person with suitable one.
3.The contractor shall depute his supervisor daily once at schedule time as per the direction of Eng-In-Charge to collect all complaints
4.The contractor shall take prior permission of NTPC before removing / install any parts / machine in the plant, main plant offsite, administrative bldg and offsite (New
Administration building, Documentation building, Communication building, Raw water PH, Sea water pump house, Sweet water pump house, Ash water recirculation PH, R&D
building, AAQMS panels at different locations).
5.The contractor shall maintain service cards for each machine which will be duly filled-in after each servicing/repair duly certified by the Representative of NTPC.
6.Any damage to the maintenance and its parts due to bad handling, the responsibility of the contractor for all such damages shall be made good at contractor#s cost.
7.Painting of all equipments: Two coats of enamel paint to be applied for all equipments. Before applying the two coats of enamel paint red oxide to be applied to rusted parts.
The surface of the air conditioner is to be thoroughly cleaned to remove all loose scales, dust, grease, oil, rust etc. before applying red oxide/paint.

8.Sufficient quantity of required spares (contractor#s scope) must be kept in NTPC site office for emergency use.
9.Necessary safety precautions such as helmets & safety belts are to be provided to the workers while working on air conditioners.
10.All units must be in good working condition at the time of contract period completion.
11.The period of contract shall be 24 months.
12.The payment shall be done through RA bill on monthly basis.
13.The work shall be executed on firm price basis throughout the contract period.
14.The agency shall ensure payment of minimum wages as per the relevant Govt. notifications [State / Central ] with all amendments as revised from time to time to all its
employees i.e. in case of any statutory increase, the same along with consequential statutory benefits will have to be made by the agency to its workmen.
15.Documentary evidence to that effect will have to be submitted to the EIC and no additional claim shall be entertained by NTPC on account of above.

D4. PENALTY
Penal recovery of Rs200/- per day per equipment will be done from running bills if the AC repair is delayed beyond 48 hours.

D5. RESOURCE DEPLOYMENT:


The contractor has to indicate details of resource deployment for schedule of work during submission of work.

D6. Security Deposit:-


Security Deposit shall be deducted from RA bills equal to an amount of 10 % of the bill value. The SD shall be released at the end of contract period with final bill.

D7. Defect liability Period: End of Contract

E. Payment Terms:
Party has to submit bills monthly along with P.F, ESI, Service tax payment proof.

F. Deviation clause:

Overall deviation -30% to +30%
