Assessment Task 2: Project Portfolio

Submission details
The Assessment Task is due on the date specified by your trainer. Any variations to this
arrangement must be approved in writing by your trainer.

Students will use their online study time to prepare for answers to the following questions
and submit both hardcopies and softcopies of the answers.

You must submit soft copy of your answers in a word document.

Upload the softcopy on the link provided in the eLearning site.

Information for students


In this task, you are required to demonstrate your skills and knowledge by working
through a number of activities and completing and submitting a project portfolio.
You will need access to:
 a suitable place to complete activities that replicates a business environment
including a meeting space and computer and internet access
 your learning resources and other information for reference
 Project Portfolio template
Ensure that you:
 review the advice to students regarding responding to written tasks in the Business
Works Student User Guide
 comply with the due date for assessment which your assessor will provide
 adhere with your RTO’s submission guidelines
 answer all questions completely and correctly
 submit work which is original and, where necessary, properly referenced
 submit a completed cover sheet with your work
 avoid sharing your answers with other students.

Project Overview
This workplace project assessment requires you to identify legal and risk management
requirements applicable to business or new business venture to be able to develop and
implement policies and procedures to comply with legal and regulatory requirements
This assessment is divided into six tasks:
Task 1: Business Profile
Task 2: Compliance Policies and Procedures
Task 3: Procurement Report
Task 4: Negotiate and Secure Procurement
Task 5: Risk Register and Risk Treatment Plan
Task 6: Implement Risk Treatment Plan
This project requires you to complete the assessment tasks in a real workplace, or in an
environment with conditions similar to that of a workplace.
Each task comes with a set of instructions. You are to follow and perform these
instructions while being observed by the assessor and/or submit any required
documentation as evidence of task completion.
Before starting this assessment, your assessor will discuss with you these tasks, including
instructions, resources, and guidance for satisfactorily completing them.

You are required to:


Complete the tasks within the time allowed, as scheduled in-class roll.
Identify legislative and regulatory requirements applicable to legal structure of
business or new business venture
Develop and implement policies and procedures to comply with legislative and
regulatory requirements
Investigate, negotiate and secure contractual agreements for the procurement of
goods or services
Identify, analyse and treat at least three business risks

Assessor’s Checklist and/or Observation Form of each task.

Task 1: Business Profile

ASSESSMENT INSTRUCTIONS

This task will require you to identify relevant legal and regulatory requirements
required for a business or new business venture based on the legal structure of the
organisation.
You will use this to develop Policies and Procedures required to comply with identified
legal and regulatory requirements in Workplace Project Task 2.
Use your workplace/organisation’s template to complete this task, or use the
Business Profile template provided at the Bounce Fitness site.
To complete this task, you must:
 Obtain information that you need to identify the legal structure and requirements
applicable to your business or new business venture.
This will require you to access and research information, including:

Federal and/or state/territory legislation, regulation, best practice or standards related to the
following:

 Consumer legislation
 Environment and sustainability

 Registration and licensing


 Work Health and Safety (WHS)

 Insurance cover
o Reliable sources to assist in identifying legal structure of organisation
These are individuals or groups who directly deal with or is associated
with different legal requirements of different areas for the business.

o Policies and procedures for the following:


 Creating, negotiating, and terminating contractual procurement
of goods and services
 Deciding to lease or buy property

 Complete the business profile, which must include the following:
o Outline of research on factors that influence legal structure of the business
or new busines venture
o Legal structure of business or new business venture
This refers to the structure in which an organisation is to divide and
assign rights and responsibilities in relation to taxes, financing and
personal liability.

o Applicable legislation, regulations, codes of practice or standards relevant


to each of the following:

 Work Health and Safety (WHS) requirements


 Corporate sustainability

 Insurance coverage
 Registration and licensing requirements
o Outline policies and procedures for creating, negotiating, and terminating
contractual procurement of goods and services, which must include:
 Investigating procurement rights

 Seeking legal advice


 Negotiating contractual agreements
 Drafting procurement contracts
 Conducting post qualification of procurement bidder

 Terminating contractual agreements


o Outlines policies and procedures for deciding to lease or buy property
o Identify at least two areas for improvement in current procedures and at
least two areas of improvement in current practices based on legislative
requirements.

