SHAASHWAT AN ECO-SUSTAINABILITY CLUB 2023-24

NOTICE
The selection procedure will be conducted for the following positions. Students are
kindly requested to give their preference in the registration form based on the roles and
duties carried out by the desired designated post.

Roles and duties of respective posts:
1) President
a. Responsible for leading the members in all activities.
b. Responsible for keeping harmony among the members.
c. Will help and assist the faculty co-ordinator in all proceedings of the meetings
and the activities of the association.
2) Vice president
a. Will assist the president in management of the meetings, activities and the
association.
b. Will take the place of the president in case of his/her absence.
c. Will carry out duties assigned by the president and/or the faculty co-ordinator.
3) Secretary
a. Responsible for keeping important documents, list of members, and minutes
of the meeting.
b. Seeking permissions from college authorities for usage of college
properties or conduction of any event.
c. Will take place of the president, in case of the absence of the president and
the vice president.

4) Coordinator Campaigns
a. Responsible for managing the events under Green Club as well asTeam
Shaashwat.
b. Overall coordinator of the Green Club and shall be responsible for all
activities
c. certification related information of the portal for all the team members.
5) Department Heads
a. Communicating their respective departments about club activities.
b. Encouraging particular department students to participate in club activities.

6) Club service Directors


a. Responsible for reaching out to students and presenting to them emerging
trends, studies, technologies and new academic/industry oriented
developments in engineering and environment.
b. They will do so by conducting regular club service every alternate week to
facilitate interaction and brain-storming discussions on such topics that serve the
mission of the club.
c. Will be the official record keeper of the activities of the association.
d. Will also keep the photographs, write reports and maintain the record of the
reports with proper details of date, venue, guest, budget, activity, winners,
etc.
7) Public Relation Head and sponsor Team
a. Responsible for publicising the activities scheduled and planned.
b. Will draft notices and will be responsible for proper circulation of the “right”
message.
c. case of fund raising and sponsorship, will act as point of contact for the sponsors
and the In association.
d. Responsible for keeping of the financial details of the association.
e. Responsible for drawing up the budget for activities.
8) Editing team
a. Responsible for maintaining the website/facebook/twitter/instagram and any
other social media outreach platforms
b. Responsible for liaising with journalists/reporters/ and any person or
organisation that can serve as an asset to disseminate the information about the
club and its activities through print or any other media coverage.
c. Also responsible for keeping track of Ministry of Environment and Forests and
Climate Change of the Government of India and liaising with the ministry.

d. Designing posters and brochures for events that would be used for publicity.
e. Making videos for presenting in event or for publicity purposes.
9) Research team
a. Responsible for research and identify relevant competitions and events where the
team can present project ideas.
b. Collaborate with the event planning team to understand the event's theme,
audience, and objectives.
c. Prepare engaging scripts for event introductions, transitions, and interactions with
participants and guests(anchoring).
