Module – 01

Maintain files and folder


1. Start up and turn off the computer

 Check all the cables are connected correctly


 Switch on the power
 Switch on the UPS
 Switch on the system UNIT (CPU)
 If monitor is not switch on; switch on the monitor
 After finishing start up process you can see the window screen

2. Shut down the computer

 Start  shut down (Alt+F4)


 After shut down the computer switch off the UPS
 Power off the switch

Desktop
1. Add programs to the task bar (Quick launch icons)

Start  All programs  right click on necessary programs  select pin to taskbar

2. Add short cut (programs) to the desktop

Start  All programs right click on necessary programs  send to  Desktop


(Create short cut)

3. Step to change desktop wallpaper (Background)

 Right click on desktop blank area


 Click personalize
 Click desktop background
 Click browse button
 Select desired image and click ok
 Select necessary picture position
 Click save changes
4. Steps to apply screen saver

 Right click on desktop


 Click personalize
 Click screen saver
 Select necessary screen saver
 Click apply

5. Step to apply themes

 Right click on the blank area of the desktop


 Click on personalize
 Click on desired themes

6. Steps to create user account

 Start  control panel  user account


 Click on manage another account
 Click on create new account
 Type new username then select account type (Standard user/ Administrator)
 Click create account

7. System information

System information is a system profiler included with MS Windows that displays


diagnostic and troubleshooting information related to the Operating system
Hardware and software.

Start  all programs  accessories  systems tools  system information

8. Regional setting

This command is use to set our regional setting such as currency, time, date format
as we require.

Start  control panel  Region and Language


Steps to set ‘Rs’ Sign for currency

 Start  control panel  region and language


 Click additional setting
 Click currency tab
 Type ‘Rs’
 Click apply  ok

Set attributes of files/folders

File attributes are setting associated with computer files that grant or deny certain
rights to how a user or the operating system can access that file Microsoft windows
have capabilities of having read, archive, system, and hidden attributes.

1. Read only
2. Archive
3. System
4. Hidden

1. Steps to set hidden and read only attributes to the selected file/folder
 Select the file/ folder which you want to apply attributes.
 Right click on it and select properties.
 Then tick read only or hidden

2. Steps to show hidden files and folders


 Start  control panel folder options
 Select view tab
 Under advanced setting select ‘show hidden files and folder’
 Click apply  ok

Compress and Extract folder /files

Compressed file

A compressed file is any file that contains one or more file or directory that is smaller
than their original file size. These files make downloading faster easier more data to
be stored on a removable media. Common compressed file extensions are .zip , .RAR
, .ARJ , .TAR , .GZ , and .TGZ
Example of compressing software:
1. Winrar
2. Winzip
3. 7zip
4. Winarchiver

Step to compress a file / Folder

 Select file/ folder which you want to compress


 Right click on it; then select ‘send to’  compressed (Zip folder)

Extract / unzipped files

When you extract files from a zipped folder a new folder with the same name is
created which contains the files. The compressed (Zipped) version also remain.

Step to extract compressed files

 Select the compressed file


 Right click on it
 Select Extract all file
 Click Extract

Backup and restore files and folders

Back up

Back up refer to the process of making copies of data or data files to use in the event
the original data or data files are lost or destroyed.

Step to back up files


 Start  control panel  Backup and restore
 Click setup backup
 Select the location where you want to save the backup and press next
 Select the files which you want to backup and click next
 Click save settings and run backup

Restore

Data restore is the process of copying files from a backup, typically a separate disk to
the original location or other appropriates file location.
Steps to restore backup files
 Start  control panel  Backup and restore
 Click restore files
 Select the backup file
 Click restore

Search file / Folder

Wild card characters  ? , *

 *  All
 ?  Unknown Single character
 Type file name/ folder name / *. File extension
 Run dialog box (Winkey + R)  This command is use to open
program using run command.

Steps to change folder icons

 Right click on the folder which you want to change the icon
 Click on properties
 Click customize tab
 Click change icon
 Select desired icon then click ok
 Click apply  ok
Control Panel

1. Date and time


 Start  control panel  Date and time
 This command is use to change data and time of the computer

2. Device Manager
 Start  control panel  device manager
 This command is use to see the installed devices and drivers Not
install drivers indicate in yellow mark.

3. Fonts
 Start  control panel  fonts
 This command is use to view the install fonts

Steps to install font


 Right click on the font which you want to install
 Click install

4. Mouse
 Start  control panel  mouse
 This command is use to change mouse related settings such as click
options, pointer, double click speed etc…

5. Programs and features


 Start  control panel  Programs and features
 This command is use to view install programs of the computer and
also to uninstall unnecessary programs.

6. System
 Start  control panel  System
 This command is use to view the system related information such as
installed OS and versions, processor type, Ram capacity etc..

7. Step to add printer

 Start  control panel devices and printer


 Click add printer
 Click local printer
 Select printer brand and model then click next
 Click next
 Click finish
Windows short cut keys

1. Ctrl + Esc  Open start menu

2. Windows key + R  Open the run menu

3. Windows Key + E  open Explorer

4. Alt + Tab  Switch between open programs/apps

5. Windows key + Up arrow Maximize current window

6. Ctrl + Shift+ Esc  Open task manager

7. Windows key + F  open search file and folder

8. Windows key + D  Hide / display the desktop

9. F1  Open help menu for active application

10.Windows key + M  Minimize all windows

11.Windows key + tab  Open task view

12. Windows key + X  Open the quick link menu

13.Windows key + L  Lock your PC