Task 2: Compliance Policies and Procedures

ASSESSMENT INSTRUCTIONS

This task will require you to develop at least one workplace compliance policy and
procedures. This must be based on the Business Profile you completed from
Workplace Project Task 1.
You are also required to implement the new policy into the workplace/organisation’s
wider organisational policies and procedures.
Use your workplace/organisation’s standard policies and procedures template to
complete this task, or use the generic Policy and Procedures template provided at the
Bounce Fitness site.
To complete this task, you must:
 Review and analyse the information obtained from outlining legal and regulatory
requirements applicable to your business or new business venture’s legal
structure.
 Develop the compliance policy and procedures according to your organisation’s
processes for developing policies and procedures.

Organisation’s processes will include:

o Using your organisation’s standard template and format, where possible


o Conducting consultations with relevant stakeholders at various stages of
policy writing
o Tracking changes following insights from consultations
o Seeking approvals prior to finalising the policy and procedures document
Consult with your workplace supervisor and your assessor first to assist you in
identifying these processes.

The workplace compliance policies and procedures you will develop must include
the following:

o Scope and objectives established of policy


o Activities to be undertaken by all stakeholders of the organisation in the
implementation of the sustainability policy and procedures
o General procedures for complying with legal and regulatory requirements
outlined in Workplace Project Task 1.
o Continuous improvement processes, quality audit process, monitoring
improvement in provisions of goods and service, and recording systems to
be used for monitoring the policy implementation

form outlines the following:
 Resources you are required to access to complete the task.
 All criteria your submission must address to satisfactorily complete this task.
You assessor will discuss these resources with you, and the criteria outlined in this
form prior to this assessment.

from your workplace/organisation, discuss with your assessor to ensure that the
template covers all requirements that apply to this task. Otherwise, use the generic

Submit the following to your assessor:
 Workplace sustainability policy and procedures document
 At least one of the following as evidence of implementing the new policy and
procedures into the wider organisational policies and procedures
o Copy of the updated staff handbook

o Link/copy of policy posted on the organisation’s website/intranet site
Submit copies of at least two organisation processes you referred to develop the
policies and procedures as supplementary evidence. Evidence can include:
 Staff handbook
 Documented copy of the organisation’s departmental processes, e.g. published
in the company website or intranet site

Task 3: Procurement Report

ASSESSMENT INSTRUCTIONS

This task will require you to determine and assess rights and obligations associated
with procurement of goods or services to ensure that business interests are secured.
This is to be used during negotiation of procurement of goods or services in the
following task.
Use your workplace/organisation’s template to complete this task, or use the
Procurement Report template provided at the Bounce Fitness site.
To complete this task, you must:
 Obtain information that you need to identify applicable procurement rights and
obligations to ensure that business interests are protected.
This will require you to access and research information relevant to procurement
rights and obligations:

o Federal and/or state/territory legislation, regulation, or best practice


related to procurement rights
o At least two products and at least two services that need to be procured
by your organisation.
o Compliance policies and procedures developed from Workplace Project
Task 2.
o Business planning and management documents such as:
 Business plans
 Compliance policies and procedures

 Business profile

 Consult with at least two legal advisors to gain their input and confirmation on the
identified procurement rights and obligations for each identified product and
service.
These are individuals or groups who specialise in procurement laws who can
provide counsel regarding procurement of different products or services to the
organisation.

 Analyse the information gathered from your research and consultation with legal
advisors to identify applicable rights and obligations required for the procurement
of goods and services.
 Write procurement rights and obligations applicable at least one product and at
least on service to be procured by your organisation.

Review Workplace Project Task 3 – Assessor’s Checklist before starting this task. This
form outlines the following:
 Resources you are required to access to complete the task.
 All criteria your submission must address to satisfactorily complete this task.
You assessor will discuss these resources with you, and the criteria outlined in this
form prior to this assessment.
Review the template you will use to complete this task. If you are using a template
from your workplace/organisation, discuss with your assessor to ensure that the

Submit the completed policy scope statement to your assessor. Include any
supplementary documents/sources used to create the policy scope statement, such
as:
 Organisational documents such as business plans or similar, with relevant
objectives and practices for procurement
 Printed or online sources relevant to sustainability issues, practices, or
requirements, including government websites
You must also submit evidence of communication/consultation with at least three
relevant stakeholders of the organisation on their input about the workplace
sustainability policy.
Evidence must be at least one of the following:
 Email correspondence
 Meeting minutes
 Video recording of the meeting conducted with the stakeholders

Task 4: Negotiate and Secure Procurement of Goods or Services

Your assessor will observe you as you negotiate with required relevant parties to
secure the procurement of at least one good or services for your organisation.
Relevant parties are groups or invidviduals who are involved in the buying or selling of
the goods and services for the purpose of procurement.
Before starting with this task, learner must review relevant business plans and
policies and procedures for negotiating and drafting procurement contracts developed
in Workplace Project Task 2.
You will be assessed on your practical skills to:
 Negotiate contractual arrangements for the procurement of at least one good or
service according to business plan and workplace procedures.
This must be from the identified goods or services identified in Workplace Project
Task 3.

