Scheduling the exam in Registration Manager
Registration Manager contains three screens: Customers, Exams, and Order. After logging in, you can view each
screen by clicking on the labeled icons located at the top of the Registration Manager window.
The following sections describe the process of logging in and the steps you need to complete on each of the three
screens in Registration Manager in order to schedule the exam.
Note the following information before scheduling a TDFT or test administrator certification exam:
• Exams can be run only on days when your site is already scheduled to be open.
• The exams do not tie up assets, so they can be scheduled during normal testing hours without affecting
candidate registrations. For example, if your certification exam is scheduled for 60 minutes and there are other
candidates testing, your certification exam does not take up scheduling time and prevent other candidates from
scheduling or taking exams.
• Pearson VUE recommends scheduling and taking the exam on the same day, but this is not required. For
example, if the exam is scheduled for Friday and you wish to take it on Thursday, you may do so. Also, if your
exam is scheduled for 10:00 am but a candidate needs your assistance, you can take the exam at any time
throughout the day.
Logging in
1. Open Registration Manager by clicking Start on the Windows taskbar, point to All Programs, VUE Applications,
and click Registration Manager.
2. In the Login window, type your username and password, and click OK.
When you open Registration Manager, the Customers screen opens, and the Primary tab is selected.

When you want to schedule a test administrator certification exam or TDFT, you can find the exam under the
following clients. Pearson VUE will provide you with instructions about which specific client and exam you need
to select.

2. Choose your existing candidate record, or create a new candidate record for yourself. Only create a new
candidate record for yourself if this is the first time you have scheduled any test administrator certification
exams or TDFTs.
Do not search for your record using the telephone number search function on
the Customers screen (refer to the following image). Other test administrators
at your test center might have also used the same phone number for their
candidate record. Additionally, many records have been merged to avoid
duplicate records. Therefore, a newly merged record may not contain your
most recent phone number.

The next two sections provide instructions about choosing an existing record or creating a new record.
There are several ways to search for a candidate record in Registration Manager. To ensure that you successfully
locate your unique record, Pearson VUE recommends that you search for the record using your VUE ID number.
This number is a unique identifier that is associated with your record in Registration Manager.
The following image shows you where to find the number on the Customers screen. You only receive one unique
VUE ID number no matter how many exams you take. If you do not know your VUE ID number, further instructions
are provided in the following steps.

Follow these steps to search for an existing record:
If you do not know your VUE ID number, you must enter information in at least one of these fields:
• Phone
c. Select your candidate record from the Search Results, and then click OK.
If your search returns either too many results or no results, add more information to the search criteria,
such as a state or city. If you still cannot locate your record, contact Channel Quality.

If duplicate records appear and each record contains a VUE ID, VUE Testing ID,
or VUE PPC Testing ID, verify the exam history for each record to help you to
determine which record to use when scheduling the exam. For more
information, see Verifying exam history in this document.
Also, create a case to have the records merged. When you create the case,
select Candidate inquiry and Duplicate account merge request to ensure it
reaches the correct department. If you are unable to find your registrations
when creating the case, use the advanced search feature to select the date of
your past exams. When you create the case, be sure to explain which record is
correct by including its VUE ID in the case details.
d. Review your demographic information on the Primary tab to ensure it is accurate and current.
Please do not include your personal home address, phone number, or email in the record. If the record
shows personal demographic information, update it to include information that pertains to your test center,
such as your test center’s address, phone number, and work email.
To make changes, click Edit at the bottom of the screen. When you are done making changes, click Save.
If your work email does not match, you can update your work email in User
Management or Registration Manager. If your first, middle, or last names do
not match, you can only update them in User Management. At least one test
administrator at your site should have the necessary permissions to edit user
accounts in User Management.

Creating a new record
As explained earlier, only create a new record for yourself if this is the first time you have scheduled any test
administrator certification exams or TDFTs. Follow these steps to create a new record:
c. Enter your demographic information for the new record on the Primary tab.
Ensure your demographic information is accurate and current. At a minimum, the record must contain your
first name, last name, test center name, test center address, test center phone number, and work email
address. Please do not enter your personal home address, phone number, or email.
To ensure your certification is correctly reported, your first name, last name,
and work email in your new candidate record must exactly match your first
name, last name, and work email in your user account in User Management.
Middle names are not required but must be used consistently between User
Management and Registration Manager.
After you save your record in Registration Manager, you can update your work
email in your record at any time, but the first, middle, and last names on your
record cannot be edited further at test centers.
Thus, you will not be able to update your name on your candidate record to
match your name in User Management later. After you save your new
candidate record, any necessary edits that are needed to match your names
should be done in User Management. If you absolutely need to correct your
name in Registration Manager, you will need to contact Channel Quality to do
this for you.
During this step, be sure to enter a first name, last name, and work email that
will match your name and email in User Management. If you choose to enter a
middle name or middle initial, it must match the middle name or middle initial
listed in User Management.
d. Select the Client Info tab, and click Generate New ID.
e. Click Yes when the Are you sure? window appears, and then click Save.

2. Select the exam from the What (Select an Exam and Language) section.
As a reminder, Pearson VUE will notify your test center about which specific exam you need to take.
3. Select the language in which you would like to take the exam.
4. If you are scheduling a test administrator certification exam, click Details. If you are not, skip to the next step.

The Details button opens the Item Details window, which has one or more required questions you must
answer. If you are taking a test administrator certification exam and skip this step, you will be prompted to
answer the question(s) when you click Schedule on the Exams screen. You cannot proceed to the Order screen
without answering the question(s).
For the PVTC Select and PVTC exams, there are two questions to answer. The first question asks whether you
are a test administrator at one or more test centers. The second question asks you to enter the site ID of the
test center. If you are a test administrator at more than one test center, ensure you enter one site ID per field.
For the PPC exams, there is one question to answer. The question asks you to enter your site ID. If your primary
test center is a PTC, be sure to enter the site ID for the PTC (not a PPC site ID).
Please enter the site ID accurately. If you do not, Pearson VUE may not be able to associate your test center with
your certification status. As a result, you may be asked to retake an exam.
Refer to one of the following Quick Reference Cards for a tutorial on completing the questions. You can also find
the Quick Reference Card on the Downloads page of the VSS website.
After you answer the questions, click OK to save your answers and close the Item Details window.
5. Confirm that your test center appears in the Where (Select a Testing Center) section.
The field automatically defaults to the test center from where you have Registration Manager currently open. If
the field does not display your test center or if you want to take your exam at a different test center, follow
these steps to select the test center:
b. In the Find a Center window, enter information in the Search Criteria fields to locate the test center.
c. Click Search.
d. Choose the test center from the list, and then click Select.
6. In the When (Find an Available Appointment Time) section, enter the date range for when you want to
schedule the exam.
The start date range defaults to the day after the current date. If you want to
take the exam the same day you schedule it, which is recommended, you need
to change the starting date to the current date.

Tip: Setting the end range to the current date automatically changes the start date to the current date.
7. Click Find Times for a list of available exam appointments in the selected date range, and select a time.
If no appointments are available, change your time or date range. If appointments are still not available, it is
possible that your test center does not have open hours during the times you wish to schedule an exam. If this
situation occurs, please contact your manager or Pearson VUE to determine if additional hours need to be open
for a specific date.
8. Click Schedule.
9. If you are scheduling TDFTs for multiple workstations or want to schedule multiple certification exams in case
you do not pass the first time, click the Exams tab, and return to step 2 of the Exams screen section. Follow the
process again to schedule additional exams before you complete the order in the next section.
Order screen
1. In the Order Items section, verify that the correct exam is scheduled for the correct date and time.
The test administrator certification exam and all TDFTs are always free. You never have to pay for these exams.