Arrangements must, at a minimum, include the following:

o Monitoring and control of performance


o Receipt, inspection and acceptance of goods or services
o Management of possible changes to contract
o Alternative dispute resolution
o Financial management and payment for goods or services
 Use specific and suitable language to clearly explain legal issues to audience
 Use proper listening and questioning techniques, tone, and language during
negotiations
To complete this task, you must:
 Review Business Plans and relevant policies and procedures for drafting contracts
 Draft procurement contracts based on finalised arrangements discussed with
relevant parties.
 Confirm contractual arrangements with relevant parties and secure procurement
contracts
 Store and maintain records and contracts used during the negotiation process
following record-keeping policies and procedures developed in Workplace Project
Task 2.

Submit signed and finalised contract relevant personnel to your assessor.
You must also submit evidence of confirmation of contractual arrangements with
relevant parties of the procurement arrangements.
Evidence must be at least one of the following:

Task 5: Risk Register and Risk Treatment Plan

This task will require you to analyse operational activity to identify and assess at least
three business risks that can affect the organisation.
Use your workplace/organisation’s template to complete this task, or use the following
templates provided at the Bounce Fitness site:
 Risk Register
 Risk Treatment Plan
To complete this task, you must:
 Obtain information that you need to conduct risk management in your workplace.
This will require you to access and research information, including:

o Federal and/or state/territory legislation, regulation, or best practice


related to environmental protection and corporate sustainability actions.
o Current operational activities that may bring about risk to the
organisation.
o Relevant risk management policies and procedures developed in
Workplace Project Task 2.
 Evaluate internal and external environment to identify possible internal and
external risks that can affect the organisation.
 Record information in risks register to identify and analyse risks that can affect
business or new business venture. This must include:
o Identify at least three internal or external risks that can affect workplace,
which, at a minimum, must include:

 At least one internal risk

 At least one external risk


o Assess each internal and external risks to determine the likeliness and
overall impact of each risks.

 Develop a risk treatment plan to identify appropriate control measures for each
risk identified. This must include the following for each risk identified:

o Expected outcome of each action item

Review Workplace Project Task 5 – Assessor’s Checklist before starting this task. This
form outlines the following:

other similar documents, with operational activities that can pose risks to
organisation
 Printed or online sources relevant to risk issues, practices, or requirements,
including government websites
You must also submit evidence of internal and external environmental assessment to
determine risks in the workplace.
Evidence for internal environment analysis can include:
 SWOT Analysis
 WHS safety checklists
 Complaints and feedback from stakeholders
Evidence for external environment analysis can include:
 PESTEL Analysis
 Trends, Opportunities, and Priorities (TOP) reports, Trends forecasts

Task 6: Implement Risk Treatment Plan

ASSESSMENT INSTRUCTIONS

This task will require you to implement risk control measure for each internal and
external business risks identified in Workplace Project Task 5
To complete this task, you must:
 Review policies and procedures for implementing risk treatment plans in your
organisation.
 Implement action items required to treat internal and external risks identified in
Workplace Project Task 5
 Update the following section of your risk register from Workplace Project Task 5
o Revised risk rating, which must include a revised:
 Likelihood of risk

 Impact of risk
 Risk rating

 Risk priority level


o Actual date of implementing risk control measure
 Update the following sections of your risk treatment plan:
o Actual date of implementation
o Actual outcome of implementation
 Store and maintain required relevant risk management documentation following
record-keeping requirements outlined in your policies and procedures from
Workplace Project Task 2.

Additionally, you must provide evidence of the following:

Evidence must be at least one of the following:

o Images of implementation
o Email correspondence

o Video recording of the meeting conducted with the stakeholders.
 Storing risk management documentation
Evidence must be at least one of the following:

o Video evidence of learner placing contracts into dossier or safe box with
lock.
o Images of stored documents
o Link to secured intranet folder that has password security.
 Maintaining risk management documentation
Evidence must be at least one of the following:

o Video evidence showing other contracts for procurements in the past four
years.
o Images of maintained documents
o Link to secured intranet which shows timestamps of maintained legal
documents and business records