If you receive a message that requests you to generate an ID, follow the steps
in the message to generate it.
1. In the Find Candidates window, select all the duplicate records, and then click OK.
After you click OK, Registration Manager displays the Customers screen and lists the records on the left side of
the screen.
2. Select a record on the screen, and then click the History tab.
A list of exams appears below the Show drop-down menu. Select each exam on the list to view further
information in the Details area of the screen.
4. Repeat steps 2-3 for the next record, and determine which record to use in the process.
If you are able to determine which record to choose, follow these steps:
d. Create a case, selecting Candidate inquiry and Duplicate account merge request.
If you are unable to find your registrations when creating the case, use the advanced search feature to select
the date of your past exams. This will help you determine which record you have used in the past to take exams.
When you create the case, be sure to explain which record is correct by including its VUE ID in the case details.
After receiving the case, the appropriate department at Pearson VUE will merge the duplicate accounts.
If you are not able to determine which record to choose, contact Channel Quality for assistance.
5. After you have determined which record is correct, make sure the correct record is selected on the left side of
the screen, and proceed to the Exams screen section located earlier in this document.

Delivering the exam
After scheduling the exam in Registration Manager, you need to run RMA to download the exam, admit the
candidate through Admissions Manager, and launch the exam through Delivery Manager. This process is outlined in
the following sections.

Run RMA manually if you are unable to wait for the exam to download or if the exam does not download after
10 minutes.
If the VUE Application Wrapper service is enabled, RMA runs automatically after about 10 minutes. However, it is
not necessary to wait for RMA to run.
To run RMA manually, click Start on the Windows taskbar; point to All Programs, VUE Applications, VUE
Support Tools; and click Remote Maintenance Agent.
As shown in the following image, RMA opens and runs in a command prompt window. The window
automatically closes when RMA has completed running.
2. Open Admissions Manager by clicking Start on the Windows taskbar, point to All Programs, VUE Applications,
and click Admissions Manager.
3. Confirm that the exam appears as deliverable in the Admissions Manager Schedule.
Exams are marked deliverable when an X appears in the box under the D (Deliverable) column, as shown in the
following image. If the X does not appear in the box, click Refresh Schedule. If it still does not appear, close and
reopen Admissions Manager before contacting VSS for assistance.

Launch and take the exam
1. Admit yourself for the exam through Admissions Manager.
For more information about Admissions Manager and admitting candidates, review the chapter Checking in
Candidates in the policies and procedures guide.
For more information about Delivery Manager and launching exams, review the chapter Managing Exam Delivery
in the policies and procedures guide.
3. Complete the test administrator certification exam or TDFT. After you complete the certification exam, you will
receive a score report that states whether you passed or failed the exam.
If the score report does not print, use the Reprint Utility to print the score report. For more information about
using the Reprint Utility, review the chapter Signing Out Candidates in the policies and procedures guide.
Pearson VUE is not always able to see if a test administrator has taken an exam, and the process to determine
who has taken an exam is manual and time-consuming. Therefore, test administrators must always use the
same record. If you do not use the same record, your certification does not record properly in the system.
Though there are some automated certification reports that can determine which exams you have taken, the
reports do not work properly if you do not use the same record to take your exam. As a result, you may be
asked to retake an exam.

• I cannot find my record even though I know I have not misspelled my name in Registration Manager.
What should I do?
Make sure you are searching for your record under the correct client. Also, make sure that you are searching for
the same name that you entered when your record was created. For example, when you created the record you
might have used your formal name instead of a typical variation for your name (Bob vs. Robert or Jon vs.
Jonathan).
• I have a duplicate record because my name is Robert and another record was created using a typical
variation of my name, which is Bob. How do I know which record to choose?
Complete an exam history search to determine which record you have used in the past to take exams. For
more information, see Verifying exam history in this document. If you still do not know which record to use,
contact Channel Quality for assistance.
• I have selected the correct client in Registration Manager, but I cannot locate my record. After I do a
search using my name and location, I still can’t locate the record. What should I do?
Your candidate records may have been merged because you work at several test centers in different cities. Try
searching for a test center in another city where you have possibly worked or trained at, as well as test centers
that may be associated with your region.
• When I search using my phone number, Registration Manager displays too many records. What can I do
to make it easier to find my record?
Do not use the telephone search. In many cases, test administrators from your test center have created their
records using the same telephone number for your test center. Instead of searching by telephone number,
search by your name.
